2021 Lenexa Special Event Sponsorship Opportunities

Swingin’ For A Scholarship Pickleball Tournament – May 8 The biannual pickleball tournament fundraiser will be held on Saturday, May 8 at the newly renovated Bois D’ Arc pickleball courts. Support this great cause and enjoy watching over 150+ pickleball players battle it out for a championship.

Fishing Derby – June 5 Kids ages 13 and under will join us in a Fishing Derby at Black Hoof Park from 9am-noon on Saturday, June 5. It is a catch and release derby, where participants measure their fish and then place them back in the lake. Prizes will be handed out for the most fish caught, as well as largest and smallest fish. Typically, attendance is over 200 including family members participating with their children.

In addition, we are offering a month-long fishing derby in the month of September. Participants will visit multiple Lenexa parks and try out different favorite fishing spots. Participants will submit their catches through e-mail and multiple prizes will be offered for two different age brackets (15 and under; 16 and over). We hope to have over 100 participants.

Tiny Tot Triathlon – Aug. 21 In this annual event, children ages 3-9 get to bike, run and go down an inflatable waterslide on their way to the finish line. All children receive a medal in this fun-filled event. Approximately 135 children participate.

Swingin’ For A Scholarship Pickleball Tournament – September 11 The biannual pickleball tournament fundraiser will be held on Saturday, September 11 at the newly renovated Bois D’ Arc pickleball courts. Support this great cause and enjoy watching over 150+ pickleball players battle it out for a championship.

Enchanted Forest – Oct. 28 Join our “trunk or treat” at the Enchanted Forest! Sponsors line up their vehicles and/or tents (1 per sponsor) and hand out candy to children as they trick-or-treat (plan for approximately 4,000 children). Visitors to the Enchanted Forest enjoy performances of marionette puppets, magicians, musicians and mascot characters as they wind their way around Roses Pond in this magical forest. Admission is free.

Sar-Ko Aglow – December 3 Residents come to the park to view the spectacular holiday lights display in the beautifully renovated Sar-Ko- Par Trails Park. Following the official lighting ceremony that evening, families enjoy visits with Santa, hot chocolate, carolers, and the opportunity to stroll through the festive park.

Under Water Easter Egg Hunt – April 3 Kids in swimsuits will scramble to gather over 3,000 Easter eggs spread throughout the Rec Center indoor pool. The variety of candy and prizes will be sure to satisfy even the youngest hunter. Participants will be divided into age groups ranging from infant through 12 years old. ***Cash/In-Kind candy donations only. No booth space available at this event.

Trick or Treat Hide ‘n Seek – Oct. 30 In conjunction with the Lenexa Public Market the Lenexa Rec Center will be hosting this 4th annual event. It provides an opportunity to get out and enjoy a Halloween activity on the Lenexa Civic Campus. Kids will follow clues to different stations to collect a variety of spooky treats. In 2020 over 500 youth attended this event. ***Cash/In-Kind candy donations only. No booth space available at this event.

All Seven 2021 Special Events – $1,200 One Special Event - $195 each **Cash or in-kind donations will be considered**

Benefits: • Your company name associated with the event on program or informational pieces. • Booth space (10’ x 10’) at the event. • Recognition at the event on the sponsor board. • Recognition on www.lenexa.com as a sponsor.

Promotional Items Sponsor **Cash Sponsorship of a promotional item purchased by the City**

• Sponsor pays all costs associated with the promotional item and the City will distribute the items at the special event.

• A promotional item is an article of merchandise selected by the City and branded or adorned with the City’s name or any brands or logos of the City for the principal purpose of promoting a City festival, special event or program.

• Your company name placed on promotional items, when practicable, as approved by special event coordinator.

• Examples of promotional items may include, but are not limited to, bags, cups, spoons, etc.

Note: for all sponsorships, benefits are specific to the sponsored event. City’s acceptance of the sponsorship is subject to the City’s adopted Sponsorship Policy.

Submission/Proposal Information

• Proposals must be submitted by e-mail to Marisa Shartzer at the email address listed below, at least 30 days prior to the Festival.

• Each e-mailed proposal must list “Proposal for Sponsorship – Special Event” or “Proposal for Sponsorship – Promotional Item” in the subject line.

Additional Requirements

• The City offers sponsorship opportunities as an important tool to enhance and improve the special events for the citizens and visitors of Lenexa while helping to offset the costs of offering such special events. In addition, these sponsorships provide opportunities for community involvement by local businesses who desire to support and be associated with City programs and events.

