INTRODUCTION
In machine-readable cataloguing, the data elements (author, title, publisher, pagination, etc.) of a bibliographic unit must be so entered as to be identifiable by the computer, so that the Program may distinguish titie from author or from publisher, any data eiernent from any other data elements; so that it will know where a record begins and where it ends. Some means of identification of data is required.
The Indexer’s main duty consists in preparing, in machine readable form, bibliograbhical descriptions, and subject indexing of the documentary materials (documents, publications, periodical articles, etc.) handled by CDS for computer processing.
The Indexer is also responsible for phrasing queries in accordance with set rules aimed at retrieving information stored in computer memory.
The Indexer must bear in mind that in machine-readable cataloguing, precision and explicitness are essential. A slight mistake, an omission, apparently insignificant, may result in erroneous printout and entail difficulties in retrieval.
Let us define certain terms which should be unambiguously
understood.
A bibliographic unit, herein often referred to as a work may be a book, a chapter of a book, an article in a journal, a document, a report, a film, a phonodisc, a reel of magnetic tape - in fact any piece of recorded information.
Data elements are elements of information contained in a bibliographic unit (e.g. pagination, title, author, etc.). They are said to be contained in fields, each of which is assigned a tag indicative of its contents. Certain fields contain only one data element, others contain several. Delimiters separate the data elements within a field and often serve to identify them.
fields are of two kinds: fixed and variable.
A fixed field is always present in the record and contains data elements usually expressed in the same number of characters. For exarnp 1 e , the date of publication is shown as four numeric characters: ‘1990’ the language of publication is indicated by a three-character alpha code: ‘eng’ for English, ‘fre’ for French, etc.

A variable field contains data elements of varying length, such as a personal or corporate name, a title, etc. If a variable field does not apply to the bibliographic unit processed, it will simply be absent from the record.
The UNESCO Computerized Documentation System (CDS) recognizes three main types of bibliographic units: document, monograph and serial. The records pertaining to each type are known as record type ‘d’, record type ‘tn’ and record type ‘s’.
The various fields which make up a Masterfile record have 2-digit identifying as.

Every record in the Masterf ile is identified by a machine-generated sequential control number made up of 6 digits.

INTRODUCTION
The purpose of indexing is to allow the retrieval of documents or of information contained in documents pertaining to a specific subject.
Indexing, or “subject cataloguing” is the concise analysis of a document in terms of its subject content, by using :
i) Pertinent subject headings selected from the corresponding
authority lists.
ii) Keywords called descriptors, selected from a cofitrolied vocabulary
(a thesaurus, a list of subject headings, a permured list of
descriptors).

The thesaurus is a structured list of descriptors used in both the indexing and retrieval process.
A) Term inter-relationships
The structure of the thesaurus is based on the inter-relationships between semantically and generically related terms. There are three types of inter-relationships: equivalence. hierarchical and associative.

These terms, called non-descriptors or forbidden terms, are considered equivalent, similar, or closely related, i.e. synonyms and near-synonyms. A non-descriptor is not used as an indexing term. Its role is to guide the user to the single appropriate preferred term, i.e. descriptor.

- The subject-oriented list of descriptors divides the thesaurus into major subject fields comprising a variable number of sub-fields, in each of which descriptors appear !n a broader context of related terms different than in the alphabetica! thesaurus. Thus, the descriptor “multiculturaiism” appears under the top term TT “Cultural systems” together with twenty-four other descriptors belonging to the same category. Consult these classified descriptor groups to gain a quick overview of the subject matter.
- The oermuted list of descrintors is a Useful complementary tool to the alphabetical list. In this section, descriptors and non-descriptors are listed alphabetically by each significant word, so that, for example, a a compound such as ‘Womens liberation movement’ can be found three times, i.e. under every term it contains. The CDS permuted descriptor list reflects all changes and additions to the thesaurus data base and is regularly updated and distributed to users.

Indexing consists of three successive stages: concept identification, concept selection and the translation of the chosen concepts into descriptors.

a. Read the summary, introduction, table of contents and conclusion. These elements are the most reliable indicators of subject content;
b. Pay particular attention to chapter headings, subheadings, illustrations, tables, charts, and Other graphically highlighted concepts;
c. Scan rat her than read the document, since your aim is not to record the whole of the information contained in the original document, but to extract its main points.

a. Retain only the significant concepts identified during documentary analysis;
b. Always bear in mind the needs and interests of the information user, in other words, ask yourself to which possible questions the document you analyze might or might not supply a satisfactory answer.
