Introduction

This Student Handbook has been prepared to inform you of the various aspectsof studying with Axial International College. Please read it thoroughly so you areaware of your rights and responsibilities as a student and to understand AxialInternational College’s policies and procedures.

Axial is committed to providing high quality training to students, and as suchcomply with the Education Services for Overseas Students Act 2000 (ESOS Act),and associated legislation, which form the ESOS Framework. Student Support Services

Axial is committed to providing students with the support they need to achievetheir goals and to adjust to life and study in Australia. Axial’s Student SupportOfficers (SSO) are available to:- Ensure that all students undertake an appropriate orientation program;- Provide the opportunity for students to participate in services designed to assistin meeting course requirements;- Provide advice, support and counselling in relation to accessing welfare-relatedservices to assist with issues that may arise during studies;- Practical assistance with understanding your new home town;- Ensure all relevant staff are made aware of Axial’s obligations under the ESOSframework.

Axial is committed to helping you be successful in your chosen course. If you arefacing any challenges such as disabilities, literacy, numeracy or any otherpersonal difficulties or you have a temporary disability due to an accident,medical condition or illness, talk to your SSO.

Student Counselling Services

How can we help? A Student Counsellor can:• Give you individual support• Act as a mediator when appropriate• Assist in the event of a personal crisis or emergency.

Visiting a counsellor helps you gain perspective and clarity on a particular issue,and helps you explore the options more clearly.

Axial has a qualified counsellor as part of their team, who can provide you withguidance on external organisations you can contact for continuing support.

Language, Literacy and Numeracy

As English will be the language in which your course is delivered, we encourageyou to use your English language skills when in class and when communicatingwith our staff (both written and verbal communications).

Please advise Axial prior to or during your enrolment process if you feel that youmay require assistance with literacy, numeracy or you have any learningdifficulties. In doing so, we can discuss ways that we may be able to support youwith tailored learning strategies, individual adjustment to assessments and tests,additional learning support or adaptive technology. If you would like assistancewith your English, you will find details about free English support activities later inthis handbook.

If you are experiencing difficulties with your learning, you should talk to yourtrainer. Your trainer will listen to you, assess your situation and then decide on anappropriate course of action, which could be to refer your case to an Axial staffmember who will be responsible for arranging additional support. The staffmember will then contact you directly.

Living and Studying In Australia

The average international student in Australia spends about $450 per week onaccommodation, food, transport, clothing and entertainment. This cost does notinclude tuition fees. Please check the Study in Australia website(www.studyinaustralia.gov.au/english/live-in-australia/living-costs) for updatedcosts. While this is a realistic average, please keep in mind that circumstances willchange according to your location, the course you are undertaking and yourlifestyle

CBD Medical Clinic. This is located in the heart of Brisbane and offers medicalassistance to the international student community. In most cases, they can directbill your insurance provider, meaning you don’t need to directly pay for yourconsultation – your health cover pays for it directly. Getting Around Brisbane

You will need a public transport card called ‘Go Card’ in order to pay for yourfares. You can find a list of retailers that sell the Go Card below. Please note that,in Queensland, some international students are eligible to request a student GoCard, which allows them to pay half fareson public transport. Axial International College is proud to ensure that all of our students and staffhave access to the best possible training and to ensure that we all are able towork together in a safe and productive environment. To help you be aware of allrelevant policies, we have included them as part of your Student Handbook.Should you have any questions, or require any clarification, please speak withyour student support officer.

How Do I Change My Details?

As an international student, you have the obligation to ensure you update thecollege of any changes regarding your address and personal information, suchas telephone number and name, within 7 days after the change happens. Youcan do this by telling your SSO, or calling our Head Office administrationdepartment. If you don’t do this, important letters or information may be sent tothe wrong address.If you are enrolled with Axial for a course with a duration of over 6 months, wewill verify your address at least every 6 months from your commencement date.

Rights and Responsibilities

Axial works to ensure all students are successful and enjoy their learningexperience. Everyone involved in your training process has expectations andobligations. At Axial you can rest assured that all students have certain rightswhich are respected and adhered to by our staff. You also have responsibilities,which Axial staff will expect you to fulfil.

What are my rights as a student?

• To receive quality training and/or teaching that is in line with current industry practice;

• To be provided with sufficient learning resources and materials that will support your learning;

• To be treated in a respectful and courteous manner by all Axial staff and other students;

• To be informed about course content and understand the associated assessment requirements and guidelines;

• To be informed of student performance expectations for the course being undertaken;

• To receive timely feedback on your course progress;• To have opportunities where you can evaluate the quality of your training

and/or teaching, course content, support and services received;• To be provided with information on Axial’s policies and procedures that

impact upon you as a student;• To have your personal information held in confidence.

What do you expect from me as a student?

• Be responsible for your learning and for your interaction with Axial staff members and other students;

• Arrive at classroom sessions or workplace training sessions on time;• Attend 20 hours of scheduled classes each week;• To be prepared and have all resources ready before class or training session;• Wear appropriate clothing for the workplace or course (including any Personal

Protective Equipment requirements);• Treat all students and staff with respect;• Not be under the influence of drugs, alcohol or other non-prescribed

substances, as you will be asked to leave the session and/or the premises;• Notify your SSO by 8:00am on the day of the training with an explanation if you

cannot attend a scheduled class. Absences from scheduled classroom delivery will require a medical certificate;

• Notify your trainer if you cannot attend a scheduled workplace training;

• Notify Axial if you change your name, address or phone number after thebeginning of enrolment;

• Pay any charges as they become due. If this is not possible, it is yourresponsibility to contact your Student Support Officer to discuss the matter andcome to an agreement regarding the date of payment.

• Turn off your mobile phone before any training and assessment or entry intoclassrooms, unless prior arrangements have been made with the trainer orperson in charge. If you have a situation where you feel you need to keepyour phone on, discuss this with your trainer before class or training;

• When attending classes at Axial you must sign the attendance register onarrival and departure and have your Student ID on you at arrival;

• Smoke only in designated smoking areas and respect your learningenvironment by placing personal litter and cigarette butts in the bins andashtrays provided. You MUST be a minimum of 10 meters away from anybuilding when smoking;

• Follow directions from Axial staff in the event of any emergencies and adhereto all safety procedures.

What about Axial staff’s rights and obligations?

All Axial staff and trainers have the right and obligation to:• Be treated fairly and with respect by students and other colleagues;• Work in an environment free of harassment and discrimination;• Be fair and equitable and to treat you with respect and courtesy;• Supply relevant training resources and support for you to complete your

training;• Promote a safe environment where all students are aware of their rights and

responsibilities;• Not disclose your personal or performance details to unauthorised people;• Maintain current industry knowledge and qualifications to provide quality

training and services;• To review courses to ensure they meet current industry standards.

Privacy and Confidentiality

Axial is committed to the privacy of your personal information and as such wecomply with the federal Privacy Act 1988. We have strict policies and proceduresfor the collection, use, storage and protection of all records of individualstudents. All records relating to attendance, course progress and assessmentoutcomes are handled in accordance with these policies and procedures. Wedo not on-sell any personal information.

What type of information about me do you collect?

• Your contact information and all details included on application or enrolmentforms

• Your work performance and course progress• Any information about incidents involving you in the workplace or classroom.

Who gets to see my personal information and records?

• All your records are kept confidential and can only be seen by yourself andany parties to your Training Contract and Enrolment Agreement. Your recordscan be provided to other people if you agree to this in writing

• Axial staff including training consultants, administration, management, ITsupport and trainers may see your records if they need to for work purposes orto help you if you have any questions

• Axial staff know that your records are highly confidential• We may share your information to applicable Government departments

including the Department of Education and Training and the Department ofHome Affairs as per the law.

Can I get access to my student records?

• You are entitled to access your personal information or training records at anytime by submitting a written request to our administration department

• We will send you your records within 14 days of receiving your letter and afterverification that the records are for your eyes only

• In some cases, your records or information may need to be retrieved from ourarchives and this may take a few weeks to process.

Information is collected during your enrolment in order to meet our obligationsunder the ESOS Act and the National Code 2018; to ensure student compliancewith the conditions of their visas and their obligations under Australianimmigration laws generally. The authority to collect this information is containedin the Education Services for Overseas Students Act 2000, the Education Servicesfor Overseas Students Regulations 2001 and the National Code of Practice forProviders of Education and Training to Overseas Students 2018.

Information collected about you during your enrolment can be provided, incertain circumstances, to the Australian Government and designated authoritiesand, if relevant, the Tuition Assurance Scheme and the ESOS Assurance FundManager. In other instances, information collected during your enrolment canbe disclosed without your consent where authorised or required by law. Theinformation we may share includes your personal details, contact details, courseenrolment details and changes, and the circumstances of any suspectedbreach by the student of a visa condition.

Privacy Notice

Under the Data Provision Requirements 2012, Axial Training Pty Ltd is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).

Your personal information (including the personal information contained on this enrolment form), may be used or disclosed by Axial Training Pty Ltd for statistical, administrative, regulatory and research purposes. Axial Training Pty Ltd may disclose your personal information for these purposes to:• Commonwealth and State or Territory government departments and authorized agencies; and• NCVER.

Personal information that has been disclosed to NCVER may be used or disclosed by NCVER for the following purposes:• populating authenticated VET transcripts;• facilitating statistics and research relating to education, including surveys and data linkage;• pre-populating RTO student enrolment forms;• understanding how the VET market operates, for policy, workforce planning and consumer information; and• administering VET, including program administration, regulation, monitoring and evaluation.

