Congratulations! You’ve made a very good decision in becoming an exhibitor in the California State Home and Garden Show. If you have never exhibited before or if you have been an exhibitor in other trade shows, this simple guide will help you to focus on “how to get the most out of your advertising investment” as an exhibitor with Cal State Home and Garden Shows. As a former trade show exhibitor, one of the best ways I have found to prepare for a show is to formulate a plan. I realize you may feel you don’t have time to think, but it doesn’t have to be a difficult process. It only takes a few focused minutes to write a quick outline. Begin by asking yourself a series of questions. I have outlined my questions below. Write down your answers and in just a few minutes you have an outline. Once you have an outline, it’s important to determine your sales goals. Write it down. Become committed to the goal. Concentrate on working the plan. You will be amazed how focused your sales team will be when they understand the goals.

Here is an example:

What do I want to accomplish? Introduce a new product Meet my customers face to face Get leads Make sales Expand my market Attract new employees What should my booth look like? How big of a space do I need to adequately

display my product? Do I need to get help to design this booth? Signage: what will be the theme of this

display? Will we have hands on demonstrations or

seminars in the space? Can we use this display in our showroom?

Can we get co-op advertising dollars to help with the cost? Will supplier/manufacturer provide displays, Co-op/share expenses, staffing?

What product samples will we feature? Print media: will we need brochures,

business cards, etc? Lead generating cards- can be used for a show give-a-way

Do we need carpeting, electricity, tables, etc?

What do I need to know before the show? Identify my competition; where are they in

the Show? Why are we different? What is the profile of our customer? When to schedule a training meeting for

our staff prior to the show

Getting Ready for Success What can you offer as an advertising

incentive at the show to your customers and potential customers?

Who should staff your booth and how do I prepare them for success?

How many leads/sales do we need to be successful? For example: if you remodel kitchens, how many jobs or sales do you need to cover your show expenses and make a profit?

Identify your product: Prioritize your top products and apply a number goal of how many of each category we want to sell.

Determine our sales goal

Review staff schedules/assignments

Set up/Tear down of the exhibit

Check all costs: - Booth Decoration - Parking - Carpet - Supplies - Electricity - Tables

- Wastebaskets - Freight - Transportation - Hotel - Other

Check Show Information

o Read Exhibitor Kit o Move In/Move Out times o Show Rules

Working the Show Qualify your leads onsite by asking key

questions to potential customers: write notes on the back of a lead card or raffle card that will help you prioritize your follow up calls

Convey a professional image

SHOW RULES

If you distribute any type of food or beverage sample, you must register with Cal State Shows, who is legally required to obtain your permit through the Health Department. See Health Permit Section.

All booth carpet must be taped to the floor with the approved tape that can be purchased from the Decorator or with a painters type of tape. No duct tape or clear tape!

No open flames are allowed.

In consideration of your neighbors, microphone volume will be monitored and noise discipline will be maintained.

All Garden Landscape displays must have plastic placed down before setting up any display, concrete blocks or bricks.

Spa companies and all displays requiring water must have everything filled by 10:00am Friday, NO EXCEPTIONS. If you need to refill your display, it must be done after the show closes each evening.

No consumption of alcoholic beverages during move in, move out or published show hours.

No smoking in the Convention Center.

No food from outside may be brought into the Convention Center during show hours.

Direct shipments to the Show will be accepted at the Show Office no earlier than 10 am, Thursday, Sept. 13th, provided the following shipping address is strictly adhered to:

Move-in THIS WILL BE A ONE DAY MOVE-IN; Thursday, September 13th ONLY. We

are asking for your cooperation with implementing our move-in schedule. Approximately 40 exhibitors are scheduled for each 2 hour period. PLEASE PLAN YOUR ARRIVAL WITHIN THE FIRST 90 MINUTES OF THE PERIOD. You do not need a move-in letter. We ask that you quickly unload your vehicle and move from the docks to make room for the next group.

Your Move-in time is assigned alphabetically as follows:

o Companies A through C – move-in at 10:00 am

o Companies D through P – move-in at 12:00 pm

o Companies Q through Z – move-in at 2:00 pm

o All Market Place Exhibitors – move-in at 3:00 pm

o Open move-in for exhibitors that cannot make their assigned time will begin at 4:00 pm

If you must drive your display into the Hall AND you have not received notification that you have been assigned a drive-in time, please contact your Show Manager. Drive-in times will be between 7am to 8 am. There can be NO EXCEPTIONS.

There will be no fork lift service available after 7:00 pm Thursday or on Sunday.

There will be NO Move-In allowed on Friday.

Dollies and pallet trucks are available for your use. A driver’s license will be held as security to check out a dolly.

Forklift - if you require the assistance of a forklift, please contact the decorator in advance (916) 488-6434. There will be a charge for use of the forklift over 15 minutes.

must be returned to Wombo, Inc either by mail or faxed to: (619) 596-2144. You may contact Wombo, Inc. directly at (619) 596-2141.

ELECTRICAL

All Exhibitors will receive one - single 500-watt outlet.

