Chemicals & Fertilizers

Introduction The Chemicals & Fertilizers Module includes a database of information on Chemicals and Fertilizers, Records of Product Applications, Safety Equipment, Grounds Dimensions, and Chemical Application Equipment.

Sprayer/Spreader Chemical Application functions allow complex Sprayer, Spreader Calibrations and Chemical Applications to be easily performed for any combination of chemicals, spreaders, sprayers, towing speeds, spray tips, and pressures.

Soil Nutrients functions provide detailed Application Records of Chemicals and Fertilizers. Reports of Chemical Applications can be printed as required.

Chemical & Fertilizer Browse Table The Chemical & Fertilizer Browse Table displays Chemical Product Descriptions, On-Hand Quantities and the Environmental Protection Agency Registration Numbers as contained within the Chemical/Fertilizer File. On screen controls permit you to browse through the file by Chemical Product Description in either ascending or descending alphabetical order.

Additional functions are available to permit the preparation of Application Cost Estimates, printing Toxicity Notices for Public Posting, and Cross Referencing Chemicals and their uses.

Display a column with either the EPA Registration Number of the Active Ingredient.

Displaying the Activie Ingredient instead of the EPA Registration Number must be done on the Software Options Tab through System Utilities - Software Registration & Configuration.

Grounds Dimension Table Grounds Dimensions are used in all phases of Chemical Estimating and Application to identify the Grounds Area to be treated and the Surface Area of each of those Grounds Area.

From the Chemical & Fertilizer Browse Table, click on the Procedures Toolbar Menu, then choose Grounds Dimension Setup.

The Grounds Dimension Table displays a list of the Grounds Area Assignments and Surface Areas within each of ten defined sections. On screen controls permit you to browse through the file by a Grounds Area Identifier Code in either ascending or descending order.

Editing Grounds Area Names Each Grounds Area can be broken down into ten common areas/sections to be shown on the Grounds Dimension Table. The names of the ten sections are user defined.

Click on the CHANGE tool.

The currently assigned Grounds Area Names will appear on the screen and can be changed to meet your specific needs.

Click on ACCEPT when entry is complete.

This procedure is used for System Setup purposes and is not used on a regular basis.

Adding New Grounds Area Dimensions From the Grounds Dimensions Setup Screen, click on the NEW tool and the Add/Edit Panel will appear.

FIELD DESCRIPTION

Ident A unique three character alphanumeric Grounds Area Identifier. Group A three character alphanumeric identifier used to group related Grounds Areas, such as:

F9=Front Nine, B9=Back Nine, etc. Description The Description of the Grounds Area. Surface Area Surface Area measured in Square Feet or Square Meters for each of the ten defined

Grounds Sections.

Enter Ident, Group, and Description of this Grounds Area followed by the Total Surface Area (in Square Feet or Square Meters) for each of the ten listed grounds sections.

Click on ACCEPT when entry is complete.

Editing Existing Grounds Area Dimensions From the Grounds Dimensions Setup Screen, position the scroll bar on the Grounds Area to be changed and click on the EDIT tool. The Add/Edit Panel will appear with the selected information displayed. Once the information is displayed, you can change any of the displayed fields.

Click on ACCEPT when changes are complete.

Deleting Grounds Area Dimensions From the Grounds Dimensions Table, position the scroll bar on the Grounds Area to be deleted and click on the DELETE tool. The Delete Confirmation Window will appear asking for confirmation of the delete request.

Printing Grounds Area Dimensions From the Grounds Dimensions Table, click on the PRINT tool for a printout of the current contents of the Grounds Dimension File.

Import/Export Chemical Products Chemical Product Information can be exchanged with other TRIMS users by means of the Import/Export Chemical Products program function. Selected chemical products from your Chemical Information Data File can be exported to a file in a format suitable for import by another TRIMS System. You can also use this function to import data sheets supplied by other TRIMS users.

Exchange of chemical information is done by passing information recorded on diskette to other TRIMS users or electronically exchanged via Internet Mail.

Exporting Chemical Product Information Products to be exported must be selected from the Chemical and Fertilizer Browse Table.

To select items that are to be exported, click in the column to indicate the Chemical Product you wish to

export. You will notice that a is now placed on the Browse Table to the left of the Chemical Product.

Repeat this procedure until all Chemical Products to be exported have been selected. To select ALL Chemical

Products, click on the column heading and a will automatically be placed to the left of each Chemical

Product. To de-select all Chemical Products, click on the column heading or click on the CLEAR tool.

Once all selections have been marked, click on the Procedures Toolbar Menu, then choose Import/Export Chemical Products or click on the IMPORT/EXPORT tool. The Export Chemical Product file dialog box will be displayed. Enter the name of the file you wish to create and click on the OK button. The selected Chemical Product Information will be copied to the specified file and the check marks will be cleared.

Importing Chemical Product Information To Import Chemical Products, click on the CLEAR tool to reset the browse table and then click on the Procedures Toolbar Menu, then choose Import/Export Chemical Products or click on the IMPORT/EXPORT tool.

