Welcome to BeveragePro.  BeveragePro is an integrated software solution designedspecifically for the beverage based blending and bottling operation. Designed for bulk orcase good products, BeveragePro features an integrated order fulfillment system that offersan easy to use, on-line, order processing browser with detailed inquiry capabilities for orderstatus, carrier arrivals, and lot control, which enables complete trace ability. It providesdirect access to quality control analysis for in-house quality control lab tests and USDA lab

testing. A comprehensive inventory management system allows users to access inventoryavailability by Source, Product, and Containers (SPC) for bulk and standard inventory,including a tank farm monitor that can track multiple owners. Radio frequency bar codingtracks inventory movement for multiple facilities and warehouses for traditional orconsigned inventory for bulk and case good products. Work orders track the status ofblend activities, ingredients, packaging, and provides multiple costing methods and a multi-level bill of material system. Optional, is a government-reporting module that providescompliance for BATF government requirements, and a Commodity Receiving system.

Order Fulfillment Main Application Window  

BeveragePro’s Order Fulfillment system is designed to handle both bulk and case good

orders. The Work With Sales Orders screen gives complete access to every order and issearchable by date, customer or order type. Users can choose their individual preferencesfor what types of orders they would want to view. Because of the tight integration of theinventory and shipping systems, the salesperson always has access to quantity on handand views to the fulfillment process. Pricing information is available at the users fingertipsfor quick access for a specific customer, product, or promotion periods. The screen belowdisplays the work-flow orientation for users by giving the user accessibility to the SPCodeInquiry function, Carriers Transportation, Shipping Applications, Customer Applicationsand ProFiles.

The Work with Sales Order browser displays the status of orders by ship date for bothstandard and bulk orders. Allows up to date reporting back to the customer.

Main Features:

  Easy access to orders placed by ship date, customer, bulk or standard,weighted or non weighted, and status. The user can set preferences that arememorized by user name such as order status. 

  History – elapsed time tracking from the time the order is entered till the orderis shipped. 

  Copy – An order can be duplicated without additional data entry.   Move – The ship date may be changed without going into the order.

Shipping Status

The Shipping Control application provides the following status of orders scheduled forshipment on a particular day for bulk or standard orders. Bulk orders allow for weightentry or can be integrated with digital scales.

  Order status tracking  Captures the weight of shipment for bulk

  Allows for printing of Bill of Ladings via PDF which can be emailed tocustomers.

  Easy access to pricing, arrivals, order detail and shipping notes with buttonsdisplayed on the bottom of the screen.

Manufacturing Application Main Menu 

The Manufacturing system within BeveragePro is a full work order system, qualitycontrol functions, including USDA score sheets. Work orders can be automaticallygenerated by order fulfillment or created for inventory and tracks all ingredients,packaging, and costs. The Work with Work Orders browser is used to search forwork orders by day, SPCode, product type, production line, or shift. Every step ofthe process, can be monitored by other users of the system and all score sheet andquality control functions are available to the production manager.

Work Orders

The work order browser is designed to generate work orders based on orders andspecific product rules. Work Order schedules can be viewed daily or weekly and

production schedules can be organized in Excel and imported into BeverageProautomatically. Products to produce can be sorted via SPCodes, by type, line,and/or shift. Work orders can be copied, moved to another schedule date orprinted. The status of work orders can also be sorted for open, planned, active,closed, and posted work orders.

Ingredients TAB

Displays the ingredients to produce product. Allows multiple unit of measure,planned production quantity, usage %, what warehouse it will be stored in, location,and what lot number this product was produced from. Easy access buttons allowthe user to access costs, inventory availability, and the history of the work order.Notes can be added to the work order and printed.

The specification TAB allows score sheet types to be updated with tolerance ranges and isintegrated with the score sheet application system. The Procedure TAB below provides the abilityto enter text and graphics blending and packaging instructions and can be linked to a companyIntranet website for consistent products across multiple plants or blending facilities.

