2009 PRESS AWARDS MAGAZINE & NEWSLETTER December 16, 2008 Dear Associate & Freelance Members: Kindly find enclosed the entry label, purchase order and other materials for the 2009 Press Awards Competition – covering materials published in 2008. You will notice new categories this year, including an award for online/multi- media presentations and updated photography categories. For the first time, you will also be able to submit various digital entries online via the Catholic Press Association’s web site. Check your awards packet to see which categories can be submitted electronically. Some categories, like General Excellence, will continue to require that entire issues be sent to our headquarter office. As in past years, recognition for a job well done is always a special honor. For Catholic journalists, it is affirmation that we are sustaining a heritage of service and commitment to spreading the word of God. The Catholic Press Association’s Awards Program recognizes the accomplishments and contributions made in our industry. Through our Awards Program, the CPA acknowledges individuals and publication teams for their outstanding work as members of the Catholic press. Judging for this year’s competition will be done by the American Press Institute, the oldest and largest center devoted solely to training and professional development for the news industry and journalism educators. Please follow the instructions carefully. Freelance work has its own category of awards so no publication can enter a freelancer’s work unless it has first-time rights. In the digital categories, be sure to submit a digital file online and a hardcopy original mailed to the CPA office for each entry. All digital submissions are to be uploaded online at http://www.catholicpress.org/?page=SubmitEntries . If you choose not to submit entries online, we will require two hardcopy originals of each entry. Submitting entries online can save you up to 50% on shipping costs. QUALIFICATION: All rules and regulations for entry submissions must be adhered to, to qualify for entry in to of the Awards Program competition.

ELIGIBILITY: Only members of the Catholic Press Association are eligible to compete. Entries must be from material published and dated in the calendar year 2008. Freelance work has its own category of awards so no publication can enter the freelancer’s work unless it has first-time rights.

JUDGING: Judging will be done by the American Press Institute (API), the oldest and largest center devoted solely to training and professional development for the news industry and journalism educators.

LABELS: Special labels are enclosed with this material. Photocopy the form if you need additional labels. You may submit your digital entry online by completing the online entry label, print it, and affix to the back of your hardcopy entries. The labels are your entry's identifier and must be affixed to the back of each entry. Please mark the award # with the exact number and letter of category on each label. Award certificates are produced from these labels. Type or neatly print the label to ensure it is legible. List the names of all the contributors responsible for the entry.

SUBMITTING HARDCOPY ENTRIES: Please read the description for each category and submit the entry

within the guidelines set herein. Clean, hardcopy must be submitted. No marks, highlighting, or tape on the submission. Do not submit the entire issue, unless stated (Special Issue or General Excellence), but rather tear out pertinent page(s). If your story runs on several pages, and is of varying lengths, please cut out small jumps, and staple together each complete set. Paper clip the two sets together and affix an entry label to the back. If the entry calls for consecutive issues or a series of issues, please make two sets and affix an entry label to each set. Each hardcopy submissions must be sent in duplicate; one for the API judges and for the CPA awards presentation

Wrap your entries carefully and insert the order form and payment at the top of the materials. If you are sending it near the deadline, be sure to use an express delivery service. PURCHASE ORDER AND PAYMENT MUST BE ENCLOSED WITH ALL SUBMISSIONS. Do not send purchase order and payment under a separate mailing. To confirm receipt of entries at the CPA office, please use your carrier’s online tracking service.

SUBMITTING DIGITAL ENTRIES: Specific award categories may be submitted online in digital format at http://www.catholicpress.org/?page=SubmitEntries. The awards categories which can be entered in a digital format are clearly stated in the enclosed category listing. You must complete the online entry label and attach a digital file of the submission online. Further, one hardcopy of the digital submission must be sent to the CPA office. Print a copy of the online entry label and affix it to the back of the hardcopy entry. To clarify, for every online digital submission, one hardcopy original must be mailed to the CPA office with the entry label affixed to the back.

SHIPPING: Please no individual boxes weighing more than 25 lbs. If sending more than one box, please mark the outside of box with Box 1 of # being sent. The PURCHASE ORDER AND PAYMENT MUST BE ENCLOSED IN BOX 1. To confirm receipt of the entries at the CPA office, please use your carrier’s online tracking service.

ENTRY FEE: $35.00 entry fee, per category, which must be sent to the CPA office, along with the Purchase Order.

DEADLINE FOR SUBMISSION IS FRIDAY, JANUARY 23, 2009.

• Purchase order and payment is enclosed with award submission and placed on top of the materials. Do not ship the purchase order and payment under separate cover.

Award AIM3 – BEST REGULAR COLUMN Entry consists of two columns by the same author on one or more topics. Please staple one copy of each different column together, and provide two hardcopy sets.

Award AIM5 – BEST PHOTO STORY A photo story is one told basically with photos. One digital entry in JPEG or TIP may be submitted and one hardcopy original sent to CPA.

Award AIM6 — BEST MULTIPLE PICTURE PACKAGE Award includes two or more photographs covering the same event or topic. It is different from a photo story in that the images do not make up a comprehensive story. Up to two digital entries in JPEG or TIF may be submitted and one hardcopy original sent to CPA.

Award AIM7 – BEST ILLUSTRATION, EITHER WITH ART WORK OR PHOTOGRAPHY Best original illustration of an article, story or poem. One digital entry may be submitted, and one hardcopy original must be sent to the CPA office. If not entering online, submit two hardcopies.

Award AIM9 – BEST INTERVIEW An interview or personality profile in question and answer or narrative format. Stories should have an eye for atmosphere and detail. Only one entry may be submitted in each subcategory. One digital entry may be submitted, and one hardcopy original must be sent to the CPA office. If not entering online, submit two hardcopies.

Award AIM11 — BEST INVESTIGATIVE WRITING OR ANALYSIS Investigative writing focuses on the initiative of the writer to uncover the facts of an event or situation that are otherwise

unknown. Analysis focuses on how well the writer informs or interprets an event or situation that is controversial, confusing

or misunderstood. Can be series or one-shot, and may include sidebars. Judges will not consider accompanying photographs,

charts or illustrations. One digital entry may be submitted, and one hardcopy original must be sent to the CPA office. If not entering online, submit two hardcopies.

Award AIM12 — BEST FEATURE ARTICLE Story covering a group, trend, or event of general interest. Exclude excerpts or reprints from other sources. Judges will not consider accompanying photographs, charts or illustrations. Entrants must enter under the subcategory used by the magazine or newsletter. Check with registered representative. Award AIM13 – INDIVIDUAL EXCELLENCE Award recognizes an individual for exemplary service to CPA publication(s) during 2008. Entrant must be on the staff of a CPA-member publication OR have his or her own associate or individual-freelance membership in the CPA. Entry consists of up to five hardcopy samples of the individual’s efforts during 2008. These samples need not be related to each other. While it is not necessary for the samples to have been printed in a CPA publication, each must have been used by a member publication in some way. (For example, a marketing professional’s samples might consist of presentation materials, the text of talks, strategic plans and other materials he or she developed on behalf of a publication, but which were never printed in that publication). A letter may be submitted to explain circumstances that made the individual’s success more notable. Especially in the case of entries by editors, where the nature or degree of effort is not readily apparent, the letter should be used to describe entrant's contribution to the samples submitted. Judging will focus on demonstrated talent, creativity, perseverance and effectiveness. One entry permitted in each subcategory. Send two complete hardcopy sets.
