Course Objectives This course will introduce you to the SAPweb HR Transaction for Termination. As part of the

Appointment Process Redesign project, five HR transactions, which are currently managed by paper or

email forms, will be migrated into SAPweb. The SAPweb system will deliver many benefits, including

streamlining the HR Transaction process for DLC staff, eliminating duplication of effort, and providing easy

access to historical information. SAPweb will validate data input for accuracy, enforce required fields, and

implement many additional key compliance checks for increased accuracy.

Upon completion of this course you will:

√ Know when to use the Termination transaction.

√ Know what information should be gathered for successful completion of a Termination transaction.

√ Understand SAPweb HR Transaction authorization roles, including Initiator, Approver, and HRO.

√ Be familiar with the Termination terminology and workflow.

√ Be able to access and navigate SAPweb Termination screens.

√ Be able to search for and select an employee for whom to create a Termination request.

√ Be able to initiate a Termination request including:

1-A : Overview

SAPweb provides a web-based, platform independent solution to the HR Termination Transaction process, which currently utilizes static forms on the web for data entry and email for approvals. SAPweb will provide fields pre-populated with MIT HR data and validation of information entered. The current static web form approach results in duplication of effort by requiring HR-Payroll Service Center staff to re-enter data in SAP. The new system will allow HR-Payroll Service Center to process the Termination request in SAP. Benefits and features of SAPweb Terminations include the following:

✓ Improved data entry experience for DLC administrators via an intuitive interface. The web-based application guides the user through data entry screens.

✓ Increased accuracy of data entered due to validations and prompts.

✓ Reduced time to process transactions based on electronic approvals and elimination of duplicated data entry.

✓ Real time access to the status of Termination requests by the initiator and approvers.

✓ More timely and accurate information will lead to better Institute wide reporting.

When to Use SAPweb Terminations 

• Employee is ending all MIT appointments and separating from MIT.

• Employee’s appointment has reached its end date and you are certain a new appointment will not be created in the near future.

• Termination is required to end employee benefits and inform MIT Benefits Office to contact the former employee with Cobra and other benefits information.

1-B : Data Gathering

Prior to accessing SAPweb to create a Termination request, you must complete data gathering for the following data elements for successful completion:

SAPweb will provide some fields pre-populated with information stored in the MIT SAP HR system. For example, the Forwarding Address on record for the employee will be provided for verification and updating as necessary. Good data gathering is a key component to successful completion of a Termination transaction.

1-C : Access Authorization Roles

There are three Authorization Roles for SAPweb Terminations. Staff with either Initiator or Approver authorizations may create Termination requests. Termination requests submitted by a user with an Initiator authorization will be routed to the Approver for that unit. Terminations with an involuntary termination reason for Termination must be approved by an HRO. All approvals will take place prior to the Termination request being sent to the HR-Payroll Service Center for processing.

1-D : Workflow

The Termination workflow varies depending on two factors:

• Authorization – If a user with Initiator authorization creates the Termination request, it will require approval by a user with Approver access for that organizational unit. If a user with Approver authorization creates the Termination request, the approval is implied. The Termination request is sent to the HR-Payroll Service Center in SAP for approval and processing. If the HR-Payroll Service Center rejects the Termination request for processing, the user who created the Termination will be notified.

• Termination Type – If the Termination Type is Involuntary, it will require the approval of an HRO prior to processing by the HR-Payroll Service Center. Terminations with a Voluntary or Other Termination Type do not require approval by an HRO and are sent directly to the HR-Payroll Service Center for approval and processing. If the HR-Payroll Service Center rejects the Termination request for processing, the user who created the Termination will be notified.

2-A : Access HR Transactions – Termination

Based on your authorization role, you may create a Termination request as an Initiator or Approver. Terminations created by an Initiator require approval from the designated DLC Approver. If you have the authorization role of Approver, you may create a Termination request and submit with implied approval in one step.

To Access SAPweb Terminations:

1. Open a Web browser (make sure you have current MIT certificates installed).

2. Go to https://web.mit.edu/sapweb/

3. Click on the Employees Tab.

4. Under the heading “HR Transactions,” click the Termination link.

5. Select your MIT personal Certificate when prompted.

2-B : Search for a person

The Search for a person screen will display. To initiate a Termination request, you must search for and select the person for whom you are requesting Termination. The search is limited to employees in your area of authority.

