    Introduction Travelport ViewTripTM is the online itinerary source that provides instant, real time access to travel plans 24 hours per day, 7 days per week. Its graphical detailed display lets travelers view or e-mail itineraries containing air, car, hotel, rail, cruise, and tour reservations, as well as access e-ticket information, weather, mapping, hotel images, flight information and travel related content. Itinerary details can be downloaded to an electronic calendar. A valid Worldspan record locator and the traveler’s last name are required to access and display itineraries via ViewTrip.

    Agency Setup Information

    Passenger Name Record (PNR) - E-Mail Remarks

    Worldspan agents have the capability to store e-mail addresses in a PNR using three different e-mail address remarks fields: 5-MTT, 5-MTA and 5-MTM. These remarks are for the exclusive use of ViewTrip subscribers. The MT remarks fields are displayed using *RA, *M, *MA, *A, *AD and *R. 5MTE fields also appear in the PNR but are system generated and cannot be manually modified or deleted. These fields reflect whether the itinerary emails were able to be sent or not. The 5-MTE is used exclusively by ViewTrip for identifying itinerary email status. The 5-MTT field is used to store the e-mail address and is mandatory in generating a message to ViewTrip. The 5-MTA and 5-MTM fields are additional fields that can be used in conjunction with the required 5-MTT remark. 5-MTA is used to store an additional e-mail address, and 5-MTM provides the ability to include an e-mail message. No e-mail message is sent without a 5-MTT field in the PNR. 5-MTT Field Example: 5-MTT*[email protected]

    The 5-MTT field is a required field and must be entered in the PNR with an e-mail address before attempting to add either the 5-MTA or 5-MTM field.

    Only one e-mail address per traveler in the 5-MTT field is allowed.

    The e-mail address will not require a name select if there is only one traveler in the PNR.

    If a PNR contains multiple travelers, name select is required for all travelers except the first traveler in the PNR.

    Worldspan defaults to the first traveler in the PNR if name select is not used when entering the first e-mail address.

    E-mail addresses should be for travelers in the PNR only.

    An e-mail is sent to each e-mail address at the initial End Transaction (ET). The exception is an agency that has unchecked the Itinerary E-mail Notification checkbox in their Office Administration Profile.

    An e-mail is sent for each new e-mail address added after the initial ET.

    An e-mail address can be amended after ET. If an e-mail address is amended after ET, then the e-mail is again sent to the specified traveler only.

    E-mail addresses cannot be deleted after the initial ET.

    The ViewTrip script can be used to send repeated e-mails.

    The 5-MTA field can only be used if there is a 5-MTT field in the PNR. It is recommended the 5-MTA field be used for storing and sending e-mails to non-travelers.

    The 5-MTA remark is used in conjunction with the required 5-MTT field.

    Multiple non-traveler e-mail addresses can be stored.

    Name select is required for all travelers.

    The number of stored non-name select e-mail addresses is unlimited.

    An e-mail is sent to each e-mail address at the initial ET. The exception is an agency that has unchecked the Itinerary E-mail Notification checkbox in their Office Administration Profile.

    An e-mail is sent for each new e-mail address added after initial ET.

    An e-mail address can be amended after ET. Then this occurs, the e-mail is sent again to the specified non-traveler or traveler only.

    If the travel agent or travel coordinator wants to add remarks for a traveler, they can add the remarks in the 5-MTM field. The remarks display in the itinerary e-mail.

    5-MTM Field Example: 5-MTM*HAVE A SAFE TRIP

    The 5-MTT field must contain an e-mail address first.

    One name select remark is allowed per traveler.

    Unlimited non-name select remarks are allowed for non-travelers.

    Name select remarks are displayed in the e-mail sent to the name-selected traveler only.

    All other non-name select remarks are displayed in every e-mail sent for that trip.

    5-MTE Field Examples: 5-MTE SENT/25AUG07 1653GMT/[email protected]

    The 5MTE field may appear in the PNR but it is system generated and cannot be

    manually modified or deleted.

    The 5-MTE entry is appended on the PNR for every newly added or modified email address contained in a MTT remark field; therefore, it may result in more than one MTE field entry for each MTT field present on the PNR.

    The date/time stamp indicates the date (DDMMMMYY), time (24-hour Clock) and

    the time designator (GMT) that the email attempt was generated. Greenwich Mean Time (GMT) will always be indicated.

    The 5MTE entry is not appended if the ViewTrip Script was used to generate the

    itinerary email. The email address reflects the email address found in a MTT remark field on the

    PNR. VIEWTRIP queries the recipient's domain server to verify if the email address is

    valid. If valid the email is generated and the status is appended as SENT/. If not valid then the email is not generated and the status is appended as NOT SENT/.

    A valid email address does not guarantee delivery of the email as that information

    is not available to VIEWTRIP.