The Import Chemical Product file dialog box will be displayed. Locate the file containing the products you wish to import and click on OPEN.

A list of Chemical Products contained in the file will be displayed.

Click on each of the products to be imported. When all selections have been made, click on the Import button.

Chemical Product Names are unique and cannot be duplicated. If a duplicate is selected, an error message will be generated during the import process and the duplicate product information will not be saved.

After importing, you must check to insure each imported Chemical is linked to Inventory by its Stock Number. This must be done before the product can be used in Chemical Applications or a non-fatal error will occur.

Tow Vehicle Speed Table When calibrating Spray Equipment it is necessary to know the speed that a Sprayer will travel. Sprayers can be self propelled, towed by utility vehicles or tractors, each with different speed characteristics.

Tow Vehicle Speed Calibration Data is entered into the computer to become part of the information needed to match Sprayers with Tow Vehicles.

From the Chemical & Fertilizer Browse Table, click on the Chemical Applications Toolbar Menu, then choose Tow Vehicle Speed Table.

This procedure is used for System Setup purposes and is not used on a regular basis.

Adding a New Tow Vehicle/Speed From the Tow Vehicle Speed Table, click on the NEW tool and the Add/Edit Entry Panel will appear.

Enter the Vehicle Name/Description. Next, enter the Calibration RPM, Maximum RPM and the distance traveled in 10 seconds in each of five possible gears while holding engine speed at the Calibration RPM. If your vehicle has less than five gears, enter the largest distance traveled in the remaining gear fields, Speed in MPH will be automatically calculated.

Click on ACCEPT when entry is complete.

Editing an Existing Tow Vehicle/Speed From the Tow Vehicle Speed Table, position the scroll bar on the Tow Vehicle to be changed and click on the EDIT tool. The Add/Edit Entry Panel will appear with the selected information displayed. Once the information is displayed, you can make any necessary changes.

Spray Tip Specification Table The Spray Tip File contains a list of commonly used Spray Tips and their output at various operating pressures. A sample file containing data on common TEE-JET® Spray Tips is provided with your System.

The Spray Tip File can be edited to include other types of Spray Tips and Pressures you can find necessary to use.

The Spray Tip Specification Table displays a list of Spray Tips along with their Operating Pressures and Flow Ratings. On screen controls permit you to browse through the file by Tip Number and Pressure in either ascending or descending order.

From the Chemical & Fertilizer Browse Table, click on the Chemical Applications Toolbar Menu, then choose Spray Tip Specifications.

This procedure is used for System Setup purposes and is not used on a regular basis.

Adding a New Spray Tip From the Spray Tip Specification Table, click on the NEW tool and the Add/Edit Bar will appear.

Enter the Spray Tip Number, operating Pressure and Flow at the indicated pressure expressed in Gallons/Minute. Flow in Ounces/Minute and Ounces/Second will be calculated and displayed whenever the Gallons/Minute field is edited.

Click on ACCEPT when entry is complete.

Repeat this process for all Pressure Settings for each Spray Tip used on a regular basis.

Editing an Existing Spray Tip From the Spray Tip Specification Table, position the scroll bar on the Spray Tip to be changed and click on the EDIT tool. The Add/Edit Bar will appear with the selected information displayed. Once the information is displayed, you can change the Tip Number, Pressure or Gallons/Minute rating.

Click on ACCEPT when changes are complete.

Deleting a Spray Tip From the Spray Tip Specification Table, position the scroll bar on the Spray Tip to be deleted and click on the DELETE tool. The Delete Confirmation Window will appear asking for confirmation of the delete request.

Calibrating Sprayers Calibrated Sprayers are used whenever Liquid Chemicals are applied. The Calibrated Sprayers Table simplifies the process of determining the proper speed of travel needed to achieve a desired Chemical Application Rate.

Tow Vehicles, Sprayer Configurations, Spray Tips, Operating Pressures, and Chemical Volumes are combined on this table to calculate the correct Travel Speed for accurate Sprayer Calibration at any Output Rate or Pressure.

The Calibrated Sprayers Table displays a list of Sprayers, their Output per 1000 SqFt, Spray Tip Configuration, Operating Pressure and Spray Tip Ratings. On screen controls permit you to browse through the file by Sprayer Name in either ascending or descending alphabetical order.

Adding a New Sprayer Calibration From the Calibrated Sprayers Table, click on the NEW tool and the Calibrate Sprayer - Add/Edit/Delete Screen will appear.

Enter a description of the sprayer in the Sprayer Name field. Next, enter the Tank Size, the Number of Spray Tips/Nozzles and the Tip/Nozzle Spacing in inches.

If using a mono-jet sprayer, set Number of Spray Tips/Nozzles to one (1) and enter the spray pattern width (inches) in the Tip/Nozzle Spacing field.

Advance the cursor to the Spray Tip field and click on the LOOK-UP tool to select the Spray Tip, Pressure Setting, and Tip Output.

