CDS/ISIS CATALOGUING AND INDEXING GUIDE

INTRODUCTION

In machine-readable cataloguing, the data elements (author, title, publisher, pagination, etc.) of a bibliographic unit must be so entered as to be identifiable by the computer, so that the Program may distinguish titie from author or from publisher, any data eiernent from any other data elements; so that it will know where a record begins and where it ends. Some means of identification of data is required.

The Indexer’s main duty consists in preparing, in machine readable form, bibliograbhical descriptions, and subject indexing of the documentary materials (documents, publications, periodical articles, etc.) handled by CDS for computer processing.

The Indexer is also responsible for phrasing queries in accordance with set rules aimed at retrieving information stored in computer memory.

The Indexer must bear in mind that in machine-readable cataloguing, precision and explicitness are essential. A slight mistake, an omission, apparently insignificant, may result in erroneous printout and entail difficulties in retrieval.

Let us define certain terms which should be unambiguously

understood.

A bibliographic unit, herein often referred to as a work may be a book, a chapter of a book, an article in a journal, a document, a report, a film, a phonodisc, a reel of magnetic tape - in fact any piece of recorded information.

Data elements are elements of information contained in a bibliographic unit (e.g. pagination, title, author, etc.). They are said to be contained in fields, each of which is assigned a tag indicative of its contents. Certain fields contain only one data element, others contain several. Delimiters separate the data elements within a field and often serve to identify them.

fields are of two kinds: fixed and variable.

A fixed field is always present in the record and contains data elements usually expressed in the same number of characters. For exarnp 1 e , the date of publication is shown as four numeric characters: ‘1990’ the language of publication is indicated by a three-character alpha code: ‘eng’ for English, ‘fre’ for French, etc.

Page 7: CDS/ISIS cataloguing and indexing guide; 1994 - UNESCOunesdoc.unesco.org/images/0009/000925/092554eo.pdf · Subject entry ... In machine-readable cataloguing, the data elements

4 CDS/ISIS CATALOGUING AND INDEXING GUIDE

A variable field contains data elements of varying length, such as a personal or corporate name, a title, etc. If a variable field does not apply to the bibliographic unit processed, it will simply be absent from the record.

The UNESCO Computerized Documentation System (CDS) recognizes three main types of bibliographic units: document, monograph and serial. The records pertaining to each type are known as record type ‘d’, record type ‘tn’ and record type ‘s’.

The various fields which make up a Masterfile record have 2-digit identifying as.

The fields and their tags are 1 i (ANNEX A).

sted in the Record Content Sumrnarv

Every record in the Masterf ile is identified by a machine-generated sequential control number made up of 6 digits.

Information processinq worksheet layout

The information processing worksheet is machine-generated and the layout Is shown on the screen for the main types of bibliographic units recognized by the CDS.

To obtain a worksheet online, type:

i) The relevant code for the worksheet for the bibliographic unit

being treated, e.g. :

wsnt - monographs

ws ma - monograph analytics

ws d - document 5

wss - serials

wssa - serial analytics

ii) Type ‘new’

00 FIXED FIELD DATA ELEhZNTS

In the 00 elements appearing on the worksneet, use only lower case letters or numerics.

Fixed field data elements are labelled differently in the input and retrieval programmes. The numerical labels shown on the left of the element names are used for input. Corresponding labels used in retrieval are sncwn in brackets.

INTRODUCTION

The purpose of indexing is to allow the retrieval of documents or of information contained in documents pertaining to a specific subject.

Indexing, or “subject cataloguing” is the concise analysis of a document in terms of its subject content, by using :

i) Pertinent subject headings selected from the corresponding

authority lists.

ii) Keywords called descriptors, selected from a cofitrolied vocabulary

(a thesaurus, a list of subject headings, a permured list of

descriptors).

Since data base, analysis.

descr i ptors represent key points of access to documents in a index i ng is Clearly an essential component of documentary -

Descr iptors are used to produce documentary search tools, such as subject indexes and bibliographies.

32

The quality of a documentary data base deoends to a large extent on both the quality of the controlled vocabulary (thesaurus) and cf that of the indexing process. .

HOW TO USE THE THESAURUS (*)

The thesaurus is a structured list of descriptors used in both the indexing and retrieval process.

A) Term inter-relationships

The structure of the thesaurus is based on the inter-relationships between semantically and generically related terms. There are three types of inter-relationships: equivalence. hierarchical and associative.

j) Equivalence, or p referential I relationshi s: US (USE ) and UF (Used for)

These terms, called non-descriptors or forbidden terms, are considered equivalent, similar, or closely related, i.e. synonyms and near-synonyms. A non-descriptor is not used as an indexing term. Its role is to guide the user to the single appropriate preferred term, i.e. descriptor.

B) Scope Notes (SN)

Whenever required, descriptors are accompanied by a scope note (SN), guiding the user on how a particular descriotor should or should not be used. The SN provides a brief definition which explains or de!imits the intended use of descriotors.

cl Identifyins term inter-relationships

There are basically two ways of identifying structural relationships: consulting the alphabetical list of descriptors and the subject-oriented 1 ist of descriptors.

