Initiate the billing process by searching for the case you wish to bill against through the Cases & Application section. Click Search then select the case from the search results.

Once in the Case Overview screen, scroll down to the table of Available Actions and click Billing.

The Financials screen will open which shows all costs attributed to the case. Click Create Bill to begin the billing process. Complete the billing screens as appropriate.

You will be asked if the bill has been assessed or will be assessed by the court. Answer Yes to follow the court assessed bill route. Then click Next.

When you reach the Multiple Fee Scheme options you must select Yes to bill for disbursements, as this is where the court assessment options are. CCMS will allow you to bill for advocacy broken down into individual items. Please use this option for all cases under the Family Advocacy Scheme. To activate these screens select Yes.

Click Next.

NOTE: If you wish to create a bill for assessment by the LAA rather than the court, answer No.

NOTE: If billing for two different fee schemes at the end of a case, for example, a LAA assessed fixed fee and court assessed bill together, submit an interim bill for fixed fee one prior to submitting your outcomes, then, submit outcomes and a final bill for the court assessed.

Remove all bill lines from the claim until you reach the disbursements bill line by clicking Remove on each screen.

Once on the Disbursements bill line screen, there are specific options that you should select for a court assessed bill. From the Activity Type dropdown list you should use any combination of the bottom 5 activities to create the court assessed bill.

Complete the mandatory fields for each line. Use the Add button to add additional lines onto the bill. Once all lines have been completed click Next.

You will be asked if the claim has been assessed by the court. If completing a draft version of the bill answer No. If you have received the court assessment result answer Yes. Click Next.

If you have answered Yes to the previous question you will need to input the date of court assessment, which can be found on the assessment result certificate. Click Next.

Once you have completed the bill you will have the option to either view the Bill Summary or request a Draft Print of the bill. If you require either of these actions you must carry this out before submitting the bill. Complete any action required then click Submit.

The Submission Confirmation screen confirms that the bill has successfully been submitted.

NOTE: A document request will be sent to the user who submitted the bill. This must be processed before the LAA can process the claim. Send in the usual supporting evidence that would be sent to the LAA for court assessed claims. For more information on sending evidence, please see the Submitting Electronic Evidence or Submitting Evidence by Post quick guides. To check the status of the claim, follow steps 1, 2 and 3. The status will be displayed in the Bills & Payments on Account table.

NOTE: Documents Required Actions An extended and more specific request as shown below will appear to reduce the need to make further requests for information. Always upload as much information as you can as specified in the request and respond to the notification with a Documents Sent response. The process of uploading documents to CCMS remains the same as detailed in the Submitting Electronic Evidence quick guide available on the CCMS Training website.

NOTE: Submitting a bill against an Emergency Certificate CCMS will prevent providers from submitting a bill against an Emergency Certificate where the Substantive amendment has not yet been considered. A bill should not be submitted before an assessment of the client’s means has been completed. The error message below will appear if a provider attempts to submit the bill against a live Emergency Certificate in error: “The emergency certificate in this case is live. Please arrange for this to be discharged/revoked or converted to a substantive before you submit your bill”.

The screen below will be presented in relation to bulk upload claims.

NOTE: Claiming for an aspect of work that falls outside the scope of the certificate Previously CCMS did not prevent the user to bill for work that falls outside the scope of the certificate resulting in rejection, assessment or request for further information. A bill will no longer be accepted if the aspect claimed does not match the proceedings granted in the case. A provider or advocate entering a claim for an aspect of work not included in the scope of the certificate will receive an error message confirming that they have selected one or more categories of work that does not match any of the proceedings granted in this case. The user is able to amend the aspect of work and continue with their bill.