The Convention Center requires the Decorator to do an electrical audit prior to the Show opening. Any exhibitor that is found to require additional electricity will be charged the floor rates. Electrical service will be disconnected until all fees are paid. Please assess your electrical needs and if you require additional outlets or a larger service please order it from the Decorator in advance to avoid additional cost. The deadline for payment of advance orders is Sept. 4th.

Order through the decorator, LB Lights West. A printable order form is available on our website, under Exhibitor Services. Complete the order form, then fax to LB Lights West at (209) 333-2312.

Do not “plug-in” to any additional outlets without ordering and paying for electrical. Your tools or products could be destroyed due to power surges.

FIRE MARSHALL REQUIREMENTS

Tents and canopies must have an official listing number, a California State Fire Marshall Seal of Approval and a dated registration number attached to the unit. NO EXCEPTIONS.

Exhibitors who have covered or enclosed displays must have a fire extinguisher on hand during the entire show. If your display requires a special type of fire extinguisher, you must make prior arrangements at your own cost for this equipment.

All cooking demonstrations must have a fire extinguisher, NO EXCEPTIONS.

No open flames allowed. All cooking must be done on electric grills.

No exhibit may extend into the aisle, block or impede access to any fire hydrant.

CARPET – All booth carpet must be taped to the floor. Only Convention Center

approve tape can be used - NO DUCT TAPE and NO CLEAR TAPE. The Convention Center is very specific as to the type of tape permitted. It is not available at standard retail outlets. The Decorator will have tape available to purchase. You can also use no-residue blue painters-type tape, but if you elect to use this tape it must be repaired or replaced immediately if torn during the course of the Show to avoid creating a tripping hazard.

EXHIBITOR ATTENDANCE - At NO TIME DURING SHOW HOURS should you leave your

booth unattended. Exhibitor’s booths must be manned during the entire period of the show.

EXHIBITOR BADGES Exhibitor badges will be available at the show office when you check in Thursday. All exhibitors are required to wear badges for an Admission show. If you do not pick up your exhibitor badges during move in, on Friday there will be an attendant at the J Street lobby one hour before the show opening who will allow you to enter the hall and pick up your badges. You can also enter through the dock area any time on Friday after 8am.

SELLER’S PERMIT

You must have a seller’s permit if you will be selling merchandise, booking orders or taking leads at this show.

You may also request the required form directly by calling State of California State Board of Equalization by calling (800) 400-7115.

HEALTH DEPARTMENT PERMIT

If you offer food samples to the general public, Cal State Shows is required to collect a Food Service Fee by the State of California and Sacramento County Health Department. Your fees will be $90 for low risk and $160 for high-risk products as determined by the Sacramento County Health Department.

Notify your Show Manager immediately if you will be serving food products.

You will not be allowed to set-up if permit fees have not been paid.

LOCAL SALES TAX – Sales tax for the Sacramento, California area is 7.75%.

SHOW VEHICLES – All vehicles that will be on display must adhere to the following:

Keys must be left at the show office.

There can only be ¼ of a tank of gas in the vehicle and the gas cap must be secured. If gas cap does not lock, tape must be placed to secure it.

Battery must be disconnected.

Protection must be placed under the oil pan and transmission to catch any spills or leaks.

BOOTH DISPLAY

Oversized items in booths that block the view or viewing angle of other booths are not allowed and will be removed. See Display Policy on website.

Nothing may be attached to the wall or columns of the building. Exhibitors will be charged by the Convention Center for any damage to the building due to their own actions.

Do not block, solicit or sell in the aisles. All materials, merchandise and personnel must be within your booth.

We recommend you do not consume food in your booth. Alcohol in your booth during show hours is strictly prohibited.

Signs can be hung from booth piping only with “S” hooks provided by the Decorator.

SECURITY

24-hour security is provided for the entire Convention Center. However, small, easily removed, or fragile articles should be removed nightly.

Cal State Shows does not assume any responsibility for loss, stolen or damage to the property of any exhibitor.

PARKING

We have arranged for a special rate of $6.00 per day for exhibitors as well as attendees during the Show hours at the City of Sacramento Lot C located between H & I St. at 14th.

On Saturday & Sunday the State’s East End Garage on 17th between L and Capitol has $2.00 all day parking.

In downtown Sacramento on Sunday all street parking is free.

There are a number of private garages in the vicinity of the Convention Center that may also be offering reduced parking. Please note that both the Hyatt garage, along the K St. Mall, and the Sheraton garage located on the northwest corner of J & 13th Streets do not offer reduce rates and their hourly rates are extremely high.

Absolutely no vehicles are allowed to park in the loading dock area during show hours. The Convention Center will have your vehicle ticketed.

RV parking is available at Cal Expo and may be available at the City Parking Lot (Lot W) and at Brooks Parking (weekends only) on 16th and I Streets. If you

need additional information concerning RV parking please call our office.

TEMPERATURE

Because of the fluctuation in temperature from air-conditioning, heat, the season and weather, it is strongly suggested that you wear layered clothing and bring a light jacket.

MOVE-OUT PROCEDURES

DO NOT BREAK DOWN YOUR BOOTH/DISPLAY UNTIL AFTER THE SHOW CLOSES AT 5:00PM, SUNDAY. NO EXCEPTIONS.

