The meeting was called to order by President Gwendolyn Bonner with “This Little Light of Mine” and “Yes Lord Chant”Prayer by: Missy Jane BakerMinutes was read and approved Treasurer’s Report by our Treasurer: $4014.76 No money has been paid out yet.

Committee Reports: Registration: Miss’y Gamble stated they have received only 5 early packets with a total of (216) registered. Closing General Registration ends today after 12:00 noon. There are two Junior Bible Bowl Teams registered they are from Soperton and Dublin District, there are also 3 youth registered who would like to be on the AT Large Bible Bowl Team. Missy Gamble voiced her concerns about the registration forms that will come in today that don’t have 4 choices and are not legible. Ways and Means: Brother Grady King stated The Pastors and Wives will have their classroom. Drill Team will meet in the old gym. Open Microphone: Deacon Rogers reminded us that participants will be viewed on their performance. Math: Missy Lewis asked if we will be able to give a monetary gift for the winners, treasure stated depends on what money comes in. Missy Lewis asked if she could pay the money herself. Answer: let’s wait to see if SMM will be able to pay.Spirit of Excellence Award: Miss’y Lewis ask if a Rep from each District will come and judge the winner for the Spirit of Excellence Award. Orchestra: Missy Rogers will not be having a rehearsal on the last meeting before SMM. If anyone would like the music to practice she will email it to them. Audio/Sound Team: No audio available, we will have to use the Josey High School sound system. Oratorical Coordinator resigned and Missy Crystal Fitts will be the coordinator for the 2013 SMM. Infirmary: Sister Chambers will be the nurse onsite for SMM. Military Volunteers from Fort Gordon haven’t been confirmed, Elder Gamble will speak to someone about this. Our Master of Ceremony will be Shun Quinton. President Bonner explained why the name Fine Arts as changed to Scholastic Motivation Ministries (SMM) because when our youth attend to the International AIM Convention they are looking for Fine Arts Department instead of Scholastic Motivation Ministries which is what AIM calls it. AIM has a SMM Village and Missy Lewis gave us the different classes they have to offer like, Politics, Financial/Money Management, Investments, Golf, etc. The Youth even have the opportunity to become the Mayor of SMM Village. Scholarships are also available. President Bonner will delete the MySpace account. We will try and get a young person the monitor the Face book account, suggested Donnie Taylor son. President Bonner will ask Missy Wright to see if someone could come and do a live broadcast since Garfield Turner is sick. Missy Wright son Daniel would like to have a future 2014 SMM class to help our youth get Scholarship money for college.

The meeting was called to order by President Gwendolyn Bonner at 3:15pm

Opening remarks by Pres. Gwendolyn Bonner, reminding congregation that registration is now open, giving notification that as of 12 Noon on January 5th registration fees will be increased, specifically adult’s fees will almost double. So it is imperative that the churches get the forms in as soon as possible, for only 30 slots per room will be accepted. First come first served.

The public can participate, but only in non-competitive sessions only.

Some of the events have been changed this year. Last year we hosted YIA 2012 in Thomson, GA. This year 2013 we will be in Augusta, GA

Treasure Report: President Gwendolyn Bonner advised that opening budget for 2013 is $1400.00, and we will be paying as we go, things have been stretched and will be lean on expenditures. Only what is needed will be purchased.

Youth asked to gather together and rehearsed the songs before the congregation.

President Gwendolyn Bonner continued discussions on YIA, reiterated that only 30 youth will be allowed in each class. Be sure to notate the 1st, 2nd, 3rd and 4th choices.

Committee still in the process of trying to arrange a rally in that district

The Spirit of Excellence for the district level is now in progress. President Gwendolyn Bonner asked the attendees if they were aware of the Hall of Fame and Special Award. Many did not know, but it was discovered that there was a participant that has been competing since he was 5 years old until his senior year, and the committee decided to honor/recognize his work.

Social Media - President Gwendolyn Bonner advised new addition to Fine Arts- Face Book and MySpace: looking for younger adults to monitor and if interested please let her know.

