Sooner Scandals At-A-Glance1. Act casts may have a maximum of 42 participants, excluding directors. Each act may have 6 directors

that will be recognized in the program (additional directors are welcome but will not be named in the program).

2. Every show has a budget of $2,500. All receipts of items purchased for Sooner Scandals must be kept and given to the Vice Chair of Sponsorship, Claire Kvicala. If any money is spent, digital ([email protected]) and hard copies of all receipts as well as an updated budget must be submitted prior to weekly Directors Meetings. If any items are purchased and they are not accounted for to the Vice Chair of Business, your show may lose Production Points or be considered for disqualification. All items must be submitted on the budget form found at the end of the Guidebook.

3. Shows may have a maximum of 10 song reserved for their show. There is not a set number of songs required for each show. Additionally, using an audio track is not required. If you choose to use an audio track, only one may be used per show and it may not exceed 90 seconds in length. Any songs used in University Sing or Sooner Scandals within the past calendar year are off-limits. A list of these songs will be provided by October 26th.

4. Stunts and lifts are permitted in the Sooner Scandals 2018 but will not be allowed to be performed at auditions. Directors must get all stunts/lifts approved from the Sooner Scandals Executive Committee and Holmberg staff. Failure to do so will result in disqualification.

Tips & TricksDisclaimerThe Sooner Scandals Executive Committee provides the following hints in order to help you be as successful as possible as a director. You may choose to use as few or many of these suggestions as you want. UTILIZE YOUR CONSULTANTS. Good luck!

Costumes Make sure your costumes (including shoes) are comfortable and appropriate for dancing Lead’s costumes need to have a place for a wireless microphone pack to be attached (e.g. belt or bra) Consider the stage light when choosing your costumes Practice in full costume at your own dress rehearsal before official dress rehearsal at Holmberg Hall Consider undergarments and make sure your costumes have stable straps Absolutely no glitter is allowed Stray away from black; primary colors (red, yellow, and blue) look best onstage Account for your performers’ shoes and choreography appropriately

Dance A clean presentation is always better than a difficult presentation! Plan and write down your formations ahead of time Don’t get too attached to your choreography—be willing to make changes as you deem necessary Showcase all dance talent Be patient with cast members who have a difficult time picking up choreography and consider this in your

planning stage Consider your theme when you are choreographing Utilize all of the space allocated to you onstage Do not forget to choreograph your leads Have creative and clean transitions that flow with the show Have lyrics written for your songs before choreographing dance moves Practice dancing and singing at the same time to build stamina Consider where the judges sit when choreographing Leave enough time to clean and make changes when planning the show

Vocal Look at the sheet music for a selection before falling in love with a song Be conscious of your cast’s vocal range Consider having a variety of genres and styles in your song selection Be willing to change key within your selections Don’t have your leads dance extensively before singing, and be intentional with their actions/dialogue Remember you need to project—not yell Warm up before you practice Be creative! —don’t be afraid to write your own notes and add dynamics

Spirit Do icebreakers at the first few practices so everyone can get to know one another Have a checklist of what you’d like to accomplish for each practice (this helps your cast members feel like their

time isn’t being wasted!) Everyone performs better in front of an audience so coordinate sneak-peeks for the organization(s) members or

ask the Executive Council to come watch Reward the cast member with the best facials and most energy (energy drink, doughnut, etc.) When practicing limited movement, still move in unison (be weary of head-bobbing!) Have a themed practice (tacky holiday, OU spirit, etc.) Point out people and give them recognition for doing a great job; it will encourage others to try harder Schedule surprises! Instead of practice one night, go to the Baked Bear or Classics Give your cast members enough time to rest and regroup during practices

Page 7: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

Stage 1: Planning Your ActThis phase is when you put your creative skills to work! You will use this time to select your theme, songs, and

also recruit the cast for your act. The more work you do during this time period, the less you will have to worry once rehearsals begin.

Theme Pick:You will select the theme for your act.

