REGISTRATION

Registration was located on the main floor of the hotel. The registration process, led by

the host region, was very well organized and easily accessible. The lines were organized

according to the last name, and a picture ID was required to pick up materials. If you

were a voting delegate, once you received your badge, materials, and gifts, you were

directed to the voter registration area, where you picked up your voting “clicker” (See

picture below of some of the materials).

National Executive Board meeting (8am-5 pm)

Primary discussion centered on the Honorary candidates for membership. Various issues

arose pertaining to the candidates’ credentials and appropriateness, to be offered honorary

membership. The 4 honorary candidates were identified as Cynthia James; Dr. Laurie

Jean Cannady; Ms. Rhona Bennett, R&B Songstress; and Dr. Anita Hill. The Room was

set-up in a square format to facilitate discussion between the State Directors, Regional

Directors and International Grand Basileus. The remainder of the room was set-up in

classroom seating style for the members.

Finer is What Finer Does: Representing Brand Zeta Online and in the Real World

First Time Attendees (Vicki Pinkett Hammock)

o Soror Trichia, Carissa, Valerie and Christal attended this session. During the

“First Time Attendees” Workshop, the attendees received an overall review of

conference tips to help facilitate a positive 1st experience, which included personal

safety tips, basic conference information, dining etiquette (waiting until everyone

at the table is served prior to eating) and meeting etiquette (arrive on time, refrain

from talking, etc.). Soror Vicki Hammock, the Presenter, gave all attendees a

small dove pendant as a thank you gift at the close of the presentation. Soror

Carissa noted that all attendees are encouraged to keep in touch with the Soror

they were paired with. Currently, my new Zeta friend and I are FB friends and we

exchange messages quite often. Soror Valerie thought the session was informative

and allowed for interaction with other sorors. Soror Christal added that during

workshop, all of the attendees were given an overview of what to expect during

the various meetings, dining experiences, programs, etc. They were paired with a

Soror that was not from their state and they exchanged information about each

other. This activity helped to widen the sister circles by not always just socializing

with the Sorors we already know.

Honoring Zeta’s 44 year Partnership (Gwen Carmon, Latasha “Tash” Wilson lane, and

Thar Art of Appreciation (Donnie Faye Hull and Dr. Denisha Hendricks)

Memberplanet: Making our Organizational Lives Simpler (Briana J. McDaniel)

Thinking Outside the Box: Useful Strategies to Writing Successful Grants and

Fundraising Tips (Dr. Taneen Brinson).

o Soror Jynetta and Soror Tonia attended this workshop. Dr. Brinson discussed the

3 Steps before applying for Grant funds:

1. RESEARCH –Research the different types of grants. Grants can come from

Foundations, Corporations, Federal Grants and State Grants.

2. The Request-Request For Proposal (RFP), Request for Application (RFA)

and Letter Of Intent (LOI) Dr. Brinson provide us with some sample RFP

Process and Timelines.

3. The Proposal-Basic parts of a Grant-History of the Organization, needs

statement, problem statement, goals and objectives, methods and strategies,

budget summary and the conclusion.

Dr. Brinson, also discussed some Fundraising Suggestions & Tips:

o Pick an event that generates a profit

o Free, Free, & Free (Donated Space, Community Collaborations)

o Don’t exceed your budget

Dr. Brinson’s workshop was very informative; lots of information was shared and a

packet was given out which will be shared with the Chapter at October’s Chapter

Meeting.

What Great Basilei Do Differently: Leadership Strategies to Retain Members and

Strengthen Your Chapter (Amelia Lynnette Hunt)

o Soror McDay attended this workshop. The position of chapter basileus stands as

one of the more challenging leadership roles in Zeta. A basileus must serve as

guide, coordinator, facilitator, motivator, communicator, supervisor, mediator,

sister, and friend. She bears the responsibility for her chapter’s implementation of

programs, while nurturing relationships among members. Some flourish in this

role while others might struggle. We discussed what sets our most effective

leaders apart; the characteristics of and the actions undertaken by great basilei. In

addition, we were informed of leadership practices which will lead to membership

retention and efficient chapter operation.