When the correct Spray Tip and Pressure are displayed, enter the Desired Gallons/1000 or Gallons/Acre. The computed speed of travel needed to achieve this rate will be displayed in the Computed Speed column.

Position the cursor in the Tow Vehicle Name field and click on the LOOK-UP tool to select the Tow Vehicle.

Once the Vehicle is selected, enter the Estimated RPM and Estimated Gear for Towing. The actual speed in MPH needed to achieve the desired output will be calculated and displayed in the Computed column.

The Computed RPM, Gear and Speed needed to maintain the specified volume per 1000 SqFt will be displayed. A computed application rate based upon the manually entered RPM and Gear selection will also appear in the Computed column.

Adjust the Pressure, Vehicle Speed or Spray Tip to align the Desired and Computed Application Rates. When desired equals computed, your sprayer is calibrated and you can click on the SAVE tool to record this entry.

Adding/Editing Chemical Products

Adding a New Chemical Product From the Chemical & Fertilizer Browse Table, click on the NEW tool. The Chemical/Fertilizer - Add/Edit/Delete Screen will appear.

The first information to be completed when adding new products to the Chemical/Fertilizer File is on the General Information and the Application Rate Screens/Tabs. These two sections contain all essential information needed to calculate Chemical Product Requirements, Application Rates and Cost Estimates.

Click on the SAVE tool at any time to save entered information and clear the screen in preparation for entering another Chemical or Fertilizer.

Entering General Information

Enter the Function by clicking on the Down Arrow and selecting the Product Function from the list supplied. Next, enter the Formulation, Active Ingredient, Manufacturer, EPA Registration No., and EPA Establishment No. If a Signal Word is required, click on the Down Arrow to select a Signal Word.

Enter the Inventory Stock Number of this Product. If the Stock Number is not known, click on the LOOK-UP tool. An Inventory Stock Number MUST exist in the Inventory File for each Product in the Chemical/Fertilizer File. Information contained in the Inventory File is used to determine Application Units, Product Cost, and the Budget/Expense Account to be charged for the use of this Product.

Upon entering a valid Inventory Stock Number, the unit cost will appear on screen in the Cost field. If the Unit Cost was per Pound, Gallon, Quart, Pint, or Ounce, the Application Rate Unit field will display OZ and the Units per Stock Unit field will show the number of Ounces in an Inventory Stock Unit. (16/Pound, 128/Gallon, 32/Quart,16/Pint, 1/Ounce). All other Inventory Stock Units will cause the Application Rate Unit field to display the actual Stock Unit. If this Product is a Liquid Fertilizer enter the Weight of one Stock Unit (ie: gallon) for proper nutrient calculation.

Next, select the Application Method. Select Chemical Sprayer if this product is to be Sprayed in solution when applied or Granular Spreader if this is a Granular product to be applied using a Chemical Spreader.

Enter the desired Application Rate Unit if different than the Unit displayed and enter the Number of Application Units in an Inventory Stock Unit.

Example: A 45 LB Bag of Fertilizer would be applied by the Pound and kept in Inventory by the Bag. Therefore, the Application Rate Unit is LB and the Units/Stock Unit would be 45.

User Defined Chemical Functions Additional User Defined Chemical Functions can be added to the end of the existing Chemical Functions List. A file called ChemFunctions.TXT must be created and stored in the TRIMS Data Folder as shown to the right. See System Utilities – Configuration Editor – Text File Editor – Chemical Functions. Entering Spreader Settings If the Application Method entered on the General Information Tab indicates Granular Spreader, the Spreader Settings Tab will be active and will allow you to enter Spreader Settings for each of the different spreaders that will be used when applying this product. If a Spreader exists for this product, it will be displayed when you first click on the Spreader Settings Tab.

Click on the CLEAR tool to clear the information displayed on the Spreader Settings Tab and then enter the Spreader Description, Travel Speed in MPH, recommended Power Take-Off (Pto) RPM, Spread Width and Settings corresponding to each of the Application Rates displayed.

Click on the SAVE tool to save this Spreader Setting.

If additional spreaders are to be entered for this product, repeat the above process.

Editing/Deleting Spreader Settings Position the cursor into the Spreader Description field and use the FIND, NEXT or PREVIOUS tools to locate the desired Spreader. Once displayed, you can edit the information and click on the SAVE tool or click on the DELETE tool and confirm deletion.

Entering Nutrient Analysis

If the Chemical Function entered on the General Information Tab described the product as a Fertilizer, the Product Nutrient Analysis Tab will be active allowing you to enter the Nutrient Analysis.

The information entered on this tab is used in the Fertilizer Application and Estimate program to determine the amount of Primary, Secondary and Micro-Nutrients applied to a Grounds Area.

Entering Chemical Toxicity

Enter the Chemical Name, Symptoms, Antidotes and Physician Notes as they appear on the Safety Data Sheet or package label for this product.

Printing Toxicity Statements On occasion it may become necessary to post a Public Notice indicating the use of a toxic chemical on your grounds. A Toxicity Statement can be printed by clicking on the PRINT tool whenever the Chemical Toxicity Tab is displayed.

