B A R L O W I N T E R I O R S Barlow Interiors is a UK-based company that provides build, fit out and project management services, having a proven track record of successful delivery in the retail, leisure, transport, hotel and banking industries.

C H A L L E N G E

Barlow Interiors recognised that it was using a system that didn’t support its needs. That is why, they decided to bring on board Future Processing to deliver a portal, enabling them to manage several hundred projects which they run for their clients.

P R O J E C T

The portal we developed is based entirely on SharePoint Online, which is a powerful and complex suite of software that optimises all of the benefits of an intranet: gather-ing people within the organisation, and allowing effective management as well as ensuring compliance with health and safety.

R E S U LT S

Future Processing delivered a solution that is bound to help Barlow Interiors increase transparency, optimise busi-ness processes and improve both internal and external communication. Our client can now save time and money while boosting productivity. The system is modular, which provided a highly tailored and effective solution to meet the Barlow Interiors’ specific needs. In addition to delivering customised software, we went an extra mile and adjusted the solution’s front-end to match Barlow Interiors’ corpo-rate identity. Moreover, we recorded a video with detailed instructions on how to use the system, to help our client make the most it. Thanks to Office 365 Patterns & Practices, the solution we developed is completely transferable into multiple environments.

C M 2 0 0 0 CM2000 is an award-winning supplier of electronic monitoring, scheduling and point of delivery care management solutions to the health and social care sector. CM2000 works in partnership with 96 Local Authorities, over 1,000 care providers, more than 167,000 carers and over 222,000 Service Users across the UK.

C H A L L E N G E

CM2000 approached us with a requirement to implement a document management service for their customer base. The aim was to allow care agency staff to manage important documents such as contracts, care plans, medical records, etc. for each recipient of care services and for each carer. One of the challenges was the volume of data that the system needed to support.

P R O J E C T

Based on a detailed specification, Future Processing took care of designing infrastructure and developing web service. We conducted manual and automatic testing of the service and installed SharePoint and its farms on the client’s servers. We also provided some support in terms of adjusting processes to take account of SharePoint.

R E S U LT S

We have successfully developed a document management service allowing agency staff to effectively organise, admin-ister and control their documentation. Multiple agency users can now manually or automatically upload documents, attach them to a given Service User or Care Worker, as well as to download and delete them. System users can search for and return all records that have been uploaded for a particu-lar person and can filter through the results using a number of criteria. Users also have the possibility of auditing all the document history which can be useful in case of any issues. In addition to this, admin users can report on storage used by care agencies. The entire project took us about 2 months.

HAS Technology Group has successfully used Future Processing to outsource various development projects for its CM2000 business over a period of several years.

S T E E R D AV I E S G L E AV E Steer Davies Gleave is the leading independent transport consultancy which has been investing in pioneering transport planning techniques and developing the skills of their specialist staff for more than thirty years. They enjoy a worldwide presence with 16 offices scattered over 4 continents.

C H A L L E N G E

Steer Davies Gleave found themselves in a position where their current intranet system was not meeting the needs of their global business. There was too much paperwork that required to be printed, completed and authorised manually which was time-consuming and inefficient.

P R O J E C T

We started from a visit to their offices and workshops leading to specification of functional and non-functional requirements of their existing intranet. We have chosen 5 new intranet mod-ules to adapt to the internal needs and processes of the client. These cover: ordering business cards and couriers, cleaning, accident reporting and print and reprographic requests.

R E S U LT S

Future Processing developed 5 new modules. Written in Office 365 for SharePoint Online, they integrate with the client’s current intranet solution and have been designed in a way which will enable an easy switchover to SharePoint Online in the future. The modules have considerably reduced the amount of tedious and time-consuming administrative work, freeing resource time through a reduction in paperwork and process automation.

I would definitely recommend Future Processing to other clients. We’ve had a valuable insight into SharePoint potential and what you have achieved through this within your own company. The project undertaken for SDG helps us record important compliance information (Health and Safety), monitor costs (print, couriers, business cards) and suppliers (cleaning and maintenance). S O L I D E N T R E P R E N Ø R Solid is a Norwegian construction company that has successfully completed many projects over several years. Solid Gruppen AS consists of companies focusing on construction and property development. Through active competence and specialisation, as well as social measures and frequent home tours, Solid became a preferred employer in the industry and completed many projects over several years.

With the growth of the company, there was a need to support its activities through the use of IT systems. Therefore, Solid asked Future Processing to modernise their current systems, adapting them to a rapidly changing environment.