- The alohabetical list displays each descriptor with the complete set of its inter-relationships (USE<->UF, BT<->NT, RT) and possible scope notes (SN). In addition to this basic information, the entry also gives the top term (TT) of the subject-category to which the descriptor belongs. To the right of

- The subject-oriented list of descriptors divides the thesaurus into major subject fields comprising a variable number of sub-fields, in each of which descriptors appear !n a broader context of related terms different than in the alphabetica! thesaurus. Thus, the descriptor “multiculturaiism” appears under the top term TT “Cultural systems” together with twenty-four other descriptors belonging to the same category. Consult these classified descriptor groups to gain a quick overview of the subject matter.

- The oermuted list of descrintors is a Useful complementary tool to the alphabetical list. In this section, descriptors and non-descriptors are listed alphabetically by each significant word, so that, for example, a a compound such as ‘Womens liberation movement’ can be found three times, i.e. under every term it contains. The CDS permuted descriptor list reflects all changes and additions to the thesaurus data base and is regularly updated and distributed to users.

HOW TO INDEX : A STEP-BY-STEP APPROACH

37

Indexing consists of three successive stages: concept identification, concept selection and the translation of the chosen concepts into descriptors.

1) tinCPOt identificatipn

a. Read the summary, introduction, table of contents and conclusion. These elements are the most reliable indicators of subject content;

b. Pay particular attention to chapter headings, subheadings, illustrations, tables, charts, and Other graphically highlighted concepts;

c. Scan rat her than read the document, since your aim is not to record the whole of the information contained in the original document, but to extract its main points.

2) ronceDt selection

a. Retain only the significant concepts identified during documentary analysis;

b. Always bear in mind the needs and interests of the information user, in other words, ask yourself to which possible questions the document you analyze might or might not supply a satisfactory answer.

. . 3) ConceDf

a. Formulate the major concepts treated in the document and make a list of preliminary terms that describe these concepts;

--__ -

Page 41: CDS/ISIS cataloguing and indexing guide; 1994 - UNESCOunesdoc.unesco.org/images/0009/000925/092554eo.pdf · Subject entry ... In machine-readable cataloguing, the data elements

38 CDS/ISIS CATALOGUING AND INDEXING GUIDE

b. Consult the alphabetical list of descriptors in the WC0 Thesm and/or the CDS Dermuted list of descriptors;

c. When a preliminary term is found as descriptor, read the scope note (SN) if there is one, and the descriptors listed as broader (BT), narrower (NT and related (RT) in order to determine whether tne original descriptor, or one of the terms listed under it corresponds to the concept expressed by the preliminary term. Preference should be riven to the most specific descriptor, i.e. do not use a broader term (BT), when a narrower term (NT is available:

If appropriate, use not the more general

Plant genetics

Primary teacher education

Adult literacy

Genet its

Teacher education

Literacy

d. Consult the appropriate descriptor group (‘facet’) to avoid improper use of a descriptor and to find other descriptors relating to the same subject area. For example, all types of schools are grouped under J.70.07 in the thesaurus;

e. When no appropriate descriptor is found for the preliminary term, look up synonyms (it is Often Useful to consult the titles cited in the bibliography of the document you analyze). Consult other thesauri if necessary; the thesaurus needs constant updating in order to reflect the evolution of the current literature, e.g. AIDS; sustainable development; structural adjustment, etc. ;

f. Fill out the form used to propose new descriptors, indicating your source:

g. The number of descriptors assigned to a documentary unit varies according to the length and importance of the document being analyzed;

h. Set aside personal consideration and opinions. To ensure consistency, you must approach subject analysis with a minimum of subjectivity.

69 Descriptor strinq

(Retrieval: by descriptors)

e.g. =educational articulation

Enter terms chosen as descriptors in field 69. Generally, a “descriptor string” consists of two levels, or blocks, separated by space/dasIl/space.

Primary descriptors: assign to the fSrst level those descriptors which you consider essential for accurate information retrieval.

Secondarv descriDtors: assign to the second level those descriptors which describe relevant aspects of the material analyzed, but are less essential for accurate information retrieval.

Examnle:

cendogenous developmentxenvironmental conservation>

<development strategiesxlatin America> - <environmental

qualityxurban enVirOnment><StruCtural adjustment>

Assign at least one, and at most five primary descriptors to a document; on the other hand, certain types of documents, especially reference materials, such as dictionaries, directories, bibliographies, etc., do not require secondary descriptors.

As a rule, although the number of descriptors you assign should be proportional to the information contained in the document, make sure your descriptor string does not exceed fifteen descriptors altogether.

Within the same level, the order of descriptors is optional, i.e. irrelevant from the retrieval point of view. However, for the sake of readability, i.e. clarity, pay attention to the following two exceptions:
