FIRST TIME SETUP FROM A WINDOWS COMPUTER FOR NETWORK PRINTING TO A CANON COPIER/PRINTER Part I: Installing a Printer Driver on a Windows Computer

1. Locate a Canon copier/printer to which you want to print; and make note of the 4-digit number labeled on the outside of the copier.

2. On your Windows computer, click the START button; then click “Printers and Faxes.”

3. Double-click “Add Printer” to start the Add Printer Wizard; then click Next. 4. Select “Network Printer;” then click Next. 5. Select “Find a printer in the directory;” then click Next.

6. On the Find Printers window, in the Name box, type the 4-digit copier/printer number; and click “Find Now.”

7. Click to highlight the Canon copier/printer that appears at the bottom of the window; then click OK.

8. Decide whether or not to make that your default printer. 9. Click “Finish.”

Part II: Entering Department’s Copy Code into a Printer Driver on a Windows Computer Installation Note: the 4-digit physical copy NUMBER is for the copier to which you want to print; the 5-digit copy CODE will allow you to actually copy and print to the copier. Before the first time you print to a copier/printer, you need to enter your department’s 5-digit copy code into the printer driver (installed in Part I above).

1. Obtain your department’s 5-digit copy code from your budget manager or office manager.

2. On your Windows computer, click the START button; then click “Printers and Faxes.”

3. Right-click on the installed Canon copier/printer; then select Properties.

4. On the next window, select the Device Settings tab.

5. On the Device Settings window, click to place a check in front of “Job Accounting” and in front of “Allow Password Setting;” then click the Settings… button.

6. On the ID/Password Settings window, enter your department’s 5-digit copy code into the ID field; then click OK. Do NOT enter any other information.

7. From this point on, you will be able to print to that copier/printer.

BASIC OPERATIONS Single-sided Copying: 1. Place originals into the document feeder and press start. Making Two-sided Copies from One-sided Originals: 1. Place your originals and press the [Two-sided Mode] key. 2. Press the [1 to 2-sided] key.

• When you select the [Option] key, select the type of two-sided orientation, and press the [Done] key.

3. Press the [OK] key. • The display returns to the Basic Features screen, and “1 to 2-sided” is

displayed above the [Two-sided Mode] key 4. Proceed to make copies in the usual way. Making Two-sided Copies from Two-sided Originals: 1. Place your originals in the feeder and press the [Two-sided Mode] key. 2. Press the [2 to 2-sided] key.

• When you select the [Option] key, select the type of two-sided orientation for original and copy paper, and press the [Done] key.

3. Press the [OK] key. • The display returns to the Basic Features screen, and “2 to2-sided” is

displayed above the [Two-sided Mode] key. 4. Proceed to make copies in the usual way.

ADVANCED OPERATIONS Creating Covers: 1. Place your originals in the feeder and press the [Special Features] key. 2. Press the [Cover/Sheet Insertion] key. 3. Select the [Front Cover] and press the [Next] key. 4. When copying onto the Front Cover, press the [Printed] key, and then press [Next]. 5. Select the paper source for the Front Covers, and press the [OK] key. 6. Press the [Done] key.

• The display returns to the Basic Features screen. 7. Proceed to make copies in the usual way. Enlarging/Reducing Originals to a Standard Size (Preset Zoom): You can enlarge or reduce standard size originals to standard paper size.

Place your originals and press the [Paper Select] key. 2. Select [Entire Image] key, and press the [Done] key. 3. Press the [Copy Ratio] key. 4. To reduce, select a reduction ratio. To enlarge select an enlargement ratio. 5. Press the [Done] key.

• The display returns to the Basic Features screen, and the selected copy ratio is displayed

6. Proceed to make copies in the usual way. • To return the copy ratio to 100%, press the [Direct] key. • You can cancel the mode by pressing the [Reset] key.

Specifying the Copy Ratio by % (Zoom Designation): 1. Place your originals and press the [Copy Ratio] key. 2. Enter the copy ratio with the [-] or [+] key or the Numeric keys [0 – 9] in 1% increments. 3. Even if you entered the ratio with the Numeric keys [0 – 9], you can change the entered values with the [-] and [+] keys. 4. If you make a mistake when entering values, press the [Clear] key, and enter the correct value 5. Press the [Done] key.

