During this time of year, I often reflect on all that happened during the year.
Time does indeed seem to go faster when you get older; it also becomes
more important.
This year, I think about how much we have grown with wonderful
dedicated Microsoft Dynamics GP Users. We now have more than 4,000 company Members;
we have uncovered new talents, new ideas, and new opportunities. We are rocking and rolling!
During the general session at GPUG Summit, I asked you to consider how you, too, can
build a community. Building a Microsoft Dynamics GP community allows you to share,
educate, and increase your own career potential.
Building a community may mean working within your own department or company to hold
lunch and learns. Try watching a webinar or recording together, or simply bring a tip to share
at each department meeting. It may mean building a better relationship with your Microsoft
Dynamics Partners. Gain a deeper understanding of the value of networking by helping at a
local GPUG Regional Chapter meeting. Present a webinar or a session at a conference. We
have many opportunities for you and those around you to get involved.

Then set out to make a difference. It’s our challenge in asking you to step up as a Member!
We hope you enjoy this issue of the magazine. You’ll hear more about GPUG Summit and

Nashville Chapter Takes
Home GPUG 2013 “Regional
Chapter of the Year” Award
Congratulations to the Nashville Regional Chapter
on being named the 2013 GPUG® Regional Chapter of
the Year! The award was announced and presented by
Whitney Derks, GPUG program coordinator, during the
Regional Chapter networking lunch at GPUG Summit.
Accepting the award on behalf of the Nashville Chapter
were Vonzella Bryant, outgoing chairperson, Wendy
Fancher, communications chairperson, and Michael Jett,
membership chairperson.
“The Nashville Regional Chapter was selected because
of the excitement and enthusiasm I have seen come out
of the chapter in the last several meetings,” says Whitney.
“This chapter is innovative in their retention and
recruitment strategies, and their leaders are passionate
about helping their attendees learn more about
Microsoft Dynamics GP. I look forward to watching this
chapter continue to grow, develop, and serve as a shining
example for other Regional Chapters.”
“The interest and involvement of a number of
people are responsible for this, and they deserve our
applause,” says Vonzella. “Charles Carnahan, chief
administrative officer/treasurer at General Board of
Discipleship (GBOD) believes in ‘working smarter, not
harder’ and has supported our staff attendance from
the beginning at Microsoft Convergence where we won
our first Premium membership for GPUG. Later he
fully supported the Nashville Chapter. After attending
Summit for a couple of years, Kim Peterson began
encouraging us to start a Nashville Chapter. When
Steven Burney from Tennessee Education Lottery
contacted Kim about a local chapter, she knew it was
time for us to push forward. Steven was a rock and
immediately agreed to take a chapter leadership role.

made sure we had good attendance at each meeting. Sola
Agtarap at GBOD served as a presentation technology
wizard. Our local Partners (Tribridge, LBMC, and Kraft
Enterprise Systems) should receive much applause for
sending us the many knowledgeable and interesting
experts. We recognize David Burt, CFO at Energy
Logic, for sharing hosting responsibilities and being our
first model of an excellent User presenter. Much kudos
to all the attendees who participated, presented, guided,
and supported the Nashville GPUG Regional Chapter,
the 2013 GPUG Regional Chapter of the Year!”
The chapter will kick off 2014 with newly installed
officers: Steven Burney, Tennessee Education Lottery,
chairperson; Michael Jett, GBOD UMC, membership
chairperson; and Wendy Fancher, Harpeth Financial
Services, communications chairperson.
“It has been my humble joy to serve as chairperson, and
I look forward to helping our chapter thrive,” concludes
Vonzella.
Mid-Atlantic Chapter Turns
One!
The Mid-Atlantic Regional Chapter celebrated its first
year of operation in June 2013. Meetings throughout
the first year averaged 20 people per meeting, and the
anniversary meeting had the highest attendance to
date. During the meeting, a panel of experts answered
question after question about Microsoft Dynamics GP.
The session went over so well that they had to move the
next speaker to a future meeting because they ran out
of time!
Chapter Members celebrated their first year
anniversary with a cupcake cake with the chapter’s
logo, which was provided by McGladrey, one of the
participating Partner organizations. Here’s to another

200 employees. I am curious to know what other companies that use
GP are doing. Thank you for your feedback.

Microsoft Dynamics and any advice or recommendations you
would be willing to share. Specifically any time savings or cost
savings realized. I am especially interested in information with

How Can I Get the Customer’s PO#
to Show on a PO (POP)?

I would like some insight as to how to automatically include the
customer’s PO# on our PO to a vendor. Particularly when this is a
drop-ship order.
I had tried a few things a few years ago to no avail and gave up.
Any thoughts, suggestions would be appreciated. Currently using GP
2010 SP3 (hoping to upgrade to 2013 soon)

Chart of Accounts

We have a new Fire Chief (CEO) and are considering scrapping our
current chart of accounts for a new and improved one. The current
chart of accounts is more than 20 years old. We are planning to use
more of a cost accounting structure. Has anyone experienced the
move to a brand new chart of accounts? How did you change? My
thoughts are setting up a new company. Any assistance would be
appreciated!