You may receive a student survey which may be administered by a government department or NCVER employee, agent or third party contractor or other authorised agencies. Please note you may opt out of the survey at the time of being contacted.NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the National VET Data Policy and all NCVER policies and protocols (including those published on NCVER's website at www.ncver.edu.au).

Workplace Health and Safety

Our Workplace Health and Safety policy confirms that Axial’s management iscommitted to providing a workplace that is safe and healthy. Axial will worktogether with all relevant employees and key stakeholders in workplace healthand safety matters. Please refer to the policies section of this Handbook forfurther details.

Axial Training’s Workplace Health and Safety responsibilities include:• To maintain a safe environment for staff, students and clients on Axial premises;• To assess the safety of other locations before conducting training or

assessment, including at your worksite;• To take action immediately to correct any unsafe condition which arises;• To ensure everyone is trained and actively participates in workplace health

and safety issues;• To continually monitor and review its workplace health and safety control

measures.

Students also have obligations under the Workplace Health and Safety (WH&S)Act 2011. This means that you:• Must not act in a manner which may endanger the health and safety of

yourself or any other person while at work or at a course/training being run byAxial;

• Must carry out safety directions given by Axial staff and/or other appropriatepersons;

• Must co-operate with any reasonable policy or procedure;• Must report any issue you are aware of to the appropriate person.

What Do I Do If I Experience Discrimination Or Sexual Harassment?

Axial does not tolerate any form of discrimination or sexual harassment. We believe that everyone has the right to be treated fairly and feel safe in an environment free of intimidation and harassment. Under the Queensland Anti-Discrimination Act and the Federal Sex Discrimination Act, discrimination and sexual harassment is against the law.

Axial staff are responsible for ensuring that all people on site/campus (including students and visitors) are treated fairly and are not subject to harassment. We will also ensure that people who make complaints or witness incidents are not victimised in any way.

Do not ignore discrimination or sexual harassment thinking it will go away – often it will just get worse and your silence may give the impression that discrimination or sexual harassment is acceptable.

If you are sexually harassed or discriminated against, or you witness the incident, please let us know immediately. You can discuss any harassment/discrimination matters with your SSO, who will be able to assist you.

What steps can I take?

If you do not feel comfortable speaking to the person involved, please talk to your trainer, SSO or any other Axial Training staff member. Facilities and Resources

We provide all facilities and resources you will need to complete your course. Thisincludes workbooks, assessment materials and computer labs. The resourcesavailable to you include the range of materials and knowledge we haveacquired over years of delivering education to thousands of Australian students.Any questions you have about campus facilities can be directed to your SSO orTrainer.

Our facilities include a kitchen with tea, coffee and milk for students and a fridgeand microwave for your use. Please assist us by tidying up after yourself andplacing your rubbish in the bins provided.

Campus Guidelines

Please observe the below guidelines when on campus:• Keep noise to a minimum during break times;• Smoking regulations are to move well away from the entrance (minimum of 10

metres) and only smoke in areas that have been designated for smoking;• Please refrain from congregating in large groups outside the entrance doors;• Ensure that behaviour and language are appropriate when interacting in and

around the campus.

• The following is prohibited:

• Eating and drinking in classrooms;• Throwing food, littering, inappropriate language and other unacceptable

Emergency Evacuation Procedure

In case of a fire or emergency:

• Alarms will sound;• Floor Warden/s will notify each room of the need to evacuate;• Follow all instructions by Axial Staff;• Students (accompanied by their trainer) will exit in an orderly manner by the

fire stairs;• Students and trainers will assemble at the Emergency Assembly Point;• Your trainer will mark the class roll.

In the event that student or staff safety is at risk, then:

• It is important to remain calm;• Trainers will take charge of the room;• Students are to follow all instructions of trainers or campus staff;• Students will be required to be locked in classrooms until the threat has passed

and the situation resolved;• Trainers and campus staff will advise when it is safe to leave the rooms.

Unique Student Identifier

What is a Unique Student Identifier (USI)?

All students doing nationally recognised training need to have a Unique Student Identifier (USI). A USI is a reference code made up of numbers and letters and is used as a secure online record of your nationally recognised training qualifications, even if they are from different providers. Creating a USI is free. Please note we cannot issue you with a certificate or statement of attainment if you don’t have a USI number.

Your USI will:

• Link a student's VET achievements, regardless of where in Australia they did the course;

• Let students easily access secure digital transcripts of their achievements;• Give students more control over their VET information.

How do I create my USI?

Click the “Student Entry” section and follow the prompts. Alternatively, we can create your USI for you on your behalf. Fees will vary from course to course; therefore, you will be supplied with the feestructure relevant to your course prior to enrolment. How Can I Get A Refund As An International Student?

Axial Refund policy is designed to provide fair and equitable refunds for studentswhile meeting the student protection requirements of the AustralianGovernment.

Refund prior to commencing study for the first time

Axial International College will provide a partial refund of tuition and non-tuitionfees paid as per the Refund Policy, if:• The student is unable to obtain a visa;• Political or civil unrest or natural disasters prevent the student leaving their

home country or paying fees in full;• The student is unable to commence their course because of a serious and

prolonged illness, disability or death of a parent, sibling, spouse or child;• The offer of a place is withdrawn;• The course which was applied for is no longer offered;• Axial International College is unable to enrol the student in a course.

Once you have signed and returned your Written Agreement and paid your feesas per the Written Agreement, it forms a binding contract between you andAxial.

All notifications of withdrawal from a course, or requests for refunds, must bemade in writing to Axial. Notifications or refund requests will be processed within20 working days, if all necessary information is provided, and an outcome will bedetermined. Any agent, government or third party fees will not be refunded by

Axial.

If you sign a Written Agreement and then withdraw from a course for any otherreason, a partial refund may be issued, as per the Refund Policy attached to thishandbook.

Can I pay off my course fees?

Yes, you can make a payment plan arrangement with our accounts departmentby committing to make regular payments until all your fees are paid in full. Pleasecontact our Head Office accounts department to arrange to make regularpayments for the balance of you fees.

Assessment Information

How will I be assessed?

At Axial we use competency-based assessments, which means that you will haveto prove that you are using your skills and knowledge to perform your daily tasksand duties correctly in the workplace or classroom through simulation and theorybased assessments. We will aim to provide you with assessments which are valid,reliable, flexible and fair. When we issue you with your certificate, you haveproven your knowledge and skills in each subject area in accordance withacademic and industry standards.

You should be able to complete your assessments free from distractions orinterruptions from your supervisors, trainers and other students, except where thetrainer is sharing information that is to do with the assessment. Your assessmentcould include:• Written assessments• Verbal questioning• Practical demonstrations or tasks• Observations• Role-plays• Case studies• Project work

Your assessments will be marked as “Competent” or “Not Yet Competent”.

If the assessment is marked as “Not Yet Competent”, your trainer will give youfeedback on what areas need improvement. You will then be given theopportunity to resubmit your work by either correcting the assessment or redoingit as directed by your trainer.

The amount of time you will have to resubmit will depend on the size of thecorrections and the delivery model. For small changes or in a short course, youmay need to fix the assessment immediately. In a classroom or online course, orfor larger revisions, you will be given a deadline by your trainer for resubmission.

Missing deadlines for submission or resubmission of your assessment could result ina “Not Yet Competent” result for the unit. If you cannot meet a deadline youmust let your trainer know as soon as possible. Your trainer will discuss the reasonswhy and advise you of the new assessment deadline.

When you have successfully completed all the assessment requirements for aunit, you will get a competent result for the unit and this subject will appear onyour Certificate or Statement of Attainment.

Remember, if you act in a disruptive, offensive or aggressive manner during yourassessment, you can be told to leave the assessment room/area, and this couldmean a ‘not yet competent’ result.

What happens if I commit plagiarism?

• If at any time, you copy someone else’s work or use unapproved notes, youcould face disciplinary action;

• If your trainer or supervisor believes or reasonably suspects that you arecheating, you will immediately be told, but will still be allowed to finish yourassessment;

• Your trainer will write a report on the alleged cheating and attach the reportto your assessment paper;

• The matter will then be referred to the Training Delivery Manager forappropriate action as outlined in the Disciplinary policy;

• The penalties for this behaviour during an assessment range from a ‘not yetcompetent’ result in the subject being assessed to exclusion from Axial for aspecific period of time;

• Disclosure of such actions may be reported to Government Authorities, inaccordance with the ESOS Act.

What if I am not happy with my assessment results?

When you are enrolled in a course and are seeking to appeal against anassessment result, you can follow the formal assessment appeals process. Pleasesee our Complaints and Appeals section for further information on what steps totake in this situation.

Course Progress

You are expected to progress through your course as per your Training Plan orTraining Schedule. You are also expected to attend all scheduled classes andworkplace training sessions.

When undertaking classroom delivery, you will be provided with a TrainingSchedule outlining all assessment due dates and a Student Timetable showing allscheduled classes. Your schedule will include 20 hours of classes per week.International student visas include a condition that requires the student toprogress through their course satisfactorily. It is also a requirement that eachinternational student’s course progress is systematically monitored and, wherestudents are at risk of failing to meet course progress requirements, that they arecounselled and offered additional support to complete their studies.

Where you continue to breach the course progress requirements, you will benotified of Axial’s intention to report your enrolment and be given an opportunityto appeal the decision, under section 19 of the ESOS Act.

What are my course progress requirements?

Campus delivery students will be deemed to have not met Axial’s courseprogress requirements if they fail to achieve a competent result in 80% or more ofthe units of study attempted in each term. In the event that you achieve lessthan 80% course progress, Student Support Officers will intervene and determinethe reason for the lack of progress, working with you on an intervention strategy.