US Fish and Wildlife: Pearls in the Wild (Dr. Carla L. Wyatt, Rauchelle Jones, and

Krysta Jones)

Am I My Sister’s Keeper (Tiffany Cooper and Kenya Monique Henderson)

o Soror Jynetta attended this workshop. Sorors Tiffany Cooper, Life Member &

Soror Kenya Henderson, Diamond Life Member were facilitators and discussed

accountability; how to bridge the communication gap between Undergraduates

and Graduates; giving sisterly correction without being negative and hurting other

Sorors feelings when you are giving corrections. Also, there was a discussion

regarding whose responsibility it is to continue our Zeta legacy; how do we

continue the Legacy; and what kind of positive impact will we have on our

Legacy. This workshop was set up in round table discussion, and each Soror had

the opportunity to give their input on the various questions that were asked.

Blazing a Path to Address Lupus Health-Disparities Among Women of Color (Thometta

Cozart)

Centennial Workshop: Preserving the history of Zeta Phi Beta Sorority, Inc. (Norma Cox

Dartis, Tanya “T.Lynn” Harrison, and Rita Woods)

o Soror Trichia attended this session. The presenters expressed the overwhelmingly

importance of preserving and documenting the history of all memorable events,

auxiliary efforts, and Centennial related activities (Sisterhood circles

#GetEngaged and Project Refinery) to serve as a historical sketch for Zeta Phi

Beta. The facilitators also specifically recommend that chapters keep hard copies

of minutes, record dates of pictures taken, explore usage of social media and other

online sources to further document the chapter’s activities. At the close of the

meeting, the attendees were given the opportunity to review various editions of

the ARCHON magazine.

Chapter Committees: A Core Ingredient to Good Chapter Management (Dr. Elizabeth

Fran Johnson)

o Soror McDay and Soror Carissa attended this session. Dr. Johnson covered the

who, what, why, and how of having efficient and effectively run chapter

committees. Additionally, the various types of committees and their roles. There

are adhoc committees which are formed for a certain purpose and once that

purpose has been met the committee is resolved. The Basileus is a member of all

committee’s but does not chair. Committees may not enter into contracts on

behalf of the chapter. Soror McDay stated that Dr. Johnson present at chapter

retreat: and distributed a 5 minute personality test to the committee process, what

does a committee do.

Dynamic Chapter Growth: Building a Centennial Chapter and Beyond (Shellisa D.

Multrie)

o Soror Tonia attended this session. Soror Multrie discussed ways to become more

visible in the community through networking and doing what Zetas do best,

VOLUNTEER. She provided an example of an opportunity where her chapter

volunteered at a facility for the elderly. While there were only a few of them

volunteering, the impact was unsurmountable. There happened to be a local radio

personality visiting a relative and noticed the genuine care and concern that

Sorors shared with the elderly and said she never knew that there were active

Zetas in the area, she had only seen Deltas. Hence the networking began. Her

chapter was having a fundraising event and received free promotion on the radio.

Anytime the Zetas are having an event, they get 30 seconds FREE radio

promotion time. The event was a success and she continues to see double digit

growth through reclamation and the membership intake process.

o She also spoke of assessing the talents and interest (through a worksheet), within

a chapter, and capitalizing on them.

Regional Director Porter-Norman, Basileus Adrienne McDay, Sorors LaDonna, Deborah,

Rosalind, Trichia, Carisa, Jynetta, and Valerie, attended the program which is designed to

officially open the 2016 Boule by the International Grand Basileus, Dr. Mary Breaux

Wright. The International Grand Basileus was escorted into the Opening Program by the

International Grand Basileus of Phi Beta Sigma Fraternity, Inc., Brother Johnathan

Mason, Sr. The Mistress of Ceremonies Soror Yolanda Christophe. She was Miss Florida

Memorial University for the 2015-2016 academic school year. Various awards were

given out at the opening program. Fratter Gionni Carr recited a poem titled “More Than