If you enter a value outside the setting range, a message prompting you to enter the appropriate value will appear on the screen. The display returns to the Basic Features screen, and the selected copy ratio is displayed. Proceed to make copies in the usual way.

To return the copy ratio to 100%, press the [Direct] key. You can cancel the mode by pressing the [Reset] key.

Bypass Tray usage – Using special paper Before using special paper, look in your Media Guide to check the specifications of acceptable paper weights and types. Once you have confirmed that what you want to use is acceptable: (Up to 110 lb. Index through cassettes & 140lb in Bypass)

1. Open up the side bypass tray, located on the right hand side of your copier.

2. Place the paper (up to 140lb. Index 50 sheets) onto the tray, make sure that the guides are flush against the edges of the paper.

3. On your touch screen, touch Paper Select and select the size of the paper. (letter, letter-R, etc) by touching the correct size on the screen.

4. Then select the paper type (plain, heavy, letterhead, transparencies, etc). 5. Touch [DONE]. 6. If you are using the special paper for your entire copy job, touch [DONE]

again. If that paper is being used for a cover or insert, press the [RESET] button so that paper selection on the main screen is on auto.

Finisher (Optional) The Finisher is used to make collated, grouped, or stapled sets. Not all Finishers allow you all of these options. Touch the FINISHER button on the touch screen and you will see all of your finishing options.

Collated Sets: 1. Place originals into the document feeder face up.

2. Enter in the number of copies to be made.

3. Press the START button to begin scanning. Grouped Sets: 1. Place originals into the document feeder face up.

2. Press [FINISHER].

3. Press [GROUP].

4. Enter in the number of copies to be made.

5. Press the START button to begin scanning.

Stapled Sets: 1. Place originals into the document feeder face up.

2. Press [FINISHER].

3. Press [STAPLE]. 4. Press [NEXT]. 5. Select the staple position.

6. Enter in the number of copies to be made.

7. Press the START button to begin scanning. JOB BUILD- Select this when the number of originals exceeds the capacity of the Document Feeder. (The capacity of the Feeder is 50 originals for the IR2270/2870/3570/4570 and 100 originals for the IR5570/6570/8070/9070.) Remember to set up all job level functions before pressing start. (ie; Two-sided}

1. Place first stack of originals in the Document Feeder 2. Press Start 3. Place next stack or originals in feeder or lay one page on glass 4. Press Start 5. Repeat until all originals are scanned in 6. Press Done on the touch screen

MAILBOXES Mailboxes allow users to scan and store documents directly from the platen glass or document feeder into the 5.1GB HDD image server into personalized or departmental mailboxes. Up to 100 mailboxes can be created and stored. Creating Mailboxes: 1. Press ADDITIONAL FUNCTIONS 2. Press [Mailbox Settings]. 3. Press [Box Set/Store].

• Scroll down to an unused mailbox. • Press to select desired mailbox.

4. Press [Store Name]. 5. From the alpha/numeric keyboard, enter desired Name for the Mailbox (0 –

99). 6. Press [Document Name]. Name the document. (ie. Fax Cover) 7. Press [OK]. Using the copier number keys, enter a password if desired. Passwords can be up to 7 numbers. Select desired time for auto document erase: 1,2,3,6,12 hours (or) 1,2,3,7,30 days (or) 0 for OFF = permanent document storage. Press [OK] to enter data. The new mailbox will be displayed. If secured, a padlock icon will show. Press [Done] 3 times to exit ADDITIONAL FUNCTIONS. Deleting a Mailbox: 1. Repeat steps 1, 2 and 3 above. 2. Press to select desired mailbox. 3. Press [Initialize]; press [Yes] to delete the mailbox. 4. Repeat step above to exit.

MAILBOX SCANS & MERGE DOCUMENTS The improved mailboxes feature allows users to scan material directly into a mailbox from the copier, as well as send documents from a workstation. Merge document allows the user to combine documents scanned into the copier with documents sent to the unit as a printer. Multiple selected mailbox documents can be printed out in any order, either as separate jobs in succession, or combined as one large document (“merged”). NOTE: At least one mailbox must already be created on the imageRUNNER 5000 (through Additional Functions). Scan to Mailbox: 1. Place documents to be scanned in the document feeder or on the platen

glass. 2. Press [MAILBOX] button. 3. Press to select the destination mailbox. 4. Press [Scan]. 5. Enter the job-level settings for that document. 6. Press [START] button to begin scanning document. 7. The document will be listed in the mailbox queue. 8. Repeat steps 1, 4, 5 & 6, or send several print files to that mailbox. You will

need at least 3 documents in the same mailbox to fully demonstrate the new mailbox features.

