ASMSI Main and Cavite Batch Representatives Assembly
January 13, 2013 @ Alumni Office, Girlstown Biga, Silang Cavite
The meeting started at 10:35 am first with self introductions of each Representative while
waiting for others to come. Reps gave their names, batches & their current jobs or where they work.
Thirty attendees constituted the quorum of 1/3 of the Batch Reps plus 1.
I. Prayer – The Invocation and Closing prayers were led by Bro. Randy Gimeno
II. Message from Sr. Amy – Sr. Amy gave her greetings of Merry Christmas & a Happy new year and
congratulate everyone for coming. She further said that ASMSI, our organization is unique
from others where we have to donate & help the many facets of SOM – the ASMSI, FACFI,
Sisters of Mary, Brothers of Christ.
III. Presiders of Meeting: Sr. Amy, Kuya Al, Ate Zeny and Ate Sha were among the presiders of the
meeting.
IV. ASMSI Cavite Accomplishment Report – Jun Espartinez, ASMSI Cavite President wasn’t not come
so Angie Padrones, ASMSI Cavite’s Secretary reported on Activities on Basketball Fun Games
held in September and the Boodle Feast/Christmas Party held last Nov. 25. Proceeds of the
Basketball Fun Game went to the Brothers of Christ amounting to Php 3,000.00 and the
Christmas Party Proceeds went to FACFI and ASMSI with Php 5,000.00 and Php 1,630.00
amount of donations respectively.
V. For Election of Officers (from ASMSI Cavite) for AIC 2013 – There is a need to prepare the Batch
Representatives, who are ASMSI’s future leaders to become Officers for the 2013 ASMSI
International Convention. The five officers which will be chosen from among the Board of
Trustees of ASMSI Cavite will be the 5 Representatives of the local Chapter to the ASMSI
Main. Elections of the Officers from among the Board of Trustees must be done before
August 3-4 AIC. Completion/Election of Board of Trustees may be conducted a month or
two months after March 17 Grand Alumni Homecoming. Final/updated lists of Batch
Representatives should be submitted at the Alumni Office on or before March 17, 2013.
Important reminders were voiced out:
A. Update list of Batch Reps before March 17, 2013. Endorsement form is available at the
Alumni Office. Qualifications for Batch Reps. are set, need to specify since they aregoing to be the future leaders of ASMSI:
1. Elected Presidents/two highest officers of the batch
2.Committed to serve
3. With integrity
4. With good command of English or Tagalog, both oral and written
5. Familiar and/or with open mind to know and learn about ASMSI and how it operates

6.With analytical mind
7. Leadership quality
8. With sound judgment
9. Someone who can be part of the solution and not contribute to the problem
B. Election of New Board of Trustees to replace inactive ones
- Follow up on reasons why said trustees were not able to attend for three
consecutive meetings
- Secretary may collate their letters/personal response
- ‘Three consecutive absences (for Board of Trustees) in meetings without valid
reasons’ is a ground for expulsion
- ‘Board Resolution’ to conduct an election to replace inactive Trustees & Officers
- As what Pres. Al suggested March can be a time for election of new Batch Reps (for
those who haven’t elected yet) during GAH where most no. of alumni is present;
BOT election may be done after Repsresentatives/Officers of Batch are completed
(May or June) ; Officers Election will be before AIC on Aug 3-4, 2012 (July, 2013).
There would be 5 Officers from ASMSI Cavite to complete the 15 Board of Trustees
for ASMSI Main (5 more from ASMSI Cebu & another 5 from ASMSI International) *
Note that former ‘active’ officers from ASMSI Main are qualified officers f or the AIC
Election.
- January to May/June is the time for batch reps to meet & know each other, so come
Election time, they would be able to vote for the right person (Board of Trustees).
- In the afternoon of March 17, 2012 – 2pm – Batch Reps (final list) are requested to
meet with respective batchmates to elect Officers/update list. Two higher officials
of the batch (one from Gtown & another from Btown will be the batch’s
Representatives. Two Batch Alternates may be assigned in the absence of Batch
Representatives during meetings every 3rd Sunday of the month.