How do you monitor my course progress?

To ensure that you are on track to complete your course within the expectedcourse duration, Axial will monitor your progress throughout each block. If we findthat you have been deemed as ‘Not Yet Competent’ in under 80% of the totalnumber of units from the study period (term), we will advise you in writing, via e-mail and/or post, after the end of each term.

What happens if I am deemed “at risk”?

Axial’s Intervention Strategy is activated, and we will arrange for you to attendan intervention meeting. During this meeting, our Student Support Officer willdetermine, with you, what additional support will be provided to you. This mayinclude, but is not limited to:• Attending academic skills programs;• Attending tutorial or study groups;• Receiving assistance with personal issues which are influencing progress;• Reassessment options.

Please note that unsatisfactory course progress for two consecutive terms couldlead to your enrolment being terminated, resulting in a report to the Departmentof Home Affairs, which could affect your student visa. Please read our CourseProgress policy for further details.

Is my attendance monitored?

As part of Axial’s Course Progress policy, attendance at scheduled classes andwork placements is monitored to ensure we can identify any potential progressissues as soon as possible. If you fail to attend at least 80% of scheduled classesor work placements in a two week period, your SSO will contact you to check ifyou are having any difficulties attending classes. This alert is a key indicator as, ifyou are not attending regular classes, there is a high risk that you will not achievethe expected progression requirements at the end of each term.

Can I Get Recognition Of Prior Learning (RPL)?

The RPL process conducted by Axial is an assessment process that acknowledgesthe skills and knowledge gained through ‘non-traditional’ forms of learning, lifeexperiences, work experience, previous training and formal/informal educationof applicants. We want to provide you with full recognition of your current skillsand knowledge in your course during the RPL assessment process.

Axial will conduct the RPL process by:• Providing access to the RPL process for all potential and existing participants of

courses;• Undertaking RPL processes which are fair to all those involved;• Providing appropriate support for all potential RPL applicants.

All RPL applications will be processed upon receipt of a completed RPLapplication form with sufficientsupporting evidence attachedto enable a decision to bemade regarding the grantingof RPL.

All decisions will be supplied toyou in writing within20 working days.

Can I Get Credit For My Previous Study Or Training?

Yes, credit transfer applies nationally and refers to the recognition andacceptance by a Registered Training Organisation (RTO) of any AustralianQualifications Framework Certificates and/or Statements of Attainment issued byanother RTO, enabling individuals to receive national recognition of theirachievements.

If your results from your previous training and studies match the units included inyour course, then a credit transfer can be made. Speak to your trainer and askthem whether your previous results and training can be taken into consideration.

Students can apply for credit during the application process. Applications forcourse credit must be completed and submitted with your course ApplicationForm. Axial will provide you with a written record of any course credit granted.You will be required to sign to accept this course credit notice. If credits aregranted which lead to a shortening of your course duration, Axial will indicatethe actual net course duration on your Confirmation of Enrolment. If your creditsare granted after your visa has been issued, Axial is required to report thechange in duration under section 19 of the ESOS Act, and you will need a newConfirmation of Enrolment.

What is a Certificate or Statement of Attainment?

A Statement of Attainment is provided in recognition that a participant hassuccessfully completed accredited unit/s of competency. This can be used asevidence for you to gain credit transfer for the competencies with Axial, oranother registered training provider within Australia, should you wish to completethe course at a later time.

How do I get my Certificate or Statement of Attainment?

Upon successful completion of your nationally recognised training packagequalification and finalisation of your results, your approved certificate should bereceived within 30 days. A list of all units of competency completed will beprinted on the reverse side of the qualification.

What happens if I don’t get my Certificate/Statement of Attainment or I lose

them?

If you have not received your Certificate/Statement of Attainment within 3-4weeks of finishing your last assessment, please contact Axial. Please be aware itmay take a couple of weeks from your last assessment for everything to get tohead office and your results to be finalised.Axial will provide one original copy of your Certificate/Statement of Attainmentfree of charge. Charges may apply to further copies. These charges will varyaccording to the document and labour costs associated with replacement aslisted in the Course Fees section. If you have not updated you address with Axialand your Certificate/Statement of Attainment was sent to the wrong address,you may be charged for re-issue. However, if the documentation was lost in themail or in an event such as flooding or it was an error by Axial, we will reissue atno charge.

How long are my assessment results stored for?

Your assessment results will be kept by Axial for 30 years. Your individualassessment records will be kept until the appeal period has passed and for aminimum of twelve months after the completion of the relevant course/program.Your results will only be released for legal, educational or individual purposes.

Disciplinary Action

As an Axial student, you have agreed to comply with our code of conduct uponsigning your enrolment documentation. Disciplinary action could be taken forinappropriate behaviour towards other students or Axial staff or for breaching theAxial Student Code of Conduct. A penalty will be imposed under this policy ifyou are found to have breached the Disciplinary policy and/or Code of

Conduct.

What exactly happens if I break any student rules?Three offences can be issued against each student. If a student is found to havebroken the student rules, the following steps will be taken:

First Offence:• A verbal warning will be issued to the student and they will have to attend a

counselling session with an Axial International College staff member to discusstheir actions and their future with Axial International College;

• A record of this verbal warning and counselling session will be documented,dated and signed by the student and the Axial International College staffmember issuing the warning

• This record will be placed in the student file.

Second Offence:• A formal written warning will be issued to the student. Should the behavior

continue, privileges with Axial International College will be removed;• A record of this written warning will be documented, dated and signed by the

student, the Training Delivery Manager and the Axial International Collegestaff member issuing the warning;

• This record will be placed in the student file.

Third Offence:• All student privileges will be removed by Axial International College. This means

that students will no longer have access to training, assessments, andresources or be able to log-in to on-line courses;

• The student will be advised of a time to attend a meeting with the TrainingDelivery Manager and the Axial International College staff member issuing thewarning. Any comments that the student makes at the meeting in relation tothe behavior will be documented;

• The student will be provided with reasons for any disciplinary action AxialInternational College may take, in writing. A copy of the record will be datedand signed by the student, the Training Delivery Manager and the AxialInternational College staff member issuing the disciplinary action.

• This record will be placed in the student file.

Remember, you can appeal against certain penalties. The penalty might thenbe reduced, removed, or increased. Such processes or decisions do not removeyour right as a student to take action under Australia’s consumer protection laws.

Please note that for international students, any disciplinary action orrecommendations could result in Axial informing the Department of Home Affairsin accordance with the ESOS Act and associated legislation. Please refer to ourStudent Code of Conduct for further details.

Complaints and Appeals

In the unfortunate event that you have a complaint, Axial staff will beprofessional and any discussions about your problems will be confidential.Sometimes a complaint can simply mean that you are unhappy with Axialservices or staff. Often things just need to be explained a bit better or perhapswe need to take a closer look at the way we are doing things. If you are unsureof what steps to take to lodge a complaint, please refer to the Complaints and

Appeals policy, or alternatively, contact your Student Support Officer.

Complaints

The Complaints policy allows for any party to lodge a formal complaint to AxialInternational College and to have the complaint assessed in a professional, fairand transparent manner. Students who wish to appeal a decision Axial hasmade regarding enrolment, course progress or assessment outcomes shouldaccess the relevant Appeals section of this policy.

To lodge a formal complaint:

• The student will be contacted by the relevant head of department to discussthe complaint. Students may be accompanied by a support person at anymeeting relevant to the complaint. The outcome of any meetings will berecorded against the complaint log in VETtrak student management system.

To formally appeal a non-academic decision made by Axial InternationalCollege, students should:

Suspension, Deferment and Cancellations

Students may request a deferment or suspension of their studies during thecourse in limited circumstances as per the National Code of Practice forProviders of Education and Training to Overseas Students 2018, standard 9. AxialInternational College may also suspend or cancel a student’s enrolment againststudent’s wish for misconduct, provided such suspension is in accord with thecollege’s policies. A student may only request a deferral or suspension on thegrounds of illness or compassionate/compelling circumstances beyond thecontrol of the student. Suspension or cancelation of students’ enrolment mayaffect their student visa. Please refer to our Deferment, Suspension and

Cancellation policy for further details.

How will a student’s Confirmation of Enrolment be affected with a

suspension/deferment/cancellation request?

When the deferment or suspension doesn’t affect the end date of the CoE, thereis no change to its enrolment status on PRISMS. The CoE’s status will still be listedas “Studying”, but the notice of suspension/deferment will be recorded in thesystem and the Department of Home Affairs is informed for their reference.

When the deferment or suspension affects the end date of the CoE, PRISMScancels the original CoE and takes the user to create a new one with updatedend dates and information.

When the student’s enrolment is cancelled, so is the CoE.

Student Transfers

Under the terms of the National Code of Practice for Providers of Education andTraining to Overseas Students 2018 – Standard 7, students on an internationalstudent visa are required to remain with their education provider for the first sixmonths of their principal course. However, we recognise that there may becircumstances for a student to want to transfer between providers.

Transfers to Axial International College from another Registered Provider

Axial International College is restricted from enrolling a student who is transferringfrom another provider, unless the student has completed a minimum of six (6)months of his/her principal course of study, except when any of the followingcircumstances apply:• The original provider has ceased to be registered or the course in which the

student is enrolled has ceased to be registered;• The original provider has provided a written letter of release;• The original provider has had a sanction imposed on its registration that

prevents the student from continuing;• Any government sponsor of the student considers the change to be in the

student’s best interest and has provided written support for that change.

