ASSOCIATION OF MEDICAL PHYSICISTS OF INDIA

40TH Glorious year of AMPI

The Association of Medical Physicists of India (AMPI) was established in 1976 as

a non-profit public trust organization with the objectives (i) to promote the

advancements of physics as applied to medicine especially radiotherapy, nuclear

medicine, radiology and biological sciences (ii) to take appropriate steps to

carryout, support and to encourage research and development as well as

teaching with various fields associated with application of physics in medical

sciences (iii) to provide the forum for persons who are engaged or interested in

the field of Medical Physics and to arrange scientific meetings and discussion.(iv)

to initiate measures to disseminate worldwide information (v) to promote

academic status of medical physics and its educational regulations in the medical

institution where Medical Physics work is carried out in India and to encourage

appropriate authorities to implement the suggestions laid down by the

Association (vii) to initiate action and maintain the standards in the practice of

medical physics by certifying members of AMPI by conducting periodical

examinations.

The AMPI is affiliated to the Indian National Science Academy (INSA) as well to

the International Organization of Medical Physicists (IOMP) and its constituent

member of IOMP regional chapter, the Asia-Oceania Federation of Organizations

for Medical Physics (AFOMP). Currently, it has 2400 members comprising of

radiation/medical physicists, radiation oncologists, radiologists, biomedical

engineers and technologists. The wide spectrum of membership reflects the

multi-disciplinary nature of the medical physics profession and the association.

AMPI is periodically organizing the scientific activities in the form of annual

conferences/workshop/symposia for improving professionals’ standards for

practicing Medical Physicists across the country since its inception 40 years ago.

It is important to mention that AMPI “Medical Physics Bulletin” was started in

1976 up to 1996, and thereafter it publishes indexed scientific journal namely

“Journal of Medical Physics” (JMP’) in every quarterly and it has been accepted as

a national leading journal and it has its reputation globally.

AMPI also established its academic wing namely College of Medical Physicists of

India (CMPI) in the year 2009, to improve the academic standards and also to

maintain the standard of professional practices of the Medical Physicists by

conducting competency examination for accreditation and certification similar to

the Medical Physics colleges of Canada, Europe, USA and Australia.

The General Body of the association is a supreme authority to control all

activities and delegates its power conferred by its constitution to carry out the

association affairs of professional, scientific, academic, administrative and

financial aspects to achieve the objectives. AMPI is managed by the Executive

Committee (EC), the Board of Trustees (BOT), editorial board of Journal (JMP)

and the board of College (CMPI). The association responsibilities are presently

ANNUAL REPORTS FOR THE YEAR 2015-2016

I. Membership

1. Total 49 new members have enrolled during this period and their

data have been uploaded on AMPI website. As on 10th October

2016 there are 2400 life members on the role of association

including 49 life members enrolled during this year. The details of

new members list is enclosed in Annexure I.

2. One honorary membership of AMPI has been conferred upon Prof.

(Dr.) Slavik Tabakov. His brief CV and certificate and is enclosed in

Annexure II.

II. General Body

After 38th Annual General Body meeting (GBM) which was held in

Mumbai in 2014, one annual general body meeting and two special

general body meetings (SGBM) were held during this period. The

highlights of Annual General Body / Special General Body Meeting’s

Decisions/approvals/Resolutions during this period are as follows:

39th Annual General Body Meeting at held at KMIO, Bangalore for the year

2015

The 39th Annual General Body (GBM) was held at KMIO, Bangalore on

26th Sept. 2015 at 4:00PM and following approvals and resolutions were

made;

1. The General Body (GB) approved the agenda items 1 to 4/8 of in

its meeting regarding (i) minutes of 38th AGBM (ii) executive

committee report (iii) Board of trustee’s report (iv) audited

statement of accounts and balance sheet for the year 2013- 14,

2014-2015 and also approved the budget proposal for the year

2015-2016.

2. The General Body (GB) approved the election results of Office-

bearers for EC and BOT.

3. In GBM, the secret ballot voting between two bidders to host

AMPICON2017 was conducted and SMS Medical College, Jaipur

was elected by majority vote to host AMPICON2017 and bid for

AOCMP2017.

4. GB approved the budget of one lakh for conducting teaching course

by CMPI.

5. GB approved for conducting radiation safety course by AMPI in

collaboration with RPAD, BARC, Mumbai.

Annual Special General Body Meeting for the year 2015

The annual Special General Body Meeting for the year 2015 was held at

AMPICON2015 venue, Kovalam, Thiruvananthapuram, Kerala, on 21st

November, 2015 and the following approvals and resolutions were made;

1. General body decided that the minimum qualification criteria for

Radiological/Medical Physics teachers should be in line with AERB

safety code i.e. M.Sc, Physics with Diploma in Radiological Physics

(DRP) or M.Sc, Medical Physics along with one year internship and

also resolved that the PhD degree is not required as an essential

qualification for assistant professor in Radiological/Medical

Physics.

2. Regarding the MCI requirements of staffing for starting

radiotherapy, it is resolved that the requirements of Assistant

professor of radiological Physics/medical physics to be fulfilled

rather than Physicist, as mandatory for starting radiotherapy

department in medical institutes/colleges.

3. General body decided that the minimum one faculty, Assistant

professor of radiological Physics/medical physics is required for

M.D.Radiodiagnosis teaching and training purpose in the

department of Radiodiagnosis in medical institutes/colleges.

4. GB approved the report of executive committee recommendation

on AERB related matters (i) separate department of medical

physics (ii) removal of Dosimetrist in safety code (iii) inclusion of

radiation safety syllabus in the M.D (Radiotherapy, Radiology and

nuclear medicine) (iv) amendments in e-LORA system.

5. GB approved the EC recommendation to confer the honorary

membership to Dr. SlavikTabakov, UK.

Annexure-IV

Annual Special General Body Meeting for the year 2016

The annual Special General Body Meeting for the year 2016 was held at

UCMS & GTB Hospital, Delhi on 09th July, 2016 at 2.15PM. This special

general body meeting was held due to members demand to discuss and

decide the action plan on anomalies in educational qualification and

nomenclature for recruiting Medical Physicists/Faculty in various medical

institutions.

1. It was decided that AMPI should sent the representation to change

the qualification for post of Medical Physicists uniformly in all six

AIIMS and also decided that AMPI delegation need to meet the

Health Minister/Ministry Officials within one month time to

address all matters of Medical Physics profession personally.

2. It was decided regarding AIIMS, New Delhi that in case AIIMS is

conducting interview without necessary correction in the

qualification, AMPI should move to court for necessary action and

decided that AMPI office need to have regular follow-up on other

matters.

III. Administration: Executive Committee

The administration of association is managed by executive committee

(EC) and Board of Trustees. The administration related to professional

development activities, scientific activities, academic/educational

activities and financial activities of the association were carried-out and

reports of the same is presented for the period of 2015-2016.

Highlights of Executive committee meeting’s important

decisions/actions taken

1. Constitution of AMPI-EC Subcommittee: An ad-hoc committee namely

AMPI-EC Subcommittee was formed to look after urgent unfinished work

of the association. The AMPI EC members were grouped for specific tasks

under five subcommittees such as (i) Medical Physics Council/AERB

issues/AMPI permanent office space (ii) MCI matters (iii) Constitutional

amendments (iv) Medical Physics Education and Collaboration (v)

Ministry of Health and Family Welfare, Govt.of India Issues (categorizing

Medical Physics under Allied Health Professional council &overlap of

Professional development Activities

Since the last Annual GBM held on 26th September 2015 at Bangalore the

executive committee (EC) met four times, (i) 273rd EC meeting at KMIO,

Bangalore on 26th September, 2015 (ii) 274th EC meeting at Kovalam,

Kerala on 21st November, 2015 (iii) 275th EC meeting at Varanasi, Utter

Pradesh on 21st February, 2016 (iv) 276th EC meeting at BARC, Bombay

on 12thJune, 2016, to transact the business of the association. The

following are important decisions/action taken during this period;

273rd AMPI-EC meeting was held on 26th September 2015 (Friday) at 5.30

PM at Kidwai Memorial Institute of Oncology, Bangalore.

Immediately after assuming office on the same day, new EC has started

functioning and its first meeting, the following decisions were made.

Radiation Therapy Technologists (RTT) Curriculum with Medical Physics

activities).

2. Further EC decisions were made (i) for conducting 5-8 hours sitting of EC

meeting including formal scientific power point presentation and EC

meetings on one day prior to annual conference of AMPI (ii) action plan

on urgent professional issues such as AERB, MCI, Health Ministry and

establishing independent Medical Physics department.

274th AMPI-EC meeting was held on 21st November 2015 at 8:05AM at

AMPICON2015 venue, Kovalam, Kerala

1. Reconstitution of AMPI-EC Subcommittee:

EC decided to reconstitute the previous committee in a broader

perspective in line with other similar international professional bodies for

fulfilling AMPI aims and objectives. The subcommittee was formed for six

areas and one EC member was nominated as Co-coordinator for each

subcommittee as follows;

It was also decided by EC to get approval from Special General Body

which was held in Kovalam as general members also will be involved in

these subcommittees and accordingly placed for approval. As Special

General Body desired to have detailed report and terms of reference of

this committee, the detailed report was prepared and communicated to

all members and also uploaded in AMPI website for any comments and

approval. AMPI members’ response on this report was received and

corrected accordingly. The same subcommittee was started functioning

from end February, 2016 onwards. The detailed report of AMPI-EC

subcommittee is enclosed as Annexure-VI.

2. Amendments in AERB Safety code (Radiotherapy):

The EC decided to propose the amendments in four important matters to

AERB in their current safety code for Radiotherapy. The important

matters such as (i) need for separate department & Head of Medical

Physics in medical Institution in India (ii) amendment by removing the

Dosimetrist staffing in the recent AERB code (iii) Inclusion of Radiation

Safety syllabus in the MD (Radiotherapy, Radio diagnosis and Nuclear

Medicine) programmes in Medical Institution (iv) amendments in e-LORA

system i.e. mandatory provision for filling Make and Model of the

Equipment during layout plan submission time.

