Using Advanced Wireless Forms (AWF)

Advanced Wireless Forms offers the following features:

1. Setup 2. Advanced forms 3. Messaging

This mode is beneficial for companies that do not require the full functionality of mComet. For example, a company may want field workers to complete job-related forms and communicate with the home office/user groups only. Contact your system administrator to find out whether you should use AWF.

What’s New in this Guide

AWF Release 6.0.20 is a maintenance release. No new software changes have been made. However, improvements have been made to existing features.

Installing AWF

Install the application on your handset before using AWF.

If you are installing an upgrade to an existing version of AWF, you must first uninstall the existing version. Contact Actsoft Technical Support for assistance with all uninstalls.

There are two ways to install AWF:

• from the desktop • via the Web

Desktop Installation

Download the AWF for BlackBerry® application installation files.

1. Connect the handset, via USB cable, to the PC where the AWF files are located.

2. Open the BlackBerry Desktop Manager and double-click Application Loader.

3. When the Application Loader window displays, click Start in the Add/Remove Applications section.

4. Click Browse in the Device application selection window.

5. Navigate to the location of the AWF for BlackBerry® application files.

Contact Actsoft Technical Support for the correct AWF barcoda.alx and .cod files.

6. Individually select and open each of the following .alx files:

7. The AWF files are selected by default on the Device application selection window.

8. Click Next, and a summary of the pending installs will display.

A dialog message confirms that ‘The loading operation was successful.’

9. Click Main Menu to return to the main menu. If you have finished with the Desktop Manager, close the application.

To complete the application installation, follow the instructions in the Setting Application Options section.

Web Installation

If you are installing an upgrade to an existing version of AWF, you must first uninstall the existing version. Contact Actsoft Technical Support for assistance with all uninstalls.

1. From the handset main menu, select the Internet Browser icon .

2. On the browser screen, press the Menu key and choose Go To…

3. Enter the URL for the AWF application, and choose OK: www.actsoft.com/OTA/ct9

4. Select Download on the AWF application information page.

5. When the download is complete, a dialog message confirms that ‘The application has been successfully installed’. Choose OK.

6. Set the permissions for the AWF application:

7. Ensure that the correct permissions are set, press the Menu key, and choose Save.

8. Read the End User License Agreement (EULA), press the Menu key and choose Accept.

9. Choose Yes to allow the wireless data usage charges.

AWF will attempt to log you on automatically with the PTN (personal telephone number) set up in Comet Tracker. If your handset PTN has not been set up in Comet Tracker, the Setup screen will display for you to enter your credentials.

10. To complete the application installation, follow the instructions in the Setting Application Options section.

Network Data Selection for the GSM BlackBerry

After initial installation of AWF, the AWF Internet Setup Wizard screen displays. On this screen, you can specify the Network Data transport to be used for submitting GPS/phone data to the Comet Tracker desktop application.

The network option test runs automatically on new installations. However, if the device is not sending data to Comet Tracker, run the test again by selecting Network Options from the Setup screen.

1. On the AWF Network Wizard screen, select the transports to test.

On the AWF Network Report screen, a green checkmark after a protocol means that a valid data connection is available.

3. Choose ‘Yes’ or ‘No’ at the confirmation dialog message. Selecting ‘No’ will return you to the AWF Network Report screen to reselect.

If you need to access the protocol selection options after initial installation, go to Setup > Network Options.

Uninstalling AWF

You must uninstall older releases of AWF before installing new releases of the application. Contact Actsoft Technical Support at 813-936-1511 for assistance with all uninstalls procedures.

Setup

On installation, AWF will perform an auto-setup using your PTN (Personal Telephone Number) if it has been configured in Comet Tracker. If your PTN has not been configured, enter your Account Number and User Number manually on the setup screen while you are in network coverage. Your account and user number are stored on the handset.

All archived forms on the handset will be deleted if the handset setup is modified.

1. On the handset’s main menu, choose the AWF icon to start the application.

2. The AWF Setup screen displays. Enter your company’s Account Number (provided by Actsoft) and User Number.

3. To save the setup information, display the submenu and choose Done.

Setup is complete, and the Forms Selection screen displays. The Forms Selection screen is the default screen. Display the submenu to choose Setup or Messages.

Suspending and Returning to AWF

Return to the handset’s main menu by pressing the End/Power key. AWF is suspended, and you can return to the handset menu and use all the handset features. Resume the application by choosing the AWF icon from the Downloads folder.