Need to confirm closing for Mistress/Master of Ceremony – position is favored for the church the furthest away. Last year utilized New Joy- South Atlanta District.

Hospitality: Will need to know of any food allergies. There will be different colored lunch wrist bands to alert servers.

Millen District Rally November 17, 2012

The meeting was called to order by President Gwendolyn Bonner with “Jesus I’ll Never Forget” and “Yes Lord Chant”. Prayer by: Elder Boris WilliamsMinutes were read and approved.

Committee Reports:District Representative: Sister Shimeak Allen welcomed us to the Millen District Rally. The Mistress of Ceremony for Opening Ceremonies will be Chiquita Kelly from Millen District. We will like a male from the Augusta District. We have a new look to the Website, the name Fine Arts has been changed to Scholastic Motivation Ministries (SMM). If there are any churches that have at least one person who wants to participate in the Bible Bowl, we have an At Large Team which Elder Mark Walden our newly appointed AIM President will be working with these youths. The Junior Team ages are five thru fifteen. The Senior Team ages are sixteen thru twenty-two. President Bonner has sent emails for everyone to save your Bible Study Books; they have a lot of history for youths to study.

Ways and Means: No confirmation from the Sound Coordinator to date; Minister Donnie Taylor will contact Elder Bennie Jones. Our second Walk Thru went well. The Math Hall has changed from

hallway seven hundred to the four hundred. Church Reps will need to be at the Registration Desk area during first and second session.

Registration: Packets are needed early so the youth may get the classes or activity they want and don’t forget their first, second, third and fourth choices with 30 per class. The rates will go up on January 5th @ 1200 noon. The public is welcomed to participate in any of our non competitive events.

After Lunch Activities: Free Throw Contest will be in the Old Gym for male and female participants, there will be trophies given out. Open Mic will be in the New Gym, no trophies.

Drill Team: Class will be moved to the Old Gym.

Jump Rope and Drill Team class coordinator states don’t forget your gym shoes.

Hospitality: Will need to know about any food allergies. There will be different colored lunch wrist bands for 2013.

In the new format the At Large Team would consist of Kids from Districts X, Y & Z

The only part of the process that would change would be the preparation phase of getting the At Large Team ready to compete. The At Large kids would have to show up & compete in YIA Day Feb 2013 just like everyone else.

The Jurisdictional Team chosen to represent the Northern GA Second Jurisdiction is actually an At Large Team, showcasing the best talent we have to offer. The only thing this change is doing is giving a kid a chance to possibly be on the Jurisdictional Bible Bowl Team if their District cannot muster up enough people for them to compete.

Prayer by: Miss’y Jane BakerMinutes were approved with correctionsTreasurer’s Report: $1139.76. Because of the amount of money paid for Thomson H.S; we have asked Bishop Walden if we could return to Richmond County schools. His answer is YES!!The 2013 Theme for YIA Day: Un-leasing our Praises Unto God. Scripture: Let everything that hath breath praise the Lord. Praise ye the Lord. Psalms 150:6