3. Approval for Instituting of P.S.Negi Best Research Paper Award:

The EC approved the proposal of Prof.P.S.Negi for instituting P.S.Negi Best

Research Paper Award for practicing Medical Physicist in India and

corpus fund of 2 lakhs will be given to AMPI and Rs.10,000 may be given

as cash award from the interest of that amount subject to approval Special

General Body2015.

4. International Professional support to Bangladesh Medical Physics

Society:

Mr. Safyet Zaman, Secretary of Bangladesh Medical Physics Society

(BMPS) has been invited upon their request and attended EC meeting as

special invitee. EC decided to provide scientific support by allowing BMPS

members for writing CMPI examinations or to undergo any training

programme in India after reviewing the syllabus, teaching and training

programme of BMPS by CMPI.

5. Implementation of Scientific presentations on AMPI matters in EC

meeting

As per the 273rd EC decision, the EC members have made power point

presentation in this EC meeting on the following topics;

1. Dr.V.Subramani- “National Vision of AMPI: Exploring and Expanding the

New Dimensions”

2. Mr. Suresh Pangam – “Medical Physics Workforce Requirements in India”

3. Dr.Om Prakash Gurjar- “Roles and Responsibilities of Medical Physicists

in India”

275th AMPI-EC meeting was held on 21st February 2016 at 9.25 AM at Banaras

Hindu University (BHU), Varanashi, Utterpradesh.

1. Establishment of AMPI Newsletter

It has been decided by the EC that AMPI Newsletter will be published bi-

annually in the name of “AMPI NEWSLETTER”. Dr.Pratik Kumar,

Professor of Medical Physics, AIIMS, New Delhi has been appointed as

Editor-in-Chief of AMPI Newsletter after obtaining his consent for the

same. Further it was decided by EC that Dr.Pratik Kumar and

Dr. Om Prakash Gurjar will initiate the starting of AMPI Newsletter.

2. AMPI directives regarding Chapter’s Office-bearers nomenclature as

per Constitution:

It has been decided by committee that AMPI regional/State Chapter’s

Office-bearers should follow nomenclature in line with AMPI constitution

and also given directive to submit the audited statement annually to AMPI

office in time for consolidated auditing of AMPI.

3. Financial support for AMPI Secretarial office work:

It was decided by AMPI EC that financial support for any assistant for

secretarial office work is permitted on case to case basis.

4. Scientific Presentation on current AMPI financial status:

The Treasurer AMPI Dr.E.Varadharajan made power point presentation to

committee about current financial status of AMPI. He has presented about

number of AMPI accounts, income through journal subscription, website

advertisement, AMPI-EDT fund and status of AMPI investments and ways

to raise the income to the association.

276th AMPI-EC meeting was held on 12th June 2016 from10:00 AM at BARC,

Mumbai

In this meeting, 11 EC members, 2 BOT members, 3 JMP/ CMPI members were

present and following important decision were made;

1. Conducting Special General Body Meeting 2016 at Delhi:

Based on 50 general members of AMPI request, it has been decided by

committee to conduct Special General Body Meeting (SGBM) at Delhi to

apprise the members about the current status, action taken and to plan

further strategy to deal with anomalies in educational qualification in the

recent advertisements for recruiting medical Physicists in various medical

institutions across the country.

It has been decided by committee that all accounts of EC, BOT, journal,

CMPI, and AMPI regional/state chapters need to be audited under one

head as a consolidated audited statement of AMPI.

6. Conducting AMPI Refresher Course by CMPI with RPAD:

It has been decided by the committee that AMPI refresher course will be

conducted and AMPI support of one lakhs will be given to CMPI to this

effect. CMPI and RPAD jointly plan for such refresher courses for AMPI

members.

7. Changes in AMPI membership process:

It has been decided by the committee that new membership application

should be forwarded by two qualified Medical Physicists and EC has right

to approve or deny the membership application and thereafter the

treasurer, AMPI will communicate to those EC approved candidates to

make payment towards membership fees.

7. In response to AMPI memorandum to Health Ministry with regard to

amendments by deleting Medical physicists from Allied and Health

Professional Central Council, Bill 2015‟ based on the public notice by

Health Ministry, Govt.of India, the Director, National Initiative for Allied

Health Sciences (NIAHS)-Technical Support Unit (TSU) sent vide letter

NIAHS TSU-CB1-2016 Letter No. dated 10th March, 2016 to AMPI to

respond for the clarifications of (i) A letter from MCI stating that Medical

8. Implementation of AMPI amended constitution w.e.f March 2016

immediately after Charity Commission, Mumbai regularized the AMPI in

the Trust.

9. Implementation of new guidelines for conducting AMPICON annual

conference/workshop/symposia by signing Memorandum of

Understanding (MOU) between AMPI and SMS Medical College, Jaipur for

17th AOCMP in conjunction with 39th AMPICON2017.

10. AMPI disciplinary Committee was formed as per amended AMPI

constitution. The Members in the Committee consist of: Prof. Arun

Chougule, President, AMPI, Shri.S.P.Aggarwal, Chairman, BOT,

Shri.V.K.Sathiyanarayanan, Chairman, CMPI and Dr.D.D.Deshpande and

Dr.S.D.Sharma.

11. AMPI Arbitration Committee was formed as per amended AMPI

constitution. The Members in the Committee consist of: Dr.P.G.G.Kurup,

Dr.A.K.Shukla, Dr.Shobha Jayaprakash and one Lawyer.

12. As a result/outcome of AMPI delegation meeting with Chairman AERB,

the memorandum to the Chairman,UGC was sent by AERB regarding the

affiliation of Medical Physics course conducted by universities/institutes

and to implement the requirements of minimum entry level qualification,

minimum durations of course, inclusion of prescribed radiation safety

syllabus and availability of expert faculty of medical physics, adequate

infrastructure, library and suitable laboratory facilities in the

institution/university.

The task group comprises of 16 members was constituted and the same is enclosed in Annexure-VIII.

14. AMPI delegation (Dr.A.K.Rath, Dr.V.Subramani and Dr.Manoj Semwal) meeting was held on 19/08/2016 with Health Secretary, Ministry of Health and family welfare, Govt.of India and AMPI submitted its memorandum for action on professional issues concerning the practice of medical physics in health service for patient care, education and research as following;

I. Faculty positions in medical physics in concerned departments of existing and up-coming AIIMS institutions as well as other medical institutes/colleges under the Government of India for providing quality care and education. Filling-up of the positions urgently is the need.

II. Uniform AERB mandated eligibility qualifications for the recruitment of medical physicists.

III. Inclusion of medical physicists in committees forming technical specifications of radiological equipment being procured.

IV. Separate department of ‘Medical Physics and Radiological Safety’ in all medical institutes / colleges funded by the GOI where post-graduate courses (MD/DNB) in radiotherapy, diagnostic radiology and nuclear medicine and undergraduate paramedical courses are conducted.

15. AMPI submitted its memorandum in response public opinion on National Medical Commission (NMC) bill to NITI Aayog, New Delhi requesting that Radiological Physics/ Medical Physics profession should continue to be placed in the national medical commission at par with other basic sciences in medicine such as biochemistry, biophysics, physiology etc. and to incorporate radiological Physics/ Medical Physics teachers in the national medical commission bill 2016 as was incorporated in MCI.

16. Framed guidelines for granting financial support to AMPI regional/State Chapters for conducting scientific event on the occasion of IDMP Day, 07th November on every year (Annexure-IX).

18. Constitution of committee to look after the AMPI legal matter in the Supreme Court of India (Dr.V.Subramani, Secretary, AMPI, Dr.Manoj Semwal, Dr.Pratik Kumar and Dr.A.K.Srivastava).

(IV). Board of Trustees

Report of Board of Trustees (BOT) Activities during year 2015-16 as follows:

After taking over charge of BOT in November 2015, BOT had three meetings, one at Thiruvananthapuram during AMPICOM 2015 and two in Mumbai. During deliberations on various matters, following were noted and action taken accordingly:

1. It was recognized by the BOT that AMPI TRUST and JMP accounts are managed by the trustees. Accordingly, authorized signatories for AMPI TRUST and JMP saving bank accounts and investment funds were changed in the name of new office bearers. Similarly, authorized signatories for FDRs, UTI and other investments were changed.

2. It was noted that for the AMPI TRUST and JMP, in the SBI saving accounts maintained at Anushaktinagar Mumbai, names of the accounts printed on the cheque book was not proper. BOT has briskly followed up with the bank and got the corrections done accordingly.

3. It was also noted that many SBI Bank FDRs validity expired. BOT followed up with SBI to get these FDRs validated with corrected account names. It was decided BOT would monitor the TRUST FUND accordingly.

4. It was also noted that financial liabilities of AMPI-Chapters are

liable to AMPI according to Clause X of the constitution. It is

believed that EC of AMPI takes care of liability of all its Chapters.

5. It was also recognized that BOT may allocate funds out of interest

earned on investments to AMPI on specific & justified request. BOT

is not required to make any expenditure from its funds. All

expenditure incurred by BOT for conducting meetings,

conveyance, TA/DA or other miscellaneous expenses would need

to be provided by AMPI-EC.

6. It was noted that BOT fund need to be invested for its optimized

gains. For this purpose, BOT has taken the help of a financial

advisor. BOT proposes to invest further with the advice of financial

advisor.

7. BOT thanked all outgoing members of BOT for their work during

their tenure.