- The five officers which will be elected from among the Board of Trustees (Pres., VP,
Sec., Treasurer & P.R.O.) shall be the ASMSI Cavite’s Representative for the AIC
Election. The election of Officers maybe done before August AIC (Could be on July
21? 3rd
Sunday of July)
- (5 Officers are asked to submit their Bio Data with their Platform/Plans and
programs for the ASSOCIATION and should be open-minded to know ASMSI and
stand for it. As Officers we are committed to serve and bear the name of our
association – not elaborated in the Jan 13 meeting).
VI. Strengthening of Batch as our main unit and its support to ASMSI (and FACFI) aligned with
ASMSI’s mission and Vision as what Bro. Randy Gimeno from Batch 1996 shared:

Compared to other alumni of other educational institutions, ASMSI is quite unique in
some sense. One, our source of filiation is not by our experience of attending the school. The
source of our bond with the institution is that WE LIVED as true sons and daughters of Father Al
in the school. Second, our organization is unique because we get accepted by any ASMSI chapter
wherever we are.
Second Point: The Heart that is ready to help
It is observed (and validated) that many graduates have the desire to help. The question
to the officers is: Do we know how to ask? We have graduates who are more than willing to give
their treasures, time and talent to SOM, FACFI and ASMSI. Their hearts are aching to help and
yet they do not know how they are going to do it. We need only to ask. Or, are we too
ashamed to say we need help? If we can only have an organization that would initiate things to
gather all the resources that are just waiting to be tapped, then our organization will not be like
a beggar who always asks every time there is an activity or project. The organization needs
people who are committed to the mission of Fr. Al. The organization needs people who will
translate the desire that has been burning inside the hearts into action. While the desire or
intention to help is good, it does not make any difference if it is not translated into action. We
need graduates especially those elected as officers to be men and women not just of intentionsor ideas but men and women of action.
Third Point: Reality Check
Running our organization means that we are connected with one another. The
technology like Facebook, cellphones, emails, have been very helpful in the case of our batch. It
is impossible to always gather but with the internet, ideas are shared and projects are fulfilled.
Even the re-organization of our batch was made easier by the internet since we also used
Facebook in electing our representatives.
In our experience, we learned that good intention is not the only thing that matters. We
do not assume that our organization will always run smoothly. There will always be people who
will see things differently from our own perspective. There will be graduates who will raiseobjections even to very noble projects. We cannot always expect that everyone will help or will
be supportive of our efforts. What do we do if these things happen? We welcome feedback.
Yet, We also continue and consider these situations as reality in every organization. Father Al
himself experienced it. We shall know that we are doing the right thing if we do things not for
ourselves but for the mission that Fr. Al started.”
VII. Grand Alumni Homecoming on March 17, 2013
- Host Batch Plans, schedule of activities/Program were initially presented by Ruth
Laquintana. There will be Confession early in the morning before the Holy Mass.
After the Mass will be the Program and Raffle. Raffle ticket costs Php 20.00 that
may be sold to the diff. batches prior to GAH. Exciting prizes like LCD TV & other
gadgets/appliance are at stake. To make the program lively, they would also hire
two stand- up Comedians to be masters of ceremony. They should however be
wholesome and should be given a background about our institution/school. They
are presently forming Committees such as committee on food for proper & orderly
distribution. Food negotiations will be done with the School Office c/o Culinary.
The in-charge is Mr. Darasin as per Sr. Amy. Tents, flowers, balloons and tarps

should also be prepared by the Host batch. All batches will be asked to bring their
offering for the Holy Mass on March 17. These could be hosts, mompo or cash
donations. We could use the Sullivan Building for accommodation especially to the
host batch and those who would be coming from far provinces and has to come
night before the event. They have to inform the Alumni Office of their stay for
permissions at the Main Office.
