Cognos 8 Overview What is Cognos 8? Cognos 8 is a fully integrated Business Intelligence tool for enterprise-wide reporting and analysis. It is a thin-client, web-based tool that is scalable to large organizations. It includes tools for ad-hoc self-serve queries, complex managed reports, event notification and high-level analysis, all available from the same web portal.

The Components of Cognos 8 Cognos Connection Cognos Connection is the web portal used to run reports, or create reports using Query Studio, Report Studio, or Analysis Studio. Query Studio Query Studio is used for ad-hoc queries. Report Studio Report Studio is used to develop complex and managed reports. Analysis Studio The OLAP (on-line analytical processing) tool for high-level, rapid exploration, using drill-down and drag and drop techniques. Event Studio Notifies the user of events, such as a change in a key performance indicator. Cognos Viewer Cognos Viewer displays reports on the web. Framework Manager Framework Manager is used by the Cognos 8 administrator to develop the model and packages that manage the data that can be read by Query Studio, Report Studio, and Analysis Studio.

Opening Cognos Connection GOAL: To connect to the Cognos website and start Cognos 8. STEPS: 1. Start your web browser. 2. In the address area, type the URL given to by your instructor:

Public Folders Public folders contain reports, packages and folders that are shared by many users.

Public Folders Folder Folders are used to organize reports and other folders. A folder is colored

yellow. Packages Groups of folders containing reports and a business view of the data. The

“package icon” is a blue folder. Actions Change properties and actions for the selected package, folder or report.

My Folders My Folders is a place to store your personal copies of reports.

My Folders Reports Reports you have created and saved. The icon indicates whether the report

was built with Query Studio or Report Studio. Actions Change properties and actions for the selected report.

Toolbar Set properties and actions for the current folder or selected report(s). (See “Toolbars” later in this chapter.)

Note: Public Folders contain reports that can be seen by all users. My Folders contain reports that you develop and save. My folders allows you to organize your reports by type in personal folders – i.e. Analysis Studio Training and Training.

Folder Icons

Refresh Refreshes/updates the current page with new data or changes.

List View Shows the folder contents in a list view with one report per line.

Detail View Shows the folder contents in rows and columns.

New Folder Creates a new folder. Folders are used to organize reports.

New Job Sets the schedule to run a report or group of reports.

URL Creates a link to a URL in the folder you specify.

New Page Creates a new customizable page.

Cut Cuts the selected item from the folder.

Copy Copies the selected item to the clipboard.

Paste Pastes the item from the clipboard to the folder.

Delete Deletes the selected item.

Set Properties Allows you to change the properties of “My Folder”, such as language and folder name.

Order Allows you to change the order of items in the folder.

Search Searches for items in the folder.

Overview Area Convenient place to quickly explore and change the contents of the work area

Work Area Contains the crosstabs and charts that you use to explore and analyze data.

Information Pane Shows the name, level, attributes (if any), and aggregation associated with the selected item in the Insertable Objects Pane

easily changed. Run Report (PDF) - Portable Document Format, Adobe Acrobat

A printer ready format that uses the Adobe Acrobat Reader. This report format cannot be changed – it is “frozen”.

Run Report (Excel 2000 Single Sheet format)

Places multiple pages of a report into a single Excel worksheet.

Run Report (CSV) – Comma Separated Values

This is used to Export data to Excel, Access, Word or most other applications.

Run Report (XML) Shows the XML code used to display the report. Report Options Report Options allows you to add a title, change page breaks,

and orient the report to landscape or portrait.

Overview of Analysis Studio Reports Analysis Studio is a reporting tool for high-level analysis. Information from corporate systems is captured in Analysis Studio and summarized at various levels of detail. You, the user can see these summaries by drilling down and slicing and dicing through data. Using Analysis Studio, accessing information is much faster and easier than writing traditional queries. Reporting like this is a new concept for many people. An Analysis Studio report resembles a spreadsheet, but it is much more. Information about your business is arranged into dimensions such as years, surveys and question groups. These dimensions are not necessarily the way the information is stored in your database; rather it is organized into the ways you need to analyze information. By examining the items within these dimensions, you get a bird’s-eye view of the major trends within your business.

Analysis Studio Reports and the World Wide Web Analysis Studio stores the data from a corporate computer system in a file called a Package. These packages are a summarized snapshot of the data. Whenever you open an Analysis Studio report, data from the package is read into the report. Information in Analysis Studio can be organized into rows and columns that can be easily nested, changed or rotated; thus we get the concept of multidimensional reporting. Analysis Studio presents the package over the World Wide Web. You can view Analysis Studio data from any computer with an Internet browser. Through the technology of the World Wide Web, you can be working in the same building as the Analysis Studio date, or thousands of miles away.