8. Further investments of BOT are under review.

V) Scientific Journal of the Association

Report of Journal of Medical Physics (JMP) activities for the year

2015-2016:

For the year 2016, the three issues have already been published and the

preparation for the 4th issue is under progress. Till date (Sept. 23), 101

manuscripts have been received and decision on several of them has been

arrived at whereas the others are under processing. The published

manuscripts include 1 Review article, 3 Editorials, 21 Original articles, 5

JMP activities for 2015

"All the 4 issues of Journal of Medical Physics (JMP) of 2015 were

published and brought out in the time, both as online and print versions.

The 4 issues included 40 manuscripts; 3 Editorials, 1 Invited article, 23

Original articles and 9 Scientific / Technical Notes. A total of 98

manuscripts were received and evaluated during 2015 (the published

manuscripts in any year are not from those received in the same year as

there is always a carry forward from the manuscripts received in the

previous year which remain under refereeing). As peer review is one of

the requirements of the publisher, each manuscript considered for

publication was always reviewed by a minimum of 2 referees.

All efforts were made to strengthen the refereeing process by inviting

experts from all over the world, on different topics related to the scope of

the journal on which the manuscripts are considered for publication

in JMP. Efforts are also made to have Invited / Review / Original articles

from renowned medical physicists and researchers. In this connection,

requests have been made to attract the attention of the organizers of

the AMPI conference and the EC of AMPI (through secretary AMPI) for the

full manuscripts of high-impact presentations of a few selected invited-

experts and the best paper award winners of AMPI annual conference to

be submitted to JMP, which appeared to be the practice in AMPI in former

times as is also the practice in some other associations."

The 36th annual conference of Association of Medical Physicists of India,

“AMPICON2015‟, was held from November 19 to 22, 2015 at GV Raja Convention

Centre, KTDC, Samudra at Kovalam, Thiruvananthapuram, Kerala.

The conference was organized by the Division of Radiation Physics, Regional

Cancer Centre, Trivandrum, Kerala. The theme of the conference was

“Expanding the Vision, Enhancing the Capabilities‟. More than six hundred

(600) delegates including Medical Physicists, Radiation Oncologists, Radiologists,

Radiotherapy Technologists and Engineers from different parts of the country

and abroad and students of these disciplines participated in the conference. On

19thNov, a Pre-conference Workshop on Radiobiology was held at Regional

Cancer Centre which provided an in-depth insight into the topic by eminent

faculties in the field. Dr. Alan E Nahum of the Clatter Bridge Cancer Centre UK, Dr.

Atmaram Pai Panandikar, Pediatric Radiation Oncologist, Scripps Proton

Therapy Centre, California and Dr. B. S. Rao, former Head of Radiological Physics,

BARC presented topics in the workshop.

The three day conference featured scientific sessions and symposiums in two

parallel tracks discussing the latest scientific research and developments in

Medical Imaging, Radiation Therapy, Nuclear Medicine, Health Physics,

Radiology, Quantitative imaging, Particle therapy etc. Many international

Scientists like Prof. Indra J. Das (USA), Dr. Kalpana M Kanal (Washington),

Professor Lakshmi Santanam (Washington), Dr. Bhudatt Paliwal (USA), Dr. Karen

Venables (UK), Dr William Fedrick (Netherlands), Dr Nathan A Corradini

(Switzerland), Prof Reinhard W Schulte (USA), Dr. Bhujanga R Lankippalli

(California), Dr. Wamied Abdel-Rahman (Dammam), Dr. Ramanathan (Australia),

Dr. Rajendra Kurup (USA) and other well-known personalities presented papers

in the conference. Scientists from Atomic Energy Regulatory Board, Bhabha

Atomic Research Centre and others from leading Cancer Institute’s like AIIMS,

TMH etc participated in the conference.

Dr. Ramiah Naidu Memorial oration was delivered by Prof. Indra J. Das,

(USA). The conference also encouraged the younger upcoming Medical

Physicists in the field by instituting the best oral paper and best poster award. A

recent trends in Medical Physics winner received the AMPI cash award. An e-

poster session was also a part of the conference.

The conference was inaugurated by Shri. V. Sivakumar, Minister for Health and

Family Welfare Government of Kerala. He also released the Souvenir of the

conference. Chairman of the Conference Dr. Raghu Ram K Nair, Head, Division of

Radiation Physics, Regional Cancer Centre welcomed the audience. Prof. Arun

Chougule, President, AMPI welcomed the conference delegates and audience and

offered felicitations on behalf of AMPI. Dr.V.Subramani, Secretary, AMPI reported

AMPI progress and annual report to the audience/delegates. Dr. Ramla Beevi,

Director of Medical Education, Dr Paul Sebastian, Director, Regional Cancer

Centre, Dr. K A Davis, Director, Directorate of Radiation Safety (DRS) offered

felicitations. Dr. Saju Bhasi, Secretary gave the vote of thanks.

On second day, having important scientific deliberations, in the evening, the

annual General Body meeting of AMPI was held on 21st November, 2015. The

meeting was attended by 107 AMPI members.

On third day, AMPI awards ceremony was held and the conference ended on

22nd Nov with the announcement of holding the AMPICON 2016 at Hyderabad.

VII. College of Medical Physics of India

College of Medical Physics of India (CMPI) activities for 2015-16 as follows:

There is a gradual yearly increase in the number of candidates showing interest

in the CMPI certification process.

CMPI activities in 2015:

Twenty two (22) applicants paid the fee and intended to appear for the written

examination, however only 6 candidates appeared on the examination conducted

on 8th Aug-2015 and out of which 2 candidates were found eligible for oral

examination. Two candidates appeared for oral examination held during the

AMPICON 2015 held at Trivandrum. Both the candidates, Mr. PS Renil Mon and

Mr. B Arun were CMPI certified for the year 2015.

CMPI activities in 2016:

In endeavor to promote academic activities, CMPI could conduct only one “CMPI

teaching session – Image guided radiation therapy” during the AMPICON-NC

2016 held on February 2016 at BHU, Varanasi. The session include three lectures

1) Overview of Image Guided Radiotherapy by Dr KJ Maria Das, 2) Clinical

practice of IGRT with correction strategy by Dr. T. Ganesh and 3) Quality

assurance of Image guided Radiotherapy by Mr. Ritu Raj. These lectures were

informative, involving discussion and was well received and appreciated by the

audience.

Eighteen candidates paid the fee and intended to appear for the written

examination for the year 2016. Thirteen candidates appeared for the written

examination conducted on 6th August 2016 and out of 13, only 6 were found

eligible for oral examination.

VIII. Report on AMPI regional/state chapters of activities during 2015-

2016

1. Karnataka Chapter

The Karnataka Chapter of AMPI (K) Activities for the year 2015-2016 is as

follows;

(i) Symposium on Recent trends in Volumetric Arc Therapy”,

Manipal Hospitals, Bengaluru on 1st August 2015

Manipal Hospitals, Bengaluru organized “Symposium on Recent

trends in Volumetric Arc Therapy”, under the banner of AMPI-K

Chapter. The symposium was jointly inaugurated by Medical

Superintendent and Administrative Head of Manipal Hospitals,

Bangalore, along with AMPI office bearers. About 60 members,

comprising Medical Physicists, Radiation Oncologists,

Radiotherapy Technologists and Post Graduates have participated

in this event. Total six scientific presentations were delivered.

(ii) National Symposium on Optically Stimulated Luminescence

Dosimetry in Advanced Radiotherapy Practice” at KMIO

Bangalore on 26th September 2015

Kidwai Memorial Institute of Oncology organized “National

Symposium on Optically Stimulated Luminescence Dosimetry in

Advanced Radiotherapy Practice”, under the banner of AMPI-K

Chapter. The high quality scientific deliberations were designed

and eminent national faculties and delegates from various part of

the country were presented. Also Practical demonstration on OSLD

commercial systems were conducted to the delegates.

(iii) IDMP Symposium at KMC Hospital Mangalore on 07th

November 2015

KMC Hospital Mangalore and Executive Committee of AMPI K

chapter conducted IDMP event on 07-Nov-2015. The total

registrants were about 140 (comprising Medical Physicists,

Radiation Oncologists, Radiologists, Technologists and Post

Graduates of Medical Physics, Radiation Oncology and Radiology).

The faculty from Atomic Energy Regulatory Board, Mumbai, gave

guest lecture on Safety and Regulatory Aspects in Radiotherapy

and Radiology. Mr. Henry Finlay Godson has won the best

paper Curie Award (for the first time this award is constituted by

Karnataka Chapter AMPI). His topic of presentation was: "Analysis

of Small Field Dosimetric Parameters with various detectors".

The Karnataka Chapter of AMPI (K) is bringing its Newsletter

periodically.

2. Northern Chapter

The Northern Chapter of AMPI (NC) Activities for the year 2015-2016 are

as follows;

(i). CME on “Advances of Medical Physics in Diagnosis and

Therapy” at Indore Madhya Pradesh

Northern Chapter of AMPI organized CME in association with Sri

Arbindo institute of Medical Sciences, Indore, Madhyapradesh in

September 2015. It was attended by large number of Medical

Physicist, Radiation Oncologists and Radiotherapy technologists.

Northern Chapter of AMPI thanked organizer for their initiative

and conducting at Sri Arbindo institute of Medical Sciences, Indore

first time in Madhyapradesh.

(ii). CME on Radiation and medical physics: modern Practice in

“Brachytherapy” in the occasion of IDMP day at Delhi State

Cancer Institute, Delhi

Northern Chapter of AMPI organized its CME on brachytherapy in

the occasion of IDMP day in association with Delhi State Cancer

Institute (DSCI) at Delhi on 07th November, 2015.It was attended

by many medical physicists and radiation oncologists. Northern

Chapter of AMPI thanked Prof. P.S.Negi and his team for taking

responsibility for celebrating IDMP at a short notice.

(iii). Annual conference of Northern Chapter of AMPI was held in

Banaras Hindu University, Varanasi, UP.

AMPI-NC-2016 was hosted by Department of Radiotherapy and

Radiation Medicine, Institute of Medical Sciences, Banaras Hindu

University during February 20-21, 2016. The theme of the

conference was “Exploring Diverse Applications of Medical Physics

in Cancer Management”. The Scientific programme of the

AMPICON-NC 2016 was designed having sixty- five papers, Dr NC

Singhal oration award, best oral and poster paper awards and

panel discussion. Recently chapter instituted Mohan Das best

paper award. The conference was well attended including national

executive committee members, trust members of AMPI and CMPI

board members.

(iv) Symposium on Medical physics education in India

The Symposium on Medical physics education in India was held on

9th July 2016 at Department of Radiology UCMS and GTB Hospital,

New Delhi. The various aspects of Medical Physics education was

discussed during the symposium.

(v). Medical Physics Chronicle

The northern chapter of AMPI has established its Newsletter since

2009 and brings out bi-annual publication of newsletter in the

name of “Medical Physics Chronicle” and it has far and wide

3. Western Chapter

The Western Chapter of AMPI (WC) Activities for the year 2015-2016 are

as follows;

(i). Workshop on Stereotactic Radiosurgery at H.N.Reliance

Foundation Hospital, Mumbai:

Western Chapter of AMPI organized two day workshop on

Stereotactic Radiosurgery at H.N.Reliance Foundation Hospital,

Mumbai from 18th to 19th July, 2015. Total participants for this

workshop were around 70 AMPI members.

(ii) IDMP symposium was conducted at B.Y.L.Nair Hospital,

Mumbai:

The International Day of Medical Physics (IDMP) symposium was

conducted at B.Y.L.Nair Hospital, Mumbai on 07th November,2015

and there were more than 50 delegates participated in the

celebration of commemorating Madam Curie brith day.

(iii). 4th Annual Conference of Western Chapter of AMPI was held

at Oncolife Cancer Centre, Satara, Maharashtra:

The 4th Annual conference of Western Chapter of AMPI was held at

Oncolife Cancer Centre, Satara, Maharashtra from 19th-20th March,

2016. The theme of the conference was on “Advances in Medical

Physics Imaging”. The chapter introduced Saraswati Pendse

Oration award from this year onwards and the same was initiated

by Mr.A.M.Pendse. The Saraswati Pendse Oration was awarded to

Dr.B.S.Rao who had delivered the oration. There were more than

80 members were attended the same conference.

Telengana State & AndraPradesh (TS-AP) Chapter of activities for the year

(i) CME programme on International Day of Medical Physics

event

The CME programme on “Innovative Medical Physics-Improved

cancer care” was held on International Day of Medical Physics

(IDMP) at Krishna institute of Medical Sciences (KIMS), Hyderabad

on 07th November, 2015 and there were large number of delegates

participated in the celebration of commemorating Madam Curie

brith day after CME programme.

(ii) CME programme on 10-01-2016 at American Oncology

Institute (AOI), Hyderabad

The CME programme on “Current Trends of Medical Physics in

Modern Radiotherapy” was held on 10-01-2016 at American

Oncology Institute (AOI), Hyderabad The CME programme on

“Current Trends of Medical Physics in Modern Radiotherapy” was

held on 10-01-2016 at American Oncology Institute (AOI),

Hyderabad and four invited talks were presented during CME and

Chapter election was held after CME Programme was over. The TS-

AP Chapter annual general body meeting was held on 28th

February, 2016.

(iii) The CME programme on Medical Physics at Omega Hospital,

Hyderabad.

The CME programme on Medical Physics was held on 03-04-2016

at Omega Hospital, Hyderabad. There were four invited talks were

presented during CME.

5. Tamilnadu & Puduchery Chapter:

The Tamilnadu & Puduchery Chapter Activities for the year 2015-2016

The 20th state annual conference of Tamilnadu & Puduchery

Chapter of AMPI was held on 06th & 07th February, 2016 at Anna

University Chennai in collaboration with HCG, Bangalore. The two

day scientific deliberations includes 3 oration talks,9 invited

talks,23 oral presentations, 3 trade presentation and many more

poster presentations in the conference. The state general body

meeting was held on 06th February, 2016 at Anna University,

Chennai.

(ii) International Workshop: Updates on Clinical Radiotherapy:

The International Workshop: Updates on Clinical Radiotherapy

was organized by Dr.K.Thayalan, Head of Medical Physics,

Dr.Kamakshi Institute of Medical Sciences and Research, Chennai

in association with Anna University Chennai and Tamilnadu &

Puduchery Chapter of AMPI which was held from May 24-27, 2016

at Anna University, Chennai. Dr.Cheng B.Saw, Director, Medical

Physics, Northeast Radiation oncology centre, USA was

international course Director. There were four international and

15 national faculties and about 100 participants were attended the

workshop. This workshop was accredited by CAMPEP, AFOMP,

MDCB, CMPI and also Tamilnadu Dr.M.G.R Medical University.

(iv) 21st state annual conference of Tamilnadu & Puduchery

Chapter :

The 21th state annual conference of Tamilnadu & Puduchery

Chapter of AMPI was held on 01st & 02nd October, 2016 at Rajaji

Medical College and hospital, Madurai, Tamilnadu. The

preconference workshop on IMRT contouring and QA was held on

30th September, 2016. There were oration and invited talks were

part of scientific deliberations.

Eastern Chapter

Although CME/Symposium was not planned by the Easter Chapter of

AMPI (EC) for the year 2015-2016, AMPI senior members of the chapters

have delivered lectures to educate medical physics trainees in 15th & 16th

planning to organize annual conference of eastern chapter in April, 2017.

Report of AMPI-Education & Training Course activities

The AMPI Education & Training (EDT) Course in collaboration with

Radiological Physics and Advisory Division (RPAD), BARC has conducted

eight training courses during the year April 2015 to March 2016. Four

courses of Training Course on “Radiation Safety Certification for Service

Engineers in Diagnostic Radiology”, three courses of Training Course on

“Quality Assurance in Diagnostic X-ray Equipment; and one course of

Training Course on “Radiation Safety Certification for Service Engineers in

Servicing of Radiotherapy Equipment”. AMPI-EDT has trained 222

service engineers on radiation safety as well as for QA service providers

during the year. We have proposed to conduct six more courses till

December 2016.

(XI) Summary and Conclusion:

This report describes about our association’s professional, scientific,

academic/educational activities during 2015 to 2016 from September,

2015 to October, 2016. The financial activity of the association for the

year 2015-2016 is considered from April, 2015 to March, 2016. It is the

reflection of joint effort and contribution of executive committee, board of

trustees, editorial board of journal, board of college of medical physics of

India and regional/ state chapters in their respective areas towards

achieving objectives of the association. This report briefly gives an idea to

general members of the association about what we have accomplished

during the last one year and also give us how do work towards remaining

task in the coming years. Therefore, we are placing this annual report of

International Medical Physics Activities: A. Developing and Coordinating the following international projects:

1. EC project 162-504 EMITEL (Coordinator), countries: UK, Sweden, Italy, Bulgaria, IOMP – 2006 to 2010 - developed the first e-Encyclopaedia of Medical Physics (web and paper c. 2100 pages) plus Medical Physics Thesaurus with Multilingual Dictionary of Medical Physics terms (29 languages completed). This project attracted c.300 leading specialist from 36 countries, making it one of the largest international project in Medical Physics. Its web site www.emitel2.eu has currently 8000+ users per month; 2. IOMP Model Curriculum for Medical Physics Education (Coordinator) – 2005 to 2011 – a project of the IOMP and the World Conference for Physics and Sustainable Development (UNESCO), supported by IUPAP 3. EC Project 129-308, EMIT - European Medical Imaging Technology Training (Coordinator), countries: UK, France, Sweden, Italy, EFOMP – 2001 to 2004 - produced 2 e-books and 3 CDs in MRI and Ultrasound Imaging currently used in 50+ countries. The project was awarded with the first EU Prize for education Leonardo daVinci Award. This is the first project to include EFOMP as full member of a project (+to attract external funding for it); 4. EC Project 80502, EMERALD 2 - Internet Issue (Coordinator), countries: UK, Sweden, Italy, Portugal, France, Ireland, Czech Rep. – 1999 – 2001 produced training web sites for EMERALD (www.emerald2.eu, widely used); 5. EC Project 02620, EMERALD - European Medical Radiation Learning Development (Coordinator), countries: UK, Sweden, Italy, Portugal – 1996 – 1998 developing original e-training materials in Medical Radiation Physics (Guide, 3 e-books, 3 Image databases, on 3 CDs) on Diagnostic Radiology, Nuclear Medicine and Radiotherapy – these materials are now used in c. 70 countries; 6. EC Project 9826, Post-graduate Course in Medical Radiation Physics (Coordinator), countries: UK, Italy, Ireland, Bulgaria – 1995 – 1998 - founding an International Medical Physics Centre in Bulgaria with own Medical Physics MSc programme. The lecture notes (in English) from this course are also used in 6 other countries; 7. EC Project CIPA 2623: European Conference on Post-graduate Education in Medical Radiation Physics (Coordinator), 20 countries, 1993-1995, organising the first International Conf. on Medical Physics Education

1. EC project 12402, Baltic Biomedical Engineering and Physics Courses, (countries: UK, Sweden, Estonia, Latvia, Lithuania) – establishing a Joint Medical Physics/Engineering education course for the Baltic states; 2. Co-Director of the ICTP Medical Physics Colleges 2002-16 - this unique International College has trained so far c. 1000 colleagues from developing countries. Some of them started Medical Physics courses in their countries.

Medical Physics/Eng teaching activities at King’s College London and King’s College Hosp Developed and delivered high level education/training in Medical Physics and Engineering since 1995. Director of the KCL programmes MSc Medical Engineering and Physics since 2001 and MSc Clinical Sciences (Medical Physics) & MSc Clinical Sciences (Clinical Engineering) since 2010. Chair of the TPG Exam Board of the KCL School of Medicine. Since 2000 students from the above MSc Programmes received 17 external awards.

Research Interest and overall Publications/Editorships Main Research and development are in Medical Physics/Eng. Minutes of 39th General Body Meeting of Association of Medical Physicists of India

The 39th General Body Meeting of Association of Medical Physicists of India was held on 26th September, 2015 (Saturday) at 16.00PM in the Kidwai Memorial Institute of Oncology

(KMIO) in Bangalore. The attendance of AMPI members are enclosed as annexure-I. Secretary,

AMPI was not available as he has proceeded with most important personal prior commitment.

The President (Dr.M.Ravikumar), AMPI chaired the General Body Meeting & he welcomed all

AMPI members. President requested Treasurer-AMPI (Dr.K.M.Ganesh) to conduct the

proceeding of the meeting with listed agenda and following decisions were taken.

Agenda No.5: To appoint statutory auditor of Association for the year 2015-2016 and fix the

Remuneration

The Treasurer, AMPI informed the house about the auditor appointment and present

remuneration by AMPI. Considering the less auditing fee with present auditor, the house

unanimously decided that the same auditor may be continued with same remuneration. The

house has approved for the same.

and BOT for term 2015-2017.

Dr.K.M.Ganesh, Treasurer, AMPI informed to the house about the results AMPI Elections (2015-

2017) & Office bearers for EC and BOT for term 2015-2017 and the newly elected EC members

including office bearers and Board of Trustees of AMPI. The names of AMPI EC and BOT for

2015-2017 are attached as in annexure-IV. Dr.Senthil Kumar proposed and Dr.Pichandi seconded

for the approval and it was approved by the house.

Out of four bids, one received from Dr. P.K.Hota Cuttack, Orissa was withdrawn in duly writing

by email dated 24th September 2015 to Secretary, AMPI. (Screen shot of same is as follows)

The bidder from Aurangabad could not attend the GBM and not participated in the bidding

process. Therefore only two bid applications (from Jaipur and Mumbai) were considered for the

bidding. Both bidders from Jaipur & Mumbai (Prof.ArunChougule&Dr.Dayanand Sharma) have

presented through power point presentation. Finally, it has been decided that secret ballot voting

method may be adopted for choosing the venue of AMPICON 2017.

Based on secret ballot voting, the bid application from Jaipur is elected & hence SMS medical

college, Jaipur, Rajasthan is going to host AMPICON 2017 in Jaipur.

1. Dr.S.D.Sharma clarified the queries from house that there will be huge penalty for

non-regularization of AMPI trust for the last more than 20 years with Charity

Commission and he requested that the regularization of AMPI Trust with Charity

Commission, Bombay is to be considered as top priority and it is job of outgoing

Secretary of AMPI to expedite and complete the process

2. Unified Syllabus for Medical Physics course is almost completed and follow-up is

required for further implementation.

3. Treasurer, AMPI informed to the house that organizing Secretary of AMPICON 2014

has not yet submitted the audited report and not handed over the surplus fund to

AMPI. After detailed discussion, the entire house had shown the displeasure about

non-submission of audited report and handed over the surplus fund to AMPI. It is also

decided that the newly elected Executive Committee should deal with this important

issues by writing a strong letter so as to submit the audited report of AMPICON2014.

4. Providing the budget for conducting CMPI was discussed and the same was proposed

by Dayanand Sharma and seconded by Dr.S.P.Agarwal. The house was has approved

the same.

5. Later providing the budget for conducting Radiation Safety courses by AMPI and

RPAD, BARC was discussed and the same was proposed by Dr.S.D.Sharma and

seconded by Dr.Kulkarni. The house has approved the same.

6. Dr.S.P.Agarwal has raised the concern about the balance sheet of audit report and

requested the Treasurer, AMPI to explain detail of the same as it was not clearly

understood.

Minutes of the Special Annual General Body Meeting 2015 of Association of Medical Physicists of India

The Special Annual General Body Meeting of Association of Medical Physicists of India was held on

21st November, 2015 at AMPICON2015 venue, Kovalam, Thiruvananthapuram, Kerala. The AMPI

Officers i.e. President, Vice-President, Secretary and Treasurer were on the Dias. The meeting

attended by 107 AMPI members. The President, AMPI opened the meeting by welcoming all

members. The President, AMPI asked the Secretary AMPI to proceed the meeting with listed agenda.

The following decisions were taken based on the discussion with all members in the house.

Agenda Item 1: To present the motion on MCI and AERB Related Issues MCI Issue: Revision on MCI minimum qualification criteria for Radiological/Medical Physics Teachers The Secretary, AMPI informed to the house that revision/correction in the essential qualification for

teachers in the discipline of Radiological Physics/Medical Physics is still pending despite of previous

AMPI office repeated requests to MCI. The newly elected AMPI office has recently submitted a

memorandum to MCI on this matter and requesting MCI to make necessary corrections in the

essential qualification for teachers in the discipline of Radiological Physics/Medical Physics as per the

Gazette Notification gazette vide part-III, Section-4 dated 23 March, 2010. On this issue Dr.Ajaj

Srivastava asked secretary to updates the house. The Secretary, AMPI requested the President,

AMPI to respond to Dr.Ajaj Srivastava, since the President, AMPI was involving from the beginning

on this matter.

The President, AMPI replied that the essential educational qualification for Radiological

Physics/Medical Physics teachers, as per the gazette notifications are not reflecting in Minimum

Qualification for Teachers in Medical Institutions Regulations, 1998 (Amended up to May 2015) which

are available on MCI website. The president, AMPI informed to the house that MCI has accepted

basic qualification as per the AERB recent safety code i.e. M.Sc. Physics + DRP or M.Sc. Medical

Physics along with one year internship, instead of M.Sc. (Physics), Biophysics and M.Sc. chemistry

etc. He has also informed to the house that the PhD is not required as an essential qualification for

the Assistant professor in Radiological Physics/Medical Physics. The same was appreciated by the

house.

It was also brought to the notice by members from the house that regarding MCI requirements of

staffing for starting radiotherapy department in medical institute/college, it is mentioned that

requirement of a “Physicist”. However the house was discussed the same and unanimously agreed

that it should be mentioned as “Assistant Professor of Radiological Physics/Medical Physics” rather

than a physicist so that he/she will be involved in teaching and training as per the MD Radiotherapy

curriculum. Further, the house discussed and agreed that MD Radio-diagnosis course also requires

at least one teaching faculty post of Assistant Professor of Radiological Physics/Medical Physics to

take care of teaching and training.

AERB IssuesNo.1: Separate Department & Head of Medical Physics in Medical Institution in India The Secretary, AMPI informed to the house that executive members have brought to notice of the

executive committee of AMPI regarding staffing in Radiotherapy in the AERB safety code. It is

mentioned as one Chief Radiation Oncologist and one Chief Radiation Therapy Technologist along

with other requirements based on number of patients. However, for Medical Physics cadre, the chief

position was not mentioned in parallel to others. The same matter was discussed in the EC and

decided to take up the matter to the Special General Body approval for making separate department

of medical physics and also head of medical physics as the chief of the department. The house also

discussed the need for separate department of medical physics in order to carry out independent

responsibilities such as radiological safety and quality assurance programme along with other patient-

related responsibilities to ensure the safety and quality of radiation treatment of cancer patients. It

was agreed by the house and further decided that AMPI office should send a memorandum

requesting to AERB for making an amendment in the safety code for separate department of Medical

Physics and Head of Medical Physics as the chief of Medical Physics cadre.

AERB Issue No.2: Amendment by removing the Dosimetrist staffing in the recent AERB code

The Secretary, AMPI informed to the house that executive members have brought to notice of the

executive committee of AMPI about the need of amendment by removing the post of Dosimetrist in

the AERB safety code. The executive committee of AMPI discussed about the need of Dosimetrist

post in detail and decided by majority of voting that at present the post of Dosimetrist is not needed or

required. Because at present there is no programme in our country which is conducting such course

of Medical Dosimetry, practically no manpower is available for recruiting the same. Therefore it was

decided to take up the matter to the Special General Body approval. All members present in the

house have agreed for the same and the decision was taken with majority voting in support of the

agenda. Further, it was decided that AMPI office should send a memorandum requesting to AERB to

make amendment by removing the Dosimetrist staffing in the recent AERB code.

AERB Issue No.3: Inclusion of Radiation Safety syllabus in the MD (Radiotherapy, Radiodiagnosis and Nuclear Medicine) Programmes in Medical Institution The Secretary, AMPI informed to the house that EC members have brought to notice of the executive

committee of AMPI about the need for the inclusion of Radiation Safety syllabus in the MD

(Radiotherapy, Radiodiagnosis and Nuclear Medicine) Programmes. Dr.S.D. Sharma has informed

that it may have negative impact as well because many radiation oncologists are willing to become

RSO. Prof. Arun Chougule replied that RSO responsibilities are basically duties of Medical Physics

related work such as to carry out the quality assurance and quality control and hence becoming RSO

by oncologists may not be practically possible. All members present in the house have agreed for the

same and it was decided that AMPI office will write to AERB in the matter.

AERB Issue No.4: Amendments in e-LORA system i.e. mandatory provision for filling Make and Model of the Equipment during layout plan submission time.

The Secretary, AMPI informed to the house that EC members have brought to notice about

requirements of amendments in e-LORA system regarding mandatory provision for filling make and

model of the equipment during layout plan submission time and hence it has decided to take up this

matter to the special General Body approval. The same matter was discussed in the house that the

correct make and model of the equipment is not possible to know before finalizing tender therefore it

was felt that only specific energy needs to be filled instead of make and model of the equipment. The

house was unanimously agreed for the same decision and further decided that AMPI office should

send a memorandum requesting to AERB for amendments in the e-LORA system to this effect.

