Executive summary

This business plan is constructed for the student company Gaia’s Gift. The purpose of this business plan is to provide the shareholders, the organization and the bank all the information and research that has been done for the fundamental of the company.

The product we provide for our customers are different kinds of organic products in a recyclable paper shopper. Our primary target group are adults from 18 to 40.

We want to create awareness of how environmental friendly organic products are compared to our competitors, which use all sorts of chemicals in their products. Not only do our customers benefit from the natural products, but they are also helping the nature.

In the first chapter the mission, vision and goals of the company are described.Moreover, what the company wants to achieve and how they plan on doing this is explained. All the entrepreneurs are mentioned, and their functions are in the organization chart. To understand the structure and regulations, all the members of the team signed the company policies and regulations to keep the organization in harmony.

The sales department has done research on the external environment. They have done a SWOT analysis to find out the strengths, weaknesses, opportunities and threats. These factors have to be analyzed to foresee all problems that could occur and use all the strong points we have in our company. Through market research, we are able to recognize our potential customers’ thoughts and preferences. By surveying our segments, we are able to come up with ideas. Since we know we have big competitors, our concern is to find ways to distinguish ourselves.

In the chapter of the marketing department, the 4Ps, the feasibility, marketing strategy, key trends, competitor analysis and competitive advantages of the business model are discusses. By finding the right business partners, we can provide this product to our customers. The price has to be competitive in order not to differ too much from our competitors. To promote our product we plan our marketing strategies on word of mouth, also are we using social media platforms such as Instagram and Facebook and our own website. Our product can be bought on the website, and we will be selling them personally.

The production department has made a purchasing plan for the products we need. This includes the packaging and stickers we use to sell our bags. The production department has contacted and placed orders on all these products.

The financial department calculates all the cost for the company. They provide us with the operating cost (fixed and variable), break even analysis, sales scenario, estimation of revenues and the capital. In this way we see how much we should sell our product and how we will make a profit.

IntroductionThe aim of this business plan is to make our shareholder aware of the actions all departments of the Gaia’s gift student company need to undertake to make this a well working company.

Gaia’s gift is a student company created on the Hogeschool van Amsterdam. We want to make our customers aware of organic cosmetics and sell boxes with all kinds of organic cosmetics inside.

Within this company, there are five different departments. The CEO department will guide all departments and will make the final decisions. The Human Resource Department makes the regulations and rules, they will have a look at the cooperation within the company.

The financial department has done all the calculation of all expenses, sales and revenues. Production department has designed the box and flyers for our company. They are also the department who is responsible for the contact with the suppliers.

Then there is the sales department, which looks at the external environment. At last, we have the marketing, providing the information about marketing strategies and our feasibility.

MissionOur mission is to become a successful company by making our customers aware of the good quality of organic cosmetics. We would like to show our customer that organic cosmetics are affordable and even better than chemical cosmetics. Therefore our motto is: be Green-spired.

The mission of the company is to make people aware of the advantages of the organic cosmetics, show that it is affordable and has a high quality by providing an opportunity to try it. That is why the trial bag will be created.

Vision In a long-term perspective, we see our company as a successful project, which makes more and more people aware of organic cosmetics. We start the building of the “green” community. The one, which is environmental-friendly, aware of organic world and uses in life more nature resources instead of products created by science and are not sustainable.

GoalOur goal is to help people understand all benefits of using organic cosmetics by providing an opportunity to try it. We are creating bags with examples of such a product.

Socially Responsible Entrepreneurship

The company is completely environmental friendly and socially useful. Our suppliers are companies, which produce organic products. The companies were checked and they are not breaking any rules and lows in The Netherlands – for example children are not used for the work, there is no negative effect on both environment and community.

We try to avoid overuse of printing and other services, which can damage the environment. The majority of waste is recycled.

As the student company is working on the organic products, it is helping to protect the environment and make people more aware of the usefulness of green products.