Color Coding Multiple Companies

We have multiple companies and need to switch between them
throughout the day. I was told that with 2013, we can change the
background color for each, so that it is more apparent which
company we are working in. So far, I can only find where to change
the font color in user preferences. However it actually changes it on

As a field service organization, we had been trying to find a solution to give our field employees quicker access to Microsoft Dynamics GP and still allow them to use features such as SmartList. When asked what Forensic
Technology does, Beat
Bucher, who has worked
there since 2009, has a
pretty succinct answer:
“Have you watched CSI?”
It’s a bit more complicated, though. The
company, which is based in Montreal and employs
nearly 200, was born of a chance conversation
between the company’s founder and a member
of the Royal Canadian Mounted Police at a child’s
soccer game. The topic of discussion was the
difficulty of retrieving evidence from a crime scene
and moving it to a lab for analysis, which consisted,
at the time, of comparing it to thousands of other
samples and hoping for a match.
Forensic Technology is lauded for its Integrated
Ballistics Identification System (IBIS), which was
introduced in 1991 and to this day suggests possible
matches between pairs of spent bullets and cartridge
cases at speeds far beyond human capacity. More
than two decades later, Forensic Technology has
expanded and now offers systems for document
examination, crime scene investigation equipment,
comparison microscopes, and a range of training
options and services.
And in 2009, to leverage the true power of
Microsoft Dynamics GP, which was deployed
in 2005, Forensic Technology hired Beat. “I had
worked with Microsoft Dynamics GP for five years
by then, so I knew it well,” he says.
Initially he worked on the IT team, but recently
he – along with control of the system – transitioned
over to finance. “I’m now learning it inside-out
from the financial perspective,” he says.
Regardless of which team he belongs to, Beat’s
goal remains the same: bring the right information
to end Users more quickly and in a way that’s
easier for them to leverage. “Our Users are project
managers, and they want numbers that show
expenses on big projects,” he says. “Almost all of
our reports are based on data that’s extracted from
the system and then presented in Excel.”
Beat has also led efforts to provide the finance
team with a deeper understanding of the inventory.
“We started creating monthly reports that show
the total value of inventory – such as the servers
and screens and the nuts and bolts (literally)
that go into building a system,” he says. “These
reports help address and resolve discrepancies
in inventory.”
Beat also considers the company’s HR team a
client. “I showed them some of the great things
they could get out of the system provided we
put the data into the system,” he recalls. “We
now use Microsoft Dynamics GP to generate
reports showing the total value of each employee’s
compensation, including salary, benefits, and
training. The HR team is also using the system to
administer budgets for annual raises, for example.”
HR and finance aren’t the only happy customers.
Beat and his team received an award in recognition
of their work from the company president, and, at
the recent GPUG Summit in Tampa, Florida, Beat
was named a 2013 GPUG All Star.

groups. “Since I started working with
Microsoft Dynamics GP in 2003, I’ve
been able to find the information I need
on the User group forums,” he says. “I
relied on them to quickly get in touch
with already established Users and
consultants.”
Today, he’s a big fan of the move
from forums to communities. “When
Microsoft decided to establish real
communities, I joined them pretty
quickly to get my feet wet,” he says. “Over
time I found that I was not only posting
questions, but also posting a few answers
as well.” In fact, a major factor in landing
his position at Forensic Technology in
2009 was the arsenal of knowledge he’d
acquired as a result of participating in
the forums and communities.
Participation in the Microsoft
Dynamics GP community led to
Convergence, which led to a Premium
GPUG membership, which Beat
recommended Forensic Technology
purchase based on the value of the
webinars and other training. The launch
of GPUG Collaborate opened up another
avenue for Beat to share his knowledge,
answering fellow GPUG Members’
questions on a daily basis. Not one to
kick back and relax once he’s achieved
something, Beat is currently working
on launching the Montreal Chapter
of GPUG, which he hopes to launch
in early 2014. “I’ve realized that an
important component of community is
local,” Beat says. “At GPUG Summit, I
connected with an ISV from Montreal to
check the interest for their Customers.
I also have permission from Microsoft
to use the facility here in Montreal to
host the meetings of what I believe will
be the first French-speaking GPUG

Overview
There are a wide range of vendor payment terms besides the
standard Net 30 or Due Upon Receipt. Becoming familiar with the
Microsoft Dynamics GP Payment Terms Setup will enable you to
create tailor-made payment terms to help protect your organization’s
credit rating and take advantage of early bird discounts from vendors.
This tip provides an example of the flexible options for Payment
Terms Setup and outlines a way to handle a vendor discount cutoff
date that falls in the month following the invoice date.
Instructions
Imagine you are doing business with a new vendor who is offering a
2% discount for early payments. Sounds fine so far, but there is a slight
complication. The vendor’s billing department expects payments due
in the month following the invoice date, rather than a general Net 30
days, and that also affects the discount. The discount date is the 10th
day of the following month, and the invoice due date is the 25th day
of the following month.
Can Microsoft Dynamics GP payment terms be configured to meet
those specific requirements? Yes, as shown in the following example.
Pushing out the discount date to the next month is possible by (A)
enabling the Discount Grace Period Option in the Payment Terms
Setup window, and then (B) using the Discount Grace Period Field on
the Vendor Maintenance Options window.

» CAVEAT: There is a system limitation with this example. If the
invoice date happens to be the 31st of a month (January, March,
May, July, August, October, or December), the Due Date and
Discount Date will be pushed forward two months, instead of
one month. In that rare event, the Due Date and Discount Date
need to be changed at the AP transaction level. The solution is
less than 100% but much more reliable than manually adjusting
the dates for every invoice.
» TWO STEPS: In this particular example, the Payment Terms
Discount Date is dependent on the Discount Grace Period being
populated in the Vendor Maintenance Options window. If the
Grace Period is left blank, the Discount Date will fall within the
invoice date month and not the next month.
» It’s a good idea to use the Microsoft Dynamics GP Help Menus
when working with any unfamiliar window or field by clicking

I thank the owners of my company for allowing me to bring
two of my key team members with me this year for their first
Summit. As this was my second year, I continued to gain
knowledge at all the breakout sessions; however, my greatest joy
was meeting up with my colleagues after sessions and seeing the
spark in their eyes as they talked about the cool stuff they learned
and how they could improve the value of our department to the
company in sharing information and doing their work (since
except for one session, we split up to conquer as many sessions as
we could). By the end of day three we were all on brain-overload
and looked forward to getting back to our office to debrief and
organize a game plan to implement some changes. In addition,
we discussed how we bring this back to our other team members
and more use of “lunch and learn” sessions to continue elevating
us all throughout the year.

Taking a Flexible, Student-Centered Approach to
For millions of adults who want to finish the college degree they started during a different
phase of their life, the words “so close, yet so far away” are hardly a cliché. After moving for
the sake of their career, or starting a family or a business, or signing up for a tour of duty with
the military, the task of finally earning the required credits becomes increasingly arduous.
Harnessing the power of technology to help people earn the credits they need to complete
a college degree is at the heart of the mission that’s been driving Excelsior College for 42 years. And even
after nearly two decades supporting the mission, it’s at the heart of Bill Stewart’s enthusiasm. As assistant
vice president for institutional advancement, Bill is proud of the college’s insistence on taking a flexible,
student-centered approach.
“Our courses are available to military personnel and to civilians,” he says. “They are delivered online so
that no matter where you are, you can log in to take your courses. We also have some available on CD-
ROMs for those who work on submarines or in other places where they don’t have reliable Internet access.”
Founded in 1971 by the New York State Board of Regents and formerly known as Regents College, the
school’s initial development was funded by grants from the Ford Foundation and the Carnegie Corporation.
In 1998, the college was granted a charter to operate as a private, non-profit, independent institution that
became Excelsior College.
Bill describes Excelsior’s technology infrastructure as a series of bridges connecting numerous different
systems, many of which were developed in-house due to the school’s unique requirements. Excelsior relies
on Microsoft Dynamics GP for financials, and Bill considers the college’s membership and participation
in GPUG “a no-brainer.”
Excelsior, which has more than 150,000 graduates and is accredited by the Middle States Commission on
Higher Education, offers programs ranging from associate degrees to post-graduate certificates, with areas of
study running the gamut, from cybersecurity to nursing. Several of these have specialty accreditation as well.
But what really sets Excelsior apart, Bill says, is the value it places on all learning. “We believe that what
you know is more important than where you learned it,” he says. “People come to us with several transcripts
from other institutions. Our credit acceptance policy is broader than most. We also consider military
training and recognized corporate education programs. We evaluate the prior credits that applicants bring
with them, compare these to our faculty-determined degree criteria, and then award as much credit as
appropriate.”
For the 2012-13 academic year, Excelsior accepted 671,000 credits that, had students been required to
retake, would have cost $262 million. “You hear a lot about the need to lower the cost of higher education,”
Bill says. “We’re doing just that by honoring what our students have already learned rather than requiring
them to pay for courses that cover the same ground.”
Bill says that Excelsior fosters a learner-focused environment. “As there is with campus-based learning,
there are good and bad online experiences,” he says. “It depends on the faculty, the syllabus, and the
students. Some students thrive marvelously online. Some also do extremely well studying independently.
It’s all about the outcome of the learning process, not the inputs.”
Criticisms of online learning, according to Bill, are usually made with traditional-aged college students
in mind. “Online courses may have drawbacks for an 18-year-old, but there are tremendous benefits for
the adult learner,” he says.
Most adult students are trying to balance work, family, and other commitments while pursuing their
education. The typical Excelsior student, according to Bill, is the mid-career adult who has some college

credits but no degree, of which
there are some 34 million in
the U.S. alone. Like the woman
who had worked as a respiratory
therapist in Atlanta, who was
intimidated when she first began
working toward her degree in
health sciences but who eventually
became comfortable with the high
expectations others have of her.
And each of the two women, one
from New York City, the other from
Houston, whose friendship began
when one bought a textbook from
the other. They collaborated and
got to know each other online as
they worked toward their degrees,
and then met onstage when they
delivered a joint commencement
address (part in English and part
in Spanish) at Excelsior’s campus
in Albany, New York.
In fact, it’s the commencement
ceremonies that really drive home
the value for Bill. “Even though
we’re an innovative, technology-
driven learning institution, we
have a traditional commencement
ceremony,” he says. “People bring
their families. Kids watch their
mom and dad go across the stage.
You go into the room where
they’re putting on their robes, and
it’s like they’re giddy teenagers.
They’ve fulfilled a dream that
would have taken many, many
years otherwise. They’re meeting
their fellow students in person for
the first time, people with whom
they’ve worked through many
an academic challenge, and it’s

origin. Scroll down to the box, and on the bottom, start selecting the
reports you want. As always, you have the option to send the reports
to the screen, a file, or a printer.
You will get the reports after the Calculate Check window has
completed. This will allow you to review and make any changes
necessary before payroll is posted. To make changes, you will need
to make any changes on the employee level and then rebuild your
pay run.
Remember, you can turn these reports off and on as needed – so
if you are adding a new benefit or deduction and want to double
check, just “click” the box for Deduction Register-PPR and Benefits
Register-PPR, and you will have everything you need at your

Your non-profit has just received an unrestricted donation of
$1,000,000! And if your organization is anything like mine, this
is the time for making resource allocation decisions. Decisions
made now could have a huge impact on your ability to drive the
mission of the organization. So, where is the first place that
funds will likely be invested? They will go to your program services, of course.
Accounting is one of the few places typically granted funds when there is an
excess. Ignoring the opportunity to invest in efficiencies could have huge
long-term costs to the mission of the organization. An investment in
accounting, and specifically Microsoft Dynamics GP, could change how
you operate – just like it did for me and my team.
In the last five years, my team has spent an incredible amount of
time turning every process, procedure, and function on its head
to find a better way to reach objectives. The end result has
allowed us to double the volume of transactions and add new
tasks with the same number of personnel. Here are two
of the most transformational investments that allowed
us to fundamentally change the way we do business.
GOING PAPERLESS
with MICROSOFT
DYNAMICS GP
If I stacked our paper records from a
12-month period five years ago, the pile
would be more than 30 feet high. This
year, that stack will be a manageable
10 feet high. Not only have we
reduced our fire hazard, but
we’ve also significantly
reduced paper cuts! We’ve
created a paperless
system that extends

from accounts payables and receivables to general ledger transactions
and everything in between. We no longer pay late fees because an
invoice got “lost” on a manager’s desk, awaiting approval. Our managers
can approve invoices to be paid from on the road, and double check the
GL account coding to ensure it hit the appropriate budget.
AUDIT CONSIDERATIONS:
With increasing reliance on technology, assurance that internal
control is adequate will require more sophisticated measures. Auditors
cannot simply audit “around the box” anymore. The paperless
world contains many of the same risks that existed previously, and
appropriate controls need to be designed and implemented to mitigate
these relevant risks, as well as the new risks that technology brings.
Incompatible duties need to be appropriately segregated, not only
functionally (staff A does this, staff B does that), but also logically (the
system only allows staff A to do this and staff B to do that). System
access controls should ensure that personnel do not have the ability to
process a transaction from beginning to end (initiation, authorization,
recording, and processing). Controls should ensure that all transactions
are properly authorized and that they are recorded completely,
accurately, and timely. Technology also provides the opportunity to
replace or enhance some manual controls with system-level controls
(application or IT-dependent manual [ITDM] controls). These controls
need to be properly understood and evaluated.
In addition, consideration should be given to IT general controls
(ITGCs). ITGCs support the continued functioning of application and
ITDM controls. Typically, management implements procedures to:
» Determine that all changes to applications, interfaces, databases,
and operating systems are properly authorized, tested, and
approved before they are implemented to ensure quality and
intended functionality;
» Determine that only authorized persons and applications have
access to data, transactions, and master files, and then only to
perform specifically authorized functions;
» Perform back-up and recovery, schedule programs and monitor
processing deviations, and perform problem and incident
reporting monitoring.
Oh, and don’t forget to implement appropriate data retention
policies. You don’t want to come up empty on auditor, legal, or
other requests. This is obviously not a comprehensive list of all audit
considerations. Management, internal auditors, and external auditors
should perform appropriate risk assessments and plan accordingly.
ELECTRONIC BANKING
Stacks and stacks of checks every day that were 10-keyed multiple
times and driven to the bank…before Microsoft Dynamics GP, that’s
the process we went through to deposit funds from our generous
donors. Hundreds of hours per week were spent ensuring that
the check total that we processed was accurate. With advances in
banking technology, we can now run these checks through a remote
deposit capture (RDC) device that reads all of the information
(including an amount) and prepares deposits within minutes. In
addition to deposit technology, we are utilizing the capabilities of
EFT (e.g., ACH) payment processing instead of processing a paper
check, putting it in an envelope, and sticking a stamp on it.
AUDIT CONSIDERATIONS:
Regardless of whether or not funds are deposited or remitted
electronically or via hard-copy checks, measures should be taken
to ensure appropriate segregation of incompatible duties. No
one individual should have responsibilities over and/or system-
level access in all aspects of the cash receipt or cash disbursement
processes. Access to RDC devices, EFT/ACH systems, and banking
systems should be secured, including the use of usernames and
passwords, and restricted to authorized personnel.
For deposits, hard-copy checks should also be secured prior to,
during, and post scanning and transmission, and should be shredded
(dual control recommended) after a reasonable period of time.
Controls should ensure that RDC-scanned items are processed only
once (i.e. they cannot be subsequently scanned or deposited at a
branch). Control totals (physical counts and amounts) should be used
in a reconciliation to ensure that the checks received are recorded in
the GL and scanned into a batch in the RDC device completely and
accurately. Bank reconciliations should also be performed to ensure
that the bank’s deposit records agree to the checks submitted.
For EFT transactions, controls should be implemented to ensure
that the amounts submitted for payment are appropriately authorized
and are complete and accurate.
It’s worth it to research how you can utilize Microsoft Dynamics
GP to impact efficiencies. Try to find one of the most inefficient, time-
consuming processes and see if the solution can change the way you
do business. Try and find the right software to perform the right task.
Research all of the costs involved – both initial and ongoing costs.
Then look at the time and long-term cost savings. You now have a
compelling case to present to the organization’s decision makers.
Making changes to the way you process transactions can free
up significant time, allowing staff to engage in more value-added
endeavors. For example, instead of spending hours entering bills, your
AP clerk can research vendors to identify costs savings. Investments
in technology in the long run will help you expend more resources to
fulfill your charitable mission – since that is why you exist! GPUG

