Dear Dr Florance, As you will be aware the College has an obligation to audit the accuracy of CPD returns and you have been selected as part of a 5% random sample of returns to audit. I enclose a copy of your Personal CPD Summary Report from 1 January to 31 December 2009. I write to ask you to demonstrate that you have done the CPD which you have claimed.The way you prove attendance will vary depending on the CPD activity but could include copies of attendance certificates, confirmation of attendance letters etc. I realise that for many items of “internal CPD” you may not have documentary evidence of attendance (and for external CPD you may have mislaid evidence). In such cases a description would be sufficient eg “14th Sept: Audit meeting -1 hour: Audit of Management of Asthma in Department”.We would be grateful if you could return all documents electronically to Chris Walsh at the College on [email protected] by Thursday 1 July. Chris would also be happy to answer any question you may have about the audit process. Yours sincerely,

Problems and solutions

• Not recorded all the evidence– My appraisal was booked for later that month

and I had not put in all of the CPD (eg online CPD certifcates)

– Could not be added online by then (June 2012)

• Record CPD at the time• If not, don’t wait until June!• Put it on by end of January?

• Evidence– In paper form– Scan in and email to CEM

• Availability of a scanner at work?• Resolution - if file attachment too large, email can crash• Send lots of docs in lot of different emails?

• Try to get electronic certificate and put in to online record promptly• If scanned and emailed, make sure the resolution is low and the file

attachment is therefore small.• Alternatively, photograph it on iphone and email / paste onto CEM

site? (Automatically a lower resolution. I’m still to try this, but I photograph the kid’s swimming training times / gala arrangements on the notice board!)

• Reflective practice– There is a bit on the CEM

where you can free – text reflection

– Could upload another document onto the site. Eg notes made on the day, or reminders about what you are going to go when you get back to your own department

• CEM event approval for CPD?

• In the future, if I make notes (and I do), I will photograph them on my iphone, and upload them onto the CEM site.

• If CEM CPD approval, less emphasis on having to demonstrate that the CPD was useful?– But still record reflection?

• Quality / effectiveness of the teaching– ALS / ATLS etc

• More straightforward as get feedback forms from course directors.• BUT:• Not all courses do this• Not usually possible to say that it definitely you that delivered that wonderful

skills station (or that rubbish one!)– How often do you give out evaluation forms after your teaching?

• Remember to put it in• New ways of teaching / knowledge in the ‘reflection’ bit of the CEM

site• Remember the restriction on how many hours of CPD you can claim,

for teaching on life support courses– And that the CEM site does not automatically remind you or make adjustments

• Teaching programmes• ‘Thank you’ letters and emails.

• Miscellaneous meetings– Appraisal– A&E / Xray meetings

• Teaching received

• External CPD

• Excerpts from diary?• Email confirmations?• Minutes and attendance

lists for meetings; learning points.

• Reflective practice vital. • Scan in copy of teaching

attendance sheet?– SHO / SpR attendance

sheet?

• External CPD– I need to make sure I get

out more often…

Summary

• CEM audit of CPD should not be something to be afraid of – if you have maintained your evidence!