Company StructureThe company has the divisional structure. There are two CEOs and five departments: Production, HR, Financial, Marketing and Sales.

Every department has a manager and at least one employee. It was agreed during the first meeting that all wages earned (0.2 euro per hour) will be used by HR Department for organizing team building activities.

Organizational structure and the agreement can be found in the appendices 1 and 3.

Company Policy There is a clear credit-value policy in the company. Every employee has a credit of 5.0 points. There is a number of important rules in the Gaia’s Gift Company. In a case of breaking the rules, points from the employee are deducted. If there are 0.0 points, an employee is fired. There will be two warnings – 3.0 points and 1.0 point. There is a list with the credits of every employee and the reason for the deduction.

The Company Policy is listed in appendix 2.

Human Resource Department decided to use the 7C’s of communication in our company. This decision was in cooperation with the CEO’s of Gaia’s gift. The reason that we will be using this way of communication is to make it more effective. Also to make sure that there will occur less communication-errors.

The 7Cs

The 7 C’s of communication consist of being clear about your goal. Being concise, which means that you should be brief. Being concrete, which is about having a clear picture of what you are telling. Being correct, which is error-free communication. Being coherent is about being relevant to the main topic. Being complete, which is that the employees have everything to be informed. And last to be courteous, this is about friendly, open and honest communication.

The HR department formulated an agreement for the 7 Cs . This agreement had to be signed by all employees of Gaia’s gift. This so HR knows all employees are aware of the way communication should be within our business. This is listed in appendix 4.

Implementation roadmapFirst of all, a meeting with all the workers has been held. During the meeting it has been decided to divide the tasks, in order to complete the Business Plan efficiently.

A structure has been developed, according to the guidelines from both the Co-Creative Entrepreneurship course and the Jong Ondernemen website. The file including the organization and the structure of the report is available in the DropBox of the company, so that everyone has access to it anytime it is needed.

The Ceo’s are responsible for the overall structure and revision of the report. Tasks have been divided looking at the different departments, so that each department could provide information about their main activities. At the beginning of the report, information about the researches made for the project is provided. Those data have been used in order to develop the consequent part of the Plan: sales, marketing, production and last but not least finance.

About the relationships with the stakeholders, the company decided to put a milestone on Friday 10 th of April to sell at least four pre-shares per team member. Another deadline that has been decided is on Wednesday 15th of April: before 12.00 PM every department has to send their parts of the business plan to the CEOs, so they will be able to write the executive summary and an overall conclusion, and to revise all.

Furthermore, it has been decided to create a presentation on Prezi to show during the Business Plan Presentation, on Friday 17th of April. Once the file on Prezi has been created, all the members have been invited, so everyone could upload their own information and implement the overall presentation.

Details about all the activities, tasks, deadlines and milestones can be found in appendix 4 with the relative Gantt chart.

Sales departmentIntroductionThe Sales department is in charge of selling the actual product. The Sales department is the face of the company and is the one department that is in direct contact with the customer and is able to directly communicate to and with them. In the following chapter there will be discussed what the role of the Sales department is and how the department is planning to fulfill that role, by evaluating and analyzing the environment and other factors that weigh into the customer’s mindset.

External environment1.1 The economy

Even though the economy has slowly been crawling back onto its feet, swaying on its legs from time to time, many would still say that they are financially unstable. This means that they do not feel free to spend an extravagant amount of money on things they do not feel like they specifically want and/or need. Luxury products are included in that category. The cosmetics trial bag by Gaia’s Gift is a luxury product and might suffer from the economy as other products have before it.

As mentioned before, the economy is not optimal for a luxury product, however there is one thing that it has going for it: a trend. The trend in this case is a growing need in society to live organically. People want to live responsibly and many are willing to pay more for that. Organic products are luxury products because there are products like it that are cheaper, however the quality of organically produced products are often better compared to non-organic products. People believe that quality is an investment in the planet and their own personal health. Organic food is the best-known organic products that contribute to your health, but cosmetics do also check that box.