team members Chad Sogge, group
program manager, Kevin Racer,
senior program manager, and Brian
Meier, senior program manager lead, to talk more
about the Microsoft Dynamics GP web client and
its adoption amongst Users, an update on Business
Portal, and a glimpse at “GP Next”.
GPUG: Let’s start our conversation with a focus
on the web client of Microsoft Dynamics GP.
How is adoption amongst Users?
Chad Sogge (CS): We introduced the web client
on December 12, 2012, so it’s been in the market
for a year now, and adoption is coming along nicely.
We are seeing more and more Customers use a
mixed load deployment, which means a traditional
on-premise installation for power Users and then
other Users gain access via a web browser.
We have a few case studies in the works and have
built out the financial and distribution capabilities
through hosting Partners for new Microsoft
Dynamics GP Customers.
Another thing we’ve done is implemented a
rapid-release cadence. HR/Payroll for web client
was released in the first half of 2013 with Project,
Field Service, and Manufacturing following in
the second half of 2013. These additional web
client modules broaden available functionality for
Microsoft Dynamics GP Users.
GPUG: What are some of the benefits of a mixed
mode deployment?
CS: It’s a simplistic deployment that eliminates the
need for terminal services for Users in remote or
multiple branch locations.
Kevin Racer (KR): When you look at Customers
who have Microsoft Dynamics GP hosted entirely
by a Partner, they’re using the web for everything,
so the deployments now run the range from
traditional on-premise to mixed to online.
The next release of Microsoft Dynamics GP is
set for early 2014, and it builds on work we’ve done
for the web and desktop clients. When we add new
features, they’re now rendered in both clients. For
example, we’ve done a lot of work on requisitions,
and that work will show up in both clients at the
same time.
GPUG: What can you tell us about Business
Portal?
Brian Meier (BM): Going forward, we’re looking at
bringing traditional Business Portal functionality
right into Microsoft Dynamics GP. Applications
such as Time and Attendance, Sales Orders, and
Requisitions that exist in Business Portal today will
also be available in Microsoft Dynamics GP, and as
Kevin mentioned, you’ll get them in the desktop
and web clients.
Another avenue of work for our team is around
building Windows 8 applications to replace some
of the Business Portal functionality. Similar to
what we did with Business Analyzer, we’re creating
apps so that Users can get access to their data and
information from their mobile device.
GPUG: Will those apps be available in the
Microsoft store?
BM: Yes, they can be found there. Starting with the
Microsoft Dynamics GP 2013 R2 release in spring
2014, the app functionality will also be built directly
into Microsoft Dynamics GP rather than only
available as a portal. This will provide Customers
with the flexibility to access information from
within the Microsoft Dynamics GP desktop client,
Microsoft Dynamics GP web client, or through a
Windows 8 companion application.
GPUG: Are there beta versions of the apps that
Users can try out?
CS: We won’t release beta versions, but we will
make them available in a sample mode that Users
can then connect to Microsoft Dynamics GP. The
Business Analyzer has been out since January
2013 and has had more than 12,000 downloads in
sample mode.

