Invitation to participate
AMCA is pleased to invite you to participate as a presenter at the Construction Innovation 2019 Forum.
Organised and hosted by the Air Conditioning and Mechanical Contractors’ Association (AMCA), the
Forum will be held at the Melbourne Convention and Exhibition Centre 22 – 23 August 2019.
The Construction Innovation Forum has become one of the preeminent BIM events hosted in the Asia
Pacific and is a significant activity on the Australian building and construction calendar annually.
With consideration on demonstrating how technological advances meet best practice applications, the
program is designed to bring together thought leaders and practitioners from across the world to
discuss and share information at an industry level.
The focus of the Forum is on the demonstration of how BIM technologies and practices are being
successfully used by companies across the world to increase their efficiency, productivity and profitability
– at every stage of the project lifecycle.

Information for prospective presenters
Becoming a
presenter
There are two ways to participate at the Construction Innovation Forum:
1. Submit an abstract and have it accepted by the BIM-MEPAUS
Project Board.
2 . Being invited to present on a given topic.
Session types and
formats
Presenters are requested to abide by the following accepted formats:
Technical Presentation
The presentation is delivered from the front of the room in an
auditorium style layout, usually accompanied by audio-visual media.
The size of the session typically ranges from 300 - 400 attendees.
Technical presentations ideally focus on “best practice” solutions or
case studies.
Facilitated Forum
Presentations take the form of a workshop, roundtable or panel type
discussion. The presenter is expected to facilitate discussion on a
specific topic or topics with training, learning and development
outcomes in mind.
Session lengths
The following durations are offered as a guide only and are subject to
change or negotiation:
• Technical presentation: 30 - 40 minutes
• Facilitated sessions: 50 - 60 minutes
• Keynote presentations: 50 - 60 minutes
Technical presentations are expected to allow 5 - 10 minutes for
questions within the allocated time. For example, a 60-minute session
might include a formal 50-minute presentation, followed by 10 minutes
of question time.

Abstracts are to be classified under the following categories:
• Head Contractors
• Property Owner or developer
• Consultants and Contractors
• BIM Management
• Construction
• Operation and Facility Management
• Government
• Quantity Surveyor
• Estimation
• Visualization
• Analysis
• Third Party Tools
Experience level Each session is required to have an experience level nominated by the
presenter. Presenters are to ensure their nominated experience level
matches the content in their presentation. Feedback from previous
Forums suggest that attendees are looking for more advanced content;
therefore, we are seeking abstracts in the following experience levels:
• Intermediate;
• Advanced;
• Expert; and
• All levels (Forums etc.)
Presenter
expectations
Once an individual has an abstract accepted or is invited to present,
presenters are requested to abide by the expectations outlined in this
document. Presenters will also have access to secretariat assistance
from the Construction Innovation Forum organisers upon request.
Please avoid
The BIM-MEPAUS Project Board wishes to promote a training, learning
and development environment. It has been our experience that
‘marketing’ presentations are received negatively. Consequently, we
request that you avoid sales pitches and excessive self-promotion.

Selection criteria and approval process
Submitted abstracts will be reviewed by the BIM-MEPAUS Project Board, keeping in mind the Forum’s
objectives, time and resource constraints.
Selection criteria for approval shall include, but not be limited to, the following:
• Proposed session title matches proposed content;
• Experience of the presenter;
• Previous ratings of the presenter and/or topic;
• Relevance of topic to BIM and/or construction innovation;
• Potential benefit and interest to delegates;
• Amount and quality of proposed content;
• Proposed content matches proposed duration and skill level; and
• Number of like topics received.
Acceptance of abstract
AMCA will advise all prospective presenters by email if their abstract is accepted.
Upon review of submitted abstracts, Construction Innovation Forum organisers may contact you to
suggest changes to your subject matter, mode of presentation, or experience level to more closely align
with the Forum objectives.
To promote diversity and equity, we are placing a limit of one presentation per author.
If accepted, it is expected that planning by both the presenter and the AMCA will begin to ensure
sessions are in conjunction with the Forum guidelines.
AMCA recognises the amount of work involved in the developing your presentations and advises all
presenters to allow enough time for a professional and informative presentation to be delivered.

