About NACLC

The National Association of Community Legal Centres (NACLC) is a national peak body representing about 200 community legal centres (CLCs). The NACLC office comprises of a small friendly team of around 10-15 people including casuals. NACLC’s main office is located in Sydney CBD and general office hours are Mondays to Fridays, 9am–5pm.

Description of the role/s

NACLC is seeking either one full-time staff member, or two part-time staff members, to support general office administration as well as our work in improving the capability of NACLC and community legal centres in relation to information technology and data analysis.Support for information technology, data and communications projects:

Work on a shared CLC sector project developing (Drupal-based) websites for individual CLCs

Provide support to CLC staff accessing a range of online tools provided by NACLC Troubleshoot IT issues for NACLC staff and liaise with IT contractors for the internal

IT systems Support the transition of NACLC and community legal centres to Office365 Survey design and implementation using Surveymonkey and other similar tools Analyse and prepare reports of de-identified data from NACLC tools including the

National Accreditation Scheme, the national client database CLASS, and the national census of community legal centres

Assist to scope and streamline NACLC’s information management processes, for example, implementing a “collect once, use often” online tool to gather organisational information from community legal centres.

General administrative tasks: Answering phone and email inquiries from members of the public and community

legal centres Entering data into a number of internal (non-client) databases Standard office duties such as collecting the mail, managing petty cash, booking

travel and accommodation Distribute e-bulletins Supervise students and volunteers in relation to administration tasks Schedule meetings, prepare agendas, and draft minutes.

Skills and experience

IT and data

We are not expecting applicants to have formal IT qualifications. Rather, we are looking for digital natives who are keen to further their skills in information management or information technology. You might have studied a technology or statistics subject at school, TAFE or university, and used those skills to (for example) build a simple website using a standard CMS or engaged in user prototyping. Demonstrated experience or skills in the following areas will be highly regarded: Basic website development, ideally html and Drupal Extensive experience with Microsoft Word, Excel, Outlook and

PowerPoint; ideally also experienced in new Office365 products such as Yammer

Statistics or data analysis experience using business intelligence software such as Microsoft Excel, SPSS

Designing surveys, eg in SurveyMonkey Mail merge and bulk email systems such as Mailchimp Knowledge of CiviCRM, Filemaker Pro or other databases Experience in scoping digital solutions, eg through prototyping or user-

testing.

Administration

Experience in administration or reception work particularly in a non-profit organisation, even if only in a voluntary capacity, is ideal for this role.

Other Knowledge of the legal assistance sector – perhaps you are already volunteering at a community legal centre, did a student placement as part of your degree; or are enrolled in a Diploma in Aboriginal and Torres Strait Island Legal Advocacy; or did legal studies at school.

Open-minded – you are able to work respectfully with people from a range of other cultures, languages, abilities, genders, sexuality, religious beliefs, and life experiences.

Commitment to working cooperatively and respectfully with Aboriginal and Torres Strait Islander peoples

Personal attributes

Good interpersonal skills – you’re friendly and respectful Very high written and verbal English language skills Strong analytical and problem-solving skills Self-motivated, fast, but diligent – if you don’t know how to do

something, you’ll research it, develop a quick plan, check in with appropriate staff, and then take it to your supervisor

Able to juggle multiple deadlines and effectively manage priorities – particularly for the full-time combined role, you will have several staff calling on you, and will need to be confident in identifying which projects need to be prioritised and why.

Selection CriteriaIf you are applying for the full-time role as Administration & IT Projects Officer, or the part-time IT Projects Officer role, you need to address all six of the selection criteria. If you are applying for the part-time Administration Assistant role, please address criteria 3, 4, 5 and 6 only.

1. Please tell us about any experience you have in developing websites, surveys or online tools, whether this was experience as a student, in a personal capacity, volunteering for a non-profit organisation, or as part of paid work.

2. Provide two examples of projects (other than website design) that show your experience in information management and/or data analytics, again setting out how you were involved and what software you used.

3. Tell us about any administration or customer service experience that you have had, and what office skills this involved, eg answering phones, emails, ordering stationery, taking minutes.

4. Please provide a full list of all the software and social media platforms you would be confident using as part of your role.

5. Tell us about any experience you have working in a team and/or supervising volunteers, students or other staff.

6. Please tell us why this role interests you. If you are applying for one of the part-time roles, please describe why this suits your career at this point in time.
