Home Page:

Upon login, user lands on this page. This page contains the News Box, a Map, Multimedia feature, Narrative about Global Mobility Services, Top FAQs, Resource Center, and Contacts.

News Box:

o This is featured at the top of the page, and should contain statistics (number of relocation to a region/country, general statistics, and main highlights) in a carousel format. It may also feature Quick Tips from clients, or policy changes that can be edited and managed by Global Mobility Services.

Map:

o This is featured below the News Box, and should let the client choose a region/country that they may be interested in relocating to. Therefore, this Map should feature color-coded regions that are linked to the contry guides.

Multimedia:

o This section is featured below the Map on the page and may have videos of experts on relocation, or general videos of speakers from the World Bank (keep this box open for suggestions and later updates). Instead of box at the bottom left of the page with a description of a video, place actual videos or teasers with the title of the video that clients can click on in order to view them.

o Can have videos separated into Global Trends, Interviews with Staff, Country specific, Cost of Living, etc. (No particular list of videos).

issues, Visas, etc. This box can be updated as more data is gathered through reports as to what questions the clients are asking more often.

Resource Center:

o This box should have the resources that clients use most often and will be featured below the Top FAQs.

o This box may also have useful links such as Check your Benefits, or Check Shipment Status, Global Security, Tax Portal for Overseas Staff, World Bank Family Network, etc.

o The metadata used for tagging content must identify who the target audience is such as staff or spouse or both. This is particularly useful when linking to internal content that families/spouses won’t have access to.

Contacts:

o This box can be featured at the bottom right of the page below the Resource Center. It has all the Key Contacts in reference to relocation (i.e. Global Mobility Specialist, IBRD Relocation Focal Point, Regional Resource Management Officer, Regional Security Advisor, Regional Health Advisor, etc.). Tagging contacts should be done via a form for every country; caputuring name, role, and the display order.

Country Page:

This page looks at the currently logged in user profile and loads country specific information. If user does not have a destination set in the staff preferences, Washington DC is the default city.

This page contains information on the top part of the page and includes the Country Name, a brief Narrative, the Country Guide (PDF), Tips and Tricks, a Map, Resources, a Country Comparison tool, a News Feature, Quick Facts, Related Links and Contacts. The content on this page should be relevant to the client’s relocating needs.

Some of the priorities of this page are photo galleries and video footage of the Country Office provided by staff members/spouses, Relocation Focal Points, or another resource. Other priorities are allowing staff members/spouses to rate different categories (i.e. Schools, Neighborhoods, Doctors, Salons, etc.), and Tips and Tricks.

Same page layout template to be used for all countries. Collapse/hide content boxes if no information is available.

Country Name:

o This is featured at the very top of the page. As it implies, it is the Name of the Country.

Country Narrative:

o This is featured below the country name and it is a brief introduction of location, size, population, and brief facts about the country.

o General Information below the Narrative such as, Country code, Time Zone, Currency, Wattage, etc.

Country Guide (PDF):

o Featured below the Narrative of the Country as a link to the HTML version of the Country Guide. A print to PDF button on that page should be available for users to download an aggregated version of all sections for a given country.

Resources:

o Any country specific resources that are not part of the 8 tabs at the bottom of the page must be included in this box. page.

Tips and Tricks:

o This contet box is featured below the Narrative of the Country, and next to the Country Guide. It has information shared by other expatriates that are either living at the duty station currently, or have lived there in the past. Information from staff surveys will also be included so long as it is country specific.

o Opening the Tip in a new pop up window shows the author profile; name, title, date posted, number of views and shares, Author Occupation, Status, Moved From, Related Country, and Theme. Below it, may be Related Content from GMS.

o Tips & Tricks should be pulled for every one of the 8 tabs at the bottom of the page (Education, Culture, Cost of Living, Language, Houses, Hospitals, Travel/Transport, and Leisure Activities). These Tips should be added by families, staff and the GM Team. If a tab doesn’t have Tips & Tricks, it should feature nothing there.

o Tips and Tricks will be divided into 3 categories derived from the current Relocation Field Guide, and they are;

1. Moving In: This would include;

- Overview, Purpose, General Information, and Key Points of Contact.

- Entry Procedures, featuring Embassy Information, Entry Visa, Post Arrival Procedures, Immunizations, Duty Free Privileges, Diplomatic Pouch and Mail Services, and Airport Transportation.

2. Living In: This would include;

- Health Services, featuring an Overview, Medical Emergency, Hospitals and Urgent Care Clinics, Pharmacies, Doctors and Dentists, and Additional Resources.

- Security, with an Overview.

3. Working In: This would include;

- Spouse/Partner Career Support, featuring Work Permits, Spouse/Partner Support at the Country Office, Spouse/Partner Experiences, and Additional Resources.

Maps:

o Located below the Country Guide and Tips and Tricks in the middle of the page.

o Google Map to be used and should show surrounding countries, nearby airports, nearby schools, transportation, preferred neighborhoods, nearby hospitals, restaurants, parks, childcare, etc. (maybe staff/spouse can choose what they want to view from the map). Maps should also feature the address of the CO, and the contact information for local contacts (RFPs). The map should be categorized by demographic information specific to WB Staff/Family (e.g. Where most WB staff live, where certain cultural/ethnic communities are, safe neighborhoods, etc.).

Resources:

o Located at the bottom of the country page to include 8 different tabs; Education, Cost of Living, Houses, Travel/Transport, Culture, Language, Hospitals, and Leisure Activities. They should be featured at the bottom of the page in 2 rows of 4. These resources will contain detailed data for clients to access. Resources are country specific.

Country Comparison Tool:

o This link is located at the top right side of the page.

News Feature:

o This feature will be located at the top right of the page, below the Country Comparison tool.

o The News box (i.e. like a carousel) with a picture of the staff member and a quote from them, along with pictures of the Country Office and their place of residence may be a good idea.

o Or, there should be a box at the top right of the page featuring scrolling News Feeds about the country from Reuters, Economist, Voice of America, etc.

Quick Facts:

o The content in this box, along with the other content should be tagged and indexed in order to have it repurposed in another page/section/category/topic. This box should be featured under the country facts box.

o This box will be defined by GMS with key highlights such as Popular Neighborhoods, Education, Careers for Spouse, etc. After a staff member/spouse picks a category, they may narrow their search into a sub-category like Housing, Entertainment, etc.

o Certain restrictions to living in a country should be listed as Quick Facts, not Red Flags, as this may offend certain staff members/spouses. These restrictions may be same-sex marriage not recognized in a particular country, traffic, pollution, etc.

Add Your Own Links/Related Links:

o This feature should be at the bottom right of the page.

o These Related Links may be similar to Additonal Resources and can link to various partners (e.g. HSD, GMS, GSD, etc.) or to other resources based on topic.

o This content should be tagged and indexed so that it may be repurposed in another page.

o If there’s no information for Links, we should feature a Photo Gallery till we can update the Links.

Contacts:

o This box should be featured at the bottom of the page, next to the Related Links. These are the key country specific contacts that staff members will deal with during their relocation. These contacts may be the Global Mobility Specialist, IBRD Relocation Focal Point, Regional Resource Management Officer, Regional Security Advisor, Regional Health Advisor, IFC Relocation Focal Point, etc.

Content suggestions for the Country Page:

o The page for DC should be default in case destination has not been set in staff.

o Keep the functionality of Polls Related to a Country invisible, but as an option for when we have content to populate it with.

o Education tab should feature schools, comparisons of schools, extra-curricular kids’ activities, tips about the schools from other Staff/Family, etc. (not needed for single people). Most WB Families attend international private schools.

o Cost of Living could feature rental ceilings and the general costs of everyday items the client would need.

o Houses could feature the houses from the current guide, with the mortgage for a house based on its size (for # of residents).

o Travel/Transport could feature local modes of transport.

o Language could feature language schools, private tutors, Rosetta Stone, etc.

o Hospitals would list the hospitals in the area.

o Leisure Activities should feature restaurants, shopping, etc.

Partners in Relocation:

These are the various partners involved in the relocation process listed with the roles they play. They are GSD (General Services Department) Security, GSD Shipping, HSD (Health Services Department), HRSSO (Human Resources Service Operations), and WBFN (World Bank Family Network).

The following is a list of requirements for All Partners:

List of all staff in relocation

Departure and Destination countries, relocation date, family composition, etc

List of staff that have been briefed

Need to know who country managers are.

Develop non-confidential surveys if applicable.

Reports.

GSD Security:

Requirements for the Portal:

o GSD wants to receive their emails on the Portal (right now they get their emails from HR web). GSD wants the Portal to be their one-stop-shop.

o Portal should list all clients going through relocation & the title of the client, because a Country Manager is briefed with different information than a regular Staff member is (Heads of Office & Non Heads of Office).

o Portal should know who the new relocation cases are & alert GSD.

o Track the entire relocation process from start to finish.