1.3 Competitor analysis and competitive advantages of the business model

There are a couple of other companies that are providing similar products. The Body shop and the Lush both (claim to) sell organic and natural cosmetics and beauty care products. However, what people often do not know is that they aren’t actually organic products. They are allowed to call it organic if only one part, even if it just made up 1% of the product, is from organic origins.

Both of these competitors are bound to shops and our business model allows us to move around freely and take our product with as we go. In addition, our biggest advantage is that our competitors are all considered fairly expensive. However, Gaia’s Gift offers its product for a much cheaper price that will make people want to try it out because it does not feel like such a commitment anymore. This is because the company is geared towards education about organically and naturally produced cosmetics and how they will benefit the health of a person rather than making a big profit (although no company should want to make a loss of course), it will make people want to know more about it.

Sales Channels/ActivitiesFor our product we would like to raise awareness through social media. For instance, we have created an Instagram page and a Facebook page so it is easy to post pictures of our products for new customers or for customers who already use the products. Information can become posted about our company so everyone is free to view it. We chose Instagram because it is becoming very popular at the moment, and many young people, even older people who are using Instagram are more aware of an organic lifestyle and new trends. Therefore, it will be a great channel for our product. As for Facebook, it is a great channel because it is easy to share our page with people by inviting potential customers, friends and family to spread the word about Gaia’s Gift page. This is a way to reach many people. Even just in a few days, our company has received many likes and viewers in just a short amount of time.

There will also be a website created which will have as main person a channel through which people can contact the company about actually buying a product. Facebook is, as the name “social media” suggests, more social and is intended to be used socially. The website however will help people contact us in a more businesslike manner. Because we want to reach the customer personally though, the plan is to sell the products by ourselves through word of mouth, at the HvA, going door to door to homes throughout Amsterdam, and taking advantage of selling on holidays like Kings Day, or Mother’s Day. That way we can take advantage of many people willing to buy on these holidays, an opportunity to later have something interesting to tell their friends and family. Flyers will be handed out to people we talk to so they can have another look even when they did not buy something to start off with. Customers will be satisfied after using this product, because they will feel healthier and more aware of their body.

Sales TargetsThe recent sales of natural and organic cosmetic products continue to show outpacing in the overall beauty market. Product innovation, customer awareness, favorable regulations and increasing purchasing power are the main drivers to growth of them. The world is looking to go green nowadays. Due to this, sales targets should be emerging into a wider range. From targeting young adults at 18 to women at 40, Gaia’s Gift products can attract customers at many ages. The trend of staying all natural is applying to many people nowadays, and the more this grows, there more we use this to our advantage. It shows that it is a smart decision to get involved in natural cosmetics market. Our product applies more to women, but men are welcome to try out products, and we can easily convince men to buy our product for instance as a gift for their girlfriends or wives. Cosmetic buyers are as diverse as the products they buy.

Selling PerformanceEffective selling performance contains many key aspects that should be done efficiently, and be evaluated periodically. As sellers, we must really know every detail about our product so it is easy to communicate with customers about it, and answer any and every question they could ask about it. For example, knowing certain ingredients in the sample products, how it benefits you to use them and certain smells the products contain. The sales department will need to be practicing good persuasion and knowing what to say to the customer to convince them that they want our products from Gaia’s Gift, as well as greeting and helping out customers in every way possible when we are selling. It is also important to be Identifying customers’ requirements to promote products and answer questions when negotiating the price on spot. Last but not least the sales department must arrange the merchandise properly. Much of these performance tasks must be taken care of and done effectively throughout the time when selling becomes the main factor within our business.

SWOT analysisStrengths: The obvious strengths of the company is that because it is such a young company, there is a lot of passion involved. Especially with a product like organic cosmetics, that passion will really come in as a benefit when you are actually talking to a customer and try to convince them of the concept behind the bag. One other strength is that the product is relatively cheap compared to competitors.