The Process: At the theme pick meeting, each act will pick their theme in the order determined by the benefit night. The act that has the highest percentage of their organization(s)attend will go first, followed in succession by the next highest all the way down the list. The order of theme pick will be sent out to directors as soon as possible after the benefit night.

Pre-Screening: Directors must submit a minimum of 3 synopses in a Word Document to [email protected] by October 24th.

Synopsis: Each act will submit a brief synopsis to the Sooner Scandals Chairman explaining the basic plotline they will use to interpret their theme. This information must be submitted on paper on October 26th during the Directors Meeting. Failure to submit a hard and soft copy of your synopsis will result in loss of production points.

Song Pick:You will reserve a list of 11 songs (including show title song) that you can pull from for your show.

The Process: At the song pick meeting, the selection order used from theme pick will be reversed so the group who picked its theme last will select songs first. We will down the list allowing each group to select 5 songs, and then the list will be worked upward for each group to reserve 5 additional songs.

Off-Limit Songs: Songs performed in the last calendar year of CAC University Sing or CAC Sooner Scandals may not be used. This excludes songs performed by the Performance committees of either event. A comprehensive list of the unavailable songs will be emailed by October 26 th.

Unused Songs: A total of 10 songs will be reserved but it’s at the directors’ discretion how many are used. Songs that are not used will not be considered off-limits the following year.

Audio Tracks: For the full show, a live band will play your songs for you or you may chose to perform all songs a cappella. Use of an audio track is not required. If you choose to use an audio track, it must not exceed 90 seconds in length. The track must be entirely instrumental and have no background vocals. Tracks used must be approved by the Sooner Scandals Chairman prior to Holmberg Week; failure to do so results in a loss of production points.

A cappella: Your show is required to have one song performed a cappella. Changes: Act Directors may submit requests to change songs by emailing [email protected] Executive Committee Song Selection: Following this initial song pick meeting, the Sooner Scandals Executive

Committee may begin reserving songs to perform during the non-competitive portion of Sooner Scandals. These songs will be off-limits and unavailable for acts to use in their shows.

Casting Your Show:Your cast must be selected by dead week of the fall semester.

IDs: Submit all your cast’s OU ID numbers to the Sooner Scandals Vice Chair. Grades: Participants, and directors, must have a minimum cumulative GPA of 2.5. If participants have only been

in college attendance for one semester, their previous semester GPA must be a 2.5. Any participants that do not have a 2.5 will not be allowed to participate.

Tips Use this time to obtain sheet music and music cuts for your songs Write the script and lyrics for your audition act and full act during this time Choreograph your audition show and begin brainstorming choreography for your full act When casting your cast, consider casting the lead roles first then the chorus Consider the vocal range of each cast member so you will have a variety of singers

Stage 2: Audition Phase

Page 8: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

This phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful in front of our audition judges. You will have the opportunity to work with our Vocal and Dance Consultants during this time. Before auditions, each act will submit their Stage 2 Act Report to the Sooner Scandals Executive Committee. At auditions, you will present a condensed version of your act. Each group will perform 3 songs with dialogue. There are no costumes at auditions and no use of props. This is your chance to wow the judges with your creativity, storyline, energy level and technical skills in singing and dancing. Audition dates will most likely take place in late February.

Rehearsal Period: Practice Hours: Act Auditions may begin on November 25th and rehearsals may begin January 16th. Each

act may practice up to 8 hours per week. For Sooner Scandals, a week begins on Monday and ends on Sunday. No practice is permitted on University Holidays or on days when classes are cancelled at the University of Oklahoma – Norman Campus (snow days, President’s Day, etc.)

Practice Schedules: Submit your practice schedule (including when and where) by using the Sooner Scandals Google Sheet by 5pm each Sunday.

Director Meetings: Director meetings will take place each week on Thursday evenings, time and place TBA. One representative from each participating organization must be present at each meeting.

Vocal and Dance Consultants: Your act will be assigned one dance and one vocal consultant. These consultants will visit your rehearsals during a planned time every other week. These consultants will be present to aid at the director’s discretion. Confidentiality is very important to us as well as the trust we have between participating acts and Sooner Scandals Executive Committee; this will be taken very seriously. If you have any questions or concerns about these visits and would like to plan additional times for visits, please reach out to Grasyn Fuller, Vice Chair of Performance, through (405)-596-4845.

