Ogilvy and Mather Group Ireland is Ireland’s premier creative communications team. The company is part of Ogilvy & Mather, one of the largest marketing communications networks in the world, servicing more Fortune Global 500 companies than any other agency. Opportunity: Move large files at lightning speed

Employees needed to share large files quickly with clients on a daily basis. Specifically, the public relations team needed to get material out quickly, whether it be large 100 MB files or artwork for releases. Before Egnyte, they used a variety of asset management, file transfer and other cumbersome applications to move data. This not only added extra time to the creative cycle, it also cost the company money. Employees and clients were also demanding mobile access to files and the need to share files on the go.

Challenge: Share data with the right clients

Ogilvy employees wanted to share files easily and on the go; however, they each worked with several different client accounts. They needed to ensure that their client only had access to their files and creative content. Toby Wells, IT Director for Ogilvy Ireland, saw an opportunity to provide his company with an easy-to-use file sharing solution that had secure access rights to folders.

He had a few key requirements in choosing a cloud solution:

• A simple, easy-to-use product • The ability to transfer large files quickly to both coworkers and clients outside the office • A hybrid solution to ensure reliable, anywhere anytime access to files, even without Internet • Remote access to files so employees could work from anywhere

Wells looked into a couple of cloud solutions including Box and Accellion. He liked Box’s interface but Box did not have the security features needed such as granular permissions to folders and Sophos encryption integration. He wanted more control of files and latency was also an issue because Box did not offer a hybrid solution. Accellion was too expensive for what they wanted to accomplish by moving to the cloud.

A colleague from another WPP company, Young and Rubicam, suggested he look at Egnyte. They had recently rolled the solution out to their 25,000 employees and knew it might meet the robust requirements of a creative agency. Wells liked what he saw and decide to try it out.

Solution: File Sharing Infrastructure

Wells is thrilled as well. Egnyte Hybrid Cloud gives him peace of mind. Not only are his files always accessible, but his employees can do their job more efficiently. He estimates cost savings being high in the next few years primarily because of the money saved on backup tape costs and employees’ time.
