EXERCISE 1: ADAPT AND PERSONALIZE A REPORT

In this exercises you will learn how to further adapt a report.

Business scenario:You want to create a specific report view for the Profit Overview by key figure report to analyze the data indetail.

Exercise goals:

In this exercise you will learn how to:- add fields to a report- arrange the table as hierarchy- create an Exception- create a Condition

Task 1: Add fields to your report 

1. Log into the SAP Business ByDesign system

2. Navigate to the Home work center tab.

3. Switch to the Overview view by hovering over the tab’s name. Go to embedded report “Profit

Overview by Key Figure”. Click the menu button Actions > Analyze Data to open the report in theweb browser view.

4. Change your report view to View : > My Profit Overview by Customer in Detail

5. From the section Columns and Rows, remove the characteristic Product from Rows.

a. Expand the menu using the arrow icon next to Product .

b. Choose Move to Not Currently Shown 

6. Add fields to the report

a. Add fields as attributes to characteristic Customer  using Settings (option 1)

i. Go to Settings > Characteristics 

ii. From Characteristics in Rows > Customer , expand the field Attribute Shown using

the icon . A popup with the available attributes appears.

iii. From the list, select the attributes City  and Phone. Move them to the Selected  list

using the arrow

iv. Confirm your selection by clicking OK

v. Close the Characteristics Setting  screen by clicking OK  

Note: Fields added as attribute depend on the superordinate characteristic. This option only

work as long as the characteristic (Customer in the example above) is displayed in the

report. Moving the characteristic to Not Currently Shown makes the attributes disappearform the report.

b. Add fields as characteristics using the menu button Add Fields (option 2)

i. Click the menu button Add Fields. A new window opens with a list of theCharacteristics available.

ii. Navigate to the Dimension: Customer, expand the menu using the arrow > expandthe dimension customer

iii. Scroll down to the characteristic City  and select the check boxes Display in Reportand Display in Selection Area.

iv. Repeat the action for the characteristic Phone.

v. Click OK

Hint: It might take some time to add the characteristic to the report.

Note: Fields added as characteristics are independent fields and can be added andremoved separately from and to the table grid.

Task 2: Arrange the table as hierarchy 

Before starting this task, make sure that you remove the fields added as attributes in the previous exercise,as they cannot be arranged in hierarchies.

a. Go to Settings > Characteristics.

b. Expand the filed Attribute Shown by clicking on the icon

c. Remove the attribute from the Selected field.

d. Save and close the window.

1. Arrange the hierarchy in your table using the Table Settings (option 1)

a. Open the Table Settings using the icon

b. Under Hierarchy Display > Arrange as Hierarchy: > Hierarchy Design: choose Standard fromthe drop-down menu.

c. Make sure that the field Hierarchy Expansion Level is set to 1 and click OK.

2. Arrange the hierarchy in your by using an inherit hierarchy of a characteristic such as ProductCategory (option 2)

a. Change your report’s view to Profit Overview by Product 

b. Go to Settings > Characteristics. Under Characteristics in Rows > Product Category,expand the drop-down menu under the field Display Hierarchy and set the value toDescription

c. In the field Initial Expansion Level,set the value to 01 and click OK.

Hint: Inherit hierarchies and table hierarchies can be combined

Task 3: Create an Exception to Display Negative Values in the Income from Operations

1. Change the view of your report to My Customer Overview in Detail and set the Selection field to InitialHint: Under Column and Rows > Columns make sure that only the Key Figure characteristic isdisplayed 

2. Expand the arrow next to Key Figure and choose New Exception from the drop-down menu. A new

window opens.

3. Insert following values in the Details section:

a. Key Figure: > Income from Operations

b. Name: > negative 

c.  Alert Indicator: > Traffic Light  

d.  Apply to: > Data and Result  

4. In the Alert Thresholds click Add Row and complete the formula inserting following values in thefields indicated below:

a. Operator  > Less equal  

b. From Value > 0  

c. Alert Level > Red Traffic  

5. Click OK to confirm.

Hint: Exceptions are only valid for the specific view they have been created for.

Task 4: Create a Condition 

1. Change the report to My Profit Overview by Customer, Selection: > My Top 3 Customers 

2. From the Selection screen > Customer: delete the selection using the icon

3. Execute the report

4. Switch to table view by clicking on the menu icon on top of the table.

5. From the screen section Column and Rows > Column, expand the Key Figure characteristic byclicking on the arrow next to it. Choose New Condition

6. Under Condition Type: select radio button Ranked Condition 

7. Under Characteristic , choose Customer

8. Under Key Figure, choose Income from Operations

9. Define name: Top 3 Customers 

10. Create a rule 

a. Click Add Row  

b. Under Operator: choose Top Count  

c. Under From Value: choose 3. 

d. Click OK  

Hint: Conditions are only valid for the specific view they have been created for. Conditions only filter thevalues shown in the report, the result line will show the overall result for all customers.