Opening an Analysis Studio Report Working in Analysis Studio begins by logging into the Cognos 8 web site. GOAL: To open an Analysis Studio Package STEPS: Selecting Analysis Studio and a package: 1. From Cognos Connection > Public Folder choose Great Outdoors Company.

2. The series of folders appear. Each folder contains reports from the different studios, but all reports use the same package.

3. Click on the Analysis Studio Samples folder.

4. A list of reports appears that were created in Analysis Studio.

5. Click on the % Returned by Product report.

6. Close this report.

Dimensions, Items and Measures The Analysis Studio package contains all the data you need to create reports or charts. The data in a package is organized into dimensions, items and measures. Dimensions are the major lines of analysis of a business: Years, Surveys, Questions, etc. Items are the details that make up a dimension. For example, the categories within the Dates dimension are Year, Quarter, Month and Days. Items are arranged into hierarchies within a dimension. For example, a Year contains four Quarters and a Quarter contains three Months. Measures are the actual numbers we are reporting. Measures may be Total Revenue estimates, Question Group Impressions or any other numeric information. Dimensions are shown on the dimension line when we open a package.

Deleting a Row In this example we will be deleting a row from a report. Rows and columns are deleted the same way.

STEPS: 1. From the Analysis Studio Sample folder open the Top and Bottom sample report. Hint: Change to the next page to find the report.

2. At the top of the Sales territory row, click on the bar, and then right click and a menu will appear.

Drilling Down Clicking on an item that is underlined and highlighted in dark blue will drill down to more detail. For example, clicking on Camping Equipment reveals all the camping equipment products. Goal: To Drill down on rows and columns STEPS: To drill down to more detail: 1. Place the cursor over the row heading Camping Equipment. The cursor turns to a hand when it is possible to drill down.

Drilling Up Drilling up is moving from a lower level to a higher level in the hierarchy. We can drill up from months to quarters or to years. You can drill up one level at a time by clicking on the summary column or row in the report. (Summary rows and columns are highlighted in blue.) Goal: To Drill up on rows and columns STEPS: 1. Place the cursor on the summary column heading Qtr 1.

2. When the cursor changes to a hand, click on Qtr1. The columns drill up to show the quarters of 2006.

Drilling Down and Up Using the Overview Menus Overview menus allow you to drill up or down rapidly to any data in the cube. Goal: To Drill down and up using Overview Menus STEPS: 1. We will drill all the way down to August 2006 using the Overview menus. Place the cursor on the down arrow in the column Overview area. A menu pops up. 2. Click on 2006. The report drills down to the current quarters in 2006.

Changing Rows and Columns The appearance of Analysis reports can be easily changed. We can quickly change the data in the rows or columns to create an entirely new view of the data. Goal: To change the data in the rows and columns. STEPS: 1. In the Insertable Objects pane, click the plus sign next to the Great Outdoor Company folder to open the folder. 2. Click the plus sign next to the Retailer folder to open the folder. 3. Right-click on Retailer dimension. A shortcut menu appears with a list of choices.

To change the columns to Survey Pages: 1. In the Insertable Objects pane, open the Sales Territory folder. 2. Right-click on Sales Territory dimension. A shortcut menu appears with a list of choices. 3. From the shortcut menu, choose Replace > Columns.

Changing the Measure A measure is a performance indicator that is quantifiable and used to determine how well a business is operating.

Note: Right-clicking the measure in the Insertable Objects pane and choosing Use as Default Filter from the shortcut menu can change the measure.

In this example, we will change the measure to Gross Profit. Goal: To change the measure STEPS: 1. Click the plus sign next to the Measures folder to open the folder. 2. Right Click on the Gross Profit measure.

3. Select Use as Default Filter off the pop up menu. 4. The new measure is shown in the corner of the report.

Adding a Title Analysis Studio allows you to add a title to a report. GOAL: To create a title on the report. STEPS: 1. Click on Run in the menu. A menu drops down.

2. Click on Report Options.

4. Click OK. 5. At the bottom of the screen you will see the new title added.

The name the report is Saved As

Saving a Report Analysis Studio allows you to save reports in a variety of formats as you saw in the earlier chapter. GOAL: To save report that can be used again. STEPS: 1. Find the Save As icon.

2. Click the icon.

3. A menu appears at the bottom of the report. The default is the folder the Top and Bottom sample report was in.

Note: Public Folders security is determined by the administrator. If you have access, you can choose to save your report in Public Folders where everyone else can access them. Or you can save them in the private My Folders area where no one else can access them. 4. Click on My Folders icon.

5. Click on the New Folder icon, to create a folder for training. 6. Name the folder Training.

7. Click OK.

Navigating to the Location of Standard Reports Corporate standard reports are located in the Public Folders. Within Public Folders there may be many more folders, containing groups of reports. Access to specific folders is controlled by your security level. GOAL: To locate Reports STEPS: 1. Click on the Public Folders tab. 2. Click on the Great Outdoors Company folder, and then the Analysis Studio Samples folder.