GSD Shipping:

Requirements for the Portal:

o GSDMS meets on a monthly basis for OAB where anyone relocating has to attend the meeting. GSDMS can let them know where they can go to get information from the Portal (in person or online). This may be hosted on the Portal.

o Host spreadsheets for the cases but in a protected environment

o “Dashboard” for staff status, vendor assigned and progress

o Vendor status reports on moves

o Staff shipping information election

o Send Assignment of Relocation through the Portal.

o Portal can link out to the steamship or vessel for real-time updates on where the steamship is.

o Host the survey conducted by the vendors on feedback about goods moving.

Health Services:

Requirements for the Portal:

o Log all briefing materials and link to Travax

o Determine # of clearance forms based on family composition

o Forms should be electronically available. Issues arise here regarding confidentiality.

o Medical Briefings information before departure

o List of hospitals that have an agreement with Vanbreda (insurance provider for Staff), facilities that have been visited, etc.

o Differentiate between internationally relocating staff & local staff, because they’re on different insurance plans, have different protocols & procedures, & have different types of care they can access.

o Travel Advice that explains what to do pre-departure (vaccines, etc)

o HSD uses a CDC & WHO repository (for medical data), called Travax (proprietary, password protected subscription). They provide online data that we can feed into the Portal regarding vaccination guides, medical guides for countries, etc.

o Travax has medical literature reviewed by physicians. The possibility of data feeds from this system would be ideal.

o Track who’s cleared, where they’re going, what institution, what country, FCS or not, etc.

o Scheduler for Briefings.

o Track the steps of the client’s progress in each separate form, & in each separate process.

o Clearance document, once filled out should be returned & saved on a secure server.

HRSSO:

Suggestions for the Portal:

o Collaboration between HRSSO, HSD, & Shipping to prevent any duplication of processes or procedures.

o HRSSO may get a more user-friendly system than Remedy to link into the Portal.

o Good for Portal to generate reports.

o Ease of clear communication is important.

o Good to have clear communications with RMs through the Portal.

WBFN:

Suggestions for the Portal:

o Provide information for staff on what to do upon return once the extended assignment ends.

o Country cost of living should be well documented and easy to access for families prior to relocating so there are no surprises. The challenge is to find reliable sources that provide relevant, accurate and up to date information. (Catherine to share URL of study done 2 years ago or source website)

o Provide ample and easy access to information regarding the educational system of the destination country (i.e. Staff/family might be moving to a country where the educational system is completely different than the current one they are enrolled in, and the staff/family should have prior knowledge of what to expect in a country)

o Feedback from staff and families who have gone through the relocation process should be found in the portal and would be highly appreciated (e.g. Medical care, schooling, housing, entertainment, etc.)

o Provide information about Do's and Don'ts as far as cultural awareness in order to help families better cope with the culture shock of relocating to the new country.

o The portal should indicate that there is a resource known as WBFN that is available to the staff/family, and that the families can reach out to them for support.

o Clear articulation of information available to Staff-Only versus families and partners is needed. At the moment, within the relocation process, spouses are allowed access to the staff member relocation process. The portal should not be built to ask staff to sign a release form allowing access to his/her spouse.

o In the OnBoarding Bank System, as soon as the staff member signs the LOA (Letter of Acceptance), there should be a link to the WBFN site sent to staff and families.

o We need to address the issue of spouse participation, or lack of, in the portal. Therefore, the portal has to be user-friendly and on a secure server in order to increase interaction with the portal. It also needs to help bridge the generational gap, as these are all concerns that are not encouraging spouse interaction with the portal.

o WBFN needs to maintain Spouse-only documents in order to protect the confidentiality they have earned with the families. There is need to define what these documents are and who has access to them.

o Training for spouses on relevant topics should be made available and easy to access.

o Recognition of the WBFN content ownership when applicable.

Social Hub:

This page will feature ways for clients to connect with each other and the World Bank Community in general. It should allow the client to read and post to blogs and discussions. This page will have Recent Blogs, Recent Discussions, a photo gallery (View From My Window), Property Adds, Jobs Available, a

Search/Browse box, a Browse Blogs/Discussions box categorized by Interest and by Country, and an Ask the Expert box.

Recent Blogs:

o These boxes will be placed at the top of the page. They will feature the most recent blogs listed by topic, when it was last updated, and the name of the person who posted it. It will also show the number of Likes it has received along with any additional comments that the client may click on to view.

o Blogs may feature the profile picture of the blogger to the right of the blog, and the images of anyone else who has posted to the blog.

o Blogs should be left open in the beginning as there won’t be many blogs. As more blogs are posted, they can be categorized into teams and regions.

o Blogs about countries should be tagged in order to be repurposed elsewhere in the portal (e.g. the Virtual File Box in the client’s My Site).