Transfers from Axial International College to another Registered Provider

To apply for a change of provider within the first 6 months of the principal courseof study with Axial International College, the student must submit a writtenrequest and a copy of the valid Written Agreement provided from the otherRegistered Provider to one of our Student Support Officers or [email protected]. Itis expected that Axial International College will grant the student a letter ofrelease in the following circumstances:• The overseas student will be reported because they are unable to achieve

satisfactory course progress at the level they are studying, even afterengaging with intervention strategy for assistance;

• There is evidence for compelling and compassionate circumstances;• Axial International College fails to deliver the course as outlined in the Written

Agreement;• There is evidence that the student’s reasonable expectations about their

current course are not being met;• There is evidence that the student was misled by Axial International College or

an education or migration agent regarding the college or its courses;• An appeal (internal or external) on another matter results in a decision or

recommendation to release the student.

Axial International College will assess a student’s request on a case by case basisonce the student provides a letter outlining the reasons for the request, alongwith any relevant documentation (such as medical certificates).

Notification of an Outcome

You will be notified of the outcome of your request within ten working days ofsubmitting your request for a Letter of Release. You will be informed in writing, atno cost, that Axial has either:- Approved the request to transfer to another provider. In this instance you willneed to contact the Department of Home Affairs to seek advice on whether anew student visa is required.- Rejected the request to transfer to another provider. In this instance you will beinformed in writing of the reasons for this decision and informed that you mayfreely transfer between providers after six months. You can appeal the decisionin writing in accordance with Axial’s complaints and appeals process.

Axial will retain a copy of all requests for a letter of release on your file, along withthe evidence of assessment and the relevant decision. Please refer to ourTransfer policy for further details.

1 PURPOSE

To ensure all International students are recruited in an ethical and responsible manner and

to ensure information that enables students to make informed decisions about studying with

Axial is provided pre-enrolment. The policy also ensures that student’s qualifications and

English language proficiency are assessed prior to enrolment to ensure minimum entry

requirements are met.

2 POLICY

Axial Training provides comprehensive information to all prospective students so they can

make an informed decision about studying with Axial. All relevant information will be made

freely available via the website and our Student Handbook, with contact information

supplied for further enquiries and access to information.

Pre-Enrolment information consists of:

• Course CRICOS code, content, duration, holiday breaks, qualification offered,

modes of study, work placements and assessment methods;

• The requirements for acceptance into a course, including English language

proficiency;

• Details of any arrangements with another registered provider, person or business to

provide the course or part of the course;

• Indicative course-related fees including advice on the potential for fees to change

during the student’s course and applicable refund policies;

• Information about the grounds on which the student’s enrolment may be deferred,

suspended or cancelled;

• Campus locations and a general description of facilities, equipment, and learning

resources available to students;

• A description of the Education Services for Overseas Students (ESOS) framework,

including web links to the material; and

• Relevant information on living in Australia, including indicative costs of living and

accommodation options.

Once a student has decided that they want to apply to study with Axial they must complete

the International Student Application Form and include the following copies of documents:

• Copy of Overseas Student Health Cover

Students who are unable to provide the acceptable documentation and who do not meet

the eligibility criteria may be offered a conditional place, or may be notified in writing that

they have not been accepted and detailing the reasons why.

If the student does not pass the pre enrolment procedure they will be notified in writing that

they have not been accepted and the reasons why.

Once a student has applied to study with Axial, the administration department will review

the enrolment and complete the International Student Enrolment Checklist to ensure all

minimum entry requirements have been met. Axial will then provide the student with a

Written Agreement.

3 PRE-ENROLMENT PROCEDURE

All Pre-Enrolment information is available to students via our website, marketing material

and student handbook. On deciding to apply to enrol with Axial, students will:

• Complete the International Student Application form

• Submit the International Student Application form along with any required

documentation

• Axial Administration will log the application in the VETtrak student management

system

• Application will be assessed to ensure the student meets all eligibility criteria

• International Enrolment Checklist will be completed by Axial Administration to ensure

eligibility

• If successful, Axial will prepare an International Student Letter of Offer and issue to

the student

• The student’s place is confirmed on receipt of both signed Letter of Offer and

Application Fee and any other upfront payments as noted in the Letter of Offer

• If unsuccessful, Axial will advise the student in writing via the Application Rejection

Letter of the outcome and the reason for the decision.

programs in which you participate are run safely and in accordance with any special health

organisation (including other training providers, community organisations, or schools) - the

organisation with which you are undertaking training;

• If you are enrolled with Axial International College in a program eligible for articulation

through a higher education delivery partner, and/or intend to continue studying via a pre-

arranged articulation pathway (for example, you are studying a dual qualification with Axial

International College and a higher education provider) - the higher education provider;

• If you are under the age of 18 - your parent/guardian (unless you have formally advised

Axial International College not to provide this information);

• If you are an international student - the parties outlined in the terms and conditions agreed

1 PURPOSE

To ensure Axial’s minimum English language course entry levels are clearly defined.

2 POLICY

For international students who fall into one of the following categories, evidence of the

minimum English language level is not required:

1. an applicant who is a citizen of, and who holds a valid passport issued by:

a. the United Kingdom;

b. the United States of America;

c. Canada;

d. New Zealand; or

e. the Republic of Ireland; or

2. an applicant who is enrolled in a principal course of study that is:

a. registered to be delivered in a language other than English;

b. a registered ELICOS course, as defined in regulation 1.03 of the Regulations;

c. a registered school course; or

d. a registered post-graduate research course; or

3. an applicant who is a:

a. Foreign Affairs student;

b. Defence Student; or

c. Secondary exchange student; or

4. an applicant, who, in the 2 years before applying for a Subclass 500 (Student) visa,

has successfully completed:

a. the requirements for a Senior Secondary Certificate of Education, in a course

that was conducted in Australia and in English; or

b. a substantial component of a course leading to a qualification from the

Australian Qualifications Framework at the Certificate IV level or higher that

was conducted in Australia and in English, while the applicant was holding a

student visa; or

5. an applicant who has successfully completed a minimum of 5 years of study in

English undertaken in one or more of the following countries;

a. Australia;

b. Canada;

c. New Zealand;

d. South Africa;

1 PURPOSE

To ensure all course entry requirements have been met and advise students on the services

to be provided, fees payable and information in relation to refunds of course money.

2 POLICY

Once a student has applied to study with Axial and has have met all entry requirements,

they will be provided with a Written Agreement.

The Written Agreement will contain:

• Information and conditions pertaining to the course and any conditions of

enrolment

• An itemised list of course money payable by the student, including non-tuition fees

• Refunds Policy

• Information regarding privacy and circumstances when personal information may

be disclosed

• Information on the student obligation to notify Axial of a change of address while

enrolled.

International students have an obligation to ensure their address is correct every 6

months. For International student enrolled with Axial for a course with a duration

over 6 months, Axial will verify the student’s address at the start of each Stage.

Once the signed Written Agreement has been received Axial will provide the student with

and invoice for the initial payment. Once payment has been received Axial will provide

the student with a receipt of payment and a Confirmation of Enrolment. Only once Axial

has received a signed or otherwise accepted Written Agreement from the student will Axial

issue an invoice or accept any course money.

Axial will hold the enrolment and any monies paid until the commencement of the course.

If the student has a change in details or any circumstances relating to the enrolment prior

to the commencement of the course, the Written Agreement informs them that they must

notify Axial immediately via email to [email protected].

3 FORMALISATION OF ENROLMENT PROCEDURE

On successful assessment of an International Student Application form and completion of

the International Enrolment Checklist, Axial will:

• Prepare an International Student Written Agreement and issue to the student

1. PURPOSE

1.1 This document sets out Axial International College’s policy on the refund of monies to

international students for course fees where the student does not study for part or any of the

period in which they were to study.

1.2 The objectives of this Policy are to:

a) Provide students with an understanding of when, how and in what amount their

fees will be refunded by the College; and

b) Comply with the requirements of the Commonwealth Education Services for

Overseas Students Act 2000.

2. SCOPE

2.1. This Policy applies to all international students of Axial International College studying

anywhere by any mode except where 2.2 applies.

2.2. This Policy does not apply to students who have an amended individual course refund

policy issued with their letter of offer insofar as the amended individual course refund policy

is inconsistent with this policy.

3. REFERENCES

3.1 This Policy should be read in conjunction with the student’s letter of offer as it forms the

initial contract with the student.

3.2 Where the student is studying in Australia utilising any subclass of Visa, the conditions of

that Visa form relevant information in regard to obligations on the student including in

regard to maintenance of student enrolment load.

4. REFUND PRIOR TO COMMENCING STUDY FOR THE FIRST TIME

4.1 Axial International College will provide a refund of any tuition and non-tuition fees

paid, excluding the administration fee, if:

a) The student is unable to obtain a Visa;

b) Political or civil unrest or natural disasters prevent the student leaving their home

country or paying fees in full;

c) The student is unable to commence their course because of a serious and

prolonged illness, disability or death of a parent, sibling, spouse or child;

d) The offer of a place is withdrawn;

e) The course which was applied for is no longer offered; or

f) Axial International College is unable to enrol the student in a course.

4.2 Where a refund is requested prior to the first Course of study, Appendix 1 Schedule A

applies.

5. REFUND OF COURSE FEES AFTER COMMENCING STUDY

5.1 In the event a student’s visa application is refused after commencing study, a refund will

be provided as per Appendix 1 Schedule A.

5.2 After commencing study with Axial International College and where the student holds

a valid student visa, no refund will apply.

5.3 Students must complete two processes to receive a refund:

a) The student must notify Axial International College in writing of withdrawal of

subjects; and

b) The student must complete a Refund Application form in order to formalise the

refund request.