• All sponsorships are subject to the City Sponsorship Policy. Appendix A, included below, is a brief highlight of the rules and criteria applicable to individuals and entities who are interested in submitting a sponsorship proposal. Prior to submitting a proposal, interested individuals or entities are advised to read the City Sponsorship Policy, Governing Body Policy Number GB-Gen-1, in its entirety. A copy of the City Sponsorship Policy is available at www.lenexa.com. The City is not obligated to review any proposal submitted and may accept or reject any proposal which does not meet the criteria of the City Sponsorship Policy.

• In accordance with the City Sponsorship Policy, the value of In-kind payments are measured by their fair market value. At the time of proposal, the Sponsor shall document in writing the valuation of the goods or services to be provided. Sponsors who desire to make a full or partial in-kind payment of the Sponsorship fee, rather than cash, the value of the in-kind payment will be deemed 50% of the fair market value as documented by the Sponsor.

• Sponsors must execute the City’s standard form agreement. • The City is under no obligation to approve or accept any Sponsorship proposal and reserves

the right to exercise full discretion and editorial control over the placement, content, appearance, and wording of sponsorship affiliations and messages in accordance with the terms of the City Sponsorship Policy.

APPENDIX A CITY SPONSORSHIP POLICY QUICK REFERENCE

This document is intended to highlight the rules and criteria stated in the City Sponsorship Policy (“Policy”) applicable to Individuals and entities (“Applicant(s)”) interested in submitting a sponsorship proposal. Applicants are advised to read the Policy, available at www.lenexa.com, in its entirety prior to submission of a sponsorship proposal. In all cases, the City reserves the right to exercise full discretion and editorial control over the placement, content, appearance, and wording of sponsorship affiliations and messages in accordance with the Policy. The City is under no obligation to approve any sponsorship proposal. In addition, the City reserves the right to terminate any accepted sponsorship at any time if, in the City’s sole discretion, continuation of the sponsorship is not in the best interests of the City.

The City will not accept a sponsorship from an Applicant that is engaged in any of the following activities:

• Involved in the manufacture, distribution and wholesaling of cigarettes, tobacco products, and vapor products;

• Involved in the manufacture, distribution, and wholesaling of alcohol, except where alcoholic beverages have been authorized for sale and consumption on the premises;

• Involved in the manufacture, distribution, and wholesaling of firearms; • Whose business is solely or substantially derived from the sale of pornography; • Involved in the advocacy or endorsement of candidates or campaigns pertaining to political

elections

The City considers the following criteria when evaluating a sponsorship proposal for acceptance or rejection:

• The compatibility of the Applicant’s mission, product and promotional goals with the City's Community Vision, Mission, Values, Ordinances, and Policies;

• The compatibility and appropriateness of the Applicant's mission, product and promotional goals with the City program, event or personal property to be sponsored;

• The compatibility of the Applicant’s proposal with the standards, aesthetic values and visual integrity of City property and expectations of users;

• The Applicant’s past record of involvement in the community and City projects; • The timeliness or readiness of the Applicant to enter an agreement; • The actual value, in cash or in kind goods or services, of the proposal in relation to the benefit

of the Applicant and the City; and • The City’s operating and maintenance costs, including staff time or other additional

responsibilities associated with the proposal; • The inclusion of conditions that would limit the City’s ability to enter into agreements with

other sponsors or to carry out its functions fully and impartially; and • The potential for public perception of partiality, impropriety or implied relationship between

the City and the Applicant other than for the limited purpose of the sponsorship.

Sponsorship messages by an approved sponsor shall not contain any one or more of the following: • Advocacy or endorsement of candidates or campaigns pertaining to political elections; • Depiction in any form of nudity or semi-nudity, profanity, obscenity, or lewdness or

characterizations which suggest, depict, or promote any such element or sexually oriented products, activities, or materials;

• Promotion for the use or sale of firearms, explosives or other weapons, or the depiction, suggestion or glorification of violence or acts of a violent nature;

• Promotion or depiction of discrimination or the use of hate speech against any individual, group, company or organization;

• Implication of endorsement by the City or City employees; • Content which is false, misleading, deceptive or which otherwise relates to an illegal activity;

or • Language or descriptive material which taken in form and context is deemed to be contrary to

community standards.