Recent Discussions:

o These boxes will be placed below Recent Blogs. They will feature the topic of the discussion, the name of the person who posted it, when it was it was last commented on, along with the number of Likes and any accompanying Comments.

o Discussions should be categorized into Before You Go, Moving In, Living In, and Working In.

Photo Galleries (aka View From My Window):

o This box will be at the bottom left of the page. It should feature photos taken by staff/spouses of the county office, their residential area, etc.

o Initially, Edita will populate this when there aren’t enough photos available. In time however, we can invite staff/spouses/partners to populate this box.

o This box should feature the functionality to submit a photo, a caption of the photo, tag which country it is in, and tag a category. This functionality should allow for a photo to be repurposed elsewhere. For example, in Neighborhoods in the Country Page.

Property Adds:

o This box should be at the bottom of the page, and to the right of the Photo Gallery. The adds should be of any property for rent, or sale, by any World Bank employee that posts to the existing Bulletin Board, and later to the portal itself.

o The adds should be linked to the existing Bulletin Board for resources per country (e.g. if a client is looking for a house in Kenya, etc.).

o These jobs should be positions available for World Bank staff, and should be categorized into number of jobs per country, along with a total number of jobs available at that current time.

Search/Browse:

o This box should be placed at the top right of the page.

o It will have the functionality to allow clients to search or browse a blog or discussion by typing in a keyword.

Browse Blog/Discussions:

o This box should be placed below the Search/Browse box to the right of the page.

o Blogs and Discussions should be featured separately.

o It should have the functionality to feature Blogs and Discussions categorized by Interest (e.g. Relocating with Family, Decision Making, FAQs, etc.), or by Country (e.g. Education in Kenya, Networking in Turkey, Cost of Living in Bolivia, etc.), along with the number of posts relating to the topic in parentheses next to that topic.

Ask the Expert:

o This box should be placed at the bottom right of the page, next to Property Adds and Job Available. This box will have the functionality to allow staff or spouses to post questions based on a category, or in general, that can in turn be answered by an SME (Subject Matter Expert) on our side who can reply to the question.

o This box should have very specific categories (e.g. Housing General, Housing Grant, Housing Allowance, etc.) that the SME can answer. GMS would need control of the questions asked, so they can channel it to the right SME.

o The answers to the questions can be saved in the staff or spouse’s Virtual File Box in their respective My Site. We should be able to pull reports in this manner, and generate FAQs.

o The portal should ask staff and spouse if they want to feature their questions in FAQs before making their question visible in FAQs.

Additional Suggestions for the Portal:

o Keep all input from Staff/Family/Partners on this page so it can be monitored.

o Dafina/Barbara prefer the boxes set up on the Social & Knowledge Hubs, along with a Job Search box not the wireframe set up for Social Hub of the PowerPoint Presentation.

Knowledge Center:

This page is going to feature different resources that may be accessed by staff members, their spouses, and even partners. The page will be populated by the GMS team in collaboration with the Language and Culture Program. The page will feature Country Specific Documents, E-Learnings, Lessons Learned, Webinars, an Events Calendar, and Video Podcasts. We have to define where and in which order these boxes will be featured on the page.

An additional suggestion for the portal was to feature FAQs here.

As the client is done with a certain step in their relocation process and if he/she requires more information, the portal should prompt any relevant resources (e.g. Workshops on Intercultural Competence, Culture Active Online, Cultural Kit, etc.) (from this page to the client.

Country Specific Documents:

o This box may feature a sample lease, and also documents for staff to complete after arriving at the country office.

E-Learnings:

o This box should feature several E-Learning modules (GMS has one currently), and we need to define what these E-Learning modules will be.

o E-Learnings will be mostly internal, and would be connected with LMS (Learning Management System).

o Content should be tagged such that it may be repurposed on elsewhere on the portal (e.g. certain multimedia content on the Country Page) if it is relevant.

Lessons Learned:

o This box can feature Smart Lessons (submitted by IFC staff), or lessons from an external source that needs to be defined.

o We need surveys via the portal to provide feedback for Lessons Learned.

Webinars:

o Webinars may be any training on the web that is not necessarily linked to World Bank’s learning system. Orientations may be featured on here as well.

o Content should be tagged such that it may be repurposed on elsewhere on the portal (e.g. certain multimedia content on the Country Page) if it is relevant.

o Relocation Focal Points may need access to Webinars, especially if they are to assist in populating some of the content here (we need to define this functionality).

