Vision and Rationale of the BYOD Programme Bring Your Own Device (BYOD) refers to a technology model where students bring their own personally owned device to school to support their learning, in the classroom and beyond. Edward John Eyre High School is continuing with BYOD laptops for all students. This has been endorsed by the EJEHS Governing Council. BYOD allows students to use their own laptop at school and home. Increasing their access to digital technology, learning resources, supportive materials and the ability to complete required tasks/assignments at any time. This will allow students to;

- take greater control of their own learning - facilitate a higher level of motivation through continual access - increase engagement and participation through individual learning outside the classroom, at a time that suits

individual needs - increase every student’s success at school and supports lifelong learning with digital access - demonstrates responsibility and ownership of their BYOD.

The Department for Education supports our students with free access to programs such as Office 365. This allows students to be able to access their work at school and elsewhere.

Ownership The BYOD laptop will be owned by the family and students.

Cost Students can use a laptop they already have, providing it meets the specification criteria to connect to EJEHS network and systems. Or purchase from the Department for Education’s recommended supplier, The School Locker, which offers a range of quality educational laptops, payment options, warranty and repairs in Whyalla. Families can visit the onsite store or go to https://theschoollocker.com.au/schools/edward-john-eyre-high-school Families can call The School Locker Parent Inquiry line on: (07) 3848 5887. Or purchase from an independent supplier.

Payment Options: Upfront Payment The School Locker provides upfront payment through the parent portal. Parents can also come into The School Locker Campus store at EJEHS or online. Payment Plan Interest Free Finance: Parents can choose to purchase with a 0% Payment Plan using a Latitude Finance credit card. This provides an interest free payment plan. Customers can use their existing Latitude Finance credit card or apply for a new account while shopping in The School Locker Campus store. (Pre-approval can take up to 1 hour and families need to complete this prior to coming in). https://www.latitudefinancial.com.au/credit-cards/go-mastercard.html Please note this finance option is only available on campus. Try before you buy: Evaluation Acer notebooks will be on display to interact with, allowing parents and students to make the right decision before purchasing. Delivery time frame: • Parents who purchase through the online BYOD portal will have a 3 to 7 days delivery time frame. • For same day purchasing, a limited amount of stock will be held on campus for parents who prefer to buy face to face. As stock becomes low it will be replenished.

Loss and Damages/Insurance/Warranty Laptop from home A hard protective case is recommended to protect the student’s BYOD. School insurance does not cover loss or damage to devices. Parents/Caregivers will need to ensure the device is covered under their home/contents insurance policy at all times. It is the user's responsibility to report lost or stolen devices to the nearest police station and provide the insurer with a crime report number. If the device is taken overseas, please ensure that it is covered by travel insurance. Any loss or damage to a student’s BYOD will not be the responsibility of the school. # Warranty for new BYOD devices will be subject to the supplier’s terms and conditions and require parents/caregiver follow up.

* Windows are recommended * Macs are not recommended, this is to minimise the support platform and create consistency with all users on the EJEHS network. * Students enrolled in Creative Technology, Digital Publishing or Media will have access to desktops during lesson time. Students wishing to use their laptops for these subjects will require a higher end device.

Procedures and Guidelines Students will need to connect to the EJEHS Wireless Network by using the Induction Form which is individualised for each student with their specific usernames and passwords. Using the Student BYOD User Information Guide they will need to then connect to the EJEHS Student Intranet Page (student.intranet.ejehs.sa.edu.au) and following the BYOD Hyperlink to allow them to complete the setup.

Anti-Virus Protection BYODs connected to the school network require anti-virus protection. It is up to the student to ensure their anti-virus is kept up to date. Office 365 has its own anti-virus protection, which is free of charge to our students. There are steps students can take to reduce the risk of their devices getting infected. Tips to avoid infection:

- Regular updates and anti-virus scans - Avoid websites that may be suspicious when at home. Our filtering system prevents students from accessing

sites that may pose a risk to the BYOD device when at EJEHS. - Never reply to spam and delete immediately - Be cautious when downloading files from the internet

Internet Use Students will have access to the school’s internet through our wireless network whilst at EJEHS, which is subject to strict filtering, as part of the Department for Education requirements. To access the internet, students will need to have certificates installed on their BYOD to allow them to communicate to EJEHS services. Students are not permitted to access unfiltered internet through any device whilst on EJEHS site (this includes no ‘hot spotting’ phones).

Printing Students have access to 3 photocopiers, located in the downstairs printery, upstairs printery and the Career Hub. To access these photocopiers students will have PaperCut installed on their machines, as part of the connection process. Papercut is a program that we use to manage printing. Students will have an allocated printing budget at the start of the year of $5. If students exceed this amount, they will be required to pay for extra printing through Student Services (Eftpos only)/Front Office (cash/card payment) in $5 units. Once the payment is made, the student will take the receipt to ICT and the printing allowance will be increased. Most formative and summative tasks are submitted electronically, reducing the amount of printing required.