The printed statement will include your organization name, current date, toxicity information and emergency phone numbers.

Entering SDS & Label Information

You can cross-reference this chemical product with it's corresponding SDS & Label for quick viewing.

Enter the Document Name of the SDS & Label for this product. If the Document Name is not known, position the cursor to the Document Name field, click on the LOOK-UP tool and the DocView Browse Table will appear. Position the scroll bar on the SDS & Label and click on the EXIT tool.

The SDS & Label must exist in the DocView Browse Table before the Document Name can be entered.

If you click on View SDS or View Label, the Adobe Acrobat® Reader will be loaded and the Document will be displayed. Once displayed, refer to the Adobe Acrobat® Help Files for instructions on using the Adobe Acrobat® Reader.

Adobe Acrobat® Reader MUST be installed prior to viewing SDS's or Labels.

Editing an Existing Chemical Product From the Chemical & Fertilizer Browse Table, position the scroll bar on the Chemical or Fertilizer to be changed and click on the EDIT tool. The Chemical/Fertilizer - Add/Edit/Delete Screen will appear with the selected information displayed. Once the information is displayed, you can make any necessary changes.

Click on the SAVE tool when changes are complete.

Clicking on the SAVE tool while the Spreader Settings Tab is displayed will save ONLY the currently displayed Spreader.

Changing the Product Name Changes to the Product Name are prohibited during normal EDIT operations. If it is necessary to change the Product Name, click on the CHANGE tool.

Click on ACCEPT when change is complete.

This operation reassigns the Product Names on all Chemical Products, Chemical/Fertilizer Applications, Granular Spreaders and Chemical Cross Reference Listings.

This can take some time to complete depending on the size of the files that will be updated.

Estimating Chemical Costs & Materials Requirements The Chemical Cost & Materials Estimating Screen is used to estimate Chemical Requirements and Application Costs for a specific Product. Individual Grounds Areas, Groups of Areas, or All Areas can be included in this estimate.

From the Chemical & Fertilizer Browse Table, position the scroll bar on the Product you wish to include in the estimate. Click on the Chemical Applications Toolbar Menu, then choose Chemical Cost & Materials Estimating.

Grounds Area Selection allows you to create an estimate for All Grounds Areas, Individual Grounds Areas or Grounds Area Groups. If you choose Individual Grounds Areas, you can choose more than one area at time for the estimate. If you choose Grounds Area Groups when clicking on an area, all grounds areas within the same Grounds Area Groups will be selected.

Select one of the three displayed Application Rates or select User Specified Rate. The User Specified Rate is expressed in terms of the displayed Application Units (LB, OZ, Etc) per 1000 SqFt of Grounds Areas. If the Product is a Fertilizer, the User Specified Rate can be expressed in terms of Pounds of N/1000 SqFt.

The Chemical Application Estimate will be updated automatically each time the Rate or Grounds Areas to be treated are changed. The On Hand Inventory Quantity of the selected Product is displayed on screen for easy reference.

Printing Estimates Once the Chemical Application Estimate information appears on screen, click on the PRINT tool to display the Estimate Printing Screen.

Select the desired Report Format and de-select the Grounds Sections that will not be included in the printed estimate.

Liquid Chemical Application Work Sheets The Spray Application program is used to print a hard copy of a work sheet that details the Application of Liquid Products on your Grounds. The Spray Application Work Sheet specifies the individual Chemicals, Tank Mix of Several Chemicals, Spray Equipment to be used, Application Rates, Grounds Areas to be treated, Personal Protection Equipment to be used and Reason for Application.

From the Chemical & Fertilizer Browse Table, click on the Chemical Applications Toolbar Menu, then choose Spray Applications.

Entering Areas Treated Select Grounds Areas Treated of either All Grounds Areas, Individual Grounds Areas, Grounds Area Groups or Non-Specific Grounds Areas. Select Non-Specific when Spraying areas other than those defined in the Grounds Dimensions Table including trees, ponds, etc.

If you select Individual Grounds Areas, you can select more than one Grounds Area. If you select Grounds Area Groups, after selecting a Grounds Area, All Areas within the same Group will also be selected.

If you wish to create a Maintenance Transaction to indicate the Property where the Chemical(s) will be applied, position the cursor to the Property ID field and click on the LOOK-UP tool to locate the Property.

Make the Surface Area selection for the Chemical Application. Displayed Surface Area Dimensions may also be entered manually by editing the calculated Surface Area in the Area-SqFt column. To Select or Clear All Surface Areas click on Select/Clear All.

Edits to the Surface Area Dimensions will cause the Application to be considered an Application to Non-Specific Grounds Areas.

Specifying Chemicals and Application Rates The Chemicals and Rates Tab allows you to specify the Products to be Applied and their Application Rates. The selected Products can be stored as a Tank Mix and recalled for future applications.

Click on the Down Arrow adjacent to the Chemical field and select the Chemical to be applied. Add up to (15) fifteen chemicals in a tank.