Stage 2 Act Report:Each act will submit their Stage 2 Act Report to Student Life the Friday before auditions:

Pre-Audition Walk-Through:There will be a walkthrough of the Jim Thorpe Multicultural Center facility and each act will be able to preview their music cuts on the sound system we will use for auditions. The CD you provided will not be used. Please bring your cut music on an iPod, iPhone, or other smartphone for walkthrough and auditions. Note: this is NOT meant to replace a rehearsal. You will only have 20 minutes for walkthrough.

Audition Format:

Page 9: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

You will perform 3 songs with dialogue at auditions: two with choreography and one a cappella. Your audition performance should introduce your theme and have an understandable storyline.

Introduction: Prior to your audition piece, one of your directors will need to provide an introductory statement to prepare/inform the judges about your show.

Judging: 3-5 judges will be present at auditions. Each judge will be evaluating the vocal, dance, and acting quality exhibited in your audition. The 7 acts with the highest scores from the judges (including production points and deductions) will be invited to perform in Sooner Scandals 2018. The judges will be consulted in the event of a tie.

Stage Dimensions: The stage is 30ft x 20ft. Organization Titles: The audition judges are not informed of the organizational affiliations of each act.

Therefore, no Greek Letters or Organizational Titles may be seen or heard in the audition room. Be especially careful of jewelry, cell phone covers, key chains, etc. Violation of this policy may result in disqualification from Sooner Scandals 2018.

Stunt Limitations: Flips, lifts, or stunts are permitted. The Sooner Scandals Executive Committee and Holmberg staff must approve any stunt, lift, or flip. Performing a stunt, lift, or flip. Lack of approval will result in disqualification.

Time Limit: Prior to audition day, your act will be assigned a timeslot to audition. This will also include the time your act is to arrive at Jim Thorpe Multicultural Center. Acts will have 15 minutes from the moment the first participant enters the audition room until the time the last participant leaves the audition room.

Props: No props may be used during the audition. Music: Each act must provide their own music for auditions on an audio-playing device such as an iPhone. One

of your directors will sit with the device to cue the songs accordingly. There will not be a piano available in the room during auditions. No Executive Committee members will adjust the volume; you may have a director adjust the volume on your music-playing device.

Audition Attire: Act participants may not wear costumes at auditions. Chorus members may wear combinations of black and white for uniformity, but these items should not be purchased or designed for the purpose of your audition (this excludes standard items such as solid black pants, jazz shoes, etc). Lead characters may wear something to distinguish themselves from chorus members. Any attempt to push-the-envelope with chorus member attire such as face paint, black-and-white costumes, etc. will result in severe deduction of points. Audition judges will determine if each act has complied with the costume policy, and severe point deductions will be assigned to groups who violate this policy as outlined in the “Production Points” portion of this packet.

Audition Conduct: Each act must help the audition process run smoothly. If the Sooner Scandals Chairman or Advisor deems your conduct while in or around the audition facility disrespectful or disruptive, your act will receive point deductions. Please refrain from chanting anytime before or after auditions. This is distracting to other performing acts and will result in the loss of production points. The directors are in charge of keeping track of their act’s personal items brought to auditions.

Audition Results: The head directors from each organization will receive an email from [email protected], announcing the results of the judges’ selections as soon as they have been decided.

Audition Performance:Your act will have 15 total minutes in the audition room, including the entirety of the cast entering and leaving the room. Your audition MUST include at least two songs with full choreography and the a cappella song.

Tips Mark your practice space with the dimensions of the audition stage Ask somebody outside your act to review your script to make sure that your storyline is easily understandable Have a special sneak-peek of your audition show for members of your organizations who are not participating in

Sooner Scandals If you use an iPhone to play music during auditions, turn it on Airplane Mode Remember: the judges are watching you and your participants the moment you enter the room!