Software Under the Department for Education Microsoft Licensing Agreement students have access to Office 365 services (branded LearnLink Office 365). Students can install Office 365 on up to 5 devices, Office 365 includes the standard Microsoft Office products. Installing instructions are on the EJEHS website or https://myintranet.learnlink.sa.edu.au/library/document-library/fact-sheets/ict/fs-70-500-599/fs70-505-office-365-pro-plus-for-desktop.pdf Students will also have access to a 1TB (Terabyte) of cloud storage through OneDrive. At the beginning of the year, students will be provided with their LearnLink login details. Their LearnLink (school) email account stays the same for their entire schooling. Students who would like additional specialty software (e.g. Adobe or Autodesk) will need to purchase it themselves. Subjects requiring speciality software will also have access to ICT suites, during scheduled lessons. If students are looking to purchase an Adobe subscription, they can access the Adobe Creative Cloud website and can get a discounted price, at student rates. Students can access the Autodesk software for free on their personal devices by accessing the Education section of the Autodesk website and creating an account. Students should be aware of their devices limitations as some of the software can be graphically or memory intensive on their device and can cause their device to use more battery power. Students will be required to access PDF files, as a result students will need to ensure they have a PDF reader installed on their laptop.

Copyright and Intellectual Property As the BYOD is owned by the family/student, they may add their own software. This software must be legally purchased with a user license, will not interfere with classroom learning, is not malicious or offensive and does not impact operation of the BYOD (be it speed or battery life). Students are required to follow the ICT Agreement, EJEHS Respectful Behaviour Policy and ensure they do not break copyright laws and intellectual property requirements.

Security and Network Security As part of the ICT Agreement students should never hand out their passwords or log on details to anyone. Students need to be wary of posting any personal information online. Students are not allowed to use any personal wireless hotspots whilst on EJEHS site.

Issues with Connectivity If a student has issues connecting to the EJEHS network, they should attempt to troubleshoot the connection errors by following the troubleshooting sheets on the EJEHS website. If the issue is not resolved, students need to make an appointment with ICT.

Storage As students will be going from classroom to break times and going home, students will need to ensure that their device is adequately protected from potential damage in their school bags. Students should keep their laptops in a hard protective case or bag.

Power Issues/Battery Use Students are required to bring their devices fully charged to school. Students will not be allowed to charge their BYOD at school for WHS reasons, in line with Department for Education requirements. To ensure a full day of use it is recommended that parents purchase devices that have a battery life of 8 hours or more (battery life does decrease over time). To help maintain battery life it is recommended that students set their laptops to power-save mode, adjust the brightness setting and shut down their BYOD when not in use.

Backup and Data Storage Students need to ensure their work is saved regularly and backed up to 2 different sources for protection. Students can save work to the cloud, locally on the desktop and ensure they save their work on a regular basis. Due to the school moving to a cloud based storage solution, the risk of work being lost is low but it is recommended that students should have a backup solution to reduce the risk of work being lost. USB’s should never be a primary method of storage. Students should only use a USB as a method of transport. USB’s are easily damaged and corruptible. EJEHS will not be responsible for lost work and failure to back up work.

System Refresh Parents and students are recommended to do system refresh on their BYOD yearly, to improve overall performance.

Backup all student’s data before starting this process

Cancellation Students who breach the ICT agreement may result in loss of access to the EJEHS networked environment. This will be managed by the House Leaders, following the Respectful Behaviour Policy.

Parent/Caregiver & Student Information ICT Department are available to support students through this process before and after school, as well as break times. ICT Staff will also be providing support to students in class the first week of school to assist with any problems that may arise.

Emails Students will be required to use their school LearnLink account, when communicating with staff, not personal emails. This is in protection of staff and students.

Hard Case Protection Hard cases are recommended to protect the BYOD.

FAQs Does it matter what operating system the device has? While our network will accept almost all versions of Windows, one version that we have discovered doesn’t work on our network is Windows S as it will only accept installations from the app store. We recommend Windows operating system. Macs are not recommended. Will there be a filter applied to student’s devices when accessing the internet to ensure no inappropriate content is accessed whilst at school? As per Department for Education policies, it is a requirement that the school uses a filtering system. The school uses a LearnLink proxy service to filter and restrict internet access, so students cannot access inappropriate content, games or social media through our network. Where do I go for ICT support? If students are having issues with connection, internet or printing, they should refer to the classroom posters and EJEHS website ‘troubleshooting common issues’ information. If students are unsuccessful, they can go to the ICT Support room for assistance. If there are faults with the laptop, it will need to be addressed with the supplier. If you have any issues or concerns, you should contact the school on 8645 7677, email [email protected] or book an appointment. Do I need to install Office 365? Yes, you will need to install Office 365, this is free to students and an information sheet on install and activation will be available to parents/caregivers/students on the EJEHS website. What if we do not have access to internet at home? Students can save their work on their desktop or hard drive, so they do not need to access internet or cloud storage at home. This will create the opportunity for them to continue working on assignments at home. There are several public locations in Whyalla where students can access free internet. Can other devices be connected to the EJEHS network? No, only BYOD laptops can be connected to the EJEHS network. If you require more information. Please call EJEHS on 8645 7677.