Agenda Item: 2: To discuss and decide about the re-organization of the AMPI Chapters

The Secretary, AMPI informed to the house that some of the members have brought to the notice of

AMPI office regarding the need for re-organization of the AMPI chapters. Dr.Madhavanath has

informed to the house that there is no uniform number of states included in the regional chapters of

AMPI and there is a need for re-organizing AMPI chapters. He has also informed to the house that

AMPI chapters are not necessary to conduct annual conference which usually falls within 2-3 months’

time after the national annual conference and hence it may not be possible to have quality research

papers in the subsequent chapter annual conferences. He also suggested that chapters can have

workshops, CME and symposia instead of annual conferences.

However, regarding the re-organization of AMPI chapters the most of the members present in the

house were of the opinion that there is no such need to reorganize the AMPI chapters & its function.

It was decided that all chapters will run they way they are running now. All chapters shall be free to

do annual conferences and all academic activity.

Agenda Item3: To examine and approve the recommendation of Executive Committee Seeking approval for EC recommendation #1: To confer the honorary membership

The Secretary, AMPI informed to the house that executive committee of AMPI decided to confer

honorary membership of AMPI to Dr.Slavik Tabakov, who is presently a Programme Director &

Consultant Medical Physicist at King’s College London (KCL), School of Medicine at the Dept.

Medical Engineering and Physics, King’s College Hospital London, UK and also present President of

International Organization for Medical Physics (IOMP). After detailed deliberations on this matter, the

house approved the proposal of honorary membership to Dr.Slavik Tabakov by majority voting.

However the second proposal of conferring honorary membership to Dr. Tea-Suk Suh who is a

Professor of Biomedical Engineering, in the Catholic University Medical College &Director of

Research Institute of Bio medical Engineering, Seoul, Korea is deferred.

Seeking approval for EC recommendation #2: Constitution of AMPI-EC-Subcommittees

The Secretary, AMPI informed to the house that executive committee of AMPI decided to constitute

subcommittees under AMPI-EC having members of outside executive committee and hence it is

decided to take up the same matter to the special General Body for the approval. The Secretary,

AMPI has proposed subcommittees under six heads such as Education and Training committee,

Professional Development Committee, Science Committee, Administrative Committee, Publication

Committee and Finance Committee through power point presentation to the members present in the

house. All members present in the house advised to the AMPI office that the detailed roles and

responsibilities and purpose of subcommittees’ should put in the AMPI website for referral of AMPI

members before approving the same.

The Secretary, AMPI informed to the house that the proposal from Prof.P.S.Negi for instituting medal

for best research paper award for best papers published in international peer reviewed journal like

PMB, Medical Physics, JACMP, IJROBP, Green Journal and Medical Dosimetry for practising

Medical Physicists in India. This medal should be awarded (cash award of Rs, 10,000/) out of the

yearly interest of the fixed deposit of rupees two lakhs which will be donated to AMPI by

Prof.P.S.Negi. The same proposal was approved in the AMPI-EC and hence decided to take up the

matter to the special general body meeting. During the discussion on the agenda some of the

members felt that the clarification should be sought from the proposer whether it is applicable to

Medical Physicists those who are working in hospitals only or all members of the AMPI. Therefore, it

is decided that the same approval from the house of SGBM is subject to the clarification from the

proposer. Based on the clarification from the proposer, AMPI office will take the matter again to the

General Body through group emails to all AMPI members via our Website. AMPI office will intimate to

the proposer about the final outcome of the pending approval accordingly.

Agenda Item4: To Update the Progress of AMPICON2016 & 40 Years of AMPI celebration The Secretary, AMPI invited the organizing Committee of AMPICON2016 to update the progress of

the AMPICON2016 and Dr.Krishnamurthy Chairman, organizing Committee have made power point

presentation about the AMPICON2016 arrangements and he informed to the house that detailed

committees will be formed in consultation with AMPI office soon and organizers of AMPICON2016

agreed to follow all the norms of AMPI in conducting the conference. It has also unanimously decided

by the house that the forthcoming AMPICON2016 will be of 40th Year of AMPI and celebration to be

arranged accordingly and all announcement of AMPICON2016 should emphasis the 40th Year of

AMPI.

Agenda Item 5: Any other important matters with permission of the chair

1. Dr.Vishnu has informed to the house that the presently the Medical Physicists designation in

all Kerala Medical Colleges are as “Physicist cum Assistant professor” and suggested to take

this matter through AMPI to make uniform designation throughout the country.

2. Dr.P.G.G.Kurup has suggested that there is need of minimum two Medical Physicists for a

single machine because of heavy workloads on RSO and the house was unanimously agreed

for the same.

3. Dr.P.Kaliappan has suggested to the house that there should be uniform educational

qualification and syllabus throughout the country. He also asked for clarification that in a

situation where a single Medical Physicist or Faculty is appointed for all three disciplines such

as Radiotherapy, Radiodiagnosis and Nuclear Medicine how to spend man-hours in each

department. The President replied that this is very important concern and need to take this

matter to the hospital/institute management for recruiting appropriate manpower as per the

practice being carried out by the institute. Upon his further clarification regarding levels of

RSO appointed in Radiotherapy, Radiodiagnosis and Nuclear Medicine departments,

Dr.S.D.Sharma clarified that RSO level I and RSO level II will be adequate for Radiodiagnosis

and Nuclear Medicine without cyclotron facility and whereas RSO level III is required for

Radiotherapy department.

4. Dr.S.P. Aggarwal has suggested that there should be a minimum syllabus of Radiation Safety

for CMPI accreditation examination and further he suggested that there should be a common

syllabus of Radiation safety for both M.Sc+DRP and M.Sc Medical Physics courses to have a

homogeneous pattern and will be helpful for students appearing in the RSO examination

latter.

5. Dr.B.S.Rao has suggested that there should be expert for teaching Radiobiology to radiation

oncology and Medical Physics courses in order to give importance of radiobiology syllabus as

required in the educational curriculum. He also suggested that there should be a dedicated

radiobiology workshop/teaching course periodically for all Medical Physicists in the country.

6. Mr. Rituraaj Upreti has asked about the status of one man one post for the executive

members of the AMPI since it was already decided by the previous EC meeting. It has been

discussed in detail in the house and decided that any individual member on their own offering

resignation from the more than one post is welcome measures. However, most of the

member’s opinion from the house that this needs to be discussed further and to make

amendments in the AMPI constitution to this effect so that implementation becomes easy.

At the end of the meeting Secretary thanked all the members and the meeting ended with

Warm Greetings!,As you all may be aware that there are anomalies in qualification and nomenclature for recruitingMedical Physicists/Faculty in advertisements recently published by govt.institutions and AMPI hasrepresented its memorandum for the amendments. However, general members of AMPI haverequested to call for special general body meeting to discuss/decide the further plan of action for thesame. The same matter was discussed in the last AMPI-Executive Committee Meeting held on 12th

June,2016 at BARC, Mumbai and subsequently Executive Committee of AMPI, also decided toconduct a special general body meeting to discuss the specific agenda pertaining Medical Physicsprofessional issues.

Minutes of the Special Annual General Body Meeting 2016 of Association of Medical Physicists of India

The Special General Body Meeting of Association of Medical Physicists of India (AMPI) on demand of

AMPI members was scheduled at 2.PM on 09th July, 2016 at Library Hall, UCMS & GTB Hospital.

The AMPI Officers i.e. President, Vice-President, Secretary were on the Dias. Initially as there was no

quorum, the meeting was adjourned for 15 minutes and the actual meeting started at 2.15 PM. Total

of 42 AMPI members attended the meeting. The President, AMPI opened the meeting by welcoming

all members. The President, AMPI asked the Secretary AMPI to proceed the meeting with listed

agenda “

Agenda Item : To discuss and decide the action plan on the educational qualification and

nomenclature for recruiting Medical Physicists/Faculty in Medical Institutions

The following decisions were taken based on the discussion with all members in the house.

The Secretary, AMPI informed to the house that based on members request this SGBM meeting is

being organized to discuss and take action plan on anomalies in the educational qualification for post

of medical physicists/faculty as advertised in govt. institutions. The Secretary, AMPI showed the

power point presentation about issues related to Medical physics profession and he informed to the

house that AMPI has represented its memorandum to all concerned institutions as below mentioned

for the necessary action by making corrigendum in their respective advertisements;

(i) PGIMER, Chandigarh on qualification/nomenclature

(ii) AIIMS Patna on qualification/nomenclature

(iii) AIIMS Delhi on qualifications for faculty position

(iv) Health Minister on six AIIMS regarding creating faculty position for medical physics & non-

inclusion of medical physicist in the procurement of radiation therapy equipment

(v) AIIMS, Jodhpur on qualification/nomenclature

(vi) IOP, Bhubaneswar on Pay scale & Group-B

(vii) DSCI, Delhi qualification/nomenclature for nuclear medicine.

The Secretary, AMPI further informed to the house that AMPI had sent its representation to not only

to the above mentioned issues, but also issues related Medical Physics profession including the

Health Ministry issue of Medical Physicists under Allied Health Professional, MCI for qualification

amendments in Faculty position and AERB, Mumbai for removing Dosimetrist & others issues and

requested all members to provide further suggestion/action plan on this matter.

With respect to Health Ministry issue of Medical Physicists under Allied Health Professional, Dr. A.K.

Rath & Dr. Atul Tyagi stated that before AMPI representation received by Ministry, the Medical

Physicist was removed from the list of Allied Health Professional in the health ministry document. Mr.

Rajendra Kumar has suggested Medical Physicist should not be put in AHS, if required, even AMPI

may have to move to the court on this matter. Secretary, AMPI replied to Mr. Rajendra Kumar that

this matter was solved already and hence no need at this stage to go court.

Mr. Vinod Pandey asked about the status of MCI issues of qualification for faculty position. The

Secretary requested to President, AMPI to address the same as he is involved from the beginning.