5.4 Axial International College will refund tuition fees according to Appendix 1 except where

the student requests a fee rollover to a subsequent Course.

6. OBLIGATION TO NOTIFY Axial International College

6.1 The student must notify Axial International College in writing of their intention to cease

enrolment and the student remains liable for any course fees due up until that date. The

date that Axial International College confirms receipt of the notice will be the date used for

all calculations.

6.2 The student must notify the College in writing of their request for a refund within 30 days

from the date of withdrawal notice or no refund will be considered.

7. FEE ROLL-OVER

7.1 If a student withdraws from a subject within 4 weeks of commencement of a course, the

student may request in writing for their entire subject fee to be credited to their Axial

International College account for future subjects. This money must be applied to future

subjects only. Requests for refund at the point that the fee rollover was originally requested

will be considered.

8. EXCEPTIONAL CIRCUMSTANCES

8.1 The Student Administration or the finance department may consider written requests for

refunds due to exceptional circumstances and may increase the amount of refund

provided beyond the levels provided in the schedules contained in Appendix 1.

8.2 Acceptance of money appropriately refunded within the amounts contained within the

Appendix 1 does not preclude an application for exceptional circumstances and students

must first apply for refund of amounts under the schedules unless a refund of 0% is

applicable.

8.3 Applications for refunds beyond the levels within the schedules will be deemed to be

denied if the matter is not determined within 20 days allowing the student to appeal.

8.4 Applications for refunds beyond the levels within the schedules must provide details and

appropriate verifiable evidence of the circumstances which support that the reasons for

withdrawal:

a) Are beyond the student’s control; and

b) Do not make their full impact on the student until on or after the commencement

of course in question; and

c) Make it impracticable for the student to complete the requirements for the subject

during the period during which the student undertook, or was to undertake, the

subject.

CIRCUMSTANCES WHERE NO REFUND WILL BE PROVIDED

9.1 A refund will not be provided in any circumstances where the student has supplied

fraudulent, forged or deliberately misleading documentation.

9.2 A refund will not be provided where the student has had their enrolment terminated due

to either academic or behavioural misconduct as specified in Regulations pursuant to the

Axial International College guidelines for the course in which the misconduct occurred.

9.3 A refund will not be considered if the request is submitted after the student has had their

enrolment terminated due to non-payment of course fees.

9.4 A refund will not be provided if the student fails to notify their request for refund within 30

days from the date of withdrawal request.

10. APPEALS OF DECISIONS / COMPLAINTS

10.1 If after 30 days from receipt of an application of the College, the student has not been

notified of an outcome, or if the student wishes to appeal the decision, they can do so by

applying to the Axial at the contact details provided in Appendix 2.

10.2 If the student is not satisfied with the application of this Policy, they should raise their

concern with the College immediately.

10.3 The student at any point is also entitled to take legal action under Australia's consumer

protection laws.

11. CHANGE OF VISA STATUS

11.1 If the student provides the College with written evidence that they have had Australian

Permanent Resident status or Australian Citizenship granted before the applicable Census

Date, they will be entitled to a refund of all international tuition fees from the date of the

visa change, however they become liable for that (and subsequent) Courses to pay

applicable domestic student fees.

12. PAYMENT OF REFUNDS

12.1 Refunds will be credited to the account nominated by the student on the Refund

Request form, and will be based on the Australian dollar fee for the course rather than any

foreign currency amount.

12.2 If the course is being terminated, the amount will be paid within 4 weeks (or 2 weeks in

the case of situations listed in 4.1d, 4.1e or 4.1f above) after the written notification date by

telegraphic transfer to a bank. The College will not compensate students for any exchange

rate differences or transfer costs that have occurred when undertaking foreign currency

exchange.

13. DISCLOSURE OF INFORMATION

13.1 Personal information provided by students to the College may be made available to

Australian Commonwealth and State Agencies pursuant to legislation, particularly in regard

to the College’s obligations under the Education Services for Overseas Students Act 2000.

13.2 Axial International College is required under Section 19 of the Education Services for

Overseas Students Act 2000 to inform the Department of Home Affairs about changes to

student course enrolment and any breach of student visa condition relating to satisfactory

academic performance.

1 PURPOSE

The Course Credit Policy details the circumstances under which Credit Transfers (CT) will be

granted to students who enrol with Axial International College, and the enrolling student

provides an original or certified copy of a valid Certificate or Statement of Attainment. The

policy also includes the steps to be taken if the granting of course credits leads to a

shortening of the student’s course.

2 POLICY

Students can apply for credit transfer during the application process. Applications for Credit

Transfers must be completed and submitted prior to the issue of the Letter of Offer and

Confirmation of Enrolment. Axial International College will provide the student with a written

record of any course credit transfer granted.

If student results from previous training and studies match the units outlined in the training

schedule, then a direct credit can be made.

Students will be required to sign or otherwise accept this course credit notice. If credits are

granted which lead to a shortening of the course duration, Axial International College will

indicate the actual net course duration on the Confirmation of Enrolment and Letter of

Offer. If credits are granted after the student visa has been issued, Axial International

College is required to report the change in duration via PRISMS under section 19 of the ESOS

Act.

3 PROCEDURE TO APPLY FOR CREDIT TRANSFER

Students who wish to apply for a Credit Transfer must:

• Complete the Credit Transfer Application form;

• Axial International College Administration Staff will log the receipt of the application

in the VETtrak student management system;

• Staff will assess the students application and forward to the Administration Manager

for approval prior to granting any Credit Transfers;

• Axial International College Administration Manager will assess the application and

advise on the outcome and any change to the course duration;

• Axial International College Administration will advise the student via the Credit

Transfer Outcome Letter of the decision and any change to the course duration;

• The final decision will be logged in the VETtrak student management system and

copies of all documentation will be stored in the student file.

1 PURPOSE

The Recognition of Prior Learning Policy details the circumstances under which Recognition

of Prior Learning (RPL) will be granted to students who enrol with Axial International College.

The policy also includes the steps to be taken if the granting of RPL leads to a shortening of

the student’s course.

2 POLICY

Students can apply for Recognition of Prior Learning either during the application process

or by discussion with their Trainer at the beginning of the course. To qualify as an RPL

candidate, students must be able to demonstrate a history of at least 3 years employment

in a role relevant to their enrolled qualification, and be able to demonstrate competence

in all requirements of the units of competency for which they are applying. Competence

can be demonstrated through a range of evidence such as employment records, job task

sheets, sample work documents, photos, videos, third party testimonials and formal

educational qualifications.

Students will be advised in writing of the RPL outcome. Students will be required to sign or

otherwise accept this RPL notice. If RPL is granted which lead to a shortening of the course

duration, Axial International College will advise the student of their new actual net course

duration on the Confirmation of Enrolment and Written Agreement. In this instance, Axial

International College is required to report the change in duration to the Department of

Home Affairs via PRISMS under section 19 of the ESOS Act.

3 BEGINNING THE RPL PROCESS

1. If the student is identified as an RPL candidate, the student is issued with an RPL

Evidence Guide, RPL Application and an RPL Evidence Checklist specific to their

qualification.

2. The student is required to advise Axial if they feel they will be able to meet the

evidence requirements.

3. If the student chooses to proceed with the RPL process, the trainer/assessor records

the relevant units of competency on the Training and Assessment Report to indicate

that RPL is planned for those units.

4. If the student decides that they are not able to meet the evidence requirements, the

trainer/assessor should further discuss the student’s experience and seek feedback

from the current employer (if applicable) regarding the student’s performance.

5. If the student and employer wish to progress the training/assessment at a faster rate

than originally planned, the trainer is able to fast-track the student by providing

further resources or more frequent training and assessment visits to allow the student

to meet the assessment requirements for units of competency that match their

previous experience.

6. Alternatively, the trainer/assessor may identify that the student has completed formal

training and assessment that they were not aware could contribute to their

qualification. In this instance, the trainer/assessor must advise the student to obtain

their relevant Statement of Attainment or Certification as soon as possible. Students

who are unable to locate their Statements of Attainment or Certificates should

contact Axial Administration for advice on who they can contact, such as previous

RTOs or ASQA.

4 PROGRESSING THE RPL PROCESS

(for students who have chosen to undertake the RPL pathway)

1. During subsequent RPL sessions, the trainer/assessor will monitor the student’s RPL

evidence gathering to ensure they are on track and collecting evidence that is

suitable for the RPL process.

2. The RPL Kit for the student’s qualification will assist the trainer to review the RPL

evidence and provide feedback to the student on what is still required.

3. Some qualifications may require theoretical or practical challenge tests. If required,

details should be provided to the student to begin preparations.

4. The trainer/assessor should retain evidence gathered to date and record the items

received and progress in the relevant section of the RPL kit.

5 FINALISING THE RPL EVIDENCE GATHERING

1. Within a maximum of 6 months of the commencement of the RPL process, the

student should have provided sufficient evidence for the trainer/assessor to finalise

the review of the evidence.

2. The trainer/assessor will then determine a date/time to conduct any required

challenge tests.

3. The trainer/assessor will arrange to contact the current and/or previous work

supervisors to validate third party testimonials.

4. All records of evidence gathered, challenge tests, third party validations and any

other evidence items must be recorded within the RPL kit and mapped to the

relevant requirements for the unit of competency.

5. Once the RPL process has been finalised, the trainer/assessor must submit the full RPL

kit and evidence gathered to Axial Administration for processing.

6. Axial Administration will validate to ensure that each piece of evidence listed in the

RPL kit has been supplied.

7. RPL Results will then be recorded against the relevant units of competency and a

letter issued to the student advising of the outcome and any change to the course

duration.

