Step‐by‐Step InstructionsPerform First Review of Academic Performance Reports for Merit Assessment 

Heads (or Deans) / Equivalents use Academic Portfolio to access the documentation, view and/or download the documents, upload the final assessment, and send the case forward. The draft assessment is shared manually through email. 

Access through email

Find the documentation

1. Click on Cases on the left‐hand menu. The list of cases may include multiple academic staff members’ merit reviews or tenure and promotion applications. 

2. Use the Search function to find a specific case. 

3. Filter using your Unit, Type(“Review”), and (Active) to see your current Merit‐related cases. 

4. Click on the desired case to view the details.

Tip: If you wish to review by “Status,” use the Sort feature. For example, sort and review all cases with “Associate Professor” status.

Read the case

1. Click the Case Materials tab. 2. Click the Read Case button to 

access the academic staff member’s report and documents in a .pdf viewer. 

Unlock 

Once the academic staff member or academic administrator submits their report, it is locked. As their reviewer, you have the option to unlock the submission upon request. 

NOTE: For the Merit Assessment process, you do not need to inform the HR Advisor, Academic.

Use the Materials Viewer

Options: 1. Navigate bookmarks and documents.2. Download the document you are viewing 

or a packet of multiple documents. 

Note: If you download the packet, the tool will email you to notify you when your ZIP or PDF files are ready for download. 

Annotate within the Materials Viewer

1. Click to add annotations within the .pdf. 2. View your notes in the Annotations tab of 

the Materials Viewer bookmarks.3. Click the Return to Case button when 

you are done. 

NOTE: Annotations are only visible to the author. These notes do not carry forward to the next reviewer(s) such as committees.

Option: print “APR” on 11x17 paper

Before printing, adjust the settings in the Print dialog box: 1. Select Fit in the Page Sizing & 

Handing section. 2. Click the Properties button to 

access more paper sizes. 3. Select “11 x 17” in both the 

Document Size and Print Onoptions.

Some sections of the Academic Performance Report have a small font or can cut off the right‐hand side of the report  when printed on 8.5 x 11 paper.

As has been the case in past years, use email to share the draft assessment with the academic staff member and receive their response before the deadline.

Head (or Dean) / Equivalent sends Draft

Academic Staff Member (orAcademic Administrator)responds

Caution! Although the tool provides the ability to send the draft letter directly from the case, current practice does not recommend this option. Because academic staff members were not informed of the potential to receive emails from the system after they have submitted for the 2019/2020 cycle, they are looking for an email attachment from their reviewer—not a notification from the tool—to access the completed draft assessment.

Future enhancements may change the recommendation on how to share drafts for the 2021/2022 cycle.

NOTE: The final assessment must be uploaded in the correct spot within the Case Details tab or you will not be able to move the case forward for further review. 

Upload the final assessment

1. Click the Case Details tab. 2. Scroll down to the  Required Documents > 

Department Head or Equivalent Final Assessment and Increment Recommendation. 

3. Click the Add button. 

. . . for Deans / Equivalents

Deans (and Equivalents) perform the same steps as Heads / Equivalents.

Once you have uploaded the final assessment, the system should allow you to move the case forward.  

Send case forward . . . 

1. Click the Send Case button.  2. Select Forward to for: 

• HR Advisor / System Administrator ‐ Move Cases Forward to FMC. (Head / Equivalent)  – OR –

• HR Talent Development, Merit ‐ Move Cases and Appeals to the General Merit Committee (Dean / Equivalent)

Note: • This step has both the HR Advisor / System Administrator –

Move Cases Forward to FMC steps. This means that the HR Advisor, Academic will receive the case so they can perform administrative functions prior to sending the case to FMC. 

• HR Advisors, Academic also perform administrative functions for the Academic Administrators’ cases prior to moving them to GMC.

Tip! 

If you get an “unsatisfied document requirements” message, the system may be waiting to recognize the final assessment file you just uploaded. Give the case some time for the file to refresh in the background and try sending it forward again.