Next, select one of the three displayed Application Rates or enter a User Specified Rate. Move the selected Chemical to the Chemicals in Spray Tank section of the display screen by clicking on the Move Product to Line X button.

Creating a Tank Mix Once you have selected the Chemicals to be Sprayed and their Application Rates, this information can be saved as a Tank Mix and recalled for future applications. Enter a Mix Name in the Mix Name field and click on the SAVE tool.

Editing A Tank Mix Click on the Mix Down Arrow to select a Mix. Once the Mix is selected, the individual mix components can be changed by replacing these Chemicals or Rates with new data. Once changes have been completed, click on the SAVE tool to record these changes.

Deleting a Tank Mix Click on the Mix Down Arrow to select a Mix. Once the Mix is selected, click on the DELETE tool. The Delete Confirmation Window will appear asking for confirmation of the delete request and the Mix Name will be removed.

Select a Pre-Calibrated Sprayer by clicking on the LOOK-UP tool. Pay close attention to the Sprayer Output (Gallons/1000 SqFt) to insure that the proper dilution is achieved.

Click on the CREW tool to select a Work Crew and copy the Crew Names into the Work Sheet. You can also manually enter the Work Crew names.

Space is provided on the report form to record the Actual Amount of Product Used, Number of Loads Applied, Weather Conditions at Time of Application and Purpose of the Application. Adding Applicator License Information Supervisor Name and Applicator License Information can also be pre-printed on the Liquid Chemical Application Work Sheet.

Create a text file called ApplicatorLicense.txt in NOTEPAD and save the file into the TRIMS Data Folder. In the file, enter the Supervisor Name, use a comma to separate the name from Applicator License Number and/or Expiration Information.

Here’s how the information will appear on the Work Sheet.

Tank Mix Quantities If the Show Tank Mix report option was selected, the Work Sheet will have a column labeled FULL LOAD MIX indicating the amount of materials and water needed to fill the indicated sprayer to the capacity of its listed Tank Size.

Chemicals needed for a partial load must be adjusted accordingly.

Adding Sprayer Application Notes A multi-page Note File for each Sprayer Application can be created by clicking on the NOTE tool for the entry.

Granular Chemical Application Work Sheets The Spreader Applications program is used to print a hard copy of a work sheet that details the application of Granular Products on your Grounds. The Spreader Application Work Sheet specifies the Granular Product to be applied, Spreader to be used, Application Rate Grounds Areas to be treated, Personal Protection to be used and Reason for the Application.

From the Chemical & Fertilizer Browse Table, click on the Chemical Application Toolbar Menu, then choose Spreader Applications.

Entering Areas Treated Select Grounds Areas Treated of either All Grounds, Individual Grounds Areas, Grounds Area Groups or Non-Specific Grounds Areas.

If you select Individual Grounds Areas, you can select more than one Grounds Area. If you select Grounds Area Groups, after selecting a Grounds Area, All Areas within the same Group will also be selected.

If you wish to create a Maintenance Transaction to indicate the Property where the Chemical(s) will be applied, position the cursor to the Property ID field and click on the LOOK-UP tool to locate the Property.

Make the Surface Area selection for the Spreader Application. Displayed Surface Area Dimensions can be entered manually by editing the calculated Surface Area in the Area-SqFt column. To Select or Clear All Surface Areas click on Select/Clear All.

Edits to the Surface Area Dimensions will cause the Application to be considered an Application to Non-Specific Grounds Areas.

When applying Granular Nutrients with Application Rates expressed in terms of Nitrogen/1000 SqFt, you can enter the amount of N per 1000 SqFt. If using the N/1000 option, the Product Function must indicate Fertilizer and the Percentage of N must be defined in the Chemical Product Analysis.

Entering Spreader Setup

Click on the Spreader Down Arrow to display a list of Spreaders for this Product. Select a Spreader and the Spreader Setting, Travel Speed, Rpm and Width will be automatically displayed. The displayed information can be changed as necessary.

Create a text file called ApplicatorLicense.txt in NOTEPAD and save the file into the TRIMS Data Folder. In the file, enter the Supervisor Name, use a comma to separate the name from Applicator License Number and/or Expiration Information.

Here’s how the information will appear on the Work Sheet.

Adding Spreader Application Notes A multi-page Note File for each Spreader Application can be created by clicking on the NOTE tool for the entry.

Click on the SAVE tool when notes are complete.

If the current Spreader Application is NOT RECORDED in the Chemical Application Log the notes will be deleted.

Chemical Application Log The Chemical Application Log contains a record of all chemicals applied to the various sections of your grounds. Information can be manually entered or automatically recorded in the Application Log by the Granular and Liquid Chemical Application Programs.

Chemical Application Plans are highlighted in Light Green.

Program features allow you to Record Planned Application Estimates, Print Work Sheets, enter Actual Amounts of Chemicals Applied, make Application Notes and Record Weather Conditions at the Time of Application. Fifteen (15) Sprayable products or one Granular product can be recorded for each Chemical Application Log entry.