8. The final decision will be logged in the VETtrak student management system and

copies of all documentation will be stored in the student file.

circumstances, and relevant staff are made aware of Axial’s obligations under the ESOS

2010 framework.

2 POLICY

Axial International College is committed to providing all students with the support they need

to achieve their goals and to adjust to life and study in Australia.

Axial International College Student Support Officers (SSO) are available to:

• Ensure that all students undertake an appropriate orientation program;

• Provide the opportunity for students to participate in services designed to assist in

meeting course requirements; and

• In addition, students can also access support services to:

o Provide advice and support in relation to accessing welfare-related services

to assist with issues that may arise during the student’s study period

o Referral (if required) to appropriate external support services

Student Health Cover (OSHC), prior to arriving in Australia. OSHC covers the cost of standard

All students MUST agree to abide by our STUDENT CODE OF CONDUCT, to ensure a healthy,

respectful and happy learning environment.

1. All students will treat all Axial Staff and other students with respect;

2. All students will ensure that they DO NOT damage any equipment supplied or

provided for use to them by Axial;

3. All students agree to arrive on time for ALL classroom and practical training sessions;

4. All students must be prepared and have all resources ready before class or training

session;

5. All students must wear appropriate clothing for the workplace or course (including

any PPE requirements);

6. All students will follow the campus’ rules at all times;

7. No student will cheat or participate in any action that may be considered cheating;

8. Acting in a disruptive, offensive or aggressive way will not be tolerated (physical and

verbal aggression are considered unacceptable behaviours);

1 PURPOSE

To ensure all staff and students are aware of course progress requirements, and any possible

outcomes that could result from failing to meet minimum course progress requirements.

2 POLICY

All students are expected to progress through their course as per their Training Plan or

Training Schedule. Students are also expected to attend all scheduled classes and

vocational placement sessions. Registered providers are proactive in notifying and

counselling students who are at risk of failing to meet their course progress requirements.

Registered providers report students who have breached their course progress requirements

through PRISMS, under section 19 of the ESOS Act. The monitoring of course progress allows

Axial International College to comply with its obligation under the National Code Standard

8 (Overseas Student Visa Requirements).

• To reach satisfactory course progress, students will need to achieve competency in

80% or more of the units they have during a study period. A study period is composed

of 10 weeks (one term).

• Course progress will be monitored by the use of assessments. All students will be

assessed regularly during the study period.

• Students who receive a Not Yet Competent result in four of their five available

attempts at an assessment task for a unit of competency will be advised to contact

Axial International College to arrange tutorial sessions. It is student’s responsibility to

do so.

• The course progress of all students will be assessed at the end of each term based

on the cumulative units completed as at the end of that term. A record of each

student’s course progress will be maintained in Axial’s Student Management System,

VETtrak.

• Axial International College will implement its intervention strategy in respect of the

students who are identified for the first time as making unsatisfactory course progress

(see: 3. Intervention Strategy). Unsatisfactory course progress is having achieved

“Not Yet Competent” results in more than 20% of the total number of units in the

course by the end of the term.

• Where the student fails to achieve course progress for two consecutive study periods

(terms), Axial will issue an Intention to Report advising of the college’s intention to

report the student’s Confirmation of Enrolment to the Department of Home Affairs.

• All students will be regularly assessed during the study period. Assessments will be

consistent with the ASQA Standards Registered Training Organisations and the

relevant training package or accredited course.

• At the end of the compulsory study period, VETtrak system will identify those who

have not demonstrated competency in at least 80% of the cumulative course

requirements. Where students are at risk of failing to meet course progress

requirements, they will be counselled and offered additional support to complete

their studies (see: 3. Intervention Strategy).

3 Intervention Strategy

3.1 An intervention strategy will be implemented for students identified as having failed to

demonstrate satisfactory course progress in at least 80% of their course requirements at

the end of each term.

3.2 Axial’s relevant staff will contact students who have failed to achieve satisfactory

course progress (via phone call and/or sms, and post mail and/or email) to arrange an

intervention meeting where student’s challenges and difficulties will be discussed.

During the meeting, the consequences of poor academic performance will be outlined

and an intervention strategy will be implemented in order to assist student to achieve

better academic outcomes during the following study term. The strategy may include

but is not limited to:

a) Individual support based on personal/academic difficulties;

b) Identification and implementation of support strategies that might improve

the academic results outcome, such as reassessment options;

c) Extending the course of studies (subject to specific student visa specifications

and providing student has a compelling and compassionate circumstance).

3.3 Students will be advised that unsatisfactory academic progress in two consecutive

terms could lead to student being reported to the Department of Home Affairs leading

to cancelation of visas.

3.4 A record of all intervention sessions and the specific support recommendations

regarding study progress will be held in the VETtrak SMS and on the student’s file.

3.5 If a student is identified as not making satisfactory course progress in a second

consecutive term, the college will advise the student in writing of its intention to report

the student’s Confirmation of Enrolment to the Department of Home Affairs for not

meeting course progress.

3.6 After an Intention to Report is issued, student has 20 working days to contact the college

and lodge in an Internal Appeal form to initiate the college’s internal complaints and

appeals process.

3.7 The college must notify the Department of Home Affairs via PRISMS of student’s

unsatisfactory course progress as soon as practicable where:

- the student does not access the Complaints and Appeals Process within 20 working

days, or

- the student withdraws from the Complaints and Appeals Process, or

- the Complaints and Appeals Process decision is in favour of the college.

3.8 While this process is conducted, student is required to enrol and honour his/her student

responsibilities (attend minimum of 80% classes and maintain at least 80% of

competency in their study units).

3.9 On expiry of the period noted in clause 3.7 above or on completion of the appeals

process confirming unsatisfactory academic progress, the student’s Confirmation of

Enrolment will be reported through PRISMS to the Department of Home Affairs. This

action automatically alerts the Department of Home Affairs. The student’s enrolment

with Axial International College will then be terminated.

1 PURPOSE

To ensure all staff and students are aware of course attendance requirements, and any

possible outcomes that could result from failing to meet the attendance requirements.

2 POLICY

All students are expected to progress through their course as per their Training Plan or

Training/Study Schedule. All students are also expected to attend all scheduled classes

and workplace training sessions.

Students undertaking Campus delivery will be provided with a Training Schedule outlining

all assessment due dates and a Student Timetable showing all scheduled classes.

International student visas include a condition that requires the student to progress through

their course satisfactorily. It is also a requirement that each international student’s course

attendance is systematically monitored and where students are at risk of failing to meet

course attendance requirements, that they are counselled and offered additional support

to complete their studies.

Axial Campus delivery courses have an attendance requirement of at least 80% of the

scheduled class hours. In a case where students are unable to attend classes, the student

is required to advise the SSO as soon as practicable of their absence. If a student is absent

due to illness a medical certificate is required to be submitted. Where possible, evidence is

also required to be submitted for any other reason for being absent (e.g. bereavement).

3 MONITORING COURSE ATTENDANCE

To ensure attendance is being satisfactorily maintained, the absence or attendance of

each student is on a class attendance register at each lesson. Attendance details are

recorded in the Axial International College Student Management System (VETtrak), and

calculated for each student, at the end of each 2 week period on a cumulative basis, to

determine whether they are achieving the minimum attendance requirement over the

study period.

In the event that a student has unexplained absence for 5 consecutive days or achieves

less than 80% course attendance, the SSO will intervene and determine the reason for the

lack of attendance.

During the academic counselling session Axial and the student will determine what

additional support will be provided to the student. This may include, but is not limited to, the

student:

• Attending academic skills programs

• Attending tutorial or study groups

• Receiving individual case management/counselling

• Receiving assistance with personal issues which are influencing attendance.

A record of the academic counselling session and any additional support to be provided

will be documented and signed by Axial and the student and placed on the student’s file.

Students who attend designated catch up sessions outside of their scheduled course

that study period. Students who are at risk of not meeting their attendance requirements

can utilise this facility to catch up on their attendance percentage.

If a student fails to meet the 80% course attendance requirement after additional support

has been provided, Axial International College may advise the student that it may be at risk

of not meeting the Axial Student Code of Conduct.

Any attempts by students to falsify attendance, academic or any other records directly

relating to their course enrolment and contract, constitutes misconduct and will result in

Axial International College taking disciplinary action and may result in the student being

cancelled/withdrawn from the course.

4 PROCEDURE FOR MONITORING COURSE ATTENDANCE

The SSO will regularly monitor student attendance and take action where required by:

• The SSO will monitor student attendance by completing the attendance register

each day

• The SSO will log student attendance in the VETtrak student management system

• The SSO will generate the Campus Delivery Student Attendance Report via the

VETtrak student management system at the end of each 2 week period

• Where a student has an unexplained absence for 5 consecutive days or achieve less

than 80% course attendance, the SSO will discuss the attendance level with the

student and if further review is required and add to the student’s log in the VETtrak

student management system.

• In the first instance, an Axial staff member will conduct a verbal discussion with the

student regarding their attendance level. This discussion will be followed by an email

sent to the student via VETtrak and a record retained in VETtrak confirming the

discussion has taken place.

• If the student remains below 80% attendance at the end of the four week period

after this discussion, a formal notice will be issued to the student via email via VETtrak.

This email will advise the student again that it is mandatory for them to attend their

scheduled classes and maintain satisfactory attendance. A record will be retained

in VETtrak confirming this notice has been sent.

• If the student remains below 80% attendance at the end of the four week period

after this formal notice, Axial will commence the intervention strategy for the student.