Committee Reports: “Helpers are needed in all areas”. Open Registration for the Spirit of Excellence Award, a correction to the ages is six thru twenty-five. Miss’y Jane Baker is the new coordinator for the Bible Bowl and Sis. Sandra Wadley will be her assistant; who we are looking forward to meeting. Miss’y Baker will need to know who will be on each team by December 21, 2012. We are also waiting on all Districts and Church Rep’s to attend the Scholastic Motivation Ministries meetings. Unconfirmed classes are: Competitive Computers, Praise Dancers, and Arts & Crafts. After a lengthy discussion to save money; it was suggested and voted on to combine classes that only has a few students per session (5 or less) and make them only 1 session, ex: Oratorical, Bible Recitation, and Math. We will have two or more holding rooms for all competitive classes. Young Women and Gentlemen classes will be combined. Coordinators are Asp Miss’y Angelina Tate and Minister Quamid Green. Adult Session Elder Wilbur Jordan class is titled “You ain’t seen nothing yet”. Single & Single Again coordinator Miss’y Susie Moton class will be 1st session only. COGIC Doctrine class with coordinator Elder Boyd will be 2nd session only. Prayer Room has new coordinator Miss’y Ann Blair with title “Come as You Are” assisted by Mother Shipp, with Prayer Cloths and Oils. Elder Bennie Jones will email Miss’y Blair the District Reps. Elder Jones has not confirmed to Audio Sound System. New Classes – Men of Valor ages 12-22 yrs. old with coordinator Elder Michael James. COGIC Girls Rock ages 10-18 yrs old with coordinator Miss’y Diann O’Neal both with 1st and 2nd session. Lunch Hour Activity: Will be the Open Mic with Christian Songs only, a 25 person limit for 2 min and 55 second time limit. Participant must use Registration Form to sign up. Dress attire will be COGIC, no earrings on boys, no visible tattoo or body art; no pants on girls. We will change the award given for the Sweeping Event from Brooms to Plaques with Brooms on them. We have a new face of the website; the name has been changed to Scholastic Motivation Ministries (SMM).

During Lunch we listened to our SMM Songs: Happy by Tasha Cobb and Our God is Awesome by Pastor Charles Jenkins.

Treasurer’s Report: Is “below our norm” of $1139.76. Per Deacon Howard, we will need to cut back/redesign our YIA Day expense in order to decrease our cash output, maybe food is as area. There was motions were placed on the floor and carried to make the word “Youth” optional, in front of our theme and to select both songs for YIA Day. Program Committee: Elder Jones, we will select a young adult with a driver’s license who does not have to depend on someone else for transportation for our Mistress and Master of Ceremony. Miss’y Tressy Jones suggested using young adults under 25 yrs of age; younger person could be added, if accompanied by the young adult. Bishop has not selected the school for YIA 2013. Registration: Miss’y Gamble states that things went well; however, will be looking a few ways in which to improve the registration process registration such as encouraging Church Rep’s to get their packets early. Brother Grady King has offered his assistance with Registration. Drill Team: Miss’y Gamble spoke for Elder Gamble in his absence; states Drill Team need more room. Bible Recitation Coordinator: Elder Jones also spoke for this Coordinator, she enjoyed her first year as Coordinator and will get a faster and better scoring system. There will be a minimum amount of scriptures for each grade. Battle of the Bible: Elder Jones also spoke for this Coordinator, everything went well. Spelling: Everything went well. Competitive Computers should be according to age. It did not work out for older youth to compete with younger ages. Computer Coordinator will need to know the level of experience with disclaimer clause stating: A youth will forfeit all prizes, if participate is discovered to have been “too advanced to have participated”. Miss’y Betty Lewis state the Hall of Fame need to have a committee to see the nominee’s body of work along with years of service. Deacon Roderick Howard, Miss’y Dianna O’Neal and Cassandra Rogers were appointed to serve. Question – Can a young person be inducted in the Hall of Fame? Answer – Elder Jones stated that these recipients are “Trail Blazers” where as the Special Recognition Award is for 5yrs of “Hard Work” by anyone youth included. Math Class: Miss’y Betty Lewis stated that all went well, she also inform group that Nicholas Gamble won 2nd place at National AIM. Children’s Church: Coordinator states they had fun. Tambourine Class Coordinator: Everything went well. Ways & Means: Minister Donnie Taylor says that there is room for improvement. Bible Bowl Coordinator: Asked the question if recipient of Spirit of Excellence Award could be notified in advance. Miss’y Lewis agreed that all District Recipients should attend Jurisdictional AIM, but this will be taken under advisement by the Spirit of Excellence Coordinators. “ALL” Event Coordinators are asked to go to our Fine Arts website to select forms needed for YIA 2013, by August 25. This is to include: Scoring, Participation, Awards & Grievance Sheets which is the basic package. We do not want to keep putting the wrong sheets in your packets. Goals, Final Destination, At Large Team and Young Women/Men Workshop Coordinators were not present. Oratorical & Public Relations asked to be excused in advance. Bible Bowl Coordinator: Missy’s O’Neal available; our Junior Teams competed in National AIM, but was eliminated. Elder Bennie Jones worked at the National AIM with Bible Bowl scoring Dept. The Book of the Bible for 2013 is “The entire Book of Jeremiah”. Miss’y O’Neal will let us know which books to study for YIA 2013. It was added that everyone should keep the WPWW book for this quarter, because it has valuable study material for THE Church Doctrine and History. Next Year National AIM in Baltimore, MD, week of July 4th. Miss’y O’Neal voiced the need for two new “etiquette and self -esteem” classes for YIA, as we are getting an influx of young unexposed people. She continued that the classed should be separately for aged 10-18yrs of age. She would teach “COGIC Girls Rock” and suggested Elder Michael James teach the “Men of Valor” class.

