The Acacia Association Board of Directors
Meeting of April 8,2014.
The Board of Director's Meeting of April 8,
2014 was called to order by Pres. O'Connor
at 7:00 p.m.
Dirs. in attendance were: Pres. O'Connor,
V.P. Eckert, Sec'y Brandush, King, Shepley,
Murray, Bersin and Creed.
Treas. Polacek was absent.
The Pledge of Allegiancewas recited.
Motion (Eckert, Brandush) to approve the
Minutes of the March 11,2014 BOD
Meeting. Motion passed. (8/0/1).
Treasurer's Report: Frank O'Connor read
the report given to him by John Polacek.
Collections are normal. Expenses were
normal except for snow removal which is
$12,260 over budget for the year, no
surprise. All other expenses are normal. Our
Operating Reserve level is the same as last
year. We are in good shape financially.
Our Past Due Accounts show 31 accounts in
arrears with 3 accounts representing
$11,728.44 of the $17,437.97 total past
due. We are doing our best to lower this.
Again, we have 5 missed or late payments
that could be eliminated by the members
using the ACH automatic withdrawal
payment method and avoiding the late
payment penalty.
Judy Strawn and I are working on reports
and projections that will, hopefully, allow us
to look ahead at income and costs to make
a reasonable judgment on any change in
the monthly assessment amount.
Frank said we had an income of $72,817
and our expenses were $40,331. Grounds
was $10,369. $5365 of that was snow
removal. There is one correction that was
made to the P&L Statement that was not
carried over to the copies you have. Under
Clubhouse repairs the amount was
$1,182.78. out of a budget amount of
$1,500. $733 of this amount was moved to
account 6280 for the fire alarm system. The
$733 was for backflow assembly
certification.
Motion (Bersin, Brandush) to accept the
Treasurer's Report as prepared by staff.
Motion passed. (8/0/1).
Clubhouse Director's Report: Loretta
Murray said last month we talked about the
Atrium and get that approved for the All Pro
contract that was given to us. One question
was what it would cost to put heating in. All
Pro does not have stats. They indicated it
depends on how we run the thermostat. He
recommended installing heating and then
monitor it for a year. The other issue was
the hazard bar on the doors outside. They
can repair the door and put a hazard bar at
a cost of $250 to $300. They can put in a
new door with hazard bar for $375 to $500.
She recommends replacing the doors.
Motion (Murray, Bersin) to approve the
proposal and the bid of $86,120.
To remodel and rebuild the Atrium
including new doors on the ends, including
a bathroom and an additional $500 for the
doors for a total of $86,620 which includes
the hazard bar. Motion passed. (8/0/1).
Loretta said the project will start after poolseason late Sept or early Oct.
She would like to start a committee to
redecorate the clubhouse. Anyone who
would like to be on the committee can call
the office.
At the last meeting we talked about office
hours. The attendants are collecting stats to
see how many people call or come in on
Saturdays.
Recreation Facilities Director's Report: Jack
Brandush said that we will be doing new
pool iD's. He is going to digitize, all the ID's.
ID dates will be May 3,15,17,18 and 20.
Residents can come in and we will take a
picture. Ifyou are in arrears you will not get
a pool ID. If you cannot make these dates
let Donna know and Jack can accommodate
you. Ifyou come to the pool after it opens
without an ID,Jack will not be able to take
your picture right then. He will set up a
time.
You will need proof of residency, a driver's
license, utility bill or school papers for
children.
We are still looking for pool attendants and
guards.
We will be buying some chemicals and
some equipment for the pool. Motion
(Brandush, King) to buy pool chemicals andassociated equipment for chemicals for atotal of not to exceed $5,600 to be
purchased from Halogen. Motion passed.(8/0/1).
Jack said the basketball and tennis courts
will beopen on April 15th. You can geta keyfor a $10 deposit.
Grounds Maintenance Directors Report:
Bill King said we plowed snow twice last
month. Plowed 12 times this winter. This
has to be the most we've ever plowed.
Bluder's Tree Service was here for 5 days.
They removed 18 trees, trimmed 12. Thereare more trees to come down. That has left
us with 52 stumps around the grounds thatwill have to be taken out.
Ifyou get a new tree or grass, please water
them.
The grounds crew will be back next
Monday. There is a lot of damage from the
snow.
New tree planting will begin in the next
couple ofweeks. Ifa tree is removed a new
tree may not be planted in the same
location.
Townhome Maintenance Director's
Report: Amy Eckert said that one
townhome maintenance crew member will
be returning on Monday, April 14. Power
washing of homes on the paint cycle will
begin soon. Homeowners will be notified in
a letter of when this will begin. This year's
paint cycle includes the odd number houses
from 171 thru 245 Cascade. Even numbers
186 to 240 Cascade. All of Stratford, all of
Buttonwood and all of Pembrook will also
be painted. They paint cycle maps are on
the Website. The rest of the townhome
crew will be returning May 5. Motion
(Eckert, Creed) to purchase painting
supplies from J C Licht in an amount not to
exceed $21,000 including tax. Motion
passed. (8/0/1).
Village Relations Report: Bob Bersin said
the Village meeting is not until Thursday.
Bob said the Bond Issue passed, and
chances are the streets will not be fixed this
year. They will need to do the engineering
first and hire contractors.
Frank said he had a conversation with the
Mayor who said Ashbrook and Acacia voted
8 to 1 in favor of the Bond Issue. Frank
wants to have a meeting with him and Ed
Santon regarding the plowing. He has asked
Bill King and Ann Bermier to speak with
them. The Mayor asked if when they do the
streets would we like them to do our
private parking areas in the cul-de-sacs if
they need it. There would then be no
seams. We would have to pay for that.
Frank thinks ifs something we should take
advantage of.
Architectural & Landscape Committee:
John Shepley said one of the things he has
come across with one owner who had a lot
of damage from snow and water. She said
she is going to put white windows in
because she's grandfathered in. Her
windows are white to begin with.
Fred said because she is grandfathered in
she can do it. Fred said he does not agree
with that but she already had white
windows. She is not replacing all the
windows. Frank said that's where the
grandfathered comes in. It would look
terrible if some windows were white and
some brown.
Bill said people are not to plant on common
ground without approval. He noticed a
couple of people planted trees against their
deck or patio. The tree is going to grow and
thafs how critters get into houses.
Jack said the roofer had signed off on the
Acacia requirements on installing a roof,
but was not doing the roof according to
Acacia specifications. The job was stopped.
The homeowner needs to be aware their
contractor may not be doing what they
should.
Fred also said a homeowner has a
basketball hoop attached to a balcony. A
letter and a fine will be sent to them.
Nothing is to be fastened to a balcony.
Homeowners Forum: Milan Simich, 26
Stonehearth, if there is a timetable for the
street repairs. There is a hole at the end of
his driveway that has collapsed. He was told
he should go to the Village Meeting and talk
with them about it and bring pictures.
Motion (Eckert, Creed) to adjourn the
meeting to Executive Session. Motion
passed. (8/0/1). Meeting adjourned at 8:10p.m.
Returned to open session at 9:20
p.m.Motion(Eckert, Brandush) to approvesalaries as discussed in Executive Session.
Motion passed. (8/0/1).
Motion (Eckert, Creed) to close board
meeting. Motion passed. (8/0/1).
