    Its where you specify how an item ismade or assembled, what it is madefrom, how long it should take andwhat tooling, plant or other resourcesare required.     Workflow Forms optional moduleUsing Workflow Forms, any paperdocket and form in your business canbe replaced with an electronic version,tailored to your chosen layout.Labour-intensive processes, such asrequesting a new supplier or receivingsign-off for specific requests, can bereduced to a series of defined steps,making lengthy emails, printouts andhard copies a thing of the past.

    Workflow Forms can be associated withany record within your Access SupplyChain solution. Just some examplesinclude the ability to: enter/change anew supplier; request a project code;validate additional fields within acustomer record; and gain signoff forpart creation approvals.

    You choose the layout, the route andthe levels of authorisation that eachform undergoes before it updates yoursystem. All information is thenavailable to you for rigorous analysisvia standard reports. By linking moreworkflows to your core processes, youempower your staff and make

    processes more streamlined andefficient you no longer need to trawlthrough paperwork or phone aroundfor information.

    Microsoft Word and Excel documentsalongside reports, emails and images.ADM can also look up documents heldin any SQL-based database.

    Stock ForecastingEmpower future planningThis powerful module lets you easilyforecast your physical stock position byday, week, month or quarter, up to 26periods ahead. As you play out differentscenarios, your free stock is instantlyre-calculated and displayed graphically.Completed forecasts can be translated

    directly into production and purchasingschedules and output to Excel for easydistribution with non-system users.

    At-a-glance informationThe Stock Forecasting moduleconsolidates inputs from across yourbusiness (e.g. purchase orders, salesorders and purchase requests) anddisplays this information visually. Byusing live data held in your Accesssystem, you can be sure your forecastsare always accurate and up-to-date.

    What if scenariosAs you play out different scenarios (forexample, new sales and purchaseorders and supplier lead times) the freestock is instantly re-calculated anddisplayed in a visual grid. Colour-codedindicators represent where stockquantities fall within your pre-definedparameters, showing your entire stockstatus at-a-glance.

    Traffic light indicatorsThe colours used are up to you, withthe following default settings:

    Green: minimum stock exceeded(optimal level)

    Amber: nearly out of stock

    Red: out of stock

    Blue: maximum stock exceeded.

    You can group by column to view stockby supplier, colour or brand, or all stock

    from a specific country. You could alsoview all items by status (e.g. thoseselling fast/those running low). Theability to slice and dice your data thisway gives you far greater visibility andearly warning of issues before theypose a threat to your sales activity.

    Sales predictionsYou can enter sales forecasts manually,inputting the number of new customerorders you expect to receive, week byweek, taking account of the season,promotions, salesforce predictions andany other factors. If youre buildingforecasts by customer and want to seethe overall impact, you can also importfrom Excel. For more sophisticatedforecasts, we provide wizards to guide you through the process of generatingand scheduling, for example:

    Generating sales forecastsThis wizard allows you to create namedforecasts (e.g. by customer) and set arange of values such as: date range,start date and whether you want toapply a moving average.

    This option averages the sales for thelast n months and creates a singleforecast for each part. Salesforceinformation about buying trends forexample can be factored in using the% growth/decline option. Finally, youcan also choose to include anotherproducts profile, making it easy tofactor in the historic salesperformance of similar items.

    Purchasing predictionsSimply enter quantities in the grid untilthe free stock indicates green or amber.With seasonal stock you will aim to goamber towards the end of the seasonand may even accept red at the close if its more profitable to sacrifice a smallnumber of orders in favour of keepingout-of-date stock. Estimates can beconfirmed as purchase or build requestswhich can then be consolidated intopurchase orders or build orders withscheduled required by dates.

    Alternatively, let the Resource Engine(MRPII) take the demand you haveforecast and suggest the purchasingschedule automatically for you.

    Importing purchase order forecastsPurchase orders created in Excel canalso be imported into your forecast,allowing you to upload large volumes of data without re-keying.

    Schedule forecastsThis option enables you to set aspecific quantity for the selected stockitem, either in total or by forecast. Fortotal forecasts, you set the amount you want to forecast and choose thefrequency (e.g. forecast 50 over 10weeks = 10 forecasts of 5).

    Global changeThis function enables you to roll entireforecasts forward and back, saving timeand effort. A wizard guides youthrough the process of applying bulkchanges, utilising sort keys so that youcan filter records by any combination of date, stock and/or MRP code.

    Sales Order Processing (SOP)This is where your full order processingcycle is managed, whether you needhotline telesales entry or aredealing with one-off contracts.Sales orders can be satisfied fromexisting stock, or used to createpurchase and works orders. Using themultiple order types feature, you canmodify screen forms, documents andfinancial updates to match anycombination of order processing styles.

    Rapid order entryQuick find customers by their ordernumber, postcode, customer code orname, or pick from a list sorted byregion or salesperson. SOP makes itquick and easy to enter each line item

    and stock code. Selecting items from alist or duplicating part of a previousorder adds hundreds of detail lineswithin seconds.

    Live update to sales ordersIntegration with Electronic DataInterchange (EDI) and XML messagingallows sales orders sent via email andthe internet to flow into your centralsystem without re-keying. Quotes andestimates are converted into salesorders (including blanket, scheduledand pro forma) with a single command,and immediately reserve stock as theyenter your workflow.

    Customer credit checking workflowCustomers are validated against theircredit limit and payment history before,during or after an order is entered. Anoption will automatically flag orders onhold where the customer is over theircredit limit (or where the value of theorder will take them over). Access

    Supply Chain checks availability, prices,discounts and special offers for you sothat every line item is priced correctly.

    The reporting capability isgreat, its so flexible. Astime goes on, we find wewant more and moreinformation but now thisis easily available.

    Picking & despatchOrders are picked to your criteria(e.g. order date, size and value) and bycost-effective consignment/deliveryroute load planning. You can assigncustomers to specific despatch daysand Access Supply Chain will also build

    consignments so that deliveries forsimilar areas can be combined. Auto re-allocation of stock to specified ordersensures your priority customers arealways satisfied.

    Picking lists can then be used as thebasis to generate delivery notes and toprompt invoicing. The progress andstatus of every order is tracked throughenquiry screens and integration withonline tracking applications. All

    Windows Mobile moduleThis module enables you to carry outreal-time transactions from handheldWindows Mobile bar coding devices.Transactions across your warehousingare immediately reflected in yourAccess Supply Chain system andviewable across the business (and viceversa). The result: pick errors arereduced and overall accuracy of despatches and stock are improved.

    PurchasingThis feature allows you to receivestock and book it in at point of receipt.Because theres no need to go back toa PC you save time and decreaseerrors. Once received, goods areaccepted and put away to stock or

    rejected along with reasons why.

    Stock movementsYou can move individual stock items orbatches of stock simply by scanningthe product and then the new location.Alternatively, you can move entire binlocations of stock from one location toanother by scanning the old location,scanning the new location andconfirming the move.

    PickingPicklists are generated by the systemto instruct staff to pick products readyfor dispatch.

    These pick notes can be accessed andpicked using the Windows Mobiledevices. Upon choosing a pick note,the operator is directed to the firstpick location and prompted to scanthe product to pick. Once scanned, thedevice will confirm the pick quantitybefore prompting the next item.

    DespatchingOnce products have been picked, theyneed to be despatched. An in-builtconfirmation/checking routine helpsensure that the right products go to