The President, AMPI informed to the house that this issue is there from the year 1998, however in the

year 2015 January AMPI delegation met the President, MCI and subsequently on 15th November,

2015 the new AMPI office sent representation to MCI. There is a possibility to make amendments in

the qualification and separate medical physics department may not be accepted by MCI as per his

follow-up information from the concerned authorities. Dr.A.K.Srivastava has asked about AMPI

representation to MCI and Secretary, AMPI showed to the house about the AMPI representation

regarding qualification proposed for the faculty position. The members present in the house

unanimously suggested that once in a month follow-up may be required on MCI matter.

With regard to AERB issues related to removal of dosimetrist post in the AERB safety code, the

secretary, AMPI informed to the house that AERB has sent letter to AMPI in response to AMPI letter

dated 13-02-2016 based on Kovalam Special General Body decision on removal of dosimetrist post.

Further Secretary, AMPI informed to the house that recently AMPI delegation met with Chairman and

officials of AERB on 13-06-2016 at AERB Mumbai and addressed all core issues related to AERB. In

response to the AMPI delegation meeting, the Chairman AERB has written letter to the Chairman,

UGC for taking necessary action to ensure adequate faculty and infrastructure for running Medical

Physics course by making stringent affiliation process to the Universities and secretary, AMPI

showed the letter written by Chairman AERB to the Chairman, UGC to the members present in the

house. The members present in the house unanimously suggested that regular follow-up may be

required on the matter.

Mr. Ansari from Max hospital, Batinda has raised the question about the qualification/criteria for AMPI

life membership and involvement of Medical Physicists in conducting M.Sc RTT course. After the

detailed discussion on this matter, it was unanimously decided that issues of voting rights need to be

amended in AMPI constitution adapting due procedure and also decided that Medical Physicists

teachers should not encourage M.Sc RTT and involve as part time faculty for Medical Physicists

courses.

With regard to six AIIMS matter, it was discussed and decided that AMPI should sent the

representation to change the qualification for the post of Medical Physicists uniformly in all six AIIMS

and also AMPI delegation need to meet the Health Minister/Ministry officials within one month time to

address all matters of Medical Physics profession personally.

Regarding AIIMS, New Delhi matter related to the qualification for faculty position, it is decided that in

case AIIMS is conducting interview without necessary correction in the qualification, AMPI should

move to court for necessary action on the matter. It was also decided in the house that AMPI office

need to have regular follow-up on other remaining institutions and take necessary action accordingly.

At the end of the meeting Secretary thanked all the members, the authorities of GTB/UCMS and the

meeting ended with thanks to the chair.

FOREWORD

I am deeply touched and honored by the confidence placed in me by the members of the Association of Medical Physicists of India [AMPI] and thank them with a great sense of gratitude and unswerving resolve to honour that trust. I also wish to express my deepest respect and appreciation to all the former office bearers and members of the AMPI for their vision and efforts in bringing this organization and the medical physics community in India to the present stage.

AMPI was founded in the year 1976 with the broad objectives of encouraging the application of physics in medicine and developing the profession of medical physics in India. We are celebrating 40 glorious years of AMPI in 2016 and I am glad and lucky to be President of this association. During these 40 years association has grown in strength and activities. Today we have more than 2300 members working in various fields in different capacities as teaching, training, research, administration, entrepreneur and health care providers. AMPI has its own reputed indexed journal, Journal of Medical Physics [JMP], with wide circulation and acceptance. In 2009, AMPI has added educational wing “College of Medical Physics of India [CMPI]”. India is a very large country and therefore to involve and give platform to members in various parts of the country regional/state chapters of AMPI are formed namely Northern Chapter, Eastern Chapter, Western Chapter, Karnataka Chapter, Tamil Nadu & Pondicherry chapter and they are conducting meetings/scientific activities regularly. AMPI is affiliated to International Organization for Medical Physics [IOMP] and Asia Oceania Federation of organizations for Medical Physics [AFOMP].

The role, responsibilities, competence requirement and activities of members of AMPI have increased many fold in last two decades and therefore for effective implementation of the aims and

objectives of AMPI for welfare of its members and profession, we have decided to form subcommittees so that the work is distributed, work is done in more professional and effective manner. After due discussions, consultations and deliberations various committees are formed with well-defined aims-objectives and tasks. I am confident that with coordination from AMPI EC and the team of competent/experienced expert members in the subcommittee, the task given to each committee will be accomplished and will be an added asset to AMPI in the years to come. I am more than convinced that any organization cannot function without the active and dynamic participation of its members. Therefore, as a president of the AMPI with open mind and well set vision, I welcome the suggestions, guidance and constructive criticism from the members for the betterment of the AMPI and medical physics community.

With a team of dynamic and active AMPI EC members, support and guidance of AMPI trust, cooperation of CMPI and dedicated editorial team of JMP, I assure you that we will work hard to fulfill the aims & objective of AMPI and to bring AMPI to the pinnacle of success.

ACKNOWLEDGEMENT

This detailed report on “Constitution of Subcommittee” under the Executive Committee of the Association of Medical Physicists of India (AMPI) is the outcome of series of discussions and deliberations in the 273rd Executive Committee (EC) meeting of AMPI which was held on 26th September, 2015 at Bangalore immediately after taken over the charges by newly elected EC members and 274th Executive Committee meeting which was held on 21st November, 2015 at Thiruvananthapuram and also on the basis of advice of Special General Body Meeting held on 21st November, 2015 at Thiruvananthapuram.

At the very outset, I would like to express my deep gratitude to the President, Vice-President, Treasurer and the Executive Members of AMPI for their valuable inputs and critical suggestions provided during the last two EC meetings and subsequent communications in order to make this report to a present shape.

I also would like to place my sincere thanks to all subcommittee co-ordinators for proactively coming forward to serve in the particular subcommittee and taking additional responsibilities being executive members of AMPI. 1. OVERVIEW OF ASSOCIATION OF MEDICAL PHYSICISTS OF INDIA

The Association of Medical Physicists of India hereinafter referred to as “AMPI” was established in 1976 as a non-profit public trust organization. The present objectives of AMPI are as follows;

i. To promote the advancement of physics as applied to medicine especially radiotherapy, nuclear medicine and radiology and the biological sciences.

ii. To take appropriate steps to carry out, support, and to encourage research and development as well as teaching in various fields associated with the application of physics in medical sciences.

iii. To provide a forum for persons who are engaged or interested in the field of medical physics and to arrange scientific meetings and discussions.

iv. To initiate measures to effectively disseminate worldwide information in this field to all members of the Association.

v. To promote the academic status of medical physics and its educational regulations in the medical institution where Medical Physics work is carried out in India and to encourage appropriate authorities to implement the suggestions laid down by the Association.

vi. To initiate action to maintain the standards in the practice of medical physics by certifying members of AMPI by conducting periodical examinations.

1. AMPI is affiliated to the Indian National Science Academy (INSA) and to the International Organization for Medical Physics (IOMP) as well as to its constituent member of IOMP regional chapter, the Asia-Oceania Federation of Organizations for Medical Physics (AFOMP). Currently, it has more than 2300 members comprising of Radiation or Medical Physicists, Radiation Oncologists, Radiologists, Biomedical Engineers and Technologists. The wide spectrum of membership reflects the multi-disciplinary nature of the medical physicists and the AMPI.

2. AMPI since its inception is periodically organizing the scientific activities in the form of annual conferences, seminars/ workshop/ symposia for improving professional standards of practicing Medical Physicists, students and researchers across the country. It is important to mention that AMPI started in 1976 as a “Medical Physics bulletin” for providing a platform to share knowledge and information within the members. In 1996 the Medical Physics Bulletin was converted into indexed scientific journal namely “Journal of Medical Physics” (JMP’) and even today published every quarterly. It has now been accepted as a leading journal and it has reputation globally.

3. AMPI also established its academic wing namely College of Medical Physicists of India (CMPI) in the year 2009, to improve the academic standards and also to maintain the standards of professional practices by conducting competency examination for accreditation and certification similar what is being carried out at Canada, Europe, USA and Australia.

4. The General Body of the AMPI is the supreme authority which controls all the activities of the association and further delegates its powers as conferred by its constitution to its Executive Committee [EC] for

5. The AMPI has different wings namely, the Executive Committee (EC), the Board of Trustees (BOT), editorial board of Journal (JMP) and the board of College (CMPI) and its Chapters which carryout various activities pertaining to AMPI under Executive Committee.

2. CONSTITUTION OF SUBCOMMITTEE

2.1 Background and Introduction

The administrative management is a backbone of any organization or association and it is responsible for performance improvement, strategic action plan and execution to achieve the organization’s goals and objectives. The committee, which is a collection of members with aims and objective, is required to provide the guidance and directions towards accomplishment of goal by sharing the responsibilities for decisions and achieving ownership of them.

The AMPI was constitutionally established the “Executive Committee” (EC) as backbone of the association which has now travelled over 40 years since 1976 and sustained till today with excellence. However the scope of the association has increased due to ever expanding advancements in technology and the responsibility of medical physicists in health care during the last two decades.

The profession of medical physics evolves rapidly and therefore its association is also required to evolve into the newer dimensions so as to fulfil the aspirations and needs of its members. At present, there are number of activities from different wings of association namely AMPI trust, journal, college and chapters growing, but now requires to be channelized accordingly. Therefore the need for constituting subcommittee becomes necessary for smooth and effective functioning of the AMPI. The subcommittee formation was deliberated during the 273rd Executive Committee meeting which was held on 21st September, 2015 at Bangalore and 274th Executive

Committee meeting which was held at Thiruvananthapuram. The subcommittee is to serve as a conduit for the Executive Committee of the association. The main purpose of each subcommittee is to make suggestions, advice and recommendations in formulating the procedures and guidelines in their specific areas for approval or decision by EC for effective functioning of the association.

This report provides the guidelines to subcommittee’s functions and roles and responsibilities for making it useful for every member in the association. This report will eventually form a part of AMPI constitution after due deliberations and approvals and becomes the documents for foundation of the association’s future accomplishments.

