What is Smart Software Licensing?

Cisco Smart Software Licensing is a new licensing approach that allows customers to self-manage licenses

intelligently. It is the future entitlement tool for all Cisco products. Smart Software Licensing delivers visibility into

your license ownership and consumption. You can set up an enterprisewide Smart Account and manage licenses

and entitlements across your organization.

After you set up a Smart Account, you have the flexibility to create subaccounts (virtual accounts) to help manage

licenses for departments, areas, or locations within your organization.

Cisco Smart Software Manager (SSM) is a smart licensing management portal hosted on Cisco.com that allows

our customers to intelligently manage product licenses. It provides real-time visibility and reporting of the Cisco

licenses you purchase and consume. You can access SSM from Software.cisco.com

(https://software.cisco.com/#module/SmartLicensing).

Cisco Smart Software Manager satellite is a component of Cisco Smart Software Licensing and works in

conjunction with SSM. It is available at no cost as a download of a virtual machine for security-sensitive customers

who do not want to manage their installed base using a direct Internet connection with SSM. Figure 1 compares

Cisco SSM and SSM satellite.

Improving the licensing experience

Smart Software Licensing simplifies the software purchasing, activation, and management experience for Cisco

customers and partners.

It replaces a limited view, in which customers didn’t have a complete understanding of what software they owned,

with a complete view (software, services, and devices) in one easy-to-use portal. Instead of manual PAK

registration for each device and unlocking a license key, you get easy registration. No PAKs. Easy activity. And

your device is ready to use.

In the past, licenses were specific to only one device. Now devices have company-specific licenses, and software

can be used across multiple devices. Also in the past, licensing was locked; you couldn’t use more than you paid

for. Now licenses are unlocked; you can add users and licenses as needed (Figure 2).

How it works

First, you obtain a Smart Account. All smart license-enabled products must have a Smart Account assigned in

Cisco Commerce Workspace (CCW) to submit the order. There are two types of Smart Accounts: customer Smart

Accounts and partner holding Smart Accounts. A customer Smart Account is an account where Smart Account-

enabled products are deposited. It serves as a repository for these products. A partner holding Smart Account is an

account where users can temporarily hold smart license-enabled orders that contain smart license products until

the Smart Account for the end customer is identified. Smart Accounts are configured per domain based on defined

roles and access for users. Partners may also be provided access.

Procuring licenses and ordering smart SKUs

Smart SKUs are marked with the Smart Account icon. In the order, you will need to assign a Smart Account—

either a partner holding Smart Account or a customer Smart Account. Existing customers with active Cisco

Software Support Service (SWSS) can migrate their classic licenses to smart licenses through self-serve migration

features on the SSM portal. It is recommended that orders for traditional SKUs also be assigned to a Smart

Account for ease of migration in the future.

Register the product. Select the transport setting on the Cisco Unified Communications Manager product for the

deployment model. Obtain a token from the virtual account that has the smart entitlements for the product to

consume. Complete registration of the Cisco Unified Communications Manager product. When configuring the

satellite deployment model, please install and register the satellite before registering the product. Obtain the token

from the virtual account on the Cisco SSM satellite portal and complete the registration.

Manage licenses through the Cisco SSM portal. It’s a single-pane-of-glass solution that provides alerts (such as

license shortages or expiration dates for products in your Smart Account). You can see all registered product

instances and usage, as well as registered satellites. You can also migrate and transfer licenses across the virtual

account. All transactions are logged for meeting auditing requirements (Figure 3).

Simplified movement of licenses

Licenses are not locked to Cisco Prime License Manager or a product node. There are no more license files and

no more multiple interactions with the Global Licensing Operations (GLO) team when rehosting a product or Cisco

Prime License Manager. Now licenses are smart entitlements. They can be present under a virtual account and

remain associated with it until transferred to another virtual account.

Smart entitlements available under a specific virtual account are ready for use by products registered to it.

Licenses consumed by a product can be freed up upon deleting the registered product instance from the virtual

account or upon a deregister request from the Cisco Unified Communications Manager product.

The Smart Software Licensing portal features a single-pane-of-glass view that includes:

● Alerts: Major and minor alerts such as license shortages and expiration dates for the Smart Account.

● Inventory: For a selected virtual account, you can view licenses and registered product instances. Other

features let you transfer or move products.

● Reports: Summary of license counts, usage, and subscription status.

● Email Notification: Several alerts or information events can be emailed.

● Satellites: Register satellites, add a new satellite, or generate an authorization file.

● Activity: View details for all transactions.

Cisco Smart Software Licensing deployment options

Figure 4 shows the deployment options for Smart Software Licensing.

Your communications are secure with Cisco Smart Software Licensing. All requests and responses to and from

Cisco SSM are encrypted over an HTTPS connection. Support for HTTPS with authentication is provided with the

proxy server. Support for HTTPS with registered satellites is also provided. Registration and synchronization

communications―both network and manual―from a satellite to SSM are fully secure (Figure 5).

Cisco Software Central

Access your Smart Account at Software.cisco.com.