Weaknesses: The same goes the other way around because when a company is still young, it is very easily left open for mistakes to happen. All the employees are inexperienced and all the passion in the world will not equal a career of experience to guide them.

Opportunities: The organic trend is our biggest opportunity as it has led to the idea of selling organic cosmetics. It has allowed an environment where selling organic products is considered a normal thing to do and even, in some ways, honorable.

Threats: Bigger companies are always a threat. Although we have a better product to offer for a cheaper price, big name brands can often still win, just for the worth of their name on their product.

Marketing departmentThis chapter contains the information from the marketing department for Gaia’s Gift. This chapter will cover the 4Ps and feasibility study.

4PsProduct means the goods-and-services combination the company offers to the target market. In this case, Gaia’s Gift offers trial bags contain three organic products. Gaia’s Gift trial bags each contain different type of organic products, so that it becomes more attractive for the customers.

Price is the amount of money customers must pay to obtain the product. The trial bag will cost €13,50. Gaia’s Gift price is cost oriented. The fee of the trial bag will cover all the expenses. To maintain this price, Gaia’s Gift is researching more ways to lower the costs of materials.

Promotion refers to activities that communicate the merits of the product and persuade target customers to buy it.

Gaia’s Gift will use social media (Facebook and Instagram), flyers, stickers, word of mouth and its own website as promotion activities. Being active on social media by posting pictures and articles of its products in a good way, Gaia’s Gift can make itself known in a positive way. Since the employees of this company use both Facebook and Instagram, many potential customers can be reached.

Word of mouth will be done by the employees of the company, but will also be done by customers who are happy with their products and the behavior of the employees. It is crucial that Gaia’s Gift’s employees behave in a good way, and that the products in the trial bags are of good quality.

Place includes company activities that make the product available to target consumers.

Gaia’s Gift employees will be selling the bags door to door, at the HvA, at special holidays such as Kingsday and through its website.

When looking at a marketing strategy, our goal is to make as much publicity as possible, to create awareness for organic cosmetics and to make the customer recognize our product. When the awareness is created, the selling can start.

By using different advertisement strategies, like creating a Facebook page for Gaia’s product and by creating an Instagram page. These social media methods will only succeed if we post our product and if we keep the page updated. For example, have different boxes when there is a different holiday approaching, like father’s day or mother’s day. It is also possible and handy to create flyers to hand out at crowded places, or leave them in stores, or by putting the flyers in people their mailboxes. We will make our product stand out by differentiation, creating an attractive box with the three organic products, who will give the customer a new experience.

Feasibility Study Financial feasibility 

To start up the company and keep it running, 65 shares have to be sold at €20 per share. Each member of the company has to buy at least one share, and the rest of the shares are sold to stakeholders who are willing to invest in the company and want to take part in it. 

Market feasibility 

The industry that the company is focusing on is the cosmetic market which is a big market with lots of competitors, therefore the company is focusing on the organic cosmetics where there are viewer competitors. The market for organic cosmetics is growing and more shops are selling these products therefore it is now the best time to step on the train of organic cosmetics before the hype is over. In the industry of cosmetics there is a lot of competition like L’Oréal but in the sector of organic cosmetic the competition is smaller the biggest competitor is the body shop.

Technical feasibility 

The company will not produce the products and bags itself, it will buy the products and bags from suppliers so the €3000 needed for the company is only to buy the products and pay. In the production and financial part of the business plan the budgets and materials needed to start will be discussed.

Organizational feasibility

The company has a bureaucratic structure where each department has a manager with assistants. At the top there are two CEOs. So that it is clear who has to report to whom and what the responsibilities are of every employee in the company. The company has a policy for each employee but for the customers there is no policy, which has to be agreed upon before placing an order.