Advanced Forms

Advanced forms allow companies to customize new forms, or recreate paper forms for completion on the handset. You can also save or archive forms on the handset to edit later. The handset’s memory determines how many forms you can archive. All archived forms will be deleted if you change the user and account number on a handset with stored forms. A warning message will display before you can continue.

Anatomy of an Advanced Form

In Forms Designer, your administrator creates forms that include various screen elements, such as buttons, drop-down lists and checkboxes. A main form is created, and then decision field sections are added based on the data to be gathered. Repeatable forms are also created to list multiple items of the same type.

Screen Elements and Field Behavior

Drop-down lists – Arrows next to a field indicate available data choices. If configured, you can select multiple values, or add unique values.

Decision fields – Fields requiring you to make a decision after you enter data are shaded. The text Leads to a decision displays under the field.

Drop-down list searching – Enter search criteria in the text field at the top of the drop-down list to search list values. If the field is editable, you can add a unique value to the list, and choose Add when you are finished. Added values stay at the top of the list unless deleted, changed in the Forms Designer or if the account/user numbers are changed.

Calculation fields - Calculation fields contain formulas that calculate data put into advanced forms. Using them can save time and increase the accuracy of simple or complex operations. The form below performs a simple totals calculation.

Perform calculations such as addition, subtraction, multiplication and division. Calculations can only be performed using currency and numeric fields.

Repeatable fields – Values entered into repeatable fields can be used for count, sum and averaging calculations. For example, you can count, total (sum) or average the prices of parts listed in all repeatable fields. They are designated by a multiple page icon, as shown below:

Asterisks and Icons –Fields with asterisks are required, and camera-activated fields display a camera icon. Multi-select drop-downs – If it has been pre-configured, you can choose multiple values in a field. To delete a drop-down list value, press and hold the value, and then confirm the action. Email field – Search for and select email addresses from the handset contact list by pressing in the email field. As you enter a new address, the text displays red until it conforms to normal email protocol, and change to green when it is acceptable. Click Add to add a new email to the contact list, and Accept Selection to list the contact as a recipient.

Camera-activated fields display a camera icon on the right. Conditional sections are shaded – note that additional information will display based on the choice you make for ‘Estimate Performed’.

On the form below, the ‘Estimate Performed’ section is complete. When you choose Yes, another section displays in which you can describe the work to be performed.

3. Enter the estimate dollar value in the ‘Estimated Cost’ field and select an answer to ‘Customer Accept Estimate’. Note that both sections are shaded, indicating that they are conditional sections.

4. When you select ‘Yes’ to Customer Accept Estimate, the Parts Used repeatable form displays for completion. The ‘Parts Used’ section is a repeatable form, as indicated by the multiple page icon.

5. Click on the Parts Used section, and the repeatable form displays, as shown below.

If your handset’s operating system is at least 5.0.0, you can also use the handset’s camera function to scan a barcode into a text or editable drop-down field.

6. Display the submenu and choose Scan Barcode.

7. Center the barcode in the camera viewer, and press the appropriate key to capture the barcode. Processing may take up to 60 seconds.

8. To capture an image in a field, display the submenu and choose Camera. Or, navigate to a camera field to invoke the camera automatically. Camera-activated fields are marked

with a camera icon.

9. When the captured image displays, display the submenu and select Accept to keep the image, or Reject to retake the image.

10. Display the submenu and choose Images to review captured images.

11. Choose More to complete the repeatable form as many times as needed to list all parts used.

12. When you are finished, choose Done, and the main form will redisplay.

13. Continue to the next conditional section of the form, Job Completed. Select No.

14. Enter the reason for the job status, and continue to the Parts Needed repeatable forms.

15. Enter the parts needed in the repeatable form. Select More to add more repeatable forms, and Done when you are finished.

16. Back on the main form, continue with the next portion, the Return Date.

17. Enter the Contact Phone, and choose Send.

Messaging

Use Messaging to communicate with supervisors and other workers. When new messages are received, the handset LED will flash red in a slow pattern until you read at least one new message.

1. Display the submenu and choose Messaging.

2. Select a message from the list to display.

3. Review the message.

Click on any hyperlinked text in the message and send emails, dial phone numbers or go to web addresses. Click the text and display the submenu for options.

4. To type a response, choose Reply.

5. Use the drop-down arrow at the end of the To field to choose a recipient, or type one in the field. Navigate to the text area, type a response and choose Send, or Cancel.

Additional Options

Barcode Scanners

AWF uses your handset’s built-in Bluetooth® technology to scan barcodes using a handheld scanner. When using the scanner, workers do not have to manually enter form information. Custom barcodes can be created for any purpose, and existing barcodes, such as UPC/EAN/JAN, Code 39, Code 128, and Interleaved 2 of 5, are supported.