Print from a Mailbox: 1. Press to select the 3 (or more) mailbox documents in any order to select for

printing. 2. Press [Print]:

• At this point you have 2 options: i. Press [Start Print] to print the 3 (or more) mailbox documents

as 3 SEPARATE JOBS in the order you selected; or ii. Press [Change P Settings].

3. Press [Merge Documents]. 4. Press [Start Print] to print the 3 (or more) mailbox documents as ONE LARGE

DOCUMENT. NOTE: All Job-Level settings for each separate Mailbox document (Simplex, duplex, zoom, etc.) will be overridden by whatever you set in the Mailbox print screen. All documents printed in merge mode will share those settings. Output will be all simplex or all duplex.

MAILBOX MERGED DOCUMENTS WITH SEPARATOR SHEETS Multiple selected mailbox documents can be printed out in any order, either as separate jobs in succession or combined as one large document (“merged”). Once merged, the new document can be printed out with separator sheets placed between the original mailbox documents or “chapters”. NOTE: At least one mailbox must already be created on the imageRUNNER (through Additional Functions). Print Merged Mailbox Documents with Separator Sheets: (From an open Mailbox with 2 or more documents already stored in it) 1. Press to select 2 (or more) mailbox documents in any order to select for

printing. 2. Press [Print]. 3. Press [Change P Settings]. 4. Press [Merge Documents]. 5. Press [Cover/Job Separator]. 6. Press [Job Separator].

• (A Front Cover or a Back Cover can also be selected at this time, if desired)

7. Press [Next] 8. Select the paper source for the separator sheets 9. Press [OK] 10. Select any last options for the print job at this time 11. Press [Start Print] to print the mailbox documents as ONE LARGE

DOCUMENT WITH SEPARATOR SHEETS. NOTE: All job-level settings for each separate mailbox document (simplex, duplex, zoom, etc.) will be overridden by whatever you set in the mailbox print screen. All documents printed in merge mode will share those settings. Output will be all simplex or all duplex.

SECURE PRINTING – WITH PCL DRIVERS Secure Print allows any network User to send confidential documents to the imageRUNNER, without the need of a Mailbox for that User. AT THE WORKSTATION (PCL 5e driver) From an open application (MSWord, Excel, etc.) …

1. Go to FILE. 2. Go to PRINT. 3. Select the [Canon driver] as the printer. 4. Go to PROPERTIES in the print dialog box. 5. Click on the down arrow next to the PRINT icon.

There are 4 printing options found here: Print Secured Print Store Edit & Preview

6. Select SECURED PRINT. 7. Select [OK]. 8. Select [OK] to close PROPERTIES box 9. Select [OK] to close PRINT DIALOG box

10 At the [CONFIRM PASSWORD] box, enter a Document Name (if necessary), and password.

Passwords can be up to 7 numbers, no characters 11 Select [OK] to send the Secure Document. TO RETRIEVE A SECURED PRINT DOCUMENT At the copier…

10. Press [System Monitor 11. Press Print 12. Press Secure Print 13. Put in the number you assigned the document using the keypad 14. Press OK twice]. 15. Select the document from the list on the screen 16. Select

SECURE PRINTING – WITH POST SCRIPT DRIVERS AT THE WORKSTATION (PS driver) From an open application (MSWord, Excel, etc.) …

1. Go to FILE. 2. Go to PRINT. 3. Select the [Canon driver] as the printer. 4. Go to PROPERTIES in the print dialog box. 5. Click on the down arrow next to OWNER INFORMATION 6. In the box under SECURED PRINT enter a 4 digit number 7. Select [APPLY]. 8. Select [OK] to close PROPERTIES box 9. Select [OK] to close PRINT DIALOG box