C H A L L E N G E

Solid Entrepreneur had introduced a lot of business process changes that relate to changing law regulations in Norway. Some systems had to be upgraded or expanded to support the processes that have changed. The customer has also identified these areas of business, where new IT systems or their fragments, will be able to increase the efficiency and effectiveness of employees’ actions, thereby improving the quality of services provided and personnel security.

P R O J E C T

During several years of cooperation Future Processing maintained, modernised and developed a number of Solid’s systems.

These are, among others:

u Web Portal based on ASP.NET MVC (system monitoring progress and quality of construction projects)

u Mobile application for Android (documentation of progress of work on the construction site and data synchronisation with web portal)

u Intranet for Solid employees and extranet for subcontractors - both projects implemented based on SharePoint platform (document management, news, alerts, service workflow, custom fields, integration with plugin for Outlook for easy upload of e-mails and attachments to SharePoint, with the possibility of prior configuration of content type and metadata associated with it, integration with CRM and Web Portal, migration to a newer version of SharePoint, etc.)

u Integration with Visma (CRM, ERP) and Tempus external systems (access control)

R E S U LT S

So far, cooperation between Future Processing and Solid has resulted in a number of IT systems that support the work of Solid’s employees and subcontractors in their daily duties. Close integration between different systems result in greater productivity and in data integrity. We have successfully reduced paperwork, increased the efficiency of processing claims, facilitated access to information, enhanced work qual-ity and time efficiency. All that allowed Solid to benefit from gained advantage over competition.

As Solid’s technological partner, we have always tried to respond to needs arising from changing processes or law regulations, using the most modern technological solutions (e.g. mobile applications features of latest ShP versions). Our joint efforts allowed us to keep track of all variations regarding health and safety as well as discipline. This enables the client to stay in control of tasks performed on constructions sites.

Another benefit is to have a better overview of quality devia-tions, so that Solid can improve and make changes, when and where it is needed. Significant components of the system are a valuable time saving contribution to workers at construction sites, as well as to those working with quality assurance.

We pass controls and audits without any problems, as they know that correct use of this tool will satisfy the requirements, far beyond expectations. It is not often these kind of revisions lead to no findings, but every single revision in projects where Project Web 2 has been properly used, actually has such an outcome.

S H A R E P O I N T E X T R A N E T - M A R I N E I N S U T R A N C E C O M PA N Y One of our clients is a specialist marine underwriter providing Protection and Indemnity (P&I) insurance to world’s shipping organisations. It is one of 13 P&I organisations that underwrite approximately 90% of world’s merchant tonnage.

The IT department of the client is responsible for support-ing organisation’s business applications, infrastructure and communications systems. Like any services organisation, information is vital for both the day to day operations and the overall success of the business. Well-functioning IT is therefore critical to the company and its partners. In the past few years Future Processing helped the client in the develop-ment of many internal systems, mainly based on Microsoft technologies, in order to optimise business processes taking place in the organisation.

C H A L L E N G E

In the past, most of International Group club members pro-vided extranet functionality or secure member areas on their websites. Clients’ website didn’t have this capability. An extranet solution would enable members and brokers to have secure, direct 24/7 access to information, relating to their entry, such as claim records, cover documentation etc.

The main benefit for members and brokers is having up-to date information readily available for print, email or download, without the need to request it from the club and wait for it to be issued.

P R O J E C T

At the beginning of the project, together with the client, we agreed that in order to achieve maximum business value, it was necessary to collaborate closely and on a regular basis. Therefore, we decided to implement SCRUM and designate a multidisciplinary team with the Scrum Master (SM) on our side. On the client’s side, Project Manager acted as Product Owner (PO).

The project started with a 3-day workshop, which resulted in exact specification of requirements in the form of a list of User Stories (approved by PO) and mocks of the system, which were presented to stakeholders, showing how the system may look and function in the future. Thanks to this, at an early stage of the Project, it was possible to find some incon-sistencies, verify the assumptions made and implement changes before developers began their work. At this stage of the project, the PO defined a number of non-functional requirements, which the team had to meet. This led to

extending the team with a usability specialist, who worked closely with the PO during the project, designing User Inter-face modules dedicated to different devices (desktop, tablet, smartphone). By using the responsive design approach, the system automatically adapts its layout depending on the device used.

