    Plan Ahead!

    Dispose of unwanted materials

    appropriately

    Don't schedule any importantdeadlines near your move date andget all of your work done early

    If you do a lot of mail

    correspondence with customers orclients, it's important to inform themprior to your move

    Give clients your cell phone numberif you're changing business phonelines

    Move only items of use or value tothe new facility; all equipment movedshould be in good working order

    You are not authorized to be in thespace before the move is complete

    Your Responsibilities

    Clean out storage and commonareas

    Organize office files for packing andtransportation

    Pack safely and with consideration

    for the people who will be moving theboxes you pack

    Take valuables, breakables, sharpsand personal plants home before themove; items you want in the newoffice can be brought back after themove

    Know what you need to get up andrunning, then pack those thingstogether and make them easilyaccessible

    Office Move: Potential Hazards

    Slip, trip, and fall hazards due toclutter from boxes, furniture,trolleys, etc.

    Strain and overexertion fromlifting, shifting, pushing, pulling,

    packing, unpacking, etc. Obstruction of corridors, hallways,

    doorways, etc.

    Toxic fumes from use of cleaningproducts

    Dust

    Poor ergonomic set-up at newwork-station

    Packing Your Office Space

    Spring cleando you really need totake it all with you?

    Stage a recycling can for purgedpaper

    Schedule enough time to pack overseveral days, avoid long packing

    sessions

    Get adequate rest, fatigue inducesinjury

    Identify items others will handle

    Plan so pathways will be open

    Obtain a stepladder for overshoulder reaching

    Get a cart, if necessary, to positionand move boxes

    Moving Your Office Space

    Leave frequently used items until the end;mark those boxes with items neededimmediately after the move

    Label your boxes both for destination andfor contents to aid unpacking

    Pack from the top down and unpack fromthe bottom up to keep cabinets stabilized

    If filled boxes would be too heavy, onlypartially fill boxes

    Place packed boxes in a location that will

    minimize bending and twisting Take breaks; mix packing with other

    activities

    Avoid Inhalation Hazards

    Thoroughly inspect for dust, insects

    and mold contamination

    Wear gloves if using cleaning agents;read all labels carefully, don't mixchemicals

    Dust mites are invisible and are a

    fairly common allergen People who are allergic to dust

    mites may experience itchy,irritated eyes, runny nose, coughand in more severe cases,shortness of breath and difficulty

    breathing (asthma) Wear clothes that can be machine

    washed; wash clothes after packingand before wearing again

    Lifting and Carrying Tips

    Use appropriate lifting and

    bending techniques:tighten your abdominalmuscles and bend at thehips, maintaining thenatural curves in your back

    Lift with your knees and

    not with your back

    Turn with your feet toprevent twisting your body

    Use proper carryingtechniques: test item forreasonable weight, holditem close and waist high,keep view unobstructed byitems

    Prevent Falls

    Be sure the pathway is clear before you

    walk Close drawers completely after every use

    Avoid excessive bending, twisting, andleaning backward while seated

    Secure electrical cords and wires away

    from walkways Always use a stepladder for overhead

    reaching; chairs should never be used asladders

    Clean up spills immediately.

    Report loose carpeting or damagedflooring to Security

    Never carry anything that obscures yourvision.

    Wear stable shoes with non-slip soles

    Stand on a chair/furniture to retrieve

    Use a hand truck or wheeled cart tomove items unless you have yoursupervisors permission

    Setting up Safely in Your New Space

    Spread unpacking over several days

    Prioritize essential start-up items:computers working, networkrequirements, mail/phone, etc.

    Confirm all furniture and equipment inyour workstation are installed correctly

    There must be an 18 clearance betweenthe top of the cabinet to the ceiling toensure the sprinkler system can workefficiently without hindrance

    Ensure your work area is free of potentialslip/trip/fall hazards (e.g. boxes in

    walkways, uprooted carpet, electricalcords)

    Design your work area with ergonomics inmind to help prevent repetitive-motioninjuries

    Arranging Your Workstation to Fit You

    Adjust the chair seat height so yourthighs are horizontal while feet are flaton the floor

    A footrest may be necessary if you cannotrest your feet comfortably on the floor

    Adjust the seat pan depth so your

    back is supported by the chair backrest while the back of the knee iscomfortable relative to the front of theseat

    Adjust the back rest vertically so thatit supports/fits the curvature of your

    lower back With arms at your sides and the

    elbow joint approximately 90 degrees,adjust the height/position of the chairarmrests to support your forearms

    Arranging Your Workstation to Fit You(continued)

    Adjust the height of the keyboard so yourfingers rest on the keyboard home row whenthe arm is to the side, elbow at 90 degrees,wrists straight

    Place the mouse next to the keyboard tray;keep wrist in neutral position with the arm andhand close to the body

    Move the monitor away from sources of glareor direct light; use an anti-glare filter on thescreen, adjust blinds

    Adjust the monitor height so the top of thescreen is at eye level; if bifocals/trifocals are

    used, place the monitor at a height that allowseasy viewing without tipping the head back

    Place reference documents on a documentholder close to the screen and at the samedistance from the eye

    Apply Safe Work Practices

    Avoid cradling the telephonebetween the head and shoulder;use a headset

    Keep frequently used items like thetelephone, reference materials, andpens/pencils within easy reach

    Move between different posturesand stretch regularly

    Use the minimum force necessaryto strike the keyboard, or toactivate the hole punch and staple

    Take mini-breaks and vary tasks torest the eyes and muscles

    Don't lean back in your chair, keepboth legs on the floor

    Flex N Stretch

    Stretching is a simple and effectiveactivity that will help you enhance yourwork performance, decrease yourlikelihood of a work-related injury andminimize muscle soreness.

    Stretching increases the length of both

    your muscles and tendons (whichimproves range-of-motion) and bringsoxygen to your brain and muscles.

    Just stretch far enough until you feelsome resistance and stopdo notoverexert yourself. If at anytime you

    feel discomfort or pain, you need toSTOP.

    Stretch with your team at the start ofthe day, and make it a habit to startteam meetings with simple stretches.
