    Strategic Meetings Management

(SMM) – The MythTHE term & theory of StrategicMeetings Management (SMM)originated out of the USA some10 years ago though has onlyrecently gained a spotlight inAustralia, originally spearheadedby event planning softwareStarCite (now Lanyon) and morerecently, Cvent. Those of younot familiar with SMM, it hasseveral denitions but I’ll quotethis one agreed to by Meeting

    Professionals International(MPI) –

“SMM is a disciplinedapproach to managingenterprise-wide meeting andevent activities, processes, suppliers and data in order toachieve measureable businessobjectives that align with theorganisation’s strategic goals/vision, and deliver value in theform of quantitative savings, riskmitigation and service quality”.

Sounds terric doesn’t it. Let’slook at this in layman’s terms….

Providing you have sucientmeeting volume and if youconsolidate the entire meetingspend of your organisation to just a few venues, global hotelgroups and event suppliers,SMM can save you loads ofmoney – by promising loads ofvolume to a select few suppliersand screwing them down on cost(lowest price wins). Somehow, this will help you to achieve yourbusiness objectives (whateverthey are) and align them withyour organisation’s strategicgoals (whatever they may be).All the suppliers your employeesare then forced to use (basedon price), will provide servicequality to you and any eventrisks will be reduced.

On a good day, with a fair

wind and the sun at my back, Imight, maybe, perhaps concedethat consolidating all yourorganisation’s event spend to just one or two single venues, hotel groups and suppliersmay deliver savings. But thisoverlooks the fact that you maythen be forced to place businessinto a venue that is not the rightt. It doesn’t take into accountspecic event requirements or

the needs of attendees. Asidefrom this and many otherfactors, here’s the gaping holeand omission in SMM….

By and large, SMM is a storyabout cost savings. Sold on theidea, procurement managersmay gleefully cheer as they rollout the deployment of their newSMM program promising that. But they’ve been hoodwinked.Since their existence andsole focus is based on saving

costs, this is not dicult. SMMdoes nothing to improve theeectiveness, quality andoutcomes of meetings. Onlycarefully crafted meeting designand tactics will deliver ROI,not SMM and event softwarepromising cost savings. In classicMonty Python fashion, I emptymy nose in the vicinity of SMMand fart in its general direction!