ALL exhibitors are required to move out on Sunday.

Contact your Show Manager if this is an issue. Only large booths or heavy items will be allowed to move-out on Monday morning.

SUNDAY MOVE-OUT INSTRUCTIONS:

You will need a dock pass for both the “K” St. docks and the “J” St. loading areas Sunday evening.

Only hand carry items will be allow across the lobby carpet. Hand trucks will be allowed through the concession area at the end of aisle 1700.

Show Staff will verify that your booth is packed and ready to be moved out. Only then will they give you a “Dock Pass”.

Once you receive your dock pass proceed to the dock or loading area. The halls will be open until 9:00 pm Sunday night. Historically, there is no line at the

docks by 7:30 pm, so you are encouraged to take advantage of this situation.

LARGE BOOTHS MOVING OUT ON MONDAY:

Sunday night PLEASE: Remove any signs from the pipe and drape – all pipe and drape will be removed

Sunday night and your sign will be left on the floor if you do not remove them. SPA DEALERS – Start emptying your spas using hoses only – NO PUMPS Disassemble your booth as much as possible Sunday night.

Monday: YOU MUST FIRST GO TO MILLER PARK MARSHALLING AREA, OFF BROADWAY.

DOCK PASSES WILL ONLY BE ISSUED AT MILLER PARK, ON MONDAY. Please see the marshalling area directions with this manual.

If you need a crew and/or tools to disassemble your booth, you can drop them off at the dock area before going to Miller Park.

NO MOVE OUT THROUGH ANY “J” ST. EXITS ON MONDAY

Dock Pass – permits you to bring your vehicle into the loading dock area or, on Sunday

only, to the J St. loading areas. If the docks are full, you will be asked to wait in a single line for the next available dock. NO vehicles will be permitted in the loading dock area or in line without a “Dock Pass”.

Move-out hours:

Sunday from 5:01pm until 9:00 pm (later with prior arrangements). Monday from 7:00 am to noon. Miller Park will open on Monday at 6:45am.

MONDAY – MOVE-OUT INSTRUCTIONS We will be using Miller Park as our Marshalling Area for Monday Move-out. ALL exhibitors must go to Miller Park first.

You will be issued a dock pass as space becomes available at the Convention Center Dock. You will need to present your dock

pass to the security guard at the entrance to 14th St. If you do not have a dock pass you will be sent to Miller Park. All exhibitors

are encouraged to move-out Sunday night, but exhibitors with a 10x10 booth are required to move-out Sunday after the closing of

the Show. The Marshalling Area will open at 6:45am. Move-out will be from 7am to noon on Monday.

Continue straight on X Street; stay in left lane for one block

Left turn on 16th Street and left turn next block on W Street; stay in middle lane

Left turn on 6th Street to Broadway

Right turn on Broadway and continue all the way to Miller Park GTC Marshaling area.

COMING FROM 99 NORTH (STOCKTON, FRESNO, MODESTO, ELK GROVE)

Take the Business 80/Capitol City Freeway turn-off toward San Francisco

Immediately get over to the right and take the 10th Street exit

Take W Street to 6th

Left turn on 6th Street to Broadway

Right turn on Broadway to Miller Park GTC Marshaling area.

COMING FROM HWY 50, (SOUTH LAKE TAHOE, FOLSOM, PLACERVILLE)

Take Highway 50 to Sacramento where it merges with Business 80/Capitol City Freeway

Take the 10th Street exit

Go straight ahead on W Street to 6th

Left turn on 6th Street to Broadway

Right turn on Broadway to Miller Park GTC Marshaling area.

COMING FROM INTERSTATE 5 SOUTH (REDDING, WOODLAND, ETC.)

Take Interstate 5 South to Hwys 50/99 interchange toward Fresno (this is the next exit after P St.)

Take X Street Exit

Right turn at the bottom of the ramp to Broadway

Right turn on Broadway to Miller Park GTC Marshaling area.

COMING FROM I-80 WEST (RENO, ROSEVILLE, AUBURN)

Take the I-80 San Francisco route to I-5 South

Follow the directions for I-5 South shown above.

COMING FROM INTERSTATE 5 NORTH (LA, STOCKTON, MODESTO, ELK GROVE)

Take Interstate 5 North to Hwy 50 interchange toward South Lake Tahoe

Stay in right lane and Exit at Broadway (just 500’ into the interchange)

Left turn on Broadway to Miller Park GTC Marshaling area

TO EXIT STAGING AREA:

From Miller Park, take Broadway to 10th St.

Left turn on 10th St.

Right turn on Q St.

Left turn on 16th St.

Left turn on L Street to 14th Street

Right turn on 14th Street to loading docks

The Security Guard at the main entrance on the loading dock will direct you to the appropriate loading bay.

ALL TRUCKS, TRAILERS AND VEHICLES must be LOADED as soon as possible and moved from the loading dock to make room for other exhibitors. Please have your booth disassembled before entering the loading dock. If you need to unload tools to disassemble your booth an unloading area will be available, BUT there must be a driver in the vehicle at all times and it must be moved immediately after unloading.