Decorations” which was written by him to honor the Sorors of Zeta Phi Beta Sorority,

Inc. Also, there were presentations made to the Grand by representatives of the remaining

Divine Nine Organizations. Other awards that were presented, during the ceremony were:

The voting strength was 1,668. During this session: Potential Honorary Members Profiles were

provided to the body; the International Grand Basileus gave her report; and the body voted on 4

GLR

Our one and only Great Lakes Fans were a gift from our Regional Director Michelle Porter

Norman. The Great Lakes Region fans were available for a dual purpose to help keep us cool

and for acknowledgement purposes as a group, when called upon during the sessions.

International Grand Basileus Highlights

Our International Grand Basileus was awesome as usual, as she shared various accomplishments

and key information about the Sorority’s progress thus far and in the near future!!

National Headquarters has paid all of the building permits which totaled approximately

$60,000 and now we are ready to start renovations. We are blessed to have an awesome

female design team and the membership is encouraged to purchase furniture from a gift

registry to help furnish the headquarters.

In support of our March of Dimes 40-year National partnership, Zeta Phi Beta Sorority,

Inc. raised $436,863, which is $31,624 more than the Men of Alpha Phi Alpha Fraternity,

Inc. $405, 239!

Acknowledged the attendance of our international chapters, from Abu Dubai and our

newest chapter, Beta Alpha Nu Zeta, located in Trinidad!

Acknowledged the 2016 Great Lakes Regional Conference as breaking the record for

having the highest number of attendees in Zetadom! 1,100!!!!

Announced the Centennial and Boule 2020 Celebration to be held June 23-28, 2020, in

Washington, D.C. at the Marriott Marque Convention Center. The cost for early

registration is $900 and regular registration cost is $1200 per person. The anticipated total

expenses to host the 2020 Centennial are projected at $14,478,665.

Legacy Club Ceremony (5:30 pm-7 pm)

The Legacy Ceremony, to say the least, was memorable and emotional. Each Region and

state was represented. Each Soror was recognized by name and received a Certificate, a

Stole, and a Legacy Pin. Soror Sheryl Underwood discovered that she has a cousin that is

a Zeta, so she participated in the ceremony as well. Chartering members from our chapter

are: Regional Director Michelle Porter-Norman and her sister; Soror Carissa Hurley and

her daughter, Soror Ashley Hurley of Lambda Epsilon; Soror Tonia Lewis-Rogers and

her sister, Soror Tosha Bunch; Soror Sharon Walker and her sister.

Old & New School Stroll off (9 pm-11:59 pm)

The Stroll Off started late and progressed into a party with everyone strolling throughout the

aisles, kind of doing their own thing. The Florida Amicae performed a non-competitive step

INTERNATIONAL GRAND BASILEUS (Southern Region): MARY BREAUX WRIGHT (Southern)- SHE WAS SEEKING RE-ELECTION TO THE OFFICE OF INTERNATIONAL GRAND BASILEUS SO THAT SHE COULD CONTINUE TO MOVE ZETA FORWARD IN THE SPIRIT OF OUR FOUNDERS AND WITH THE HELP OF OUR GREAT SISTERHOOD. BY DOING THIS, WE CAN IMPROVE THE QUALITY OF LIFE FOR OURSELVES AND OUR COMMUNITIES THROUGH ZETAS HAVE HEART, FURTHER EDUCATE COMMUNITIES ON THE IMPORTANCE OF ELDER CARE THROUGH ZetaCARES, SUPPORT OUR UNDERGRADUATES BY BEING POSITIVE ROLE MODELS; ENSURE THAT OUR AUXILIARIES ARE EQUIPPED WITH THE RIGHT TOOLS TO INCREASE THEIR MEMBERSHIP AND PARTICIPATION; AND MOST IMPORTANTLY, MAKE CERTAIN THAT RENOVATIONS ON HEADQUARTERS ARE COMPLETE SO THAT WE CAN RETURN HOME AND LEAVE A LEGACY FOR FUTURE GENERATIONS. VALERIE HOLLINGSWORTH-BAKER (Atlantic Region): SHE PLAN TO CONTINUE TO PROVIDE KEY STRATEGIES FOR US TO “GROW THE MEMBERSHIP” AND “GROW AS LEADERS” BY CREATING AND UTILIZING VARIOUS FORMS OF EMBELLISHMENT DESIGNED TO ENSURE OUR MEMBERS CONTINUE TO GAIN A BETTER LEVEL OF UNDERSTANDING THE ORGANIZATION ON ALL LEVELS, WITH THE INCREASE OF OUR RETENTION AND RECLAMATION RATES AS ONE OF THE ENDS RESULTS. SHE WILL ALSO EMPLOY ZETA’S COLLECTIVE GENIUS TO FIND FINER WOMEN, AMPLIFY RETENTION, EMBRACE DIGITAL TECHNOLOGY FOR MIP PROCESS, THINK GLOBALLY ABOUT THE MEMBERSHIP’S DIVERSE NEEDS, AND INTEGRATE LEADERSHIP DEVELOPMENT THROUGH STRENGTHENED RELATIONSHIPS.

