AUTOMATIC BOOKING SYSTEM

AGENCY AREA

INTRODUCTION We have an automatic reservation system for your convenience. Please find a brief explanation of the Agency Area we have available to you. This method will help us all be more efficient. When the data are processed by the GOLDCAR booking system, confirmation is sent to the agency in a matter of minutes. This confirmation is sent instantaneously for all vehicles with the exception of special groups. There are various ways of sending and notifying bookings to the agency and/or customers by e-mail (HTML or plain-text). IMPORTANT: Please send all last minute bookings with pick-up locations at downtown and off-airport offices (within 24 hours of pick-up) directly with the specific pick-up office.

AGENCY AREA The Web (extranet) labelled 'Agency Area' is a specific space for the agency and can be used for operations and queries concerning bookings. The agency can always access its ‘Agency Area’ and carry out various operations. The bookings, modifications and cancellations are made by the agency using forms on the ‘Agency Area’ extranet. Prices and stop-sales may also be viewed here. The web address of the ‘Agency Area’ is http://sar.goldcar.es . We also provide an ‘Agency Area’ for the test system, named ‘Agency Test Area’ and the address is http://sartest.goldcar.es . (Secondary address: http://sar2.goldcar.es) Entry to the extranet is through a start screen in which users have to enter a username and password. The required username is the agency number allocated by GOLDCAR (e.g. 12345-00).

The options available in the ‘Agency Area’ are as follows:

The main menu provides access to all the options: Bookings Explorer

The Bookings Explorer is a query tool for the following:

- Bookings - No-show Bookings - Cancellations

The query generates a list, shown by pages, containing information about the bookings requested. We can specify the booking date or the hire start date (pick-up date), as well as the vehicle group and the hire start location (pick-up place). To perform the query, use the Search Bookings button.

In the date fields it is possible to omit the day field, where the query returns the complete list for the selected month and year. In the Bookings Type field, we can choose whether to see All bookings or Bookings by types: Confirmed Bookings, No-Show Bookings or Cancelled Bookings. On the left-hand side of each line on the list, we can see a radio button. When the booking is selected by checking the radio button and clicking on the Booking Information button (at the bottom of the page), a new window is displayed containing the booking details. If it is a normal booking (not a no-show booking), the information displayed is equivalent to the booking confirmation.

Search Booking/Cancellations/No-Show

With this option, it is possible to find a Agency Voucher Reference (established by the agency) for a requested booking and the search displays the results of our request. This is the booking confirmation if the booking is correct and confirmed; the confirmation of the cancellation of the booking, if we have requested a cancellation; the confirmation of the expired booking and, consequently, a no-show booking, where applicable.

Incidence Explorer A booking incident is the specific problem whereby the booking has not been correctly processed or has been rejected for some reason and, consequently, has not been confirmed. The incidence explorer is similar to the bookings explorer, but, besides displaying a list, it also offers the possibility of finding booking incidents by the Agency Voucher Reference.

Make a Booking

The Make a Booking option sends a booking request to GOLDCAR. For the Agency Area of the automatic booking system, the bookings are entered from this option. A number of fields need to be completed with this booking request. The fields with a red title are required. Agency Voucher Reference is an obligatory field where the agency will choose a reference name and/or number that suits their needs. This number will be used in order to search, modify, cancel that particular booking.

Rental Net Rate is a new field where the agency can indicate their Net Rate Rental amount (in Euros). This is the rate established by Goldcar for the vehicle rental being reserved. This amount will be compared with the Goldcar Net Rate. If the amount entered by the agency differs from the Goldcar Net Rate, the system will reject the reservation request. If the field is left blank, the system will not do any comparison and the rate applied will be the rate in our system. The margin for error on this is .025 €, therefore any rate placed in this field which is not within the margin of error will be denied.

Make a Modification

The Make a Modification option requests a modification to a booking that has been previously confirmed. For the Agency Area of the Automatic Booking System, modifications are entered from this option. To find the booking, enter the Agency Voucher Reference. The program displays the booking on a form ready for the modifications to be made. Booking modifications are possible as long as the vehicle has not been delivered, i.e. it is still only a booking. In the other case, the modification of the hire contract (e.g. by an extension) has to be made in the normal way (not from the ‘Agency Area’).

Booking Confirmations

When the data are processed by the GOLDCAR booking system, confirmation is sent to the agency in a matter of minutes. Confirmations are automatic for all vehicles with the exception of special groups. There are various ways of sending and notifying bookings to the agency and/or customers by e-mail (HTML or plain-text).

Make a Cancellation

For the Agency Area of the Automatic Booking System, cancellations are entered from this option. To cancel a booking, enter the Agency Voucher Reference (of the agency) in the corresponding field. The cancellation of the booking will be automatic and cancelled bookings cannot be uncancelled.

Stop Sales

The Stop Sales option displays the current stop sales list (to drop down the branch offices, click on the + button). This stop sale information has a delay of approximately one hour, therefore is not absolutely real time data.

Search Prices

The search prices option is available in the agency area. You may search rates by season and select different seasons by clicking the drop menu to display the list of all seasons available for reservations.

APPENDIX A - CONFIRMATIONS BOOKINGS Booking confirmations shall be sent by e-mail to the agency or to the client (or both) as decided by the agency. E-mail format: HTML or Plain-Text can also be chosen. In default, the confirmation shall be sent to the agency in HTML (web) format. MODIFICATIONS Confirmation of modifications shall be sent to the agency by e-mail with HTML format. CANCELLATIONS Confirmation of cancellations shall be sent to the agency by e-mail with plain-text format. INCIDENCES When for whatsoever reason a problem arises regarding the Booking, Modification or Cancellation, an incident is created. The agency will receive a descriptive message of the incident by e-mail with plain-text format.
