Installing Reporting Services Reports

Once Reporting Services has been configured and tested, the Contracts reports and data source can be set up. Using Internet Explorer – go to http://SQLSERVERNAME/Reports The screen that opens will be ‘Home’.

1: Creating the APS folder and setting Security Step 1: Create the APS folder

1. Within ‘Home’ click on New Folder

2. Type in the folder name ‘APS’

3. Click on OK

The new folder will be displayed as shown below.

Step 2: Setting the Security on the APS folder

1. Click on the APS folder

2. Go to the Properties tab

3. Select Security

4. Select New Role Assignment – If this option is not available, select ‘Edit Item Security’

a message box will appear about inherited security from a parent item, select OK on

this message. The New Role Assignment option will be available.

5. Add a new Group for your Domain Users

This format is DOMAIN NAME\Domain Users

6. Give Browser rights to this group

7. Click on OK

8. Once the Domain Users group has been added, select the Contents tab.

2: Setting up the Data Source The Data Source is used by the Reports to locate the server and database that the reports will use.

Step 1: Creating the Data Sources folder

1. Within the APS folder, click on New Folder

2. Type in the folder name ‘Data Sources’

3. Click on OK

The new folder will be displayed

Step 2: Creating the Data Source

1. Click on the Data Sources folder

2. Select New Data Source

The New Data Source form will be displayed.

3. Complete the fields as shown below, replacing YOURSERVERNAME with the name of

your SQL Server.

4. Click on OK

1. Within the APS folder click on New folder.

2. Type in the folder name ‘Contracts’

4: Contracts Reports – RDL files Step 1: Saving the rdl Report files

1. Create a folder on the Network called Contracts reports to store the standard Contracts

reports and any other custom reports that may be requested.

2. Save the reports supplied with the application to the Contracts reports folder.

These files are accessed once from this location, when the reports are imported into Reporting Services.

5: Uploading Reports Step 1: Uploading the Forecast report into the Contracts folder

1. With the APS folder, click on the Contracts folder to open it

2. Select Upload File

The Upload File form will be displayed

3. Click on the Browse button and locate the saved Contracts Forecast Std.rdl report file.

4. Highlight the file to be imported and select Open.

5. Select the file and click on Open

6. If this is an upgrade, then tick the ‘Overwrite item if it exists’ box. Click on OK to upload the report.

This will set up the APS standard Contracts Forecast report

7. Repeat for the remaining 5 report files.

6: Connecting a Report to the Data Source Step 1: Connecting a report to the data source Each Report needs to be connected to the Data Source.

1. Click on the APS button to return to the APS Contents tab.

2. Select Contracts folder.

4. Select the Report Dropdown arrow and click on Manage.

5. Click on the Browse button from the form below.

6. Expand APS\Data Sources and select aps_dsql

7. Click on OK.

8. Click on Apply to connect to this database.

Once this has been done the form will have no visable sign of change.

9. Select the Report Label to view the report

The report will display.

If the report does not display, repeat from step 4 ensuring the Apply button is selected.

10. Repeat this process for the remaining 5 reports.

7: Connecting to Reporting Services Reports via Contracts Console

Step 1: JOE Admin Settings Within JOE Admin, there are permission options for each report.

These are located within the Contracts – Reports section. Rights can be set to allow viewing of the Reports band within the Contracts console.

Each Report has its own View Allowed rights. Select which reports are applicable for the Firm and User.

There are 3 standard Contracts reports. These reports are the Forecast, Revenue Summary and Revenue Detail reports. Each report has been designed to run either with or without Family Group as a selection and report field, giving a total of 6 available reports. If your firm does not use the Family Group field on any clients, do not activate the reports that include family Group. The reports with FG in front of them, include Family Group in the filter and output fields.

Step 2: Connecting the Reports to the Report Server Once the Reporting Services reports have been imported and the JOE settings have been set, a connection from the Contracts console, Reports band is made to the Reporting Services server. This connection can be set from any workstation, and only needs to be done once.

1. Open the Contracts Console and selct the Reports band.

The Reports band will display a console view as shown below with the reports available based on the selection made in JOE Admin.

2. Select a report to be viewed.

3. A box will appear requesting a URL path to be set. This path is the location of the report server.

Enter the URL path in the format shown below, replacing ‘servername’ with the name of your SQL Server.

4. Click on OK.

If an incorrect path is entered, one of the following messages will be displayed. Check the path is correct.

Once the path has been set correctly, the selected report will be displayed. This path is stored in the database and used by all the Contracts reports. Until you have contracts entered into Advance, these reports will not work. Once Contracts are underway, please revist the reports in the Advance Console and test each one.

Updating Reports

When there is an upgrade of Contracts NOT a new installation and you have previously configured Reporting Services with our Contracts reports, follow these instructions to overwrite your existing reports with the latest versions.

Step 1: Saving the rdl Report files Save the reports supplied with the application to the Contracts_Reports folder.

These files are accessed once from this location, when the reports are imported into Reporting Services.

Step 2: Uploading the Forecast report into the Contracts folder

1. With the APS folder, click on the Contracts folder to open it

2. Select Upload File

The Upload File form will be displayed

3. Click on the Browse button and locate the saved Contracts Forecast Std.rdl report file.

4. Highlight the file to be imported and select Open.

This will update the standard Contracts Forecast report

7. Repeat for the remaining 5 report files.

Troubleshooting: There are 3 standard Contracts reports. These reports are the Forecast, Revenue Summary and Revenue Detail reports. Each report has been designed to run either with or without Family Group (FG) as a selection and report field, giving a total of 6 available reports. If your firm does not use the Family Group field on any clients, there is no need to activate these FG reports. The ‘FG’ reports, include Family Group in the filter and output fields. If these reports are turned on and this field is not a valid field the following message will appear when the report is run.