BeverageProIn-House Lab Quality Control Score Sheet 

The Work with Score Sheet application enables the setup of user defined quality controltest types such as Lab, USDA, and No Score. Formats and templates are defined withscore elements, specifications and tolerance levels. Products are assigned specificformats and score elements. Specific quality elements can be averaged and then printedon barcode labels for a wide variety of products such as drums, pallets, sholle bins, etc.

Inventory Main Application Menu 

Inventory tracking is the heart of BeveragePro’s power to make your company more efficient. Thedetail to which inventory is tracked is user definable. You can track each bulk or case product,ingredients, packaging, labels, supplies, or anything else you want to track by company, facility,

warehouse, tank farm, or tank. In this system, the user has the option to search by Internal andExternal item description, item number, cross reference number, Customer’s item number, orSPCode. SPCodes allow products to be sorted by Source, Product and Container, and cangenerate a “human readable barcode” that is easy to identify. BeveragePro’s InventoryManagement System is designed so that users can quickly look up a product no matter whatnomenclature they need to use.

  Work with SPCodes – Setup of all inventory products with their characteristics.  SPCode Inquiry – Displays product on hand and what’s available to sell.  SPCode History – Detail history of transactions by warehouse.  SPCode Budget – History of budget and costing records for finished products

Work with SPCodes screen – Properties Tab

An item in inventory can be tracked by its internal description, external description, old item

number, a cross reference number, or the customer’s item number.  Inventory type , Commodity , Class , and Business Sequence are all user defined categories

that identify what the product type is for fast searches and tracking. Simple radio buttons areused for determining whether the product is a bulk or case good product.

“Keep Inventory by ” Stock/Balances, Bar Coded/Serial#, or tank farm.  Tax Code and Proof for alcoholic beverages is not required, but they are used if an alcoholic

beverage company needs to track tax rates and proof levels for different types of beveragesfor government reporting requirements.

Lot tracking can be done by FIFO or LIFO. If the product needs to be tested, it will require ascore sheet.

Prod./Inv. Denotes the conversion used to produce a pallet, for example, 100 gallons of

cider to make 1 pallet. The Unit of Measure (UOM) section shows what measure the product is purchased, stored,

produced and then invoiced as. The Warehouse section tells which facility the product is normally produced and shipped

from and is designated as the default location.

Work with SPCodes screen – Extensions Tab

The Extensions tab holds critical quality control information for the product. For example, the shelf life , the weight , cases per pallet , color , or whether it is a kosher product. Conversion factors aretracked here such as Wine Gallon, pounds per gallon, and milliliters per gallon. Also, if it ishazardous, all the critical information is applied. Finally, the minimum and maximum stock can beregulated along with UPC code tracking.

Work with SPCodes screen – Costing Tab

The costing function in BeveragePro allows for budgeting of material, packaging, labor andoverhead costs. The budget is then automatically matched against the actual average costsincurred producing the product. Clicking on the “Detail” button will allow you to view and changeyour budgeting records for that product (below).

SPCode Budget and Costing Screen

Provides for different costing methods and the ability to update costing records. Items can be

costed utilizing from/To dates and sort quickly by company, facility, and SPCode with the click of amouse for active, inactive, and pending costing records.

The pricing TAB function provides a default for order entry quantity, allocation method, price andshipping facility.

• Product Pricing – Allows sales and UOM pricing with from/to dates.

• The “Customer Pricing” button allows products to be priced by customer and provides fordiscount %’s, promotional pricing, and allowances.

Purchasing Tab

Inventory purchased to produce the finished product can be tracked within the purchasing function.The lead time needed, the minimum order, preferred vendor, and the last vendor the product waspurchased from is tracked. Three preferred vendors are displayed by ranking to provide the user

with multiple options to purchase any inventory type.SPCode History

SPCode history allows the user to track historical transactions for items by warehouse and can besorted by date range and transaction types.