Presenter expectations
General
expectations
Presenters are reminded to prepare a professional, training
quality presentation that ideally focuses on “best practice”
solutions or case studies.
Timeline for
submissions
Presenters are requested to submit their handouts and / or
presentations by the advertised due dates.
Preparation The Construction Innovation Forum Presentation Manager will
maintain regular contact to ensure that the development of the
presentation remains on track.
Presenters will be provided with a Forum branded Microsoft
PowerPoint template (if requested) upon which to prepare their
presentation. Other formats may be used by arrangement with
the Construction Innovation Forum Presentation Manager
(Adobe Captivate, Prezi etc.).
Presenters are referred to the Forum archive on the BIM-MEPAUS
website for examples of past presentations.
Technology Presentations are expected to be accompanied by visual digital
media such as PowerPoint slides, Adobe Captivate, Prezi, audio,
video etc.
Presenters are to nominate their preferred software
requirements, which will be accommodated to the best of our
ability.
Forum organisers will ensure that agreed software is installed
onto the venue’s audio visual hardware prior to the event.
Any changes to the required software should be communicated
to the Construction Innovation Forum Presenter Manager or
Event Coordinator at least 30 days prior to the Forum. Failure to
provide software requirements or datasets more than seven days
prior to the Forum will be the presenter’s responsibility.

Presentation
distribution
Once an abstract has been accepted, AMCA expects to receive a
detailed handout of your presentation for distribution to
attendees.
Please notify Construction Innovation Forum organiser’s if
commercial sensitivities preclude.
An electronic copy of both the presentation and handouts are
required in advance so that digital media can be uploaded and
hardcopies printed. Presenters will be advised of these dates.
The handout and presentation will be made available on the
BIM-MEPAUS website for downloads, and will therefore become
public domain following the forum.
It is the presenter’s responsibility to ensure that no elements or
images are in breach of any confidentiality agreements and that
all copyright is owned (original content) or that permission has
been received from the copyright owner.
Presenters are to be aware that copies of presentations and
handouts will be distributed across multiple continents.
At the conclusion of the 2019 Forum, you will receive formal
correspondence seeking your authorisation to upload your
presentation to the BIM-MEPAUS website.
Feedback forms
Presenters are requested to provide a short feedback sheet for
attendees in relation to the content presented. This is required
for the approval Career Professional Development (CPD) to
attendees by relevant industry members.
Language Presentations are to be prepared in English. If required, a
translator can be organised prior to the Forum at the presenter’s
own expense. Translation will need to be resolved to the mutual
satisfaction of both parties.

At the Forum Presenters will be expected to have loaded and tested their
presentations on the audio visual equipment provided. This can
be done the day before, or the morning of, their nominated
timeslot.
Presenters can expect to have an introduction prior to the start
of their session, and to have a room attendant assist with
timekeeping and general order during the presentation.
Presenters will also have access to on-site technical support for
any last minute audio-visual issues.
Conduct AMCA Forums are professionally run for the benefit of the
industry. Presenters are expected to conduct themselves in a
professional manner at all times.

Advertising and
marketing
Presenters will be introduced by a third party, usually the
Construction Innovation Forum organisers.
Presenters are permitted to provide a biographical overview,
including a description of their respective employers. This should
take no longer than two minutes.
The integrity and quality of the Forum is undermined by overly-
aggressive sales pitches and reflects poorly on both the AMCA,
and the presenter. If sales and marketing is your primary
objective, sponsorship and exhibition packages are available.
Please see the Sponsorship and Exhibition Prospectus for more
information.
Based on feedback from previous years, the best form of
advertising is a high quality, training or case study oriented
presentation.
Handouts with information advertising the presenter’s wares
may be provided. These are to be limited to no more than 150
words. Brochures can be included in the session handouts and
are not to be distributed at the door without prior written
consent of the Construction Innovation Forum organisers.
Company banners or other promotional materials are not to be
displayed during your presentation.