    Mail Message

    The e-mail message contains a link that launches ViewTrip and displays the itinerary. The message text sent is created by the travel agency in the Office Administration settings using the Itinerary E-Mail Text option. There are two types of e-mail messages; a default e-mail message and a customized e-mail message. The messages are available in nine supported languages:

    The agency can customize the text and/or language in the e-mail message within the Itinerary E-Mail Text option of the Office Administration profile.

    E-Mail Confirmation

    The e-mail confirmation is sent to the traveler once and contains a link to view their itinerary. If an error is received from the traveler's e-mail, verify the e-mail address in the 5-MTT field of the PNR.

    Office Administration

    The Office Administration function allows the agency’s administrator to customize certain aspects of the web site including default language, clock format, e-mail itinerary text, and displayed advertisements. This portion of ViewTrip also includes the ability to view email confirmations, weather forecasts for any desired city, and more. This data is displayed to travelers and travel agents with the look of ViewTrip.

    The Administrator Login screen can be accessed two ways:

    1. Via the URL for the Travel Agency Portal: www.mytripandmore.com

    - or -

    2. From home.wspan.com, select: Products, ViewTrip, and click on www.mytripandmore.com link. Select Office Administration Login from the ViewTrip Login page.

    Logon

    The initial Administrator username is the agency's customer number and the password is the agency Subscriber ID (SID). The username and password must be changed with the initial login. On subsequent accesses, the new username and password should be used. If a customer does not know their Customer Number and/or SID, they must contact their Worldspan Account Executive for the information.

    Lost Password If the password is lost, select the Lost Password link within the Office Administration Login dialog box. Submit a username and e-mail address. Once verified, the password is sent to the applicable e-mail address.

    Agency Information The Office Administration screen consists of three parts:

    Required fields are indicated with an asterisk (*). The Response E-Mail Address field is the agency’s e-mail address. ViewTrip generates an e-mail (the customer’s itinerary) to the address stored in the 5-MTT* field. If the customer responds to the message and the e-mail address stored in the Administration tab is incorrect, the e-mail is discarded. Agents with administrator rights have access to the Administration, Promotions and Traveler Information, as well as creating Agent Administrators. Other agents have access to the Traveler Information.

    Traveler E-Mails Not Received

    Here are a few things to check when a traveler does not receive a ViewTrip e-mail.

    1. When the 5-MT fields are used to store e-mail remarks in the PNR, ensure the Itinerary E-Mail Notification field is checked on the Office Administration screen.

    2. An agency can check the status of any e-mail sent using the ViewTrip Go! script or using the 5-MT entries from the Traveler Search section of ViewTrip.

    Type in the e-mail address of any passenger and click the Submit button. A list displays underneath if matches are found.

    When the View link (next to the e-mail address) is selected, it displays all record locators having that particular e-mail address and the status of the e-mail message sent. Example -

    This display shows an e-mail to [email protected] was successfully sent from the ViewTrip servers to the customer’s e-mail server. 3. Another way to troubleshoot undelivered ViewTrip e-mails is to send the itinerary

    using the e-mail link above the itinerary. If the traveler still does not receive the ViewTrip e-mail, there could be a problem on the recipient's side. The recipient's e-mail server could be treating the ViewTrip e-mail as spam. If this occurs, please ensure the Office Administration Profile contains a valid e-mail address for the travel agency in the Response E-mail Address field.

    Security

    The following Subscriber IDs (SIDs) are restricted from using ViewTrip. Additional SIDs can be added as needed.

    If a PNR is created at one of these locations, the following error response is displayed when trying to view the itinerary: REQUESTED ITINERARY IS NOT AVAILABLE AT THIS TIME

    Promotions Following login, the Office Administrator can access the Promotions feature via the Promotions link at the top of the page. The Promotion function provides the ability to upsell or highlight anything the Agency/eCommerce/Multi Host Airline wants to promote.

    Promotion Creation and Maintenance

    Once the Promotion button on the Office Admin screen is selected, the following screen is displayed to begin the process of creating or revising a promotion spot.

    From this screen, the administrator can perform the following functions:

    Function Description Upload Agency Promotion Graphic Input field for the name of a graphic to be uploaded to database.

    Browse button allows user to browse drives for the path location.

    Link Graphic To Web Address Input field for the URL to be linked to the graphic only.

    Customize Text button Refer to the Customized Text Input below.

    Cancel button Selecting this button refreshes the page. Any updates entered on the page are ignored. The user is allowed to enter new data.

    Notes: The new Link Graphic to Web Address field is used to link the graphic, not text, to an

    URL address.

    The ability to link an URL address to promotional text is provided via the new Customize Text feature.

    Any text entries override an uploaded graphics upon submitting a Promotion.

    If text is deleted, any graphic(s) previously uploaded displays. A Promotion automatically displays and/or stops displaying based on the start and

    end dates. o The Default Promotion Start Date is tomorrow’s date. o The Default Promotion End Date is tomorrow’s date plus 30 days. o The Promotion will begin at 12:00AM ET on start date and end at 12:00AM ET on

    the end date indicated. o If the promotion start date is changed to current day, the start time will begin at

    the time of submission. Selecting the Submit Promotion button updates a new promotion to the web page, or

    applies the updates to the existing promotion without requiring a new start date. An advisory message is displayed upon successfully submitting the promotion-

    Promotion updates have been saved!