TO RETRIEVE A SECURED PRINT DOCUMENT At the copier… 10. Press System Monitor] 11. Press Print 12. Press Secure Print] 13. Put in the code you assigned the document using the keypad 14. Press OK twice 15. Select the document from the list on the screen 16. Select

i. Print & Delete ii. Print & Hold iii. # OF Copies

1. Select Change Value 2. Enter # of copies on keypad 3. Press OK twice

Faxing/ the “Fax” tab: To send a fax, simply load documents on feeder face-up. The fax screen looks identical to the “Send” screen, as shown above. Press the “Fax” button. Using the number panel, dial your destination number (include 9 if necessary). Press “OK” then the Start button. The fax will be sent. If there is an error in your transmission, the device will print out an error report. Otherwise, you may assume that your fax was sent successfully.

Click the printer button. (A printer dialog box will appear). Click to open printer select box and choose a printer. (* NOTE: Example is for “Canon IR2200-3300 PCL6”, but your printer will be a different Canon IR model, i.e. “Canon IR3570/4570 PCL6”, etc.)

Page Setup Options: You can select original page size, output size; number of copies, orientation and page layout.

Finisher Options: Allows you to select; single-sided, double-sided, long-edge or short-edge binding and collating to stapling.

Paper Source Options: Allows you choose the type of paper you are printing or what drawer you are selecting your paper from.

Quality Options Tab: From the quality tab, you can choose the best quality for your output.

MAINTENANCE/TROUBLESHOOTING Technical Tip: To maximize the uptime of your new Canon product, and minimize downtime, the following tips are strongly encouraged and recommended. Please note that the following models iR8500/105 all have the following warning messages: 1 "Cleaning web is low" 2. "Waste toner full" Please call and place a service call when you see this message, each of these messages indicates that the machine is in need of service. For example the message “cleaning web is low” will be displayed 5-10k copies prior to the cleaning web actually running out. Once the cleaning web runs out the error message E-005 will be displayed and the unit will be inoperable until a technician arrives to replace the web.

Cleaning Lines on Copies when using the Feeder: imageRUNNER 1630/1670/2270/2870/3570/4570/5570/6570/8070/8500/9070/105+ Color imageRUNNER 3170/3170i/2620/3220/5800/6800

1. Take the copy with the line and place it on the glass as shown on the picture. 2. This gives you a general area to look at and clean on the slit glass. 3. Use a soft and damp paper towel to clean the general area of the slit glass.

Spot on this glass will cause lines when using the feeder…i.e. Dust, white out, ink.

Preventing Paper Jams: imageRUNNER 2270/2870/3570/4570

For all other models, there is no blue dial requirement.

After loading paper, make sure side plates are firmly against the paper.

If the paper size has been changed, please also change the setting on the blue dial to correspond with the actual paper size loaded.

REFILLING TONER How to Add Toner to an iR2270/2870/3570/4570/5570/6570/8070/8500/9070/105+: 1. Open the toner supply cover. 2. Gently pull out the used toner cartridge. 3. Gently push the new toner cartridge into the toner cartridge position.

• NOTE: Before setting the new toner cartridge, remove the sealing tape from the front of the new toner cartridge.

4. Push in the new toner cartridge until the toner cartridge ▲ marks align with the ▼ marks on the main unit.

5. Close the toner supply cover. Adding Toner to the 5570/6570/8070/9070/105+

Adding Toner to the Color IRc 5800/6800 How To Add Black Toner to the Color ImageRUNNER c5800/6800:

1. Open the front toner cover as shown below. This is where your BLACK toner cartridge is located. 2. Gently pull out the used toner cartridge. 3. Gently push the new toner cartridge into the toner cartridge position. • NOTE: Before setting the new toner cartridge, remove the sealing tape

from the front of the new toner cartridge. 4. Push in the new toner cartridge until the toner cartridge ▲ marks align with

the ▼ marks on the main unit. 5. Close the toner supply cover.

How To Add Color Toner to the Color ImageRUNNER c5800/6800:

1. Open up main unit cover in front of the device. 2. Open small light blue door to reveal color toner latch. 3. Turn latch counterclockwise and pull that color toner cartridge out. (*NOTE:

The machine is intelligent; whichever color is out, that is the color toner that will be available to you to replace.)

4. Replace with new toner cartridge and turn latch clockwise to secure. 5. Close small light blue door and main unit cover.