This will include a meeting with an Axial staff member, the student and a support

person if they wish. The purpose of this intervention meeting is to determine any issues

that are affecting the student’s attendance and review the student’s progress

through their course. The intervention strategy may identify a lack of progression, in

which case the student will be informed that lack of progression could lead to the

student being issued with a Notice of Intention to Report. The intervention strategy

may identify that they student if progressing satisfactorily, or that a lack of progression

could be due to outside factors. In these instances, the intervention strategy will

propose a plan for the student to ensure their course progress is satisfactory.

• If the student continues to fall below 80% attendance in future reporting periods, Axial

Administration will advise the Administration Manager to review the student’s

compliance with Axial’s Student Code of Conduct.

• Copies of all documentation will be stored in the student file.

1 PURPOSE

To ensure students and staff are aware of the process involved should a student be deemed

to require disciplinary action, following Axial’s Student Code of Conduct.

2 POLICY

Disciplinary action should be taken for inappropriate behavior towards other students or

Axial International College staff or for breaching the Axial International College student

Code of Conduct. A penalty will be imposed under this policy if students are found to have

breached discipline.

For International Students under taking any work placements, any disciplinary action or

recommendations MUST be made with due regard to the provisions of the Vocational

Education Training and Employment Act 2000. Further information can be obtained by

calling the Apprenticeship Information Line on 1800 210 210.

For International students, any disciplinary action/s or recommendations could result in Axial

International College being required to inform the Department of Home Affairs in

accordance with the ESOS Act and associated legislation.

3 DISCIPLINARY PROCEDURE

Three offences can be issued against each student. If a student is found to have broken the

student rules, the following steps will be taken:

3.1 FIRST OFFENCE:

• A verbal warning will be issued to the student and they will have to attend a

counselling session with an Axial International College staff member to discuss their

actions and their future with Axial International College;

• A record of this verbal warning and counselling session will be documented, dated

and signed by the student and the Axial International College staff member issuing

the warning

• This record will be placed in the student file.

3.2 SECOND OFFENCE:

• A formal written warning will be issued to the student. Should the behavior continue,

privileges with Axial International College will be removed;

3.3 THIRD OFFENCE:

• All student privileges will be removed by Axial International College. This means that

students will no longer have access to training, assessments, and resources or be able

to log-in to on-line courses;

• The student will be advised of a time to attend a meeting with the Training Delivery

Manager and the Axial International College staff member issuing the warning. Any

comments that the student makes at the meeting in relation to the behavior will be

documented;

• The student will be provided with reasons for any disciplinary action Axial

International College may take, in writing. A copy of the record will be dated and

signed by the student, the Training Delivery Manager and the Axial International

College staff member issuing the disciplinary action.

• This record will be placed in the student file.

4 APPEALS

Students can appeal against certain penalties via Axial International College Complaints

and Appeals policy. The penalty may (at the discretion of the Training Delivery Manager)

be reduced, removed, or increased and such processes or decisions do not remove the

student’s right as a student to take action under Australia’s consumer protection laws.

5 SERIOUS MISCONDUCT

If a student is accused of serious misconduct

• The student will be immediately suspended for 24 hours from attendance at class or

training;

• The trainer will advise the Training Delivery Manager immediately about the situation

and provide a written statement, which will explain why the student has been

suspended;

• The student will be advised of a time to attend a meeting with the person issuing the

disciplinary action and the Training Delivery Manager. Any comments that the

student makes at the meeting in relation to the misbehavior will be documented.

• The student will be provided with reasons for any disciplinary action Axial

The Training Delivery Manager will give the student an opportunity to be heard in relation to

the misconduct or disciplinary action and can do any of the following:

Student responsibilities for Workplace Health and Safety

• Must not act in a manner, which may endanger the health and safety of themselves

or any other person while on campus or at a course/class being run by Axial

International College;

• Must carry out safety directions given by Axial staff and/or other appropriate persons;

• Must co-operate with any reasonable policy or procedure;

• Must report any issue they are aware of to the appropriate person.

Students who do not comply with these legal requirements are in breach of the WH&S Act

2011 and can be fined plus they could also be in breach of the student expectations and

1 PURPOSE

To provide an environment that is safe and healthy, with processes for effectively dealing

with a critical incident involving a student.

2 POLICY

All Axial International College staff are expected to perform their work tasks in a safe manner

and to observe the rules, procedures and established work practices made known to them.

This expectation also extends to students on the premises.

In Queensland, employees have an obligation to:

• Comply with the instructions given by their employer for health and safety at the

workplace;

• Use formal protective equipment if the employer provides the equipment and the

employee is properly instructed in its use;

• Not willfully or recklessly interfere with or misuse anything provided for workplace

health and safety at the workplace;

• Not willfully place at risk the workplace health and safety of any person at the

workplace;

• Not willfully injure themselves.

This is for the purpose of ensuring the environment will remain safe for students of Axial

International College.

Trainers and Assessors have specific responsibilities. They must ensure that they:

• Organise the classroom / training facilities to ensure WH&S legislative requirements

are fulfilled, including

o implementing and monitoring WH&S policies and procedures in the classroom

/ training-facilities;

o identifying hazards and assessing the WH&S risks in the classroom / training-

facilities;

o eliminating hazards and controlling WH&S risks in the classroom / training-

facilities.

It is the responsibility of Axial International College and its stakeholders to ensure that the

students study and work in environments that fulfil WH&S legislation, and have suitable

opportunities to learn all that they need to work and study safely, irrespective of culture,

beliefs, physical ability, or any other reason that may affect the student’s environment whilst

enrolled at Axial International College.

3 PROCEDURE

Notwithstanding the above, in the case of a critical incident arising either on or off campus,

involving a student at Axial International College, appropriate action will be taken to ensure

the student’s wellbeing. In the first instance, any required or appropriate action to ensure

the student’s wellbeing may involve:

• Taking emergency steps to ensure the student’s safety

• Taking steps to prevent a reoccurrence of the incident

• Contacting the PEO or other relevant person or body, as appropriate

Once any immediate injuries or dangers have been addressed, an Incident and Accident

form (HS009) is to be completed and the SSO or other suitably qualified member of staff is

to review the case. The Incident and Accident form is treated as follows:

• It is completed after any urgently required treatment or action has occurred;

• An internal review is conducted, at no cost to the student;

• The form and the review outcome is filed in the Human Resources department.

Once the report and incident have been dealt with, the SSO or other qualified member of

staff will conduct a suitable follow up with the student and other stakeholders, and take

further action as required. If an investigation is warranted, this will be undertaken and, if

necessary, the Human Resources department will notify the relevant division of Workplace

Health and Safety. Suitable follow up may involve:

• Any relevant action, treatment or counselling required by the student;

• Notifying any relevant department, government or regulatory body, or next of kin, as

appropriate;

• Addressing policies to ensure the risk of a repeat of the incident is mitigated, and

scheduling any ongoing action as necessary;

• Review of student’s enrolment and applicable refund, if appropriate;

• Provide appropriate support or other arrangements for the student’s family;

• Evaluate the initial response for recommendations or improvement.

At the conclusion of the review and any relevant investigation and follow up, the outcome

will be recorded and filed in the Incident and Accident file. For international students, Axial

International College will notify the Department of Home Affairs as soon as practicable in

the case of the death of a student or an incident involving a student that affects their

attendance or enrolment.

1 PURPOSE

The purpose of the Complaints and Appeals Policy is to ensure all complaints are received,

recorded and actioned appropriately in accordance with both internal and external policy

and contractual requirements. The policy addresses complaints received by any individual,

and both academic and non-academic appeals.

2 POLICY

The Complaints and Appeals Policy confirms that any complaint or appeal of a decision

received by Axial International College is acknowledged and managed appropriately in a

timely manner. This policy applies to all complaints received by Axial International College,

regardless of the campus at which the grievance has arisen, the person’s place of

residence or mode of study.

Axial International College maintains processes whereby current students, and/or

prospective students seeking to enrol, may submit a complaint or appeal in relation to any

aspect of the organisation’s business operations. This will be maintained as an inexpensive

process.

This policy ensures:

• An informal approach to the person with whom the student has the complaint

• An opportunity for the student to formally present their case

• An opportunity for an employee who is impartial to the complaint or appeal to

review it

• An opportunity for an external consultant or other appropriate body to conduct an

independent review of the complaint or investigate an appeal (contact details listed

below)

• Outcomes of all complaints and appeals will be communicated in writing to the

student/prospective student by the relevant manager.

• Access to the complaints and appeals process is free of charge to all claimants.

• For any outcome resulting in Axial being obliged to report the student for

unsatisfactory course progress, Axial will not do so until the student has had the

opportunity to access the internal and external complaints and appeals processes

and the decision supports Axial’s outcome, or the period for lodging a complaint or

appeal has lapsed.

Axial International College is committed to ensuring any complaint or appeal is dealt with

in a fair and timely manner. To enable all students the opportunity to submit a complaint or

to appeal an academic result, the below process should be followed:

• Firstly, the student should talk to their trainer or Student Support Officer. In the first

instance an informal approach may be able to resolve the issue.

• If all parties are not satisfied with the outcome of this discussion, a formal complaint

3 COMPLAINTS

1 PURPOSE

To ensure all students and staff are aware of Axial International College’s obligations and

policy on deferring, suspending or cancelling enrolments for international students.

