Bookable Website – User Guide You will be required to log in using your unique User ID & password. Add these to the relevant boxes & click the Log In button. If you have forgotten your password, click the Forgotten your password link & the password will be emailed to the email address given by your agency.

The website opens to the “Package Search” page. If you do not wish to do a new search & want to view a previously made booking or quote, click on the “My Account” button, where you can select to view the last booking made (Retrieve latest booking), a specific booking number (Retrieve booking) or search for bookings (Booking search).

Package Search The online booking website can be used to search for single-centre holidays which combine flights with a hotel or car hire (or both). Click on Package on the top “search for” navigation.

There are 3 types of package searches available, tick in the circle for the required selection; Flight+Hotel, Flight+Car & Flight+Hotel+Car (this is the default selection). Click whichever one is required. The form will not contain the Rooms section shown below if you have chosen Flight+Car. The form will not contain the Car Hire section if you have chosen Flight+Hotel. The duration of the hotel &/or car hire must match the duration of the flights. Complete the fields on the search form & press Search.

There is a “direct” tick box to search for only direct flights or this can be left unchecked to search all via points

A minimum star rating can be selected. Results will show the selected rating & above (i.e. selecting 3 star will produce for 3, 4 & 5 star hotels)

Select the required vehicle/size. The “lead-in” price will contain this car size on the cheapest insurance plan. If you do not make a selection here the “lead-in” price will be for the cheapest car/size available & may not accommodate all the passengers. Cars are NOT included based on the number of passengers in the search. Cheapest will return the cheapest car

Select the required number of “hotel” rooms. For multi-room units (i.e. multi-bedroom apartments or villas) select the number of units required

Specify the number of adult, child & infant passengers sharing per room/unit. You must specify the child ages

The result will be the cheapest “lead-in” price available – flights, hotel & car hire may be changed from the original results by selecting the Change button next to the item(s) you wish to change.

If you want to change the flight: Click the Change button next to the flight item - this will show alternative available flights. There are 2 types of flights in the results. Flights with Y listed in the IT column are are ITX fares. Flights without a Y in this column may be special offer fares which require immediate ticketing & therefore full payment is required for any bookings containing these flights. Next to each flight is the new total package price if the flight is selected. In the “Select Outbound Flight” section, view the available alternatives & select the required one by clicking the circle next to the required outbound flight. Once you have selected the required outbound flight, tick the “Selectable Flights Only” box at the top of the results & this will show the inbound flights which can be paired with your outbound flight selection. There is also a filter where you can include/exclude connecting flights (tick/untick as required).

To change any of the itinerary components, click Change. This will display a list of alternatives & the total price if the item is changed.

Then select your inbound flight. Once you have selected an inbound flight there will be a summary of the flights you have selected at the bottom of the screen. To change the flights in your package result click the Select Flight button or to return to the original flight selection click Cancel Changes at the top if the screen.

After you have made a selection here, your package result will be re-displayed with any new selection you have made or as per the original result if you decided not to change the flight.

If you want to change the hotel/accommodation: To change either the hotel/accommodation &/or the room type, click the Change button next to the hotel item - this will show alternative available hotels/accommodations &/or alternative room types. The display will show the cheapest room type at the hotel (if more than one room type is available). To see alterative room types, click the Room selection link (if no alternative room types are available at the hotel, there will be no Room selection link shown). To view information about the hotel including errata’s & resort fee information, click on the hotel name or the More details link. The information will appear in a lightbox which you can close to return to the list display. Next to each hotel/room type is the new package price, should that hotel/room type be selected.

If you expand the Room Selection link, click in the circle next to your required room type (if applicable) to change the selection & click Select to amend your package content. Click Cancel Changes if you decide not to make a change.

To look for hotels in a particular area, click in the City/Suburb box. All the suburbs/areas which are included in the hotel/accommodation results will be shown. Untick the suburbs which are not required & then click onto the web-page. The results will refresh & be filtered to only display hotels in the suburbs you have left as ticked.