Production department Products and services

For the company to be able to sell and deliver our products we need certain goods and services. These will aid in getting the product from loose boxes and organic lip balms to a finished box with logo on it ready to be delivered.

For our final product to be delivered to the customers we need:

We need the companies selling us the organic products to deliver them. Without them delivering the products we will not be able to assemble our own. The orders we placed with above said suppliers need to be checked for completeness and wholeness.

The bags we plan to package our organic products in need to be supplied. We pick them up ourselves to reduce costs.

The same applies to the logo stickers and the flyers. These have to printed, but they will be picked up to reduce costs.

We need the support for the workshop space provider to be able to give workshops in an appropriate surrounding.

Procedure We are creating a product by collecting different biological products and selling them as a whole.There are several proceedings that we will have to do ourselves. These are the proceedings:

Design Assembling Selling Shipping/ delivering

We will order paper bags, which we are going to personalize ourselves. This means that we are going to design it by ourselves. When it is done we will create our product by placing the organic products that we ordered into the bag. The bag will be sold either face to face or through shipping and delivery. Which means that selling and shipping is a proceeding that we are going to carry out ourselves.

Suppliers

We are mainly ordering the products from Etsy.com; this is a website with millions of suppliers that provide all kinds of products. The suppliers we choose are: Lekker in een potje, Bella Beauty Organics and Reina Organics. From these suppliers we will be ordering several products. We chose those suppliers because they were willing to work with us. In addition, they were willing to give us a discount on the products that we ordered. Moreover, the products they are selling are not very expensive which is convenient for us as a young student company. For the bags we chose krabbendam-kadoverpakking. This company can supply us with one seventy bags for the lowest price currently found. Another advantage, krabbendam-kadoverpakking is based in the Netherlands, which saves us money on shipping costs.

ConclusionThe Mission of the company is to educate customers and create awareness about the importance and benefits of organic products. In the long-term, the vision is increasing the number of people who use natural cosmetics, making them live a healthier lifestyle.

The company is divided in five departments: sales, human resources, marketing, production and financial; to ensure efficiency, a “points-system” has been developed, which consists of assigning five points to every worker and deduct them whenever they do not respect the rules of the company.

At the beginning of the project, essential researches have been done, in order to analyze the external environment and develop the product and its strategy. The key trend is a green, organic and healthy lifestyle. The customer target are mostly women, young professionals between 18 and 40 years old. Because of the size of the trend, competitors are numerous and market is risky; nonetheless, Gaia’s Gift product have the advantages of being cheaper, compared to other well-known brands, and offering differentiation.

To raise awareness, the main channels are word-of-mouth and social media, such as Instagram, Facebook and the company’s website. Sales will be done personally, through stands and personal delivery.

The product is feasible, looking from different perspective; through the selling of shares, the organization has enough capital to start doing business. The market is risky but promising, since the trend is popular and an increasing number of people is willing to spend on organic cosmetics. The hierarchical structure of the company allows each department to focus on their tasks, in the most efficient and effective way.

Regarding the product, it consist of a bag with three natural cosmetics inside. The package is simple and a sticker representing the logo of the company will be applied. The cosmetics are ordered mainly via Etsy.com at a retail’s price, and they come all from the Netherlands in order to avoid or reduce shipping costs.

71 shares with an amount of €20 each provide the company a beginning capital of €1,420. A part of it covers all the production and marketing costs, such as cosmetics, package, stickers and flyers. The remaining €600ca are saved as insurance, to be able to give at least some money back to the stakeholders.

2. Company Policy 

This is a policy designed to ensure employee dedication and commitment to overcome recent efficiency struggles.

Every company member receives 5.0 credits upon implementation of this policy. If the rules, provided further are broken by an employee, this person will lose credits. When there are 0.0 credits, the person is going to be fired. There will be two warnings – when there are 3.0 and 1.0 credits on the account. Every employee has to sign a document, which confirms that the whole information was provided and the person agrees with the rules.