With Cisco Smart Accounts and virtual accounts, assets are represented as company owned, allowing effortless

sharing across your enterprise. You can create virtual accounts according to your needs (reflecting your company,

geography, or partners, for example). You can transfer devices and licenses across virtual accounts easily. Smart

Accounts and virtual accounts help you organize your software inventory (Figure 6).

Cisco Smart Software Manager

Cisco Smart Software Manager (SSM) lets you self-manage your Cisco software licenses via one interface. You

can view your license and product inventories and understand your license and product landscape. With SSM, you

receive timely issue messaging. Use SSM to easily troubleshoot product and license inventories.

Creating tokens in SSM

ID tokens are organizational identifiers that you can use to establish your identity when registering a product.

Products are registered using the ID token over SSL/TLS, either locally or remotely.

An ID token can be used once or reused multiple times. It can be created and revoked at any time. ID tokens are

not needed after the product is registered, and they are not stored by the Cisco product. Tokens expire after a

period of time (the default is 30 days; the minimum is 1 day and the maximum is 365 days).

Additionally, ID tokens are not product specific; are not licenses, keys, or PAKs; and are not one-time-use only.

Cisco Smart Software Manager satellite

Cisco Smart Software Manager satellite is an on-premises deployment of Cisco Smart Software Licensing that is

provided at no cost. It is ideal for customers whose products are unable to reach Cisco.com directly.

Cisco Smart Software Manager satellite contains a subset of, and works similar to, the Cisco Smart Software

Manager portal for license management of installed products. You can use Smart Software Manager satellite to

register Cisco devices and software products and report license consumption. It provides near-real-time license

usage information, depending on the synchronization schedule with your Smart Account.

Smart product telemetry and visibility

A Cisco smart license requires the minimal setup shown in Figure 7 for exchange of information during the

installation and provisioning process.

Cisco Unified Communications Manager 12.0 rollout overview

Cisco Unified Communications Manager 12.0 license management is available only through Smart Software

Licensing. There are no changes to the license model and hierarchy: Basic, Essential, Enhanced, Enhanced Plus,

and Cisco Unified Workspace Licensing.

License procurement

Smart entitlements will be fulfilled to your customer Smart Account against the new or upgrade order. Customers

with active Cisco SWSS can convert their existing licenses to equivalent smart entitlements. Temporary licenses

can be requested while transitioning to SSM.

After software installation

After the initial installation, the software runs in evaluation mode for 90 days. The evaluation period starts only

when Cisco Unified Communications Manager begins to consume licenses.

Cisco Prime License Manager is not available from Cisco Unified Communications Manager 12.0. After the

upgrade, Cisco Unified Communications Manager 12.0 will no longer connect to the Cisco Prime License Manager

server and will run in an evaluation period of 90 days.

You must register Cisco Unified Communications Manager 12.0 to SSM or a satellite before the evaluation period

expires, after which it goes into Enforced mode (Figure 8).

New installation

Cisco Unified Communications Manager will be in the unregistered state with no license-in-use status. The

evaluation period starts when Cisco Unified Communications Manager consumes licenses.

Evaluation mode

A new Cisco Unified Communications Manager installation begins with an evaluation period of 90 days when you

start consuming licenses. After an upgrade, Cisco Unified Communications Manager 12.0 will also go into a 90-day

evaluation period. The expiration of the evaluation period will turn on Enforced mode for the product (no Move,

Add, Change, or Delete [MACD] operations).

Smart Software Manager—Create a token

Log in to your SSM page. Create a token from the virtual account to which the product will register. You can select

an expiration date for the token. A single token can be used for multiple products registered to the virtual account.

Click Register in the Smart Software Licensing user interface. Paste in the token from SSM and complete

registration.

Error when using an invalid token

An error occurs when you try to register a product with an invalid or expired token.

License management—Registered and authorized

Your successful registration will change the status to Registered. Licenses authorized are in compliance. Cisco

Unified Communications Manager synchronizes every 6 hours. Click Update Usage Details to trigger

synchronization manually.

SSM—License management in compliance

When your product is registered, SSM shows the registered product instances, license usage, and borrowing

activity.

License management—Out of compliance

Your product is out of compliance when you’ve used more licenses than your company is entitled to or when the

product authorization has expired. The product license UI shows which license type is out of compliance in the

License Requirements by Type table.

SSM—License management out of compliance

If your product is out of compliance, SSM shows any surplus or additional licenses that are needed. The SSM

portal also shows any borrowing. Borrowing occurs when a higher-tier license fulfills a lower-tier license request.

License management over subscriber node

Configurations or change in the Smart Software Licensing settings is allowed only on the Publisher node. On a

Subscriber node, license and registration details are available, but no configuration of Smart Software Licensing is

allowed. Also, the Smart Software Licensing Command-Line Interface (CLI) configuration commands are not

allowed on a Subscriber node.

Renewing authorization and registration, and changing registration

Renew authorization Perform this step to manually renew the license authorization status. The license authorization is renewed automatically every 30 days.

Renew registration Perform this step to renew the registration information manually. The initial registration is valid for one year. Renewal of registration is done automatically every 6 months, provided the product is connected to Cisco SSM or a satellite.