Business Analyzer and these new apps have given us a lot of
experience in publishing apps for Microsoft Dynamics GP.
GPUG: What’s the response been like to Business Analyzer?
BM: We’ve received positive feedback every time we’ve shown it. It’s
aimed at a more executive-type User, to give them access to business
information without having to log into Microsoft Dynamics GP.
We’re always looking for more feedback, putting feelers out there at
conferences and through GPUG to gather feedback as to how people
use the app.
Chad eluded to this, but we’re using Business Analyzer as a
guideline to how we build our apps moving forward so that when a
User gets a Windows app from us, it’s familiar to them. If they know
how to use one, they’ll know how to use them all.
We’ll continue to release Business Analyzer, and the requisition,
procurement, and time and attendance applications will be launched
around the release of R2 this coming spring.
GPUG: Let’s talk a little about the investments being made in
cloud services.
CS: The web client was our first foray into bringing existing logic
and assets into an Internet application. Microsoft doesn’t host the
Microsoft Dynamics GP web client, but Partners can host it through
Microsoft Azure.
In addition, we have a project called service-based architecture
that we’re working on for Microsoft Dynamics GP “Next”.
KR: Correct. What we’re looking at is transforming the way we deliver
functionality. If you think about it today, whether you’re running
the desktop app or the web client, you’re using the same underlying
functionality engine, and we’re going to take the Microsoft Dynamics
GP engine and enable that to run in the cloud with a service interface.
It’s an abstract concept, but if you think about it in terms of what
you get with Office 365, it’s virtually the same – it’s a web app but has
services in the cloud that run it.
If we offer up our functionality as a service, so applications can
consume that service, it’s a set of functionality where everything is
available “in the box”. This also opens up what apps we can offer as
well as enables Partners to offer their own apps.
This is a stepping stone to something that’s not so much in a
browser but rather a suite of services.
GPUG: It certainly is! What’s the timeline on something like this?
CS: That would be with our next major version, Microsoft Dynamics
GP “Next”, due out the second half of 2014.
GPUG: Will you be showing some of the apps and cloud-based
architecture at Convergence?
CS: They’ll be included in the general session at Convergence as by
that time the base code for app integration into Microsoft Dynamics
GP will be ready to show.
GPUG: What can you tell us about Microsoft Dynamics GP
“Next”?
CS: The most important thing we’d like to share is that we’ve become
really aggressive in how we release features and functionality.
Traditionally we’ve planned major versions every 24 to 36 months
and might have a feature pack in between releases.
We’re now able to deliver features and functionality at incremental
points rather than the next bus stop, so to speak. If you look back at
the second half of 2013, we released Service Pack 2 in September,
which included 25 features, from GL to Distribution to Web Client
modules. When we look forward, we’re going to go more with “R”
names, such as R2, R3, etc. instead of “Service Pack”, and those
releases will include anywhere from 30 to 40 features.
From a development perspective, we identify the big rock features,
the “must haves”, and then use those to drive dates, not shipping the
release until they’re ready. When that release date is ready, we’ll ship
all of the other features that have been completed and tested.
GPUG: Do you still look to the Microsoft Connect tool to get User
feedback regarding feature requests?
CS: We triage the Connect tool requests every two weeks. We
see peaks in submission around events such as GPUG Summit
and Convergence, and the beauty of that feedback is that it comes
consistently. We have a strong community that stays in tune with the
product and makes a continuous effort to go out and vote for what
they want to see in a future release.
GPUG: Is there anything else you’d like to share with our readers?
CS: I encourage you to look at the web client. It’s not simply an
all-or-nothing proposition. Those of you that need a mixed mode
deployment, having both on-premise and web-based access to
Microsoft Dynamics GP, especially if you have Users that aren’t
routinely in the office will find great value in this offering.
We’re proud to offer the power of choice in something that gives
you the same database, code, and architecture. GPUG

With year-end arriving soon, many organizations are beginning to
plan now for a smooth close at 12.31.2013. On the “Receivables”
side of the house, writing off uncollectible amounts and reviewing
unapplied documents are two tasks within Microsoft Dynamics GP
that sometimes get overlooked – and yet they’re easy to perform.
In Receivables Management, there is a window called “Writeoff
Documents”, and most of the time when I see end Users leveraging
it, they’re writing off small, immaterial amounts they don’t expect
to collect or the occasional transposition error. The “Writeoff
Documents” window can handle overpayments or underpayments as
well as create a writeoff transaction per Customer or per document –
it is really an efficient window if the need arises.
If you find your organization needs to use this window for a
Customer whose invoices will never be paid, please review their master
record settings first because if you don’t, you may not get very far. The
Customer Maintenance Options window (look for the “Options” button
at the bottom of the Customer Maintenance window via Sales Cards)
has a series of radial button choices labeled “Maximum Writeoff”, and if

the Customer in question is set to “Not Allowed”, Microsoft Dynamics
GP won’t “find” any applicable documents to perform writeoffs on –
even though you know they’re in there!
It’s also a good idea to run the “Unapplied Documents” report
(Reports>Sales>Analysis) to review any transactions, such as Cash
Receipts, that might have been posted to a particular Customer ID
but not applied all the way through. Hopefully this is not a common
occurrence within your company and can be cleaned up in relatively
short order.
Without a doubt, now is a good time to review these details. Any
preparedness plans that can be deployed before the actual year-end
process begins will make this entire event that much easier to finalize.