2 POLICY

a) Students may request a deferment or suspension of their studies during the course in

limited circumstances as per the National Code of Practice for Providers of Education

and Training to Overseas Students 2018, standard 9.

b) Axial International College may also suspend or cancel a student’s enrolment

against student’s wish for misconduct, provided such suspension is in accord with the

college’s policies.

c) Before suspending or cancelling a student’s enrolment, Axial must notify the student

of its intention in writing, and allow student 20 working days to access the complaints

and appeals process (see: Complaints and Appeals policy). If accessed, the college

will not notify the Department of Home Affairs of a change to the enrolment until the

appeal process is completed and the appeal is not a successful one.

d) In all cases, Axial International College is responsible for notifying students that

e) It is also Axial’s responsibility to notify the Department of Home Affairs via Provider

Registration and International Student Management System (PRISMS) whenever a

student’s enrolment is deferred, suspended or cancelled.

f) Students must be aware that a deferment or suspension of enrolment may affect

his/her student visa, and are advised to contact the Department of Home Affairs

website (www.homeaffairs.gov.au) or helpline (131 881) for further information;

g) Documentary evidence must be kept in Axial’s student file.

h) A student may only request a deferral or suspension on the grounds of illness or

compassionate / compelling circumstances beyond the control of the student.

Students are made aware via the Student Handbook and this policy that deferral,

suspension or cancelation of their enrolment may affect their student visa.

Compelling and compassionate circumstances may include but are not limited to:

• Serious illness or injury, where a medical certificate states that the student was

unable to attend classes;

• Bereavement of close family members such as parents, siblings or

grandparents (a death certificate should be provided);

• Major political upheaval or natural disaster in the home country requiring

emergency travel; or

• A significant traumatic experience (supporting documentation must be

provided).

i) Where a student is granted a long period of suspension and remains in Australia for

the duration of suspension, Axial International College may decide to make the

suspension conditional upon regular communication and meetings with the College.

This is done in case there are concerns about student’s welfare and support network.

j) Axial International College may impose conditions on any suspension and

deferments granted, and may offer a reduced study workload instead of a

suspension in case it finds more appropriate.

k) Students must apply to Axial International College for deferral/ suspension of their

studies and in doing so acknowledge that Axial International College may choose

to grant or decline any such request.

3 CANCELLATION OF ENROLMENT

In some situations, Axial may choose to cancel a student’s enrolment. These situations could

include but are not limited to:

• Failure of the student to pay all applicable tuition fees;

• The student’s behaviour is unacceptable as defined by Axial International College’s

Student Code of Conduct;

• The student’s attendance and course progression does not meet the standards as

set out in the Course Progress and Attendance Policy;

• The student’s inability to begin studying on the course commencement date due to

delays in receiving a student visa;

• The student is missing;

• The student is deemed to have abandoned studies (please refer below to “Non-

resumption of studies).

4 NON-RESUMPTION OF STUDIES

A student is deemed as having abandoned his/her studies if:

• Student does not return to study within 10 days of the course resumption date after

a scheduled course break (term start date) without informing the college about the

need for a delay.

Students deemed to have abandoned their studies will have their enrolment cancelled and

their Confirmation of Enrolment (CoE) will be marked as “Inactive/Cancelled” on PRISMS.

Students who return to study after a cancellation of enrolment will need to reapply for their

course and a new application process needs to be activated. Axial is not obliged to accept

a student back after having cancelled their enrolment for non-resumption of studies.

5 HOW STUDENT’S COES WILL BE AFFECTED WITH A SUSPENSION/DEFERMENT/CANCELLATION

REQUEST

• When the deferment or suspension doesn’t affect the end date of the CoE, there is

no change to its enrolment status on PRISMS. The CoE’s status will still be listed as

“Studying”, but the notice of suspension/deferment will be recorded in the system

and the Department of Home Affairs is informed for their reference.

• When the deferment or suspension affects the end date of the CoE, PRISMS cancels

the original CoE and takes the user to create a new one with updated end dates

and information.

• When the student’s enrolment is cancelled, so is the CoE.

6 PROCEDURE TO APPLY FOR A DEFERMENT/SUSPENSION/CANCELLATION OF ENROLMENT

• Complete the Deferment/Suspension/Cancellation application form with relevant

supporting documentation (medical/death/police/court certificates or a statutory

declaration certified by a Justice of Peace when other documentation is

unavailable);

• Axial International College Administration will log the receipt of the application in the

VETtrak student management system;

• Axial International College Administration will assess the students application and

supporting documentation and forward to the Administration Manager for approval

prior to granting any request;

• Axial International College Administration Manager will assess the application and

advise on the outcome and action to be taken;

• Axial International College Administration will advise the student of the decision via

the an outcome letter;

• The final decision will be logged in the VETtrak student management system. Copies

of all documentation will be stored in the student file;

• All applications for deferment or suspension will be considered and the decision

conveyed to the student within 10 working days from the date of application by the

student;

• In cases of suspensions granted, Axial International College will provide student with

a new study plan that best reflects on student’s new end of course date;

7 PROCEDURE TO CANCEL AN ENROLMENT

Where Axial International College makes the decision to cancel a student’s enrolment, an

Axial International College staff member will:

• Complete the Cancellation Advice form;

• Axial International College Administration will log the receipt of the advice in the

VETtrak student management system;

• Axial International College Administration will assess the cancellation advice and

supporting documentation and forward to the Administration Manager for approval

• Axial International College Administration Manager will assess the cancellation

advice and advise on the outcome and action to be taken;

• Axial International College Administration will advise the student of the decision via

the Cancellation Letter and give the student the chance of appealing the decision

if applicable;

• The final decision will be logged in the VETtrak student management system. Copies

of all documentation will be stored in the student file.

1 PURPOSE

To ensure staff and students are aware of the guidelines on transferring an enrolment

between registered training providers. This policy mainly addresses transfers requests where

the student has not yet completed 6 months of their principal course of study.

2 POLICY

Under the terms of the National Code of Practice for Providers of Education and Training to

Overseas Students 2018 – Standard 7, students on an international student visa are required

to remain with their education provider for the first six months of their principal course.

However, we recognise that there may be circumstances for a student to want to transfer

between providers.

3 TRANSFERS TO AXIAL INTERNATIONAL COLLEGE FROM ANOTHER REGISTERED PROVIDER

Axial International College is restricted from enrolling a student who is transferring from

another provider, unless the student has completed a minimum of six (6) months of his/her

principal course of study, except when any of the following circumstances apply:

• The original provider has ceased to be registered or the course in which the student

is enrolled has ceased to be registered;

• The original provider has provided a written letter of release;

• The original provider has had a sanction imposed on its registration that prevents the

student from continuing;

• Any government sponsor of the student considers the change to be in the student’s

best interest and has provided written support for that change.

4 TRANSFERS FROM AXIAL INTERNATIONAL COLLEGE TO ANOTHER REGISTERED PROVIDER

To apply for a change of provider within the first 6 months of the principal course of study

with Axial International College, the student must submit a written request and a copy of

the valid letter of offer provided from the other Registered Provider to one of our Student

Support Officers or [email protected]. It is expected that Axial International College will grant

the student a letter of release in the following circumstances:

• The overseas student will be reported because they are unable to achieve

satisfactory course progress at the level they are studying, even after engaging with

intervention strategy for assistance;

• There is evidence for compelling and compassionate circumstances;

• Axial International College fails to deliver the course as outlined in the Letter of Offer;

• There is evidence that the student’s reasonable expectations about their current

course are not being met;

• There is evidence that the student was misled by Axial International College or an

education or migration agent regarding the college or its courses;

• An appeal (internal or external) on another matter results in a decision or

recommendation to release the student.

Axial International College will assess a student’s request on a case by case basis once the

student provides a letter outlining the reasons for the request, along with any relevant

documentation (such as medical certificates).

On a first instance, Axial International College will assess whether the college can provide

alternative arrangements to meet the needs of the student. If the student declines the

alternative arrangements, a letter of release will be granted by Axial International College

where the transfer will not be to the detriment of the student or their future studies.

5 REFUSING A REQUEST

Axial International College may only refuse a request for transfer within the first six months of

a course under the following circumstances:

• The transfer may jeopardise the student’s progression through a package of courses;

• A valid offer letter has not been produced;

• Axial International College believes the transfer would be detrimental to the student;

• The student is experiencing difficulties adjusting to Australian life and the demands of

academic work at Axial International College, and there are actions Axial’s

International College Student Support Services can take to assist.

6 NOTIFICATION OF AN OUTCOME

Students will be notified of the outcome of their request within ten (10) working days of

submitting their request for a Letter of Release. Students will be informed in writing, at no

cost, that Axial International College has either:

• Approved the request to transfer to another provider. In this instance the student will

need to contact the Department of Home Affairs to seek advice regarding their

student visa.

• Rejected the request to transfer to another provider. In this instance the student will be

informed in writing of the reasons for the decision and informed that they may freely

transfer between providers after six months. Students can appeal the decision in

writing in accordance with Axial International College’s complaints and appeals

process.

Axial International College will retain copies of all requests from students. Records will be

logged in the VETtrak database and on the student file, along with the evidence of the

outcome and the relevant decision.

7 PROCEDURE TO APPLY FOR A TRANSFER FROM AXIAL TO ANOTHER REGISTERED PROVIDER

Students who wish to apply for a transfer from Axial International College to another

registered provider must:

• Complete the Transfer Application form;

• Axial International College Administration will log the receipt of the application in the

VETtrak student management system;

• Axial International College Administration will assess the students application and

supporting documentation and forward to the Administration Manager for approval

prior to granting any transfer request;

• Axial International College Administration Manager will assess the application and

advise on the outcome and action to be taken;

• Axial Administration will advise the student of the decision via the Transfer Successful

Outcome Letter (Letter of Release), or the Transfer Unsuccessful Outcome Letter;

• The final decision will be logged in the VETtrak student management system. Copies

of all documentation will be stored in the student file.