VIII. ASMSI International Convention on August 3-4, 2012 was further discussed by Kuya Al and Ate
Zeny:
A. Objective- The objective of the AIC will be: “Refresh, Reach Out, Return”
B. Attendees – Two reps from batch/chapter/province
C. Registration fees – still for costing
D. Invitation ads, letters – for further dissemination
E. Solicitation letters, Donations will be welcome
F. Program/Flow of Convention – to be drafted
G. Sisters’ Updates & Announcements – c/o Sr. Amy
H. Report of Local & International Chapters
I. ASMSI President’s Message/Report
J. Presentation & Introduction of 15 Board of Trustees
K. Election of Officers for ASMSI Main (which will be drawn from 15 Board of Trustees and
the present active Officers)
L. Announcement of new Officers for ASMSI Main
M. Turn-Over, Plans, Execution of present projects
N. Trustees & Officers to commence office on January 2, 2014 (two-year term as per
bylaws)
O. Presentation of Batch 1996/7th Batch on Project Proposals (Past & Future Plans) Aligned
with ASMSI’s Mission and Vision
P. Help propose Projects for 2013 (August to December 2013)
Q. Proposal of Projects for 2014
R. How to meet during monthly meeting (?)
S. Project Proposal & Executions
T. Project Proceeds – a fair share- for suggestions
e.g. 50/50 (local chapter/ASMSI Main)
33/33/33 (local chapter/ASMSI Main/Fr. Al’s Children Foundation)
Please note to give proceeds to ASMSI as this is our primary purpose why ASMSI was
established. It has to stand and later be of help to the SMS when it has become
sustainable through fundraisings & other projects
U. Guidelines on Project
1. If you involve all alumni (all batches), the project becomes ASMSI project as a whole
as proposed by an individual/batch
2. If you want the proceeds to be within your batch only, it should therefore be
exclusive for your batch only as we understand that your batch should have

been/start donating also to FACFI (and always remember ASMSI ;) a small share will
do to make our organization sustain its operation
V. Other suggestions for AIC Activities
IX. ASMSI CAVITE DUTIES & RESPONSIBILITIES/Main Thrusts.
Please refer to the letter addressed to ASMSI CAVITE ( Main Thrusts):
1. Forming of ASMSI Chapters within Luzon
2. Supporting ASMSI Main Events & Projects which includes: GAH, August/Foundation,
Retreats, Sisters Celebration. Projects as may be formulated/approved by the Board of
Trustees as proposed by individuals/batches
3. Spearheading ASMSI Cavite Events as may be planned/proposed like Sportsfest,
Outreach Programs, Christmas Party, Grand Marian Procession & other events as may
Be proposed and approved by the Board of Trustees Cavite
4. Formulating programs and projects for ASMSI Cavite to help sustain the local Office,
FACFI or the SMS. Example of projects/suggestions may be: Fun Run, Concerts, Raffle,
Valentine Gimmicks, Bible Quiz, Bazaar, Etc.
X. ASMSI Financial Report for 2012: Refer to copy.
XI. Batch Donation of Php 2000 to sustain ASMSI’s Operation
XII. Others
1. We are also reminded to inform/remind our fellow alumni who still has/have loan/s to
pay.
2. Confession & Holy Mass at Retreat House Chapel every Saturday & Sunday at SOM.
Open to the Public.
3. Raffle tickets may be sold/distributed to other batches prior to GAH. It was set to
for catchy prizes to encourage more of the graduates to buy. Proceeds will go to ASMSI.4. Host batch of the GAH may constantly keep in touch with the Alumni office for the GAH
Preparations.
5. We are asked to continue to recite the prayer for Fr. Al's beatification. The revised
Positio Paper has been submitted to Rome. It will be opened by 2014 by the College of
the Saints. Thanks also to Bishop Tagle who accompanied our Sisters for the
submission of the paper. We are awaiting for one more authentic Miracle of Cure for Fr.
Al to be raise to ‘Venerable’.
6. We also congratulate each of the batch for a total donation of more than half amillion pesos to the Fr. Al's Children Foundation, Inc. (FACFI) for 2012.