Sort Applications by Date, Primary Product and Reason for Application.

From the Chemical & Fertilizer Browse Table, click on the Chemical Applications Toolbar Menu, then choose Chemical Application Log.

Adding a New Chemical Application From the Chemical Application Log, click on the NEW tool and the Chemical Application Log - Add/Edit/Delete Screen will appear.

Enter the Application Date, enter Reason for Application, specify the Property for the application, and select the Grounds Area to be treated. To Select or Clear All Surface Areas click on Select/Clear All.

Next, select the Product Tab and indicate the Application Method either by Chemical Sprayer or Granular Spreader.

Spray Applications When recording Spray Applications, enter the Spray Volume (water plus Chemical) applied per 1000 SqFt.

Enter the Products Applied by clicking on the LOOK-UP tool. Once the Product is selected, enter the Application Rate per 1000 SqFt. The amount of Chemical needed to cover the indicated Surface Area will be calculated at the indicated Rate per 1000 SqFt. The amount applied can be manually adjusted. Repeat this for up to 10 products to be included in the Spray Application.

Spreader Applications When recording Spreader Applications of Chemicals other than Nitrogen based nutrients, the N/1000 field can be ignored. If Nitrogen based nutrients are being applied, the N/1000 field can be used to specify the amount of Nitrogen per 1000 SqFt. This number, in combination with the percentage of Nitrogen listed in the Product Nutrient Analysis, will be used when calculating the actual application rate for Nitrogen based fertilizers. Enter the Product Applied by clicking on the LOOK-UP tool. Once the Product is selected, enter the Application Rate per 1000 SqFt. The amount of Chemical needed to cover the indicated Surface Area will be calculated at the indicated rate per 1000 SqFt. The amount applied can be manually adjusted.

Calculate Button The CALCULATE button will do one of the following:

If Rate X Surface Area is selected, the CALCULATE button will recalculate the amount of Product Applied based on Rate X Area.

If Number of Sprayer Loads applied is selected, the CALCULATE button will recalculate the amount of Product Applied based on Rate per 1000, Volume per 1000, Tank Size and Number of Tank Loads Applied. Click on the Product Applied, select the Calculation Method and then click on the CALCULATE button.

If Recalculate Actual Rate is selected, the CALCULATE button will recalculate the Application Rate per 1000 SqFt based on Amount Applied divided by Total Area.

Work Crew Click on the CREW tool to select a Work Crew and copy the Crew Names into the Chemical Application. You can also manually enter the Work Crew names.

Enter the Supervisor Name in the Supervised By field if not already populated by ApplicatorLicense.txt file (see page 42).

Indicate the Personal Protection Equipment to be used if different than displayed.

Equipment Used Granular Applications will display only Spreader information. Spray Applications will display Sprayer, Tow Vehicle, and Spray Tip information.

Enter or edit the Sprayer/Spreader Settings used for this Chemical Application.

Recording Weather Conditions Weather Conditions at the Start and End of the Chemical Application can be recorded in the Chemical Application Log.

Enter the Start Time (hour) of the Application. This screen is integrated with the Weather Data & Graphs allowing Hourly Weather Conditions to be obtained by clicking on the LOOK-UP tool. You can now enter or edit the displayed Temperature, Humidity, Wind Speed and Wind Direction (N,S,E,W,NE,NW,SE,SW).

Repeat the same procedure to record Weather Conditions at the end of the application.

Attach Documents Detailed Photos & Documents can be added to the Chemical Application.

If you are working in a Multi-User Environment, attached Photos & Documents must be in a shared folder or the Photos & Documents WILL NOT BE FOUND by other workstations on the network.

Click on the Attached Documents Tab, then click on Add Item and select any Photo or Document to be attached to this Chemical Application.

Saving/Printing the Chemical Application After all required information has been entered, click on the SAVE or PRINT tool in the Chemical Application Log.

If this is a Spray Application to be printed, select the desired Work Sheet format of either Show Tank Mix or Show Total Product Requirements.

You will be asked if Chemicals ARE to be removed from Inventory at this time.

If you click YES and if the Chemical Application Plan was on the Daily Calendar, the Application Plan will automatically be deleted from the Daily Calendar.

If you click NO, the Chemical Application will be recorded as a PLAN rather than COMPLETED and will be added or re-saved on the Daily Calendar.

If Inventory levels ARE updated, a status of COMPLETED will be assigned to this Application Log. The Inventory Expense Classification Charge field is then examined to determine if the Budget/Expense Account associated with the Chemical Product(s) is to be charged for the Cost of materials used. Inventory and Budget/Expense Accounts are then updated accordingly.

If your system is configured to use the Incident Log and Incident Mapping features you will be asked if you want to indicate the location of where the Chemicals were applied on a map.

If a Yes answer if given, you will be given the option to select and display a Map or Picture of the area where the incident occurred. Double Click on one of the items or click on the ADD MAP button to display the DrawView Browse Table.