To Search for a person:

1. Type the MIT ID or Last Name of the person for whom you want to initiate a Termination in the Employee textbox.

2. A pull down list of search results will display to auto-complete your search.

3. Select the person from the list. The Name, MIT ID, Title, and Unit for the selected person will display. If your search does not find a specific person, it may be because the employee is not in your authorized area or another user has previously created the Termination request.

4. Click the Continue> button to create a Termination request for the selected person.

Note: If the selected employee has multiple appointments, including appointments not in your area of authority, you will receive the following warning:

Continue to create a Termination request if the employee is ending all MIT appointments.

HR-Payroll Service Center will terminate the appointments outside your area of authority if appropriate.

2-C : Tour of the Termination Screen

Once you have selected a MIT employee, the Termination data entry screen will display. To return to the previous screen, click the Go Back link. Links to Help and Policies are in the upper-right corner of each screen. For a definition of each Termination reason, click on the Detailed

Info icon . Note: Fields and sections marked with a red asterisk are required. SAPweb Termination Screen

2-D : Review Appointments

The Review Appointments section contains important information about positions currently held by the employee.

To Review appointment(s) held by employee:

1. Review appointment(s) held by employee. The active appointment(s) for the selected person are listed. For each appointment listed, carefully review:

2. Do you want to delimit position number <number>? The default selection is No. If the position is obsolete and will not be filled in the future, select Yes.

2-E : Enter Termination Details

After you have reviewed all appointments listed for the employee, you must enter the Termination Details: Termination date (required) – The Termination Date is the last day for which the employee will be paid. Typically, the Termination Date is the same as the Last Day Worked by the employee.

✓ Note: valid termination dates for Faculty are May 30, May 31, or June 30.

Last Day Worked – If the last day the employee worked is different from the Termination Date, enter the date in this field. Unemployment benefits require reporting of the last day worked.

Vacation balance to be paid (required) – Based on an employee’s eligibility and exempt /

non-exempt status, vacation balance must be entered or calculated automatically.

To Enter Termination Date:

1. Use the Calendar tool to select the last day for which the employee will be paid in mm/dd/yyyy format. The Termination Date cannot be later than the Appointment End Date. This field is required.

Note: valid termination dates for Faculty are May 30, May 31, or June 30.

To Enter Last Day Worked:

1. Last Day Worked is not a required field. Leave it blank unless the last day worked by the employee is earlier than the Termination Date.

2. Use the Calendar tool to select the last day the employee worked in mm/dd/yyyy format.

Note: If the Last Day Worked is earlier than the Termination Date, this information must be entered to accurately report for unemployment benefits.

To Enter Vacation Balance to be Paid:

Depending on the employee’s vacation eligibility and exempt / non-exempt status, you will be prompted to enter the vacation balance as a number of days and partial days:

1. If the employee is exempt and vacation eligible, a field for the vacation balance will display for you enter the number of days.

2. Enter the number of days from -5 to 45. Negative numbers indicate that the employee owes the number of vacation days. If the employee does not have a vacation day balance you must enter “0” as the field is required. Use a decimal to indicate partial vacation days, such as 3.5. According to MIT benefits, partial days should only be entered as .5 or half of a day.

3. If an employee is not vacation eligible or is non-exempt and vacation eligible, you receive a message indicating the status and will not be required to enter a number of vacation days.

Examples: Non-exempt & Vacation eligible Exempt & Vacation eligible

Non-exempt and vacation eligible, i.e., Support Staff

Vacation balance is calculated automatically. You do not need to enter a vacation balance. Instead, the text “Payout will be calculated automatically” will display.

Exempt and vacation eligible Enter the number of days from -5 to 45. Use the minus sign (-) to indicate vacation days owed, zero to indicate there is no vacation balance, or a decimal point to enter partial days, such as 4.5.

Not Vacation eligible You do not need to enter a vacation balance. Instead, the text “This Employee is not vacation eligible” will display.

2-F : Review Forwarding Information SAPweb will display the Forwarding Address information for the employee. Review the Forwarding Information for accuracy and update data as needed. If the employee will use a different forwarding address, enter the updated information.

To Review Forwarding Information:

1. Carefully review Forwarding Information and update data as needed.

2. If the employee has a new forwarding address, click the Clear Fields link and enter the new address.

2-G : Enter Reason for Termination

Reasons for Termination are displayed under the categories Voluntary, Involuntary, and Other. You may also select the Show All radio button to see a complete list of Reasons for Termination. Selecting the correct Reason for Termination is very important as it has an impact on employee benefits and HR reporting. For example, if an employee is Terminated for an Involuntary reason, they are eligible for extended Cobra coverage under the recent Federal Stimulus package.