• Quantity on Hold

• Committed Sales

SPCode Inquiry 

Inquiry functions allow the sales department to quickly view quantity available to sell and quantityon hand. This is selectable by Source, Product, and Container (SPC), facility, warehouse, productclass, or customer item number.

The lower buttons display the following: Detail – Displays balance and uncommitted sales detail Verify – Verifies cycle count or actual spot floor count Fold – Closes lower window. Cost – Link to Budget and Costing Screen History – Link to SPCode History Screen Lots – Link to Lot Tracking Screen

Tank Transactions 

The tank transactions screen enables transaction entry of a product into or out of a tank. It alsokeeps a running history of such transactions.

The buttons on the bottom of the above screen are described below:

• Adjustments – allow the entry of inventory adjustments with reason codes

• Cycle Count – physical inventory count – Stick or load cells

• New Turn – turns the tank, empties and creates transaction

• Tank Owners – ability to track multiple owners within a tank• Lot Tracking – specific lot identification

• Transfer – ability to transfer to another tank for blending or other reason

• P.O. Receipt – Receipt of items or ingredients into a tank that was purchased from avendor.

Purchasing Application Main Menu 

BeveragePro’s Purchasing application is fully integrated with Material ResourcePlanning and Accounts Payable applications to automate the buying process. Itprovides suggested purchase orders based on inventory min/max levels and MRPfor work orders and production. Included is a requisition management system withbuyer authorization levels and approval routing.

  Work with Requisitions – PO requisitions with approval levels  MRP Suggested Purchase Orders – Material Requirements Planning looks

at all the inventory levels, production schedule, and products to beproduced (work orders)

Requisition Entry

The Requisition Entry application allows the entry of stock and non-stock items.Requisitions can be requested by user, department, and facility. Requisitions canbe routed to the buyer for procurement and products can be procured for a project,

such as a capital expansion. Products can even be procured from a customer andin turn blended to make another product and then sold back to the customer. Thesystem provides for standard and blanket purchase orders.

Purchase Order Entry

The Purchase Order Entry application allows for entry of purchasing information. PO’s canbe automatically generated from approved requisitions and can consolidate requisitionsinto a single PO. The multi-tab folder allows the user quick access to order detail,

extension information (ship to), receiving information, and payment information. Partialshipments can be received against PO’s and individual line item transactions and remainingquantities are tracked. Lookup by vendor, SPC, or item # as illustrated below.

QC Applications Main Menu 

The Quality Control functions in BeveragePro offer complete access to all qualityrelated functions in the system. Score Sheets are the heart of this system.BeveragePro provides three types of Score Sheets. Production, CustomerSpecifications, and USDA Score Sheet processing help companies maintainconsistent product quality and test tolerances. Production Holds flag inventory theproduct does not meet either the customer or internal product quality standards. Itis also used for freeze times.

The majority of the applications on the QC Applications menu have been covered inprevious sections of this overview with the exception of:

Productions Holds – shows product that is on hold, why it was put onhold , and when it is available for release

Bill of Materials – detail setup of finished product with all associatedcomponents.

Production Holds

The Production Holds application enables product to be put on hold, gives a reason for theproduct being held, and displays when held product will be available for release. Productrules (below) are user defined and items can automatically placed on hold for micro counts,freeze times, etc.

Lot Tracking

The lot tracking application provides for lot tracking by company and/or facility for manufacturedand purchased product. Any of data fields listed below can be entered and all lots associated withthe selection will be displayed. Highlight the records you desire and click Recall and all criteriawill be searched and a report will be produced with items, customers, etc.

Bill of Materials

The Bill of Material application enables the entry of components of finished goods. Thisbrowser will split apart the ingredients and packaging materials and will track the total cost,packaging cost, ingredient costs using either average or a standard costing method. Bill ofmaterials can be printed and can require approvals depending on the business procedureemployed in your organization. It can also be used as a basis to create a new bill ofmaterials by utilizing the copy button and then the user can change a few ingredients orpackaging materials to create a new finished product.