Stage 3: Pre-Holmberg

Page 10: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

This stage is when you continue working with your cast and teach them your full act after auditions are complete. You will want to use these six weeks efficiently so you will be prepared during Holmberg Week. You will have the opportunity to work with our Vocal and Dance Consultants during this time. Before Holmberg Week, each act will submit their Stage 3 Act Report to the Sooner Scandals Executive Committee.

Music MeetingAfter auditions, your act directors will meet with our band and discuss each of your songs. We will provide the

CD you turned in for your Stage 2 Act Report. You will need to bring sheet music for your songs for your songs your act will be performing in your full show. Please bring at least one additional copy of your CD. Be prepared to discuss the cuts you have made to the songs as well as any key changes you would like the band to implement. Sometime after this meeting you will receive a CD with our band’s interpretation of your songs. You will also turn in the signed mandatory liabilities and talent release forms at this time—it is your responsibility to obtain forms from all participants.

Preparation Timing: Your full act can be up to 12 minutes in length. Allot a 45 second grace-period to have your cast get on

and off the stage. Act Advertisement: Act advertisement designs and money will be due two weeks before Holmberg Week. The

discounted rate for a half page advertisement costs $350 and a full-page advertisement costs $600. The cost of the advertisement does not come out of your show’s overall budget of $2,500. Submit an electronic copy of your advertisement to [email protected] and make checks payable to “Sooner Scandals” then submit to Donna Chapman, OMU 361.

Stunts: Flips, lifts, or stunts are permitted. The Sooner Scandals Executive Committee and Holmberg staff must approve any stunt, lift, or flip. Performing a stunt, lift, or flip not approved will result in disqualification.

Costumes/Props: You should begin ordering costumes and props as soon as possible. Obtain your cast members’ measurements during the first week following auditions. Costumes must be tasteful and the use of glitter is strictly prohibited on props and/or costumes. Your act’s costumes and props will need to be approved by the Sooner Scandals Chairman at the final Exec Tour. Remember to keep all receipts. Costumes and props can be approved before Exec Tours at a weekly directors meeting if you wish.

Ticket Presale: Each act will have the opportunity to purchase tickets before the general public. You will be given a presale code unique to your act. We will provide you with a format that you might find helpful to fairly distribute your presale tickets to your act participants. The Sooner Scandals Executive Committee may sponsor contests to earn more presale tickets for your act, which will be discussed at director meetings.

Background Images: There is a large projection screen as a backdrop on Holmberg’s stage. You act can have up to 5 different images or animations displayed on the screen with a maximum of 10 image transitions during your show. You must have an image on the screen throughout your entire act except for short, planned blackouts as needed. In the first few weeks after auditions we will have a directors meeting focused on building background animations to add more character to your show. NOTE: copyright images cannot be used. Only images in the public domain may be used. If you would like for the Sooner Scandals Executive Committee to check your images, please submit them and your source to [email protected].

Tips Frequently time your show to make sure you are not at risk to go over the time limit Avoid black in costumes as it tends to look invisible on stage If morale seems low or you have a stressful rehearsal, consider ending practice early and rewarding your cast with

a trip to Braums or Classics

Page 12: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

Stage 4: Holmberg WeekThis is it—the final frontier!! Holmberg Week will be one of the most exciting and rewarding weeks of your time as a Sooner Scandals director. Pay close attention to these instructions so your week can be stress-free.

Holmberg Communication Policy:All communication between Sooner Scandals Act and the Sooner Scandals Executive Committee, Advisor, and Chairman should be directed to [email protected]. This week we will respond within 24 hours. In case of an emergency, please call Jarrod Daily-Paddock at (316)-305-4355.

Holmberg:It is crucial that all Sooner Scandals participants, directors, and executive committee members are on best behavior while in Holmberg Hall. The following rules apply at all times and failure to comply will result in a loss of production points for the stage time or performance in which an infraction occurs as outlined in the “Production Points” portion of this packet.

Absolutely no food, drink, or gum allowed in Holmberg Hall Close-toed shoes are required at all times by directors and participants in the performing arts center (you may

quickly change shoes if this is part of your act). Dress code is professional dress while in the Holmberg Hall Lobby from Thursday-Saturday evening show. In

order to maintain a professional environment, absolutely no costumed participants may be seen in the lobby at any time.