Notice of
cancellations
In submitting your abstract, you agree that you and / or a co-
author will be registered to the Forum to present the successful
presentation.
If you are unable to present for any reasons, Construction
Innovation Forum organisers reserve the right to find a
substitute presenter to present the same abstract.
Please notify us immediately should you be unable to present.
If you have submitted your presentation and are subsequently
unable to present on the day of the Forum, please make all
efforts possible to find a replacement presenter. Alternatively,
Construction Innovation Forum organisers will seek to identify a
substitute presenter to present your material on your behalf.
Organisers will ensure you receive credit for your presentation.
At their discretion, Construction Innovation Forum organisers
may choose to pass on associated costs to an accepted
presenter who fails to advise of a last-minute cancellation. These
include, but are not limited to, flights, meals and
accommodation costs.

Presenter entitlements
Presenter
entitlements
Presenters have been divided into the following three categories
and their specific entitlements are as follows:
General Topic
Complimentary registration will be offered to the primary author
of each successful abstract. Travel and accommodation is at the
author’s own expense.
Software Specific Sessions
Complimentary registration will be offered to the presenter per
successful abstract. Travel and accommodation is at the
presenter’s own expense.
Panel Members
Invited members of any panel discussions will not be entitled to
the complimentary registration unless they have already
qualified in either of the two categories above.
International
presenter
entitlements
At the invitation of the Construction Innovation Forum only,
international keynote presenters are entitled to the following:
• Two return, economy class airfares for you and your
partner
• Transfers to and from Melbourne International Airport
• Three nights’ accommodation at the Pan Pacific, South
Wharf.
• Invitation to the exclusive presenters’ dinner at the
conclusion of day two
Upon notifying AMCA of your acceptance, we encourage you to
book return flights to Melbourne International Airport as soon as
possible. Event organisers aim to reimburse flight costs within 14
days.
In the event of cancellation, AMCA reserves the right to issue an
invoice to you or your company to recoup costs.

General
entitlements
All presenters will be invited to join sponsors and the BIM-MEPAUS
Project Board for post Forum cocktails on Day one and Day two,
as well as a Presenters’ Dinner at the conclusion of Day two.
Presenters and their employers will receive acknowledgement in
the final plenary session of the Forum.
By way of presenting at the Construction Innovation 2019 Forum,
presenters will receive acknowledgement from their peers.
Given that the AMCA is a Continuing Professional Development
(CPD) Accredited Provider with the Victorian Building Authority,
we offer CPD points for registered Building Practitioners and
allied professionals. Presenters may be entitled to additional CPD
points depending on the professional associations they are
members of.

General guidelines
For a successful
presentation
The following general guidelines are provided for a successful
presentation:
• Ensure presentations and handouts are written in
sentence case English
• Slides should be short and succinct
• Slides should be readable from the rear of the auditorium.
• Minimum font sizes (as provided in the presentation
template material) should be observed.
• Use attention grabbing colors and wording.
• Clearly communicate your information.
• Stay in control of your presentation.
• Avoid reading from the handout.
• Allow time for questions and answers at the conclusion
of your formal presentation.
Review and
feedback
AMCA is always looking at ways to improve all aspects of the
Forum. If, as an accepted or potential presenter, you have any
suggestions, please feel free to pass them on to the Construction
Innovation 2019 Forum Presenter Manager.
Presenter
Community
Construction Innovation Forum presenters and general interest
parties can utilise the BIM-MEPAUS website community to share
and discuss items.
Presenter agreement
To confirm your presentation application, kindly sign this document in the space provided and
return to the Presenter Manager: [email protected].
In addition to completing the presenter agreement, please ensure you provide the following:
• A short biography (up to 150 words)
• A title for your presentation
• A short abstract (up to 300 words) about your presentation topic.
• Hi Res Profile image of yourself
By submitting an abstract proposal, presenters acknowledge that they have read, understood
and agreed to abide by the requirements and conditions listed within the Presenter Guidelines.
Upon completing this application, your abstract will be reviewed by the BIM-MEPAUS Project
Board, who will endeavor to provide a response two weeks from the date of receipt.