LEIGH-ANN WILLIAMS (Southern Region): SHE PLANS TO ADVOCATE FOR STRONGER BONDS BETWEEN UNDERGRADUATES AND GRADUATES THROUGH “BRIDGE THE GAP” INITIATIVES. SHE PLANS TO PROMOTE INCREASED UTILIZATION OF SOCIAL MEDIA AND TECHNOLOGY TO KEEP SORORS INVOLVED AND UP TO DATE. SHE WANTS TO WORK WITH UNDERGRADUATES ON THE BOARD TO HOST AND PROMOTE WEBINARS AND UNDERGRADUATE LEADERSHIP RETREATS. ALSO, SHE WANTS TO UTILIZE MY T.E.A.M. PLATFORM TO INCREASE NETWORKING AND LEADERSHIP DEVELOPMENT OPPORTUNITIES TO PROMOTE INCREASED SORORITY INVOLVEMENT AND RETENTION AFTER GRADUATION.

GRAMMATEUS:

JAMYE BRIDGES (Eastern Region): SHE WILL CONTINUE TO KEEP THE RECORD STRAIGHT FOR ZETA. SHE’S LOOKING TO LEND HER TALENTS, SKILLS, AND ABILITIES TO MOVING ZETA’S AGENDA FORWARD TO CENTENNIAL AND BEYOND, WHILE GAINING NEW EXPERIENCES AND CONTINUED GROWTH WITHIN THE SISTERHOOD.

LA’KITHA B. HUGHES (South Central Region): SHE PLANS TO PRESERVE THE HISTORY OF THE SORORITY MINUTES AND MAKE SURE THAT THEY ARE PROMPT AND ACCURATELY RECORD.

o Soror McDay and Soror Carissa attended this session and it was stated that time

limits have to be set for Sorors to speak on a specific topic, and stick to it. Reports

should be sent out ahead of time for review; Sorors should come prepared to

discuss action items; and should also have their motions written down. This

would encourage and promote effective and efficiently run chapter meetings. This

Centennial Workshop Legacies: Yesterday, Today, and Tomorrow (Dr. Lavern Holyfield

and Dawn Edwards, Pharm D)

o Soror Carissa attended this workshop where Soror Dr. Lavern Jordan Holyfield

and Dawn E. Edwards highlighted and illustrated the power of Zeta legacies as

grandmothers, mothers, and daughters continue to impact the growth and

enhancement of our sisterhood. It was disheartening and surprising to hear during

the question and answer period that a few Sorors addressed that they are reluctant

to have legacies come into their chapters because the legacies “seed” wanted to be

too involved in the process and was constantly calling and requesting information

about the process and when the ceremonies were going to take place. They said

that having legacies in the process was basically too much trouble. This appeared

to be undergraduate members who expressed this concern. However, the

presenters were very good about addressing these concerns and reminding the

Sorors of the important role that legacies have in our history. Additionally, it was

stressed that legacies will keep the Sorority membership increasing.

