Employee Manager Administrator

9.2 PEOPLESOFT NAVIGATION:

The look and feel of PeopleSoft has changed with the 9.2 Upgrade. The biggest change is how you navigate in PeopleSoft and Time and Leave. You will notice that the Pagelet menu structure (Classic Menu structure) has been replaced with a Tile Menu structure (Fluid Navigation) and a right hand navigation tool.

This Information document presents the changes and introduces you to the new look and feel of navigation in 9.2 PeopleSoft

If you have a data entry role for HR, Payroll or Benefits Administration then you will have access to the Administrator

Homepage.

The following section provides a comparison of PeopleSoft 9.1 and the new PeopleSoft 9.2 for those with a data entry

role.

NEW! Depending on your role, your default Homepage may be Employee Self Service or Manager Self Service. Click the Homepage drop down to access your Administrator Homepage.

The Administrator Homepage is a new feature in 9.2 that displays tiles for those who have one or more data-entry type role(s) in PeopleSoft.

Depending on your role and security access, you may see one or more of the following tiles:

HR Administration

Payroll Administration

Benefits Administration

Click on each tile to view the Navigation Collection Page with links to the most frequently used areas for each role.

Main Menu

The Main Menu and Favorites are used to navigate to the different areas in PeopleSoft.

Click the Main Menu drop down to access the different areas of PeopleSoft (Classic Navigation).

Menu items displayed are dependent on your role and security access.

Click on the menu items to access additional subfolders and/or page links.

NEW! This tile displays a Navigation Collection Page that contains links to the areas within PeopleSoft that are the most frequently used by an HR Administrator.

The menu items that you see on the Navigation Collection Page are dependent on your role and security.

The Job Data search page will be displayed by default.

Click to close or open the Navigation Collection Page.

Use the scroll bar to view and access other HR related menu items.

Click the drop down arrow to open the subfolders in the Navigation Collection Page.

Click to return to your Administrator Homepage.

Keyword Search

NEW! A Keyword Search tab is visible on the Job Data search page but it is not enabled for use.

Job Data Notepad

NEW! Delete Note in Job Data Notepad

Those who can add notes to the Job Data Notepad can not only edit the note they have created but they can now also delete a note that they have created.

Go to Job Data and select the Notepad icon.

Select the note you created and click the Delete button.

Note: The Transfer option is for TSS only and will be greyed out.

Those who can add notes in the Job data Notepad, can only edit a note that they have created but they cannot delete it.

Licenses and Certifications

NEW! You can quickly access Licenses and Certifications from the Navigation Collection Page by selecting Workforce Development then Person Profiles.

Search for the employee and select the Qualifications tab.

The Person Profiles page is no longer accessible from Enterprise Learning (now called Administer Training).

Go to Main Menu>Enterprise Learning>Result Tracking>Manage Person Profiles>Person Profiles or Main Menu>Workforce Development> Profile Management>Profiles>Person Profiles

Search for the employee and select the Qualifications tab.

Position Title Change

NEW! There is a new TTL (Title Change) Reason Code for position title changes and Force Update for Title Changes option to automatically update the incumbent.

To update a position title, an HR Coordinator can now add an effective dated row in Position Data using the new Reason Code TTL (Title change) and then update the position title.

Navigate to the Specific Information tab and select Update Incumbents and Force Update for Title Change.

Click Save.

An effective dated row is automatically inserted into the incumbent’s Job Data to update the position title.

Position Title Change

To update a position title, an HR Coordinator would add an effective dated row in Position Data using the Reason Code UPD which does not automatically updated the incumbent’s job information (even if Update Incumbents is checked).

The HR Coordinator would then have to navigate to Job Data and manually insert another effective dated row to update the incumbent’s job information.

Note: The job row will not be automatically inserted if it’s historical or if Position Data Override is on. Enter manually.

New Navigation Symbols and Icons

The following is a review of 9.2 PeopleSoft symbols and Icons

Homepage and Tiles

Page Indicator

Actions List

NavBar

The number of dots indicates the number of Homepages you have access to and which one you are currently on, e.g. the first dot indicates your default Homepage.

Wherever you are in PeopleSoft, you can navigate to your Homepage(s) page by clicking the Home icon.

By clicking on the Search Icon, you can search for items throughout the application or within the Navigator menu structure

From here you can Add to Favorites and Sign Out.

The Help link takes you to generic PeopleSoft help. For PeopleSoft help that is specific to the Government of BC, navigate to Time and Pay Portal> Help tab.

From here you can access additional navigation features (see next page).

NavBar

NavBar (Navigation Bar) NEW!

The NavBar (Navigation bar) provides additional navigation options displayed vertically on the right hand side of the screen.

Click the NavBar icon in the upper right corner of the display to open a new navigation menu bar. To close the NavBar, click anywhere on the page outside of the NavBar.

Recent Places Where you now find Recent Places. The last 5 pages you have accessed will be displayed so that you can quickly navigate back to any one of them.

My Favorites Where you now find your Favorites. From here you can easily edit or navigate to any page that you have saved as a favourite. Important! Your Favorites from 9.1 have been retained but the navigation pathways may have changed in 9.2. If you receive an error when accessing a page you have saved as a favorite you will need to re-add it to your favorites.

Navigator Where you now find the Main Menu. The main menu allows you to navigate to the other areas of PeopleSoft that you have access to.

Time/Leave Approval WorkCentre This is another way you can access the Time/Leave Approval WorkCentre if you manage others in Time and Leave. This will not be displayed unless you manage others in Time and Leave. Manager Dashboard This is another way you can access the Manager dashboard of you have direct reports.

View Paycheque Select to view your own Paycheque.

NavBar - Navigator

Navigator NEW!

The Navigator is the new Main Menu.

From the NavBar, select the Navigator to view the new Main Menu.

The Navigator allows you access to all the areas of PeopleSoft that you have access to, based on your security and role.

You can access pages that are not accessible from your Homepage(s) and additional menu items such as Workforce Administration, Benefits, Payroll for North America, Reporting, etc.

Click on each menu item to view submenu options.

Click the arrow on the right to navigate through the submenu items.

Click the back arrow to navigate to the previous submenu or menu item.

Click to navigate back to the top of the Main Menu hierarchy.

Classic Main Menu Navigation

If you use the Administration Tiles you will not see the Classic Main Menu and breadcrumbs at the top of the page because you have access to the Navigation Collection Page instead.

If you use the Navigator to access the different areas within PeopleSoft, you will see the Classic Main Menu and breadcrumbs at the top of the page.

In addition to the Homepage and NavBar, the Classic Main Menu and breadcrumbs can be used to navigate through PeopleSoft just as in 9.1.

The Main Menu allows you access to all the areas of PeopleSoft that you have access to, based on your role. You can access pages that are not accessible from your Homepage(s) and additional menu items such as Workforce Administration, Benefits, Payroll for North America, Reporting, etc.

Click each menu item to view submenu options.

You can also access your Favorites from the Main Menu.

If you receive an error when accessing a page you have saved as a favorite you will need to re-add it to your favorites. To re-add your favorites : 1. Click on the NavBar > Navigator 2. Navigate to and select the specific

page. 3. Select Add to Favorites in the top right

Add To drop down or Actions list. 4. Click OK to add. 5. Click OK to overwrite the previous

favorite. 6. Click OK to save.