Note: Click on the Detailed Info button for descriptions of each Reason for Termination. Retirement options will display in both the Voluntary and Involuntary categories if SAP determines the employee is Retirement eligible based on the following factors:

Age 55 or older Completed 10 years of MIT Retirement Plan eligible service after age 45 (due to academic

year, the standard of ten years of service is met after 9 years and 8 months).

To Enter a Reason for Termination:

1. Choose a Termination Type to select a Reason for Termination. Options include:

Voluntary

Involuntary requires approval of HRO. You should have a conversation with HRO before initiating a Termination with an Involuntary Reason for Termination.

Other includes Termination Reasons that do not fall into either Voluntary or Involuntary categories, such as Deceased and Failed to report to work.

Show All displays the complete list of Reasons for Termination organized by Termination Type.

2. A list of Termination Reasons for the selected Termination Type will display. Select one primary reason why the employee is leaving MIT by clicking on the corresponding radio button.

Voluntary

Retirement will display if SAP determines the employee is Retirement eligible.

If you select Other, indicating the primary reason why the employee is leaving MIT is not listed, you will be required to enter a comment indicating the reason.

Involuntary

Will be routed for HRO Approval following submission. You should call the employee’s HRO to discuss an Involuntary Termination.

Retirement options for Involuntary reasons will display if SAP determines the employee is Retirement eligible.

Rules for Termination Type still apply. For example, selecting an Involuntary termination reason will still require routing for HRO approval.

Important: If an employee meets the criteria for Retirement eligibility and you do not select one of the Voluntary or Involuntary Retirement related Reasons for Termination, you will receive a warning message indicating that a Retirement Termination Reason should be selected as the employee meets the criteria for MIT Retiree Health and Welfare Benefits (employee is at least age 55 and has a minimum of 9 years and 8 months of retirement plan eligible service after age 45.)

2-H : Select Rehire / Reappoint Response

Select the appropriate response to the question “Would you rehire/reappoint this person?” This field is required and is useful if the terminated employee seeks future employment at MIT.

To Select a Rehire / Reappoint Response:

1. Choose a response to the question “Would you rehire / reappoint this person?” by clicking on the corresponding radio button. Options include:

Yes - Select if you would rehire this employee.

No - Select if you would not rehire this employee.

Contact HRO - Select to contact the HRO before rehire. You are required to contact the HRO and submit further details via email.

Not Applicable (deceased) - Select if the employee is deceased.

Not Applicable (faculty/lecturer/instructor/visitor) - Select if the employee is a member of the faculty, a lecturer, an instructor, or a visitor.

2-I : Enter Special Instructions

Enter any procedural instructions for the HR-Payroll Service Center processor in the Special Instructions field.

To Enter Special Instructions:

1. Type procedural instructions for the HR-Payroll Service Center processor in the Special Instructions text box. For example, enter “Will pick up final pay check”.

2-J : Continue

Click the Continue button at the bottom of the screen to advance to the second screen for review and submission of the Termination request.

To Click Continue to Advance to Second Termination Screen:

1. Click the Continue button at the bottom of the first Termination for <Name>, <MIT ID Number> screen.

2. If a field is flagged as missing data (see image below), enter the required information and then click the Continue button.

3. You will proceed to the second Termination screen to review details and send notification of Termination.

2-K : Review Details and Termination Notifications

The second Termination for <Name>, <MIT ID Number> screen presents you with Termination details entered on the previous screen.

To Review Details:

1. Carefully review the Termination details and Special Instructions

2. If you need to correct any of the information contained in the review, click the Go Back link to return to the previous screen.

3. If the information does not require changes, proceed to Send Termination Notifications in the lower portion of the screen.

To Send Termination Notifications:

1. Complete the following sections as needed:

Role authorizations alternative cancellation date - If different from the termination date, use the calendar tool to enter the date to end the employee's authorizations in MM/DD/YYYY format. Leave blank if it is the same as the Termination Date.

Authorized Approver - If the person creating the Termination request has Initiator authorization, not Approval authorization, this field will display and require entry of the unit Approver’s MIT email address. This field will not display if a user with Approver authorization creates the Termination request as approval is implied.

Notification Recipients - This field displays the name of the employee's HRO.

Cc these individuals - Enter the email address of each individual who has a business need for being notified about the Termination.