To look for a specific hotel, you can enter the hotel name in the Hotel name field. Enter part of the hotel name into the box and click on the web-page. The results will be refreshed & be filtered to only display hotels whose name contains the text you entered into the search box. It is recommended to only enter part of the hotel name in the search box as the full name may not be an exact character match & will therefore not display a result. For example, to find the Rosen Inn International hotel, just enter “rosen” in the search box, then all hotel names that contain Rosen will be displayed, allowing you to locate the required hotel easily but without having to worry about how the hotel name is configured or spelled.

Click Select to amend your package content. Click Cancel Changes if you decide not to make a change. Your package content will be re-displayed with any new selection you have made or as per the original if you decided not to change the hotel.

If you want to change the car hire: To change either the car size or the insurance plan for the car, click the Change button next to the car item. This will show alternative car sizes & insurance plans. The display will show the car size you selected at the start or the smallest/cheapest car if you did not select a car size/type at the start of the search on the cheapest insurance plan. To check the insurance plan, click on the Location link, this will open a lightbox which contains information about the rental inclusions. Click select when you are happy with the rental inclusions (if you wish to change from the cheapest insurance plan). Click cancel change if you do not wish to make the change.

If alternative car sizes are available, there will be a small icon next to the car size/description. Click on the icon to display alternative car sizes & the new price to change car size. To change the car size click the Select link next to the required car. Click Cancel Changes if you decide not to make a change.

Your package content will be re-displayed with any new selection you have made or as per the original if you decided not to change the car. When you have made any changes required to the package & the content is now as required, click “Add package to cart”.

This will add the items in your package to the Shopping Cart – you can expand the content of the shopping cart (to see all flight times for example) by clicking the expand icon or the Your Shopping Cart text.

Click on Complete Booking to make a booking or create a quotation. The next screen allows you to add passenger names to make a booking or choose to save as a quote only (passenger names are not required to save as a quote). Select Save As Quote Only to save as a quotation (you do not need to add passenger names). To make a confirmed booking add passenger names to make a booking & make sure Save as quote only is not ticked.

If you tick save as quote only you will also need to tick the T&C’s button prior to completing the quote. Click the link to read these prior to ticking this box. Click on the Create Quote button to create the quote. Once the quote has been created the page will show your quote reference number & a summary of what is included in the quote. Nothing has been booked. If you wish to confirm the quote later on, you will need to retrieve & revalidate it before confirming. The price on the quote is not guaranteed. If you do not tick save as quote only click the continue button. The next page shows a variety of payment methods. This is shown to highlight the deposit amount due & the balance due date. Click on the circle next to “proceed on account”, read the T&C’s then tick that you have done this, then click Book (or update if you are confirming an existing quote).

If you have chosen to make a booking, the next screen will show you a summary of the booking and the booking reference number. This is a CONFIRMED BOOKING - the individual components will have been booked & you will be invoiced for the booking.

Viewing Quotes/Bookings You can view any bookings or quotes you have made by either retrieving the booking reference number or by performing a booking search. To retrieve by folder number, select “Retrieve Booking” from the menu selection on the “My account” button. Enter the booking reference number (number only, you don’t need to include HQ) & click OK.

To do a booking search click Booking Search from the menu selection on the “My Account” button. This will display a search box. Fill in the relevant criteria to perform a search then click the Search button.

The results will show in a list. Any which are Quotes (not confirmed bookings) will have a Y in the CQ column. To view, click the Select button.

Changing A Quote To A Confirmed Booking You can change a quote to a confirmed booking as long as the items within it are still available at the same price. To check this, retrieve the quote. This will add the content of the quote to the shopping cart. To check if the quote is still available at the same price, click on the Actions button & select Validate Quote from the dropdown menu.

If all the items validate successfully, untick Save as quote only & click Complete Booking to confirm the booking.

If the items validate successfully but the price has changed, a warning will display against the item & the price increase will be shown. You can then choose whether to continue or not at the new price. If the items do not validate successfully &/or are no longer available, you will need to select Create New Booking from the Actions menu & search for a new price/availability. Validation failure messages may include things such as “An Error Occurred” or “Flights Not Available”. Anything other than a Validated Successfully message means the item is no longer available/valid so a new quote/booking should be made.