2.2. Subcommittee’s Composition and Structures

(i) Each subcommittee is set up on the basis of fulfilling one of the objectives of the Association.

(ii) The each subcommittee is composed of one coordinator from AMPI EC and members [Upto 15] depending on the workload in the respective subcommittee. These subcommittees are responsible for and will report to the Executive Committee. However, EC is the decision-making body which will oversee the activities of the subcommittee.

(iii) The coordinator of the subcommittee already chosen among the elected executive members. The coordinator will be responsible for the subcommittee activities and will be reporting the outcome to the executive committee through the Secretary, AMPI.

(iv) The subcommittees are open to other non-elected AMPI members in order to provide the opportunity to involve more members and also to make use of member’s expertise and experience in their specific areas; however the members in the subcommittee have been co-opted by Executive Committee through the respective coordinators. Due considerations was given to accommodate all state and regional chapters of the association as a national committees.

(v) There is no formal meeting required for the subcommittee, however, exchange of the views and ideas can take place through various official communication systems. However meetings may be held when majority of the committee members gather at a place during conference/CME etc as per their suitability.

(vi) The subcommittee members will not be entitled to any re-imbursements of expenses from AMPI. In case, the co-ordinator could not attend the executive committee meeting, he or she may nominate a member from that subcommittee to present the progress report of subcommittee’s activities to the Executive Committee and the same nominated member travel expenses will be re-imbursed by the association as applicable to other elected executive members.

(vii) The subcommittee will operate through emails within the members and its recommendations shall be made by minimum one-third of the subcommittee membership. The coordinator will make efforts in maintaining electronic records of those emails for any requirement of the executive committee reference.

(viii) The term of office of the subcommittee generally will be for a period till the elected Executive Committee will be in place. The Subcommittee will also get reviewed and reconstituted at the time of periodical fresh election of EC. However, Executive Committee will have power to review and reconstitute any subcommittee in whole or in part whenever deemed necessary.

(ix) Presently, there are six subcommittee hereinafter referred to as (i) Education and Training Committee (ii) Professional Development Committee (iii) Science Committee (iv) Publication Committee (v) Administrative Committee (iv) Finance Committee constituted and each committee has its objectives and purposes, membership and terms of reference including roles and responsibilities.

The objective of the committee is to provide the forum for persons who are engaged or interested in the field of Medical Physics and to arrange scientific meetings and discussion. (vi) To encourage and support the regional and state chapters for conducting the scientific meetings by funding or endorsement in order to promote the science of medical physics.

(vii) To explore the possibilities of instituting various the fellowship programmes for young medical physicists to

9. CONCLUSION

The Executive Committee of the AMPI in its two meetings held recently, not only took the stock of its achievements and progress, but also made strategic planning for effective functioning of AMPI. After detailed discussion and deliberations, the Executive Committee of AMPI made recommendation for constituting various subcommittees to have more pragmatic approach and collective participation of the members for balanced representation at national level.

This report makes an endeavour to address the key issues in constituting the subcommittee and describes the duties and responsibilities of the subcommittee in detail. Therefore six subcommittees are constituted to further co-ordinate and collate with EC. The each co-ordinator of the subcommittee will act as a liaison officer between members of the subcommittee and the AMPI EC and he or she will be responsible for smooth conduct and functioning of the subcommittee and report to EC of AMPI.

The formation and functioning of the subcommittees are aimed to fulfil the objectives and goals of AMPI and the aspirations of the members, keeping in view of the Vision document of AMPI which will eventually take its shape and ultimately become a part of constitution after due deliberations and discussions and approvals.

GUIDELINES FOR CONDUCTING AMPI CONFERENCES / WORKSHOPS/ SYMPOSIA

1. The AMPI Conference / Workshop can be conducted by an institution/ AMPI Chapters only

after the formal approval of Executive Committee, AMPI. For this, the Head of the prospective

institution [an institution associated with the activities related to medical physics) or Chairman

(or Secretary of AMPI chapter) should send a letter to this effect to Secretary, AMPI, giving

relevant details, to the extent possible, such as probable date, venue, tentative budget. He

should also nominate the Convener of the Organizing Committee for the Conference.

2. All the announcements of conference have to be prepared by the host institute/ AMPI chapter

and have to be approved by EC of AMPI before their circulation. The announcements must

clearly exhibit that the Conference is of AMPI and hosted/organized by the

institute/Department/ AMPI chapter as case be. There can be other sponsors of the Conference.

The members of all the Conference Committees, except local organizing committees, will be

proposed by mutual consultation of the Convener, Organizing Committee and the EC, AMPI.

Secretary, AMPI would make special efforts and arrange to communicate a decision and

suggestions of EC on the drafts of announcements within a period of two weeks after its

receipt. In case of any unforeseen delay, he will send an interim reply to the concerned person.

President/ Secretary of AMPI shall be the member of the organizing committee. The

organizing committee will always be reflected on all the printed letterheads for conference.

3. Seed money for the conference, if required, will be given up to a maximum of Rs.5000/- for

Workshop, Rs.15000/- for National Conference and Rs. 25000/- for International Conference,

subject to the availability of funds. This amount shall be returned to AMPI after the

Conference/Workshop.

4. The Convener of the conference shall keep informed the organizational progress of the

Conference/ Workshop to the Secretary, AMPI.

5. The prime responsibility for raising funds shall lie with the organizing committee. Funds from

Government institutions will be sought by EC, AMPI (or main body AMPI) and will generally

be used for bringing out the Proceedings of the Conference / Workshop, providing partial

financial support to eligible participants, printing of Journal of Medical Physics of AMPI and

supporting AMPI Chapter activities. Funds from private companies will be raised by the host

institution/ AMPI chapter and will be used for the organization of the conference.

6. Awardees for Dr. Ramaiah Naidu Memorial Oration and Meritorious Medical Physicist

Awards shall be done by AMPI EC. AMPI Best Paper (Oral & Poster) Awards will be decided

by the Committee of Judges appointed by AMPI.

7. The Dr. Ramaiah Naidu Memorial Oration session will be chaired by President & Secretary

AMPI. The AMPI best paper award session will be chaired by Vice President & Treasurer

AMPI.

8. Organizers of AMPICON will waive of the registration fees of President & Secretary of

AROI and provide reasonable accommodation. The invitation will be sent by AMPI office

under intimation to the organizers.

9. There should be a clinical session and lectures in Radiation Oncology (3), Radiodiagnosis (1)

and Nuclear Medicine (1) for clinical faculties during annual conference from national

professional bodies of all three clinical discipline.

10. The regarding inviting chief guest/guest of honor for AMPICON inaugural ceremony should

be consulted and decided with AMPI-EC

11. After the Conference/Workshop, a copy of the audited statement of accounts of the conference

shall be submitted to EC within a period of six months.

12. Rs. 50000/- (Rupees fifty thousand only) or 50% of the surplus amount generated from the

Conference/Workshop, whichever is maximum, shall be transferred to the AMPI Trust

Account. The host institute/ AMPI chapter could use the remaining money for up-gradation of

Medical Physics and other R&D activities related to Medical Physics. Periodic report on the

utilization of funds should be submitted to AMPI. In case the utilization of money for the

above purpose within next 5 years is not foreseen, the money should be transferred to AMPI

Trust.

13. Members of EC, AMPI & Board of AMPI Trust, Editor-in-Chief, Associate Editors and

Editorial Board of Journal of Medical Physics, and Members of Board of College of Medical

Physics of India (CMPI) shall be given registration fee waiver for participating in the

conference/ workshop.

14. The organizers will provide free registration, accommodation in the same venue for AMPI

President, Vice-President, Secretary and Treasurer the secretarial assistance and logistics

during the conference.

15. The organizers will provide to all members of EC/CMPI/BOT/Editors should be provided

the reasonable accommodation near to the conference venue.

16. Conference organizers will provide space and logistics to hold AMPI EC/ CMPI/BOT

meetings and GBM.

17. If AMPI office feels the necessity to visit the conference venue to take stalk of the

arrangements/logistics planned, the organizers will facilitate the visit and coordinate.

18. As the conference is being the Annual Conference of AMPI, AMPI office has the

responsibility to see that the minimum norms are followed and the members do not feel

aggrieved, the organizers and AMPI office will be in constant communication to oversee the

arrangements.

19. The association (i.e. AMPI) will be represented by its President/ Secretary during Inaugural

and Valedictory functions of the AMPICON/ AMPI-Workshop.

20. The signatures of President and Secretary of AMPI in the conference participation certificate

and also their message in the conference souvenir/proceedings are required.

Guidelines for AMPI financial support for conducting scientific programme on

the occasion of IDMP day, (on Nov.7th, every year)

1. The proposed scientific event/programme should be approved by AMPI Regional/State Chapter’s Executive Committee for applying financial support from AMPI (letter to be attached to that effect).

2. The application to be sent to the Secretary, AMPI, before 3 months time of IDMP event in that particular year, by Secretary/Chairman of the regional/state chapters of AMPI.

3. The maximum limit of AMPI financial support is upto Rs.10,000/ only for exclusively conducting programme on IDMP day.

4. The financial support should be given to only to AMPI Regional/State Chapters endorsed scientific programme. Those institute/individual belong to the respective AMPI Regional/State Chapters who already received IDMP fund are not eligible for next five years.

5. If any individual AMPI members want to conduct the scientific event at their institute and apply for AMPI endorsement, the same may be endorsed based on the merits of the application by AMPI-EC. However financial support will not be provided to the individual AMPI member/institute.

6. The financial support should be given to only to those AMPI Regional/State Chapters who have submitted their previous detailed report of IDMP activities to AMPI office within 3 months time after completion of IDMP scientific programme or atleast while applying for financial support and also chapter should have submitted their annual report with audited statement to AMPI office.

7. The theme of IDMP event should be similar to the IOMP theme of that particular year . Sd/.