Once you have reviewed the Termination Details and completed the Send Email Notifications fields, you may Submit the Termination request. You will receive a confirmation screen. A green checkmark indicates the Termination Transaction was submitted and saved and the assigned transaction number will display. The Termination will appear in the HR Transaction Inbox o the person who created the Termination with a real-time status, such as Awaiting Approval. The Termination will be routed for approvals as appropriate. For example, if the Termination Type is Involuntary, it will be routed for HRO approval.

To Submit a Termination Request:

1. Click the Submit button at the bottom of the screen.

2. Validation will occur. If any fields are missing data, you will be prompted to complete those fields and then click the Submit button.

3. The confirmation screen will display. A green checkmark indicates the Termination Transaction was submitted and saved and an assigned transaction number is provided.

4. Click the Home link to return to the SAPweb Employees tab.

Important: The person who created the Termination request may Delete the transaction if it has a status of Pending Approval. See section 3: HR Transaction Inbox

3-A : HR Transaction Inbox Overview Based on your authorization, the HR Transaction Inbox will provide you with the following features:

Initiator • Active Transactions – Terminations, which have not been processed in SAP, created by the user are listed with current status.

• Transaction History – A 30-day history of Transactions initiated by the user, which were processed in SAP.

Approver • Active Transactions – Terminations, which have not been processed in SAP, created by the user are listed with current status.

• Active Transactions – Terminations with status Pending Approval, which the Approver may access, and then Approve or Reject.

• Transaction History – A 30-day history of Transactions initiated or approved by the user, which were processed in SAP.

HRO • Active Transactions – Terminations with status Pending Approval, which the HRO may access, and then Approve or Reject.

3-C : View Active Transactions

Active Transactions, including Terminations, will display in the upper part of the HR Transaction Inbox screen. Active Transactions are those that have not yet been processed in SAP by the HR-Payroll Service Center. For each transaction the Transaction #, Employee Name, MIT ID, Type (i.e. Termination), Submitted (date), Effective (date), Department, and Status are listed. The transactions may be sorted using the  symbols.  

 

To View, Sort, or Cancel Active Transactions you Created:

1. In the upper part of the HR Transaction Inbox screen, view the list of Active Transactions, including Terminations.

2. Transactions may be sorted using the  symbols next to each of the column headings. 

3. To View the Termination details, click on the Transaction # link for the specific Termination.

4. To Cancel a Termination you initiated, it must have a Pending Approval status. Click on the trashcan symbol next to the Transaction number. Canceling a Termination will delete it from all inboxes.

3-D : Active Transaction Approval

HROs and Approvers who are assigned a Termination for approval will receive Email notification containing the Transaction number, a summary of the Termination, and a link to the SAPweb HR Transaction Inbox. The Termination will appear listed in the Active Transactions section of the HR Transactions Inbox with the status Pending Approval.

For each transaction the Transaction #, Employee Name, MIT ID, Type (i.e. Termination), Submitted (date), Effective (date), Department, and Status are listed. The transactions may be sorted using the  symbols. Clicking on the Transaction # of Termination listed under Active Transactions will open Termination Details.  

 

To Approve or Reject Active Transactions:

1. In the upper part of the HR Transaction Inbox screen, view the list of Active Transactions, including Terminations.

2. The transactions may be sorted using the  symbols next to each of the column headings. 

3. To Approve or Reject a Termination, click on the Transaction # link for the specific Termination with Pending Approval status.

4. The Termination for <Name>, <MIT ID> window will open displaying Termination Details.

5. Click the Approve button to approve the termination. You are not able to add comments if you approve the Termination.

6. Click the Reject button to prevent further processing of the Termination and return to the Initiator. In the textbox labeled If rejecting, enter reason, you are required to enter a reason for the rejection for the Initiator of the Termination.

3-E : Transaction History Transaction History, which displays in the lower portion of the screen, provides a 30-day history of Transactions created or approved by the user that have been processed in SAP by the HR-Payroll Service Center.

4-A : Correct a Processed Termination The Correct a Processed Transaction function allows a user who created a Termination that has been processed in SAP to request modifications to the Termination by HR-Payroll Service Center. The request is sent directly to the HR-Payroll Service Center. Service Center staff will review the request and manually make any appropriate modifications in SAP in accordance with MIT and Federal Guidelines.

 

To Access Correct a Processed Transaction:

1. Click on the Employees Tab.

Once you have submitted a correction, the Transaction Type for that Termination will be Correction and the status will return to Pending until the HR-Payroll Service Center takes action on the correction request.