Building Upon the Sisterhood: Strategic Planning for Organizational Growth (Dr. Erin

Lynch-Alexander)

o Soror Tonia attended this workshop. Soror Dr. Erin Lynch-Alexander spoke of

how she, as Basileus working closely with the 1st Anti Basileus, doubled the

chapter membership in just 2 years. She spoke of working in Zeta, as it is a

Business. She presented an SOP (Standard Operating Procedure), which I plan to

present to the chapter this fiscal year. Her plan included Standard Committees;

Pre/Post documents that evaluate the variety of events that take place within a

Leaders vs Managers (Cheryl Raigns Brown)

o Soror Jynetta attended this session. Soror Brown discussed how Sorors need to

become leaders in their Chapters rather than managers. She stated that Leaders

inspire and mentor their team (Chapters) members. They work side by side with

their team. Leaders are in constant communication with their team, and delegate

various tasks to different Sorors and make sure that everyone on their team

understand the task at hand.

o Soror Jynetta attended this workshop. This was an interactive training that utilize

Art form to express personal self-reflection

o Soror Trichia attended this workshop. This workshop explored the importance of mental

health awareness. The facilitator used an interactive activity designed for the

attendees to identify various roles, including Zeta membership and/or leadership as

well as stressors and pressures that may potentially cause an imbalance. Soror Clark

reiterated the importance of keeping “mental wellness” 1st during times of conflict

The A, B, Cs of Parliamentary Law: A Leader’s Building Blocks (Brunhilda Clarissa

o Soror Carissa attended and found the workshop to be very informative and

covered an overview of parliamentary law. It included how to present a motion;

what is needed to pass a motion; how to amend a motion; and how to preside over

a meeting while amending motions. During the workshop participants were

provided the opportunity to role play the life of a motion during a meeting. There

was time at the end for questions and answers.

Zeta’s National Adopt-a-School Initiative (Renee Byrd)

o Soror Christal attended this workshop regarding the National initiative. Soror

Byrd stated that adopting a school is as simple as donating our time, supplies,

uniforms, or even volunteering at a PTA meeting with snacks. In order to get

Z­HOPE points, under the Adopt-a-School umbrella, there needs to be at least

four Zetas present within the building at the time our services are being rendered.

Ex. Dropping off school supplies to the school or school office there needs to be

four Zetas in the building for us to receive points. When rendering our services to

the school, the Zetas that are present do not have to be active or from our chapter.

They just need to be present in the building. All chapters that are participating in

adopt a school must be sure to fill out the form and turn it in for credit. In order to

get the full amount of points through the Adopt-a-School Initiative, the chapters

must render services to the school at least four times a year.

Each region was assigned rooms to gather in preparation of meeting the various

candidates with a goal to listen, discuss, and determine which candidates to secure our

vote. Our Regional Director gave each candidate 3 timed minutes to speak to the

membership with no question/answer opportunity.

A collection was made on behalf of the undergraduates, who attended the conference due

to a miscalculation of funds for the weekend. Soror Jasmine Branch, Undergraduate

Student at Large, made the request on behalf of the Undergraduates. Enough funds were

raised for each Undergrad to receive $62 each and it was reinforced that these monies

were to be used for food and NOT to purchase regalia.

As always the Necrology and Rededication Ceremony was beautiful and appeared to be

attended by over 200 Sorors adorned in uninterrupted white. The Necrology Ceremony

included the roll call of Triumphant Sorors from each Region. As each Regional Director

called the names of the Triumphant Sorors from their Region, the members of the said

chapter was asked to stand to pay homage to their Triumphant Sorors. From our chapter

was Triumphant Soror Sandra K. Adams. Past Grand International Basileus Barbara C.

Moore paid tribute to Triumphant Soror Past Grand International Basileus Dr. Eunice

Thomas who joined the Grand Boule in the sky on August 17, 2014.