Once the map is displayed, use the REDLINE drawing tools to indicate the exact location of the Incident. Click on the SAVE tool, select an Incident Classification and click on ACCEPT.

Editing an Existing Chemical Application Chemical Application Log records created by both the Chemical Granular Application and Chemical Liquid Application functions must be edited after performing the Chemical Application in order to remove the actual amount of Chemicals used from Inventory, to update Budget/Expense Accounts and record the Weather Conditions at the Time of Application.

From the Chemical Application Log, position the scroll bar on the Application to be changed and click on the EDIT tool. The Chemical Application Log - Add/Edit/Delete Screen will appear with the selected information displayed. Once the Chemical Application Record is displayed, you may see the word PLAN or COMPLETED to indicate one of the following:

PLAN - The displayed information was previously entered directly into the Chemical Application Log for future application. Chemical Products used in this application have not been removed from Inventory. You may plan the same Application for different or future dates by changing the date on the chosen Plan, click on the SAVE tool.

COMPLETED - The displayed information was previously entered directly into the Chemical Application Log or represents an edited Sprayer/Spreader Application. Chemical Products used in this application have been removed from Inventory.

Use the Index Tabs to select the information to be changed, and make any changes necessary. Click on the SAVE tool when changes are complete.

An attempt to change the date of an existing application will cause an ERROR message to appear. You will be given the option to SAVE this as a New Application if desired.

If you choose to SAVE this as a New Application, you will also be asked if you wish to remove the Chemicals from Inventory at this time.

If you EDIT a Completed Chemical Application and change Areas Treated, Product(s) or Rate Applied, click on the CALCULATE button to reset Amount of Chemicals Applied and upon saving the edited Application, all Chemical Inventory Levels and Budget/Expense Amounts will automatically be adjusted.

Deleting a Chemical Application From the Chemical Application Log, position the scroll bar on the Application to be deleted and click on the DELETE tool.

Select if you wish to Delete Chemical Application or Delete Chemical Applications by Date Range.

If Deleting by Date Range, select the type of applications to delete and click on the Delete button.

The Delete Confirmation Window will appear asking for confirmation of the delete request.

The Delete process deletes the Application Log Entry and the associated Nutrient Application Log. Inventory and Budget/expense Accounts remain unchanged.

Repeating a Chemical Application Users can setup Repeating Chemical Applications on a Daily, Weekly, Monthly, or Annual basis to save on data entry.

Go to the Chemicals & Fertilizer Browse Table, click on the Chemical Applications Toolbar Menu, then choose Chemical Application Log. Locate the Application to be repeated, then click on the tool.

A pop-up window will appear.

Enter the Start Date, Repeat Frequency, ETC., then click on OK.

Adding/Editing Chemical Application Notes A multi-page Note File for each Chemical Application is accessed from the Chemical Application Log - Add/Edit/Delete Screen.

From the Chemical Application Log - Add/Edit/Delete Screen, position the cursor in the Date field. Enter the Date and use the FIND, NEXT or PREVIOUS tool to locate the Application Record. Once the Record is located, click on the NOTE tool.

Click on the SAVE tool when notes are complete.

Voiding Chemical Applications TRIMS provides you with a shortcut to voiding a Chemical Application and adjusting Inventory.

Inventory Expense Accounts in the Budget/Expense File are also revised.

Click on the VOID tool on the toolbar and the Delete Confirmation Window will appear asking for confirmation of the delete request.

Each record contained within the Soil Nutrient Application Log indicates the Date, Grounds Area, Product, Application Rate and amounts of Primary, Secondary and Micro-Nutrients applied. Nutrient quantities are based upon the Application Rate and the Nutrient Analysis.

From the Chemical & Fertilizer Browse Table, click on the Procedures Toolbar Menu, then choose Soil Nutrient Application Log.

Enter the Application Date and Grounds Area Ident. If the Ident Code is not known, click on the LOOK-UP tool.

Next, enter the Application Rate in either Pounds of N per 1000 SqFt or Pounds of Product per 1000 SqFt. Click on the LOOK-UP tool to locate the Product Name.

Enter the amounts of Primary, Secondary and Micro-Nutrients applied to this particular Grounds Area (Ident) for each of the ten listed Grounds Sections.

Click on the SAVE tool when entry is complete.

Editing an Existing Soil Nutrient Application From the Soil Nutrient Application Log, position the scroll bar on the Application to be changed and click on the EDIT tool. The Soil Nutrient Application - Add/Edit/Delete Screen will appear with the selected information displayed. Once the information is displayed, you can make any necessary changes.

Click on the SAVE tool when changes are complete.

If deleting Grounds Area Groups, click on the Group to be deleted and Grounds Areas within the same Group will be selected.

Click on the DELETE tool to begin deletion.

Once displayed, you can view graphs of other areas within the same Grounds Ident and select Primary/Secondary or Micro-Nutrient display formats.

The Graph Style Menu allows you to view the information in Bar Graph or Pie Chart form.

Chemical Inventory List A listing of chemicals can be printed at anytime for quick reference.

