Introduction

Welcometothisyear’sGuidetoCRMsoftwareforcharitiesandnotforprofitorganisations.

2018sawthefullimplementationofnewdataprotectionlegislation,andtheorganisationswework

withwere using theAdapta guide to search out software and suppliers to help themaddress the

technologychallenges.Thoseprogrammesandprojectsarestillunderway,butwearestartingtosee

gooddatagovernanceandamorestrategicapproach to informationmanagement taking root. It’s

still early days, but senior managers and trustees in many larger bodies are demanding a more

coherent approach to information systems implementation – one of the unexpected benefits of

GDPR!

Thatsaid,successfulCRMimplementationcontinuestobeararity.Thereasonswhyprojectsstruggle

aremanyandcomplex,butourconsultants’experienceisthatthereareprobablyfivemainissues:

1. TheCRM requirements in non-profit organisations are generallymuchmore complex than

most people realise (until it’s too late). Consequently, most trustee boards and senior

leadership teams underestimate the true cost and therefore underinvest in the resources

required.

2. Charities (particularly, butmembership bodies, trusts and others aswell) “… didn’t get to

wheretheyaretodaybygettingboggeddowninprocess..”.However,buildingaCRMsystem

islikebuildingahouse,youneedtoplan,employagoodarchitect,findexperiencedbuilders

andallowenoughtimetodothejobproperly.

3. A project manager is essential – no matter how (apparently) small the project.

Implementationisallaboutdecisions–hundredsofthem.Projectmanagersareessentialin

reachingdecisionsandmakingprogress.Goodonesareexpensive;butthatdoesn’treduce

theirnecessity.

4. Likesomanythings–fromcarstobabies–aCRMprojectneedsconstantfuelling.Thefuel

forCRM is seniormanagement commitment;without that, theprojectwill just slowdown

andstop.

5. Counter-intuitively,intheend,itisn’teveraboutthetechnology…Allofthesupplierslisted

inourguideoffergreatsoftwaresolutionsandyearsofexperienceinimplementation–but

none of that will deliver a return if there is confusion about organisational objectives,

prioritiesandtheprocessesthatCRMneedstosupport.



Weareallsobusy–andtechnologycanhelpinamazingways.TheCRMlandscapehasneverbeen

richerormorevibrantwithopportunity.Our2019guidewillintroduceyoutosomeoftheverybest

Microsoft Dynamics CRMor Salesforce, often offering only core contact relationshipmanagement

functionalityout-of-the-box.Additionalfunctionalityrelevanttoeitherthecharityandnotforprofit

sector as awholeor an individual organisationhas tobepurchasedordeveloped. Some software

suppliershavedevelopedadditionalNFPrelevantfunctionalityavailabletopurchase.

Finally,OpenSourcesystemsusedwithinthecharityandnotforprofitsectorareoftenevolvedfrom

ContentManagementSystems(CMS)andduetoopensource licencingcanbeacquiredfor free.A

communityofusersanddeveloperscontribute topatchanddevelop thecoresoftwarecodebase.