One of key elements was safety, because of confidential data that the system provides on specific users. To ensure high level of security, the project was implemented based on Microsoft Security Development Lifecycle (SDL). SDL is a software development process that helps to build more secure software and address compliance requirements, while reducing development cost. In the course of the project (and after its completion) a security audit was conducted, to confirm that all of the required standards were maintained.

Within the project, during 3-week iterations, the team, together with the client, solved a number of technical challenges. One of them was getting access and informa-tion from multiple sources (MS SQL, SAP Business Objects, Oracle, other instances of ShP), which stored data from indi-vidual systems. We used the system of distributed jobs and services, which connect to respective sources and retrieve data to SHP. Thanks to this, we ensured that the data was accurate, up-to-date and consistent with information issued elsewhere.

In order to enable a more effective search, the team created a custom search module that uses multiple metadata of processed documents. Thanks to this, the search can be based on several additional criteria. Results are presented in a more transpar-ent and friendly manner, than in the default SharePoint search.

R E S U LT S

The client believed the system would significantly improve brokers’ work during the period of negotiation and renewal of agreements, offering them immediate access to the docu-ments they need, regardless of time of day, time zone, place or device. The client estimated that, thanks to this, the num-ber of direct contacts (phone, mail) with the client’s support team would be reduced and the company would save money spent on traditional form of customer service. At the same time, the level of service will significantly increase.

S A P I E N Z A C O N S U LT I N G Sapienza is a leading provider of space mission and project support through people, software and services.

The company has been a supplier to the European Space Agency since 1994. Eclipse (Sapienza’s flagship product) is the only web based, collaborative suite of integrated appli-cations. It was designed based on invaluable experience of space industry professionals, to be used by European space sector organisations, ranging from SMEs (Small and Medium Enterprises) all the way to international agencies.

Eclipse helps space project and mission teams achieve higher efficiency, better control and compliance to Euro-pean Cooperation for Space Standardisation guidelines in key project and business areas, such as:

u Project Management (PM)

u Product Assurance (PA)

u Configuration Management (CM)

u Quality Assurance (QA)

ESA is implementing solutions based on SharePoint. Since ESA currently uses Eclipse, there was a need to provide the integration of the two systems on the level of document synchronisation.

P R O J E C T

We developed a solution in which documents added to ShP library, after being approved by supervisors, are transmitted in an appropriate status to Eclipse system. Changing meta-data of previously exported document causes its update in Eclipse. The modules were implemented using only SharePoint 2013.

Where documents with metadata are added. A possi-bility of custom configuration has been implemented.

After changing a document, the mechanisms check whether it meets the conditions necessary for its transmission to Eclipse and move the document to a temporary library.

I N T R A Intra is a powerful, SharePoint-based suite of software that improves business operations. Intra consists of eight ready-to-use modules enabling to streamline and automate business processes across departments.

C H A L L E N G E

When Future Processing came to existence in 2000, it only had 2 people. A few years later, we started to experience a very rapid growth in team size: from 30 employees in 2006, through 220 four years later, to 520 in 2012 and over 900 currently.

We quickly realised our traditional ways of communicat-ing – by announcing new developments to everyone in the room – were no longer effective. The challenge was much more than communication, though. An increase in team size also meant more work for our HR, training and payroll departments.

P R O J E C T

With this in mind, we started to develop a system which would allow a better communication and collaboration of our team members, would automate and streamline pro-cesses in our key departments and allow statistics and reports to be generated. By trial and error and with input from our colleagues, through the years, we came up with a solution which is near perfection – Intra. Near per-fection, because we get inspired to enhance Intra with new features and functionalities as technology advances.

R E S U LT

Intra is a Cloud based solution, that integrates with all Micro-soft products and other SharePoint solutions. It is very scalable, allowing you to add or remove users easily. Its ready to use modules are quick to implement and as SharePoint works on both personal computers and mobile devices, it means employees can access information anytime and anywhere, but crucially in a secure and controlled environment. More-over, SharePoint Online (Office 365) provides the benefits of an intranet by increasing transparency, optimising business processes and improving internal communication. Through automation and efficient management of processes, Intra helps HR with workload and is a one stop shop for all apps of your company.

Intra increases work efficiency in a friendly environment, integrates the community through social modules, manages team’s skills and empowers effective internal communica-tion and enables greater transparency of processes in the company.

This allowed the team to gather the experience of providing complex SharePoint-related services, including SharePoint 2010, 2013, 2016 and SharePoint Online, with use of different methodologies (including Scrum) and tools (like TFS).