Events:

o This box should feature a calendar with different World Bank sponsored events that staff and their spouses can attend.

o There should registration for these events. Once these seats have been filled, the client should receive notification of their eligibility to attend the event. They should be notified if there’s a hold as well.

Video Podcasts:

Blog Roll:

o This box would feature internal and external blogs. It should also feature guest bloggers and links to external articles.

o Initially, this box will have general blogs.

o Bloggers may be staff, spouses, or partners. They should be shown with a cover note and a photo of the blogger, with a box next to the blog with additional information about the blogger. Below the cover note should the narrative of the blog.

o Blogs may also feature number of views and date. The topics may be categorized in a drop-down box as, Created By, Number of Views, Most Recent, etc.

Inspiration Station:

o This box would feature interviews and Tips and Tricks.

o There should no links in this box, just tabs or boards.

o It should feature a Countdown for the number of days till relocation.

o My Site should feature things staff needs to do before they leave (maybe in a category called, “Before You Go.”)

o Before You Go may feature country specific relocation benefits & policy briefings to be clarified with staff.

Additional Suggestions for the Portal:

o GMS should be able to send messages to Staff/Family on their My Site page, and to their email (maybe link email to My Site). Maybe have a box on My Site for messages. Portal should alert the client that they have a message (maybe phase out emails).

Family Site:

This page is going to be customized for the spouses of the World Bank staff members. This page is going to feature Career Support, Relocation Solutions (Timelines and Checklists), Interactive Guides, Interactive Feedback via Collaboration Tools, Contacts and information relating to Kids/Youth.

The page should feature a Calendar and To-Do list for the spouses to keep track of deadlines, tasks and to do items and should only be visible to the staff member.

Career Support:o Spousal support is key to keeping them happy in their new location. HQ has workshops

called, “Jumpstart Your Career” that are offered in 5 cycles for 4 consecutive weeks, but this resource is not available at the Country Office. Hence, it needs to be integrated onto the portal to allow for easy access to spouses in the World Bank world-wide. We need another infrastructure to host these videos externally to staff, spouses, and partners in case the portal cannot support these videos.

Relocation Solutions (Timelines and Checklists):o Spouses can help with Relocation Solutions if Staff member is too busy. There are certain

things that the Spouse can do without Staff, like the pre-move survey, set up of packing date with movers, self-report form, children’s medical clearance, etc. There should be a page accessible to both Staff & Spouse where they can track their comments, etc.

Interactive Guides:o These are Country Guides, ECA, Culture Grams, etc. ECA are country profiles, but not

tailored for WB. Culture Grams are snapshots of a country, & also have a fun Kids page. We do not have permission to use the ECAs and Culture Grams, but we can work with Language and Culture and use the Culture Active tool. These guides should be converted to searchable content repositories.

Interactive Feedback via Collaboration Tools:

Contacts:

o These contacts would the key contacts (partners) that spouses would be in contact with during the relocation process.

Kids/Youth:

Missing Requirements:

1. Where is the content for Benefits going to come from? Need to meet HR Operations for that.

2. Need Roles and Access Control Matrix that will have all components/pages/sections of the site. ITS

will prepare table and discuss with HR once BRD is ready.

3. Need a list of Interactive Guides.

4. No requirements for content sources for youth.

5. Need a page to show all admin functionalities such as manage groups, trigger relocations, list of all

staff relocating, etc. Where should this page be? Perhaps another icon on top?

6. Need validation of metadata/taxonomy once Information Architect is ready with that informaiton.

Challenges

1. The implementation of a parallel technical solution for the WBFN to support families is planned for next year. Although the objectives seem to be the same, the information hosted in each solution will be different. There is concern however, about duplication of efforts, content sharing and integration and lack of a unified and consistent message.

2. Career support for spouses is of concern and that section has not yet been defined in terms of the content it will have. Brainstorming is needed in order to provide solutions that can be incorporated in the portal to support this effort.

3. Clear definition and articulation of the staff and family roles as well as partners within the portal needs consideration not only in terms of security and access control but also in terms of the contributions each one can make to the portal.

4. Providing links to the Bank's internal events and announcements will be a problem for families who have no access to the Bank's intranet. That applies to any knowledge object in the portal so tagging content will have to clearly define who will consume the content.

5. Develop a mobile solution that welcomes families to the WBFN. Although highly beneficial, this project is outside of the scope of the Portal for now.

6. Integration of email is not part of the scope of this project. Perhaps when outlook comes to the Bank, we would be able to do it.