The Bishop Mark Walden Spirit of Excellence AwardThe Motto: “Preparing Today’s Generation To Be Tomorrow’s Leaders.”

The Purpose: To empower and provide resources and avenues to let the youth exercise their varied talents and gifts. All young people are encouraged to reach their full potential in a Godly manner.

“In the Spirit of Excellence”

To celebrate the accomplishments of our young people, this year the Bishop Mark Walden Fine Arts Spirit of Excellence Award will be given to some young person who is selected by the Jurisdictional Spirit of Excellence Award Committee.

This award will be open to all young people between the ages of six and twenty-five whom are active in his/her church and the Fine Arts Program. Each church will be able to nominate a young person. From these nominees a district winner will be chosen; from the district nominees, a youth will be recommended for Jurisdictional Award. The Bishop Mark Walden Fine ArtsSpirit of Excellence Award

The Fine Arts Department works with Scholastic Motivation Ministries that are sponsored during the International AIM Conference. The motto of Scholastic Motivation Ministries is “Preparing Today’s Generation To Be Tomorrow’s Leaders.” The purpose of the ministries is to empower and provide resources and avenues to let the youth exercise their varied talents and gifts. All young people are encouraged to reach their full potential in a Godly manner.

To celebrate the accomplishments of our young people, this year the Bishop Mark Walden Fine Arts Spirit of Excellence Award will be given to some young person who is selected by the Jurisdictional Spirit of Excellence Award Committee.

GUIDELINES1. This award will be open to all young people between the ages of six and twenty-five.

2. This young person should be an active member in his/her church and the Fine Arts Program.

3. This young person should represent the spirit of excellence in every aspect of his/her life. (for example: home, school, church, and the community)

4. Each church will be able to nominate a young person, using the nomination form. A young person may only be nominated 2 years in a row; however within the span of five years a youth may be nominated again. The nominee should not be involved in the nomination process.

5. In each district, a district winner will be chosen from the church nominees. This person will be recommended for the Jurisdictional Award.

6. A committee will be formed with one representative from each district to select the Jurisdictional winner. The representative should not be the District Fine Arts Representative or a member of the same church as the district winner.

7. The representative selected to serve on the selection committee will be chosen by each District Fine Arts Department. This person will not be involved in the final evaluation of the district’s nominee.

Forms will be available to the churches by the first week in November. The deadline to return the district winner’s form to the Jurisdictional Fine Arts Department will be January 5, 2013. A committee, consisting of representatives from each district, will meet January 19, 2013 at the Jurisdictional Fine Arts meeting. All district representatives need to be present (even if the district does not have a nominee) to select the Jurisdictional winner. If the district representative does not come, then the district will not have a vote in selecting the Jurisdictional winner. The Jurisdictional winner will be recommended for the International Scholastic Motivation Ministries Achievers Hall of Fame.

Treasurer’s Report: Is “below our norm” of $1139.76. Per Deacon Howard, we will need to cut back/redesign our YIA Day expense in order to decrease our cash output, maybe food is as area. There was motions were placed on the floor and carried to make the word “Youth” optional, in front of our theme and to select both songs for YIA Day.