GP. Business Computers has specialized in tracking
time for employees, Customers, and projects within
Microsoft Dynamics GP for the past 20 years.
GPUG: Business Computers has been in the
industry a long time. When and how did your
company start out?
Dan Decker (DD): We started 30 years ago
selling Great Plains accounting software before
Microsoft acquired Great Plains. Back then,
we focused on accounting and client inventory.
Then one day, a client asked about a touchscreen
time clock. We quickly found that many of our
clients wanted similar functionality, so about 20
years ago, we created a time clock enhancement
called Time Matrix and stopped working on
the accounting side of things. When Microsoft
purchased Great Plains and then offered
Microsoft Dynamics GP, we were one of the first
100 Partners to sign up.
GPUG: How has Time Matrix evolved since
those early years?
DD: Besides working with the obvious payroll
modules, we integrate with Human Resources,
Project Accounting, and Manufacturing within
Microsoft Dynamics GP. Time Matrix is also now
used as the front end for a number of back-end
solutions such as WennSoft Job Cost and Horizons
Manufacturing Suite.
We have found more and more of our
clients needing mobile access these days, so
we recently released the Web Time Clock with
the same look and feel of the Windows desktop
version. Employees can use the two versions
interchangeably, clocking in from the web and
clocking out from the desktop. The data hits the
same SQL tables while giving employees more
flexibility.
GPUG: What type of pains do you see companies
experience before implementing Time Matrix,
and how does the solution solve those pains?
DD: Most of our Customers deal with manual
processes to enter transactions into Microsoft
Dynamics GP, a pain that ultimately causes data error
and is just a plain waste of billable time. Time Matrix
works like Microsoft Dynamics GP and runs right
inside of it acting like just another module. Because
of this, everything is seamlessly integrated with their
other data and takes away the error-prone manual
processes that tend to hold companies back.
GPUG: What else do Users love about Time
Matrix?
DD: Besides the automated processes and easy-to-
use touchscreen usability, Users and ISVs love the
ability to automatically track time per employee as
well as time worked on projects so they can keep
proper tabs on their overall profitability.
GPUG: What makes Business Computers and
your solutions/services unique?
DD: We are the only time clock solution that has the
CfMD status for Microsoft Dynamics GP, which
means we’ve undergone and passed extensive
testing and are fully certified by Microsoft.
We also take pride in our annual enhancement
plan which offers Users unlimited support for any
Time Matrix issue. This includes installation, set
up, training, and ongoing questions. We also work
around our Customers’ schedules, upgrading and
deploying in the middle of the night or over the
weekend so they don’t experience downtime that

Unless you’ve been hiding under a rock, you have likely
heard more than you thought possible on the Affordable
Care Act (“ACA”, also dubbed “healthcare reform”
and “Obamacare”) and how it will affect you, your
organization, and the economy at large.
GPUG® reached out to some resident ACA experts and GPUG
community Members – Bruce Lane, director at Vertical Solutions,
Shawn Dorward, financial systems analyst at Southeastern Freight
Lines, and Terry Heley, escalation engineer at Microsoft – to get a
better understanding of how this will impact Users at the organization
level, how Microsoft Dynamics GP can help Users who are impacted
by the ACA, and to dispel a few myths that have been swirling around
media reports.
Building Their Expertise
Bruce’s organization has been fielding calls regarding the ACA
over the last year. To keep on top of the demand, Bruce scoured for
information on requirements and associated penalties as well as talked
with Microsoft employees (including Terry) and labor law attorneys.
“We wanted to make sure we understood the full extent of the law
so we weren’t standing around, scratching our heads,” says Bruce. “We
decided to take the bull by the horns and become very comfortable
with how to share information with our clients and get them prepared
for the changes they’ll face.”
Shawn’s interest in the ACA came from personal interest at first,
which turned out to be helpful information professionally as well.
“I read blogs, government websites, and basically anything I could
get my hands on,” says Shawn. “I wanted to learn about the ACA
personally, but it carried over to the office pretty quickly.”
The bulk of Terry’s expertise comes from User calls into the
Microsoft support team.
“Their biggest concern is getting fined and how to avoid getting
fined,” says Terry. “They’re also wondering how they can generate the
types of reports and monitoring measures they’ll need to stay within
the new federal guidelines.”
Putting Aside Myths
Before we dive too deep, it’s important to clear up a big myth out
there:
» MYTH: Each organization, regardless of size, will need to
purchase healthcare insurance for each employee.
» TRUTH: The ACA only impacts employers with 50 or more
full-time employees, with full-time defined as working 30 or
more hours a week over a certain period of time.
“Some employers are saying this is hurting their business, and they
have 10 employees,” shares Bruce. “There is nothing in the code that
impacts that employer. In fact, there may be opportunities for those
employers to offer healthcare through the exchange.”
For many organizations, the 50 or more employee rule is a pretty
cut-and-dried line. Organizations in the hospitality industry, hair
care, retail, and so on have a little bit of math to do to figure out if
they fall in the federally mandated bracket.
“Ninety-five percent of our clients know if they’re over or under the
50 today,” says Bruce. “It’s not a large group defined by this bracket, but if
you’re a growing business or have ebbs and flows, it becomes a situation.”
Shawn adds, “Depending on your company size, you may find this
unnecessary, but trust me, if growth is anticipated (and it should
be), you should associate a cost for healthcare coverage with the
deduction amount passed on to the employee.”
Utilizing Your Features
If your organization fits in the 50 or more bracket (or if you just
want to have better control on employees’ time and reporting), you
are already using a tool that can help make life easier (that would be
Microsoft Dynamics GP).
“With the advent of the ACA, one of the key metrics is full-time
equivalent (FTE),” says Shawn. “You can use SmartLists or business alerts
to be notified when employees cross from part time to full time and vice
versa. Also, employee notices are critical when those statuses change, so
you can utilize the ‘Write Letters’ function to create those notifications.”
“Also, some basic reporting functionality can go a long way,”
continues Shawn. “Keep your HR and payroll in sync and consider
using a variable cost figure with a healthcare deduction. The ACA
can and will enforce some reporting changes, but you can automate
them by ensuring your settings are accurate throughout the year so
year-end reporting is just a few clicks away.”
In order to help out the situation, the Microsoft team created a blog
and video (see sidebar) to help Users think about what’s available now
in Microsoft Dynamics GP to help with the tracking and reporting.
“A lot of people wonder why Microsoft doesn’t come out with a
standard report,” says Terry. “While we don’t have a standard, we do
provide Users with some ideas as to how they can create a report and
where they should store it. Microsoft Dynamics GP will also keep
track of history if you change records, which will help when you have
to run reports, such as which employees wanted or waived coverage.”
If you’re looking at an upgrade and hit the 50 or more bracket,
the inclusion of HR and payroll in the core package of Microsoft
Dynamics GP might push you faster in that direction.
“Many Users are taking advantage of that inclusion and are
upgrading sooner so that they’ll get both tools,” says Terry. “They’re
also implementing and using it sooner because of the benefit changes
they want to implement and track.”