Enabling Bluetooth and Pairing the Devices

1. Display the submenu and choose Setup.

2. On the Setup screen, display the submenu and choose Device.

3. On the Device Setup screen, choose the device type.

AWF attempts to enable the device. When a device is found, it is listed on the Bluetooth Devices screen. If no device is found, a dialog message of ‘None’ will display on the handset screen.

4. Select the desired device, display the submenu, and choose Select from the Bluetooth Devices screen.

5. Enter the passkey (default: 0000).

6. Press the Escape key to return to the handset menu.

7. Choose Settings > Bluetooth.

8. Choose your device from those listed on the screen.

9. Display the submenu and select Device Properties from the menu.

10. On the Device Properties screen, display the submenu and select Trusted.

11. Display the submenu and select Change Option.

12. Select Yes at the prompt.

13. Still on the Device Properties screen, set Encryption to Disabled.

14. Display the submenu and select Save.

15. Press the Escape key twice to return to the main menu.

Using the Scanner

1. Press the Scan button on the scanner once. The green LED blinks twice every two seconds. This indicates that the scanner is in discovery mode.

2. Navigate to a repeatable form or advanced form.

On the scanner, observe that the green LED only blinks once every two seconds. This means that the scanner is now connected. As long as the scanner is connected, you can use it on any Form screen without re-enabling it from the menu.

If the scanner remains idle for longer than 10 minutes, it goes into Sleep mode (the LED stops blinking), and a Scanner Disconnected message displays on the handset. Press the Scan button on the scanner once to resume using the scanner.

3. Select a field and scan the desired barcode.

AWF advances to the next record when you reach the last field on a screen. You can continue to scan without overwriting any fields.

When scanning, the handset emits different tones to indicate a successful or unsuccessful scan. A scan may be unsuccessful if the scanned information conflicts with the form field constraints or a barcode is more than 30 characters in length.

Resetting the Scanner

If the scanner fails to connect properly or disconnects immediately, you may need to reset the scanner to the factory defaults. Exit AWF before resetting the scanner.

1. On the main menu, select Options.

2. On the Options screen, select Bluetooth from the list.

3. Select the name of your scanner device, display the submenu and choose Delete Device.

4. Scan the Factory Defaults barcode provided with your scanner documentation.

Important Notes On Scanning

• If the scanner does not have an active link to the handset, barcode data is stored. When the link is re-established, the barcodes are sent to the handset.

• The handset emits different tones to indicate successful or unsuccessful scans. A scan may be unsuccessful if the data conflicts with the form field constraints, or if a barcode is more than 30 characters in length.

• If you scan a barcode that contains a character that is not allowed, an error displays on the handset screen. This error displays the first barcode character not allowed for that field. Clear the error to continue scanning. In addition to the constraint error and unsuccessful tone on the handset, the barcode scanner also emits an unsuccessful tone to notify you if you are away from the handset while scanning.

• If the scanner has trouble connecting or disconnects immediately, reset the scanner to the factory defaults. To reset the scanner, scan the factory default barcode included with the scanner’s documentation.

Printers

AWF 6.0.20 supports the Samsung Bixolon® SPP-R200 printer. This is a handheld Bluetooth mobile printer that can print up to 800mm per second (3.15 inches). The SPP-R200 uses a lithium-ion battery with an 8-hour continuous battery life. Stand-by operational time is 14 hours; a single battery charge can print up to 10 paper rolls.

Text screens that are printable from within AWF are:

• Order Details • Directions (if Routing is enabled) • Debug Log • EULA (only selected carriers/devices)

Pairing the Printer

To pair the printer with your handset:

1. Display the submenu and choose Setup.

2. On the Setup screen, display the submenu and choose Device.

3. On the Device Setup screen, choose the device type.

AWF attempts to enable the device. When a device is found, it is listed on the Bluetooth Devices screen. If no device is found, a dialog message of ‘None’ will display on the handset screen.

4. On the Bluetooth Devices screen, choose the printer from the list.

5. Enter the passkey (default: 0000) in the passkey field.

6. Press the Escape key to return to the handset menu.

7. Choose Settings > Bluetooth.

8. Choose your device from those listed on the screen.

9. Select Device Properties from the menu.

10. On the Device Properties screen, select Trusted.

11. Display the submenu and choose Change Option.

12. Select Yes at the prompt.

13. Still on the Device Properties screen, set Encryption to Disabled, display the submenu and choose Save.

14. Press the Escape key to return to the main handset menu.
