• Question asked by President: Would this money be reallocated of the budget that was allotted a few months ago? Or is this a new increase?

o A: The virtual programs are new, normally all of this would be done in person, this is only part of the cost. What is being asked is what would the board like to see so that we can keep engaging students. There is no new money, this is money that has already been budgeted

• Question asked by IHC- After the virtual certification is done, do the students automatically get certified, or do the need to wait for future semesters?

o A: Virtual certifications are for certifications; the students will receive certification cards upon completion.

• Question asked by VP: What would be the material cost for bottom 3 areas of price listing. o A: The cost would be the materials such as books and materials. Prices are not set/

flexible rates as close to 50%. • Question asked by VP: What is the direct cost total for “X amount” of students enrolled?

o A: The cost will depend on what courses that students want to take, certain courses are more expensive than the specialties.

o A: No, however that is currently being worked on to see how many students would want to move forward in participating.

MEETING REPORTS

ASI BOD MEETING Thursday, July 2, 2020

Dr. Liz Roosa Millar ASI Executive Director’s Report

Fiscal • Financial Services is undergoing year-end closing, a process to accurately account for

and close out business transactions for the current fiscal year and carry forward balances for the upcoming year. During the process, ASI also reconciles transactions with the University, Foundation, Philanthropic Foundation as these related-party transactions must match. Year-end closing is an important part of a company’s closing operations. The process also creates ASI’s financial statements, which are audited by the external auditor annually.

Human • Due to the innovative ASI summer camp structure and her inclusive youth programming

expertise, Marissa Engel, ASI Youth Programs GA, was asked to co-host a National NIRSA Youth Programs Roundtable with Abby Van Note, Coordinator of Instructional and Inclusive Programs, University of Wisconsin. The purpose of this roundtable was to provide a guided discussion with the focus on “Virtual Youth Programs” and “Opening with Youth in Mind”. Marissa was able to provide insight on ASI’s challenges, innovation, and successes of delivering a remote camp experience for K-6. The roundtable took place on 6/12/20 and was posted the NIRSA website here (link).

Programs • ASI hosted a four-week Virtual Kids U Summer Camp June 1 to June 26 with 77 unique

participants. Crafts, recreational games, STEM and performing arts activities centered around weekly camp themes including Growth, Music, Astronomy, and Animals. Virtual fieldtrips and social time were also enjoyed via the CPP BioTrek garden, a volunteer musician, astronaut training, and a therapeutic horseback riding center (to support those with different abilities). The campers engaged in socio-emotional learning (SEL) through these various activities by stepping into their respective stretch zones as well as articulating their own growth.

The summer cross-functional team included 8 student staff (including camp facilitators and tech support) coordinated by the Youth Programs Graduate Assistant, Marissa Engel, with the support of the Children’s Center and BEAT-Art Program, and Campus Rec Admin.

Due to the success of the virtual summer program, the ASI Youth Programs team is developing a similar model for Fall 2020 Virtual Program consideration. The goal of the fall program is to support three main opportunities for CPP students; 1 – provide virtual camp option for CPP student parents at no cost, 2 – provide academic practicum contact hours for CPP students, and 3 – potentially provide student jobs.

Audits

• Aldrich, ASI’s external auditor, is responsible for providing an independent opinion on the organization financial statements. The auditor met with Liz (Executive Director), Carol (Director of Financial Services), and some Financial Services staff in May to review the operations, key accounting changes, and internal controls for ASI. The external audit will continue in July, where Aldrich will sample various financial transactions for review. Aldrich will provide their independent audit report in September, which will be reviewed and approved by the Audit Committee before coming to the Board.

• Fee Advisory Committee o My fellow student leaders and I attended a meeting with faculty to discuss

removing the materials fee upon select classes for the fall semester. As a team we discussed the pros and cons of eliminating the fee for the semester and concluded that it is in our students’ best interest to remove the fee.

• Meeting with Vic (BRIC) o Vic Martin is the Facility Operations Coordinator for the BRIC. Him and I

discussed future plans in terms of sanitation and cleanliness for the BRIC to ensure the upmost safety for both the student employees and guests. He informed me that his staff will be using an application where it will track the cleaning times of each machine as well as the number of guests on each floor. Vic enlightened me that coming next spring the BRIC will apply a reservation system, where the guests will be allotted a certain amount of time. Once that reservation time is complete, the guests must exit the building to allow the team to clean the machines that have been in use.

Continuing Projects:

• Greek Council: o Fundraising opportunity for the Black Lives Matter Movement. Spoke

about the possibility of creating stickers, cups, and t-shirts to sell and all the benefits will be given to a fundraiser of Greek Council’s choice.

• Outdoor Study Areas: o Search for quite areas around campus to place picnic tables and umbrellas

for students to study in peace.

• Meal Plans for all Students

o Ashley CC’ed me on an email with the coordinator of housing meal plans and he informed us that there is in fact a plan for all students. There are several different options for students to purchase at a lower cost. In the future I would like to improve the marketing for this program as many students are unaware that it exists for their benefit.

• Greek Council: o Speaking with the Greek Council President about coordinating a

fundraiser for the middle of July in the effort to support the Black Lives Matter Movement.