Watching for Issues
Business alerts can also be helpful with new employees, helping
you track the number of days from hire to the offer of healthcare
insurance, as well as whether or not the employee waives coverage.
“Additionally, if the new hire or a current employee decides to visit
the healthcare exchange on their own and qualifies for a subsidy, the
employer will get a notice that their employee has qualified and will
have to pay a penalty to subsidize that payment,” says Bruce. “Now
more than ever, it’s vital to keep good employee records of hire dates
and time records. Again, this only applies to organizations that have
50 or more employees over a certain period of time.”
Additionally, if the provision of healthcare will be a new thing to your
firm, you’re likely to feel a little overwhelmed by all the new details.
“One way to help out with the overwhelmed feeling is to use
deduction values combined with the vendor expenses and create
a KPI on your dashboard,” says Shawn. “Comparing and analyzing
that information will help keep you informed with real-time data,
enabling you to make decisions and maybe even predict when your
company will change status. It’s difficult, but not impossible.”
Looking at the Implementation
The deadline for the ACA’s implementation is a little, shall we say,
fluid.
“As I prepared slides for GPUG Summit 2013, I had to change all
the slides by one year as previously the penalties would have gone
into effect in 2014, but will now be in effect in 2015,” says Bruce. “It’s
going to take some time to implement these systems, even for an
organization that has around 50 or 60 employees, so I recommend
that employers assume that compliance should happen in 2014
even if they won’t be fined for a year. This will give you time to get
accustomed to the reporting and tracking as well as learning whether
or not the plan you choose meets all eligibility requirements.”
When you start your tracking in Microsoft Dynamics GP, be sure
to look for glitches and update your HRP module whenever afforded
the opportunity.
“Be sure to leverage the community by visiting Microsoft Connect
and posting suggestions or bugs so the Microsoft team can quickly
respond,” says Shawn. “In addition to that, be sure to plan ahead and
begin shopping for rates early!” GPUG

nonprofi t, and my goal is to integrate them within the
fi nance area.”

Vonzella brings her talents to the GPUG community through her leadership of the Nashville Regional Chapter. We’re glad to have her as part of our Regional Chapter leadership team!
Th at said, Vonzella does venture out of her own
department. “As staff , my colleagues and I get the
chance to participate in a lot of the activities that
are going on, and we take roles in helping out in
the various communities,” she says. In the recent
past, she’s participated in a variety of activities
including bagging toys, sorting food for holiday
baskets distributed by a food bank, delivering Meals
on Wheels to a nursing home, organizing a library
and a kitchen for an area youth agency, and helping
with a survey conducted by Th e Contributor, a
street newspaper that focuses on issues surrounding
homelessness and poverty. “What I really like
about this job,” she says, “is that there is always an
opportunity to do something for someone else.”
Vonzella’s dedication to doing for others doesn’t
start or stop with her job. She’s on the board of
the Urban League of Middle Tennessee, where the
mission is to help people get to work. At the Urban
League, as well as in her role with the church, her
offi cial duty is managing the numbers. But that’s
only the beginning. “Th ere are opportunities to
help other people regardless of your position, or the
organization, or even what you’re doing,” she says,
citing a recent company picnic that included a bake
sale to raise funds for a summer camp as an example
of how people live out various ministries.
For Vonzella, the ministry occurs at a very basic,
very individual level. “People are bright and smart,
and it only takes one opportunity to diff erentiate
us,” she says. “I am helping people now, but fi ve years
from now I may need to rely on someone helping
me.” GPUG
