Setting up classes and students

Go to our Manage tab and select manage students / classes and being the 2016/17 Whole school setup

The video shows how to get the data from SIMS fast. Note: It is important to have your CSV file in the correct format using the headers

shown and Date of birth format set to DD/MM/YY

Attach and upload the file here

This next step will breakdown your upload

Class name First name Last name Gender Date of Birth

8M/Ma1 Rebecca Simmonds f 21/10/03

8M/Ma1 Josh King m 28/05/04

9M/Ma3 Andi Jackson m 13/01/03

New students: Anyone that has joined the school or who doesn’t already have a Hegartymaths account.

Existing: These are the students who are moving up a year group

Potential duplicates: A slight change in an existing student's name between this year's and last year's uploads means our system can't be certain as to whether that student is an existing or new student and

so will categorise them as 'potential duplicates'.  We’ll give YOU the chance to tell our system if the student is an existing student so we can connect to last year's account and retain the student's prior

data. This requires the students DOB is accurate at all times.

You will be required to either merge students with the same DOB or to create a new student

If you look at the above example, the hyphen in the name confused HegartyMaths so we needed your help to tell us whether to merge the

data with an exiting student account or create a new student

Top tip: This is the time to do a little

check of your classes to ensure everyone is where they are

supposed to be! A check of the class numbers useful at this stages well as picking a few

students whom you know are in particular classes.

Nothing is saved until you complete the process and put in

your password so you can always abort and contact us if

you are having problems

Next you will be shown students who are no longer in classrooms. These are likely school leavers but again we suggest you have a glance over and ensure there is

nobody unexpected in these lists

Finally, if you wish to keep any tasks/classes from last year then uncheck them. Otherwise, they will go into the archives (in the manage page). These can be

restored if you wish.

Nothing is permanent until you

do this last part!!!

Managing accounts and classes

Here, you can create a brand new student account and put them straight into a class

You can edit student names, DOB and reset passwords by clicking here

Setting up and managing teacher accounts
