PHASE ONEBusiness Requirement Perspective :

Student

• First of all, simple briefing for the students who will be going for internship by Internship Unit will be done.

• This is because students need to be informed that UTP internship system had been improved by this system, or else those students does not know the flow to apply for a placement and so on or even the existence of this system.

• In this briefing, students will be given manual flow in using CIA system.

• Plus, the students will get their default password to log in the CIA system.

• Inside the system, there also have the basic detail and guideline about internship

STUDENT

• Next, the student needs to log in the system and fill in student profile.

• This student profile format will be the same as current personal information details (PDI) format.

• The important part in this PDI is whether the student is sponsored by PETRONAS and willingly to do the internship with PETRONAS Company.

• The importance of this part will be revealed in the coming step. If it is completed, the student can proceed to the next step.

• Plus, while fill in the form any error checking is on. • For example, the system can detect the student insert a

character in phone number space. So, it is invalid. Then, the system will come out with warning message there.

• Once the student had completed fill in the form, registration summary will be came out.

• This is important to the students to check whether the information that had been filled in is right or wrong. If it is wrong, the students need to correct the wrong. If it is perfect, the next step will be going to be taken

• The next step is, student needs to upload his or her resume.• Once the registration summary done, the button for the

students to download a cover letter is available to the student. • This means that the student is able to apply for any company

that she or he wants to go for internship

• Next, the student still needs to update her or his status. • For example the student already got the placement for his or

her internship. Then he or she needs to update the status as the allocation for the supervisor to evaluate them will be taken.

• Other than that, the student contact number is changes. So that he or she needs to update their new contact number.

• To avoid any ignorance from the students, our system will send those students in a period of time to keep updating his or her status or information.

PHASE TWOBusiness Requirement Perspective :

Internship Unit

• For part of Internship Unit, this unit can log in the system as the administrator.

• The unit can open the file of students to get the students details that already sign in the system or not.

• If the student does not log in the system yet, an email will be sent to remind them to log in the system as they are going to internship. this is not suitable feature

• Therefore, the administrator can take the list names of those students who are sponsored by PETRONAS and willingly to do their internship in PETRONAS Company.

• Internship Unit will send this list name to PETRONAS Company to offer several students for the placement

Internship Unit need to Update the available lecturers to be the student advisor who going to internship and find placement if

there is any student who do not have placement yet

• Internship Unit needs to short list the lecturers name those are available to be the supervisor of those internship students

• The internship unit also will find the placement for the student which do not have place to intern after certain period.

• Once the Internship Unit got the name that already get the placement for internship, the administrator(internship unit) will allocate the supervisor at the respective area for example Kuala Lumpur with the respective field to evaluate them in this eight months training.



• Internship unit can update any info through the semester regarding internship for example if there is any changes , just like the changing date of visit or change date.

• Plus, the internship unit solve problem that being shout by the student in the system.

PHASE THREEBusiness Requirement Perspective :

Company

• We will list out the company names that already offer our students to go for internship.

• In addition, we also can get the company names from Career Advisory Unit to get the company list name.

• Or we will ask these companies to register their company’s name in our system so that the student is able to get little information from this corner.

• Furthermore, the company is also get the benefit by showing their firm’s information as their company can be well known by the students and the company can get and consider the candidate to work at their office as well.

• Then, the company can update or delete or change company’s information wherever the company need to do for.

Create company profile and they can update their profile.

•After the company successfully registers in the system, the company is able to browse or approach or offer a place to any students in the database. •Moreover, if the student interested in applying the internship, the student can easily sends to the company his or her resume by referring to the information provided in the company profile corner.

Company can browse the student profile and download student profile.

Company can contact student directly student through the system.