Only directors and participants who are part of your act (their name is on your contact spreadsheet and they have signed a waiver) may be present for your stage times. No other individuals may accompany you backstage.

Scheduling:You will receive a schedule of each of your stage appearances including arrival and departure times. Use this information (including time to get dressed, apply makeup, do hair, etc.) to create a detailed schedule for your directors and participants. Do this early so all of your participants can prepare. Your act will be permitted one hour on Monday and one hour on Tuesday for any final rehearsals. After this time, your act should not be rehearsing. Students may never miss class for Sooner Scandals-related activities, regardless of that class’s attendance policy.

Tempo RehearsalYou will have the opportunity to run through your songs with our live band at the Jim Thorpe Multicultural Center the week before Holmberg Week. This is your opportunity to set the tempo of each of your songs. It will be helpful to bring your participants and have them perform the songs with the band so you can determine if the songs are too fast or too slow.

Stage TimesYou will have two stage times on Monday and Tuesday. When the band is not present, you will need to provide your own music (bring battery-powered speakers) for your act. Use this time to perfect your spacing, volume, and timing. A representative from the Sooner Scandals Executive Committee will keep you informed of your remaining time (25 minutes with the band, 20 without). Your act (all participants, directors, and props) must be cleared from the stage by the end of your time limit or point deductions will be assigned as outlined in the Production Points portion of this packet. Changes to your show are prohibited after the Tuesday rehearsal unless the Sooner Scandals Chairman approves them.

Dress RehearsalOn Wednesday night of Holmberg Week, we will have our official Dress Rehearsal. Each act will perform with full lights, costumes, backgrounds, music, and sound. A small selection of students will be invited to watch the performance. This performance will not be judged and the small audience in attendance will not vote for Crowd Favorite. There will not be point deductions if your act goes over the allotted time at this performance.

Thursday: Student ShowOn Thursday night, we have our non-judged student show. Although there are not judges, this is not a rehearsal and the audience does have the opportunity to vote for the “Crowd Favorite” award. This act will be your last opportunity to fix any timing issues so we will not deduct points if your act goes over the time limit on Wednesday night.

Judged Shows

Page 13: €¦  · Web viewThis phase is when you begin working with your cast and teach them your audition performance. You will want to use these weeks efficiently so you will be successful

What you have been waiting for! For each of these shows, a severe point deduction will apply if you go over the time limit, as outlined in the Production Points page of this Guidebook, along with points being deducted for any other rule that is broken during Holmberg Week (i.e. open-toed shoes, food/drink, etc.).

Scoring The awards are determined in the following ways:

Miracle Maker Award: Act that raised the most money in the Miracle Maker contest. Donald W. Reynolds Performing Acts Center Award: Selected by performing acts center staff. Crowd Favorite Award: Voted on by the audience at the Thursday, Friday, and both Saturday performances. All other awards: Determined by the Sooner Scandals Judges. The Saturday evening judges (Dance, Vocal, and

General Effect) will be asked to stay while points are added. In the event of a tie, these judges will be consulted in order to declare a winner.

Award ShowFollowing the Saturday evening performance we will have the Award Show. This will be a great time to celebrate all of the hard work you have done over the past several months. Your act will arrive and sit in the orchestra section of the auditorium. We encourage you to invite your friends to attend the award show. Seating at the award show will be first-come, first-served for all attendees except acts and directors.

Tips You and all your participants should always put schoolwork first during Holmberg Week Have a very, very detailed plan for each stage time so you can get the most out of your limited time onstage Before the award show, remind your act of how proud you are of their hard work and review all of your amazing

accomplishments over the previous month. Remind them that, no matter the outcome of the award show, they have made history at University of Oklahoma by participating in Sooner Scandals

On Monday, use your rehearsal time to work on spacing for your act and lighting for your show On Tuesday, use your rehearsal time to work on your show without dialogue, and make sure your lighting is

correct