From the Chemical & Fertilizer Browse Table, click on the Reports Toolbar Menu, then choose Chemical Inventory List.

Select the type of Products to be reported.

Select Product Function.

Click on the PRINT tool to begin printing.

Chemical/Problem Cross Reference A Cross Reference List of the Problems Controlled by each Product is available on screen. Click on the Reference Data Toolbar Menu, then choose Chemical/Problem Cross Reference.

The Chemical/Problem Cross Reference Screen will appear with the selected Product highlighted in the left column and the Problems Controlled by that Product listed in the right hand column.

When the scroll bar is in the left hand column, a vertical change of the scroll bar position will cause the right hand column to display information corresponding to the highlighted item.

To switch viewing of columns, click on the CHEMICAL PRODUCT or PROBLEM CONTROLLED header.

Editing the Problems Controlled From the Chemical/Problem Cross Reference Screen, if the left side of the screen is displaying Chemical Products, position the scroll bar on the Product to be changed and click on the EDIT tool. The Chemical/Fertilizer - Add/Edit/Delete Screen will appear with the selected information displayed.

Click on the COMMON USES Tab and make any necessary changes.

Click on the SAVE tool when changes are complete and click on the EXIT tool to return to the Chemical/Problem Cross Reference Screen.

User Defined SDS Library The User Defined SDS Directory displays a list of products contained within the User SDS File. On screen controls permit you to browse through the directory by Product Name or Manufacturer Name in either ascending or descending alphabetical order.

From the Chemical & Fertilizer Browse Table, click on the Reference Data Toolbar Menu, then choose User Defined SDS Library.

Adding a New User Defined SDS From the User Defined SDS Library, click on the NEW tool and the User Defined SDS Library - Add/Edit/Delete Screen will appear.

There are nine different screen displays, each relating to a specific section of the Safety Data Sheet. Enter the Product Name and complete information on the nine screens of the Safety Data File.

Click on the SAVE tool when entries are complete.

Editing an Existing User Defined SDS From the User Defined SDS Library, position the scroll bar on the Product to be changed and click on the EDIT tool. The User Defined SDS Library - Add/Edit/Delete Screen will appear with the selected information will be displayed. Once the information is displayed, you can make any necessary changes.

Click on the SAVE tool when changes are complete.

Deleting a User Defined SDS From the User Defined SDS Library, position the scroll bar on the Product to be deleted and click on the Delete tool. The Delete Confirmation Window will appear asking for confirmation of the delete request.

Print User Defined SDS From the User Defined SDS Library, position the scroll bar on the Product to be printed and click on the PRINT tool.

Printing can also take place from the User Defined SDS Library - Add/Edit Delete Screen by clicking on the PRINT tool.

SDS Interchange Safety Data Information can be exchanged with other TRIMS users by means of the SDS Data File Interchange program. Selected SDS information from your User Defined SDS Data File can be exported to a file in a format suitable for import by another TRIMS System. You can also import data sheets supplied by other TRIMS users.

Exchange of SDS information is done by passing information recorded on USB thumb drives to other TRIMS users or electronically exchanged via Email.

From the Chemical & Fertilizer Browse Table, click on the Reference Data Toolbar Menu, then choose SDS Interchange.

Exporting Safety Data Click on Export SDS Data Sheets, select the SDS's to be exported and click on the EXPORT tool to display the Windows File Dialog Box.

Indicate the Name of the File to be exported and click on OK to begin the export process.

Importing Safety Data Click on Import SDS Data Sheets to display the Windows File Dialog Box.

Select the File to be imported and click on OK, a list of SDS's contained within the Import File will be displayed on screen and you can select specific SDS's from this list.

Once the SDS's have been selected, click on the IMPORT tool to begin.

SDS & Label Document Viewer and Importer The SDS & Label Document Viewer and Importer is a powerful SDS & Label Document internet search tool.

Before using this procedure, you must have your system configured to work with your Internet Service Provider. See System Utilities - Internet Setup.

From the Chemical & Fertilizer Browse Table, click on the Reference Data Toolbar Menu, then choose SDS & Label Document Viewer and Importer.

Upon opening, the DocView Browse Table will appear with a list of already imported PDF files.

Locating & Importing a Label or SDS Document Click on the IMPORT tool.

Enter ALL or PART of the Product Name in the Find Product field and click on the Lookup Product tool.

The CDMS website will be displayed. Right Click in the Product Search field and PASTE to enter the Product Name.

Click on the Magnifying Glass to Search. A list of matching products will appear.

Click on the Desired Product.

Select either Specimen Label or SDS to display the selected document.

Once displayed, Right Click your mouse and select Save As or Save Page As.

Save the file into the Document folder where the TRIMS data files are stored for access by all users.

Rename the file if desired and repeat this procedure for all Labels or SDS’s. Return to TRIMS and click the mouse in the Label File or SDS File field and click on the Get File Name tool, select the file that was just downloaded and click Open.

Repeat this procedure for the SDS file. Click on SAVE when fields are complete.