Deregister Perform this step to disconnect the Cisco Unified Communications Manager cluster from SSM or a satellite. The product reverts to evaluation mode as long as the evaluation period has not expired. All license entitlements used for the product are immediately released back to the virtual account and are available for other product instances to use it.

Reregister Perform this step to reregister Cisco Unified Communications Manager with SSM or a satellite. You can migrate your product to a different virtual account by reregistering it with a token from a new virtual account.

Satellite installation and registration with SSM

A satellite installation requires a separate Virtual Machine (VM). To register a satellite with SSM, you need the

following information for Smart Software Licensing: a customer Smart Account opened on Cisco.com and virtual

accounts. Then select a synchronization method, either network synchronization or manual synchronization.

Migrating and upgrading classic licenses for Cisco Unified Communications Manager to

smart licenses

Migration of your Cisco Unified Communications Manager product to a smart license-enabled version is available

only with an active SWSS contract. Self-service migration from versions 9, 10, or 11 (user-based classic licensing)

to smart licenses can be performed on SSM or on the traditional Cisco License Registration Portal (LRP).

Migrating from pre-version 9 classic licenses (DLU) to smart licenses requires a manual migration through GLO.

Without active SWSS, you must order an upgrade from classic to smart entitlements in CCW. You may add

additional user licenses as needed. You can also add and maintain SWSS.

For a pre-version 9 (DLU-based license) upgrade to smart licenses, you must order a la carte. Upgrade SKUs

based on the License Count Utility (LCU) report run on the Classic server. You may add additional user licenses as

needed. You can also add and maintain SWSS.

Migrating classic licenses to smart licenses with active SWSS

Migration to a smart license-enabled version is available only with an active SWSS contract. It can be performed

on the SSM or LRP portals. Self-service conversions can be performed from versions 9, 10, and 11 to version 12.

Two types of migration are supported:

● PAK based: Migration can be done for already fulfilled, partially fulfilled, and unfulfilled PAKs.

● Device based: This migration type can be used to convert classic licenses to smart entitlements.

You must first assign your classic PAK or Cisco Prime License Manager to the Smart Account and virtual account.

Conversions from pre-version 9.x to version 12.x are not supported via self-service in LRP or SSM. These are

done via GLO.

PAK-based migration—Assign to a Smart Account

You can consolidate unassigned PAKs in a Smart Account and virtual account for greater visibility.

● Log in to the traditional License Registration Portal (LRP) at

https://tools.cisco.com/SWIFT/LicensingUI/Home.

● Locate the PAKs to be migrated.

● Right-click and select Assign to Smart Account and Virtual Account.

PAK-based migration—Assign Smart Account and virtual account

Select the Smart Account and virtual account to which the PAK will be assigned.

PAK-based migration—Classic PAK assigned

Classic PAKs will show their assigned Smart Account and virtual account.

PAK migration to smart license on LRP

Select the PAK that needs to be converted to smart license entitlement. From the PAK context option, select

Convert to Smart Licensing.

Select the SKUs under PAK and the quantity of licenses to be converted. Then click Submit.

Cisco Prime License Manager licenses that are partially converted will need a new Cisco Prime License Manager

license file for managing the remaining classic licenses. Cisco Prime License Manager in e-fulfillment mode will

receive a new license file automatically. Under manual fulfillment you will need to download and manually upload a

new license file (for the remaining classic users) in Cisco Prime License Manager.

Once the classic licenses are converted to smart license entitlements, a success message is shown. The

entitlements will now be available on SSM under the selected Smart Account and virtual account.

Convert PAKs to equivalent smart licenses when they are available. To do so, go to the Convert PAKs tab.

Assigned PAKs will show up on the SSM portal. Click Convert to Smart License.

Log in to the traditional Licensing Registration Portal (LRP) at https://tools.cisco.com/SWIFT/LicensingUI/Home.

Go to the Devices tab. Locate the Cisco Prime License Manager device to be migrated (filter using the UUID). If

the UUID is not available, obtain the license request from Cisco Prime License Manager and add the Cisco Prime

License Manager device.

Review, confirm, and click Submit. Once the licenses are fully converted, the Cisco Prime License Manager UUID

will be removed from LRP. A confirmation message will be shown once the licenses are converted. The

entitlements will now be available on SSM under the selected Smart Account and virtual account.

The assigned device will show up on the SSM portal. The SSM portal will be refreshed every hour. If the assigned

device is not visible in SSM, please recheck after an hour. Go to the Convert Licenses tab and click License

Conversion Wizard.

Review, confirm, and click Convert Licenses. When the old licenses are converted, they will be invalidated.

Upgrade classic license to smart entitlement—No active SWSS

For customers with no service contract who want to upgrade from versions 9, 10, or 11 to 12:

● Order upgrade SKUs that fulfill the smart entitlements to the specified Smart Account and virtual account.

● You may buy additional new licenses for version 12.0.

For customers with no service contract who want to upgrade from pre-version 9 (DLU) to version 12.0:

● You may establish the equivalent user-based licensing required by running the License Count Utility (LCU).