Note: Packages are identified with a blue folder icon .

Note: The navigation bar indicates your location.

Public Folders > Great Outdoors Company > Analysis Studio Samples You can go back to a previous level by clicking on a folder name in the path.

3. To scroll down to see more reports in the list by clicking the Last Page icon. 4. To scroll up the report list by clicking the Previous Page icon. 5. To see specific Entries, use the Entry section area on the screen. Enter 20 and then press the Go arrow.

6. Notice on the screen it now states 1-17 because there is only seventeen reports. The Next Page arrows are grayed out because there now all reports are on one page.

Running a Report with Options When the user runs a report, the query is resent to the database and any new or changed information is returned to the report. GOAL: To run sample reports. STEPS: To run an Analysis Studio sample report: 1. From the Analysis Studio Sample reports folder locate Combine Filters Sample.

2. Click the Run option icon. Note: Run with options icon.

3. Change the Format to Excel 2002 and the Delivery Method to Save the report.

The Icon shows that output exists for this report in Excel format.

Creating a New Report Using Drag and Drop You have already changed a report using the Right-Click \ Insert as Rows or Columns methodology. Another way to build reports is to drag categories from the Insertable Objects pane. Measures can be dragged from the Insertable Objects pane into the measures area. Also, you can “nest” levels by dragging. GOAL: Create a report using the “Drag and Drop” method. STEPS: 1. Open the Analysis Studio package.

2. If the select a package window appears choose the Great Outdoors Company package. Note: The below window may appear depending on how your administrator has set up your security.

Swapping Rows and Columns The original orientation of a report (i.e. categories you have chosen to put in as rows vs. columns) can be changed by swapping. Sometimes, creating a report and then swapping rows and columns gives you a different “view” of the data. A quick way to exchange rows and columns is to use the “Swap Rows and Columns” button. Goal: To swap rows and columns STEPS:

1. From the toolbar, click the Swap button.

Filters Filters reduce the data in the report to show only what is selected. You can use one or more items as filters to quickly focus your analysis on a particular view of the data; in fact, you can apply a filter from every dimension.

This technique is known as filtering using context. Changing context changes the values that appear. It does not limit or change the items in the rows or columns.

Filters are created by selecting categories from the Insertable Objects pane and dragging and dropping them to the Context section of the Overview area or using the Right-click method. GOAL: To filter as context STEPS:

1. Click on the plus sign next to the Dates folder in the Insertable Objects pane. 2. Click on the plus sign next to the 2006 folder. 3. Right-click on Qtr 3 in the dimension viewer.

4. In the pop up window, click on Filter as Context.

5. The report is limited to 2006 Q3 and the filter appears in the Overview Context Pane.

Using the Overview Context Filter Once you have added a context to the report, you can easily change that filter using the drop down menu in the Overview area.

Allows you to delete the filter. Brings you to the highest level of the Date Hierarchy (All). Brings you to 2006 (all Quarters). Allows you to move between the previous and next quarters. Allows you to search for a specific date in the 2006 source. Allows you to pick specific days in the months that occur in Qtr 2. (i.e. 04/05/06) “Go To” allows you to use an item in the Context section as a filter when you go to another report or analysis. Allows you to search for a specific date in Qtr 4.

Source Tree Limits In this report, we’re going to use the Survey Exports view (or source tree) of the data. The source tree shows 20 items for any one dimension at a time. If there are more than 20 items in the dimension, a More icon appears at the bottom of the list. Every time you click the More icon, an additional 20 items appears until you reach the maximum. By default, the maximum number of items shown in any single dimension in the source tree is 50. Your administrator may set a different value for optimum performance, depending on the size of the data source. GOAL: To see more than 20 items in the source tree. STEPS: 1. Click the plus sign by Retailer in the Insertable Objects pane.

2. Click the plus sign by the By Retailer site. Note: you are seeing 20 of the 21 items in this dimension.

Viewing more than the Source Tree Limits in the report You can easily increase the number of items in your report, using the More function in the report. GOAL: To have more than the source tree limit visible in the report. STEPS: 1. Create a new report; you do not have to save the existing report. 2. Click and drag the Retailer by site in as Rows.

Nested Categories Analysis Studio has the ability to show several different dimensions at once. For example, we can show Order Method by Quarters as part of the same row. Nested categories are extremely flexible. We can also hide higher levels so that we may see only the details. GOAL: To demonstrate various ways to nest dimensions in rows and columns STEPS: 1. Open the Order Method report from My Folders > Training folder.

Suppressing Zeros Sometimes reports contain zeros in rows, columns or both.