    Selecting the Delete Promotion button removes an existing promotion from the itinerary page; removes the data from the database; refreshes the page, apply defaults and displays an advisory message indicating a successful deletion-

    Promotion has been deleted!

    Once a promotion is successfully deleted and the Customize Text button is accessed on the refreshed Promotion Maintenance page, all previous promotion data is removed from the Customize Text screen.

    Selecting the Cancel button ignores any new updates entered on the page allowing

    the user to enter new data. The page is refreshed from any previously entered data.

    One of the buttons—Submit Promotion, Delete Promotion or Cancel—must be entered to click out of the page; else an error/advisory message is displayed.

    Click Submit Promotion to save your updates or Cancel to ignore your updates.

    Customized Text

    Once the Customized Text button on the Promotion Maintenance screen is selected, the following screen is displayed.

    The Customized Text screen is set up with familiar word processing buttons, icons, and functions. Text may be made to appear as bold, underlined or in italics by highlighting a word or

    phrase and clicking the corresponding button. To link text to a web address, highlight a word or phrase and click the button,

    then add the hyperlink address in the provided field on the Hyperlink Manager screen (see below). An optional tool tip may also be entered.

    Multiple occurrences of each edit and/or hyperlink are permitted.

    Upon clicking the Hyperlink button on the Customized Text screen, the following screen is displayed.

    The text may be modified here.

    Cancel button Clicking ignores any entries and redisplays the Customize Text screen.

    Linked Text Display

    If the Hyperlink Manager is updated, a new section is displayed below the Update and Cancel buttons. This new section is removed when the user moves the cursor from the linked text. Highlighting the linked text will re-display this new section. When the linked text is highlighted this new section contains fields allowing revisions to the hyperlink web address (URL) and optional tool tip text. The linked text is displayed underlined and in blue. When the hyperlink text is clicked, the new page is displayed in a separate browser.

    Itinerary Information

    Accessing an Itinerary

    The two required fields for accessing a ViewTrip itinerary include:

    1. Passenger’s Last Name 2. Worldspan Record Locator

    If only one of the two required fields is provided, the following error message displays.

    Do not use hyphenated names in the Passenger Last Name field. To access itineraries with hyphenated last names, use only the first last name. If a hyphenated name is used, the following error displays.

    Rail Segments

    Using a travel segment (TVL) as part of the itinerary prompts ViewTrip to decode the associate type code as the product icon. For example, making the entry, TNZZMK1CRU09JUN/AN-ROYAL LINES/IC-USD2500 /CRD-B1000/CBN-SKYWARD DECK 24C in the Worldspan PNR, prompts this application to decode the associate type code CRU to display CRUISE. NOTE: All rail availability in the Worldspan Host displays, with the exception of Amtrak.

    Non-Displayable Items The following associate type codes are not displayed in ViewTrip itineraries.

    Frequent Traveler (FT) Information For air, the applicable Frequent Traveler information in the SSR displays in each air

    segment. The header on the itinerary segment display is: Frequent Flyer #

    For car, if present, the Frequent Traveler and Customer ID (ID) displays in each car segment.

    For hotel, if present, the Frequent Traveler and Frequent Guest Number (FG) displays in each Hotel segment.

    For car and hotel segments, the header on the itinerary segment display is: Frequent Traveler ID#:

    The Header does not display on the itinerary segment display, if there is no FQTV information in the PNR.

    Online Check-in ViewTrip provides the traveler with the ability to check-in online from a special e-mail or directly from their itinerary The traveler will receive their travel itinerary from the travel agency as normal (Either by having it sent to them by the agency using the 5-MT host entries or the ViewTrip Go! Script), but another e-mail is automatically sent to the traveler when online check-in is activated for the flight. This e-mail links the traveler directly to the airlines online check-in facility. The airlines that currently allow online check-in are: - (Please check back for more airlines in the future):

    Midwest Airlines – Online Check-in available from 24 hours up to 90 minutes prior to departure.

    British Airways – Online Check-in available from 24 hours up to 60 minutes prior to departure.

    Virgin Atlantic – Online Check-in available from 24 hours up to 120 minutes prior to departure.

    Delta Air Lines – Online Check-in available from 24 hours up to 30 minutes prior to departure.

    Notes-

    The e-mail will be customized with the Travel Agencies name to inform the traveler the e-mail was issued from the Travel Agency and ViewTrip.

    The online check in e-mail is only sent to the address stored in the 5-MTT fields or the ‘To’ field of the ViewTrip Go! Script. It will not be sent to e-mail addresses stored in 5-MTA or in the ‘cc’ field of the Go! Script.

    ViewTrip Online Check-in shall issue one copy of an e-mail to the traveler containing a link to ViewTrip check-in facility.

    The e-mail and link will only be sent out if the traveler has a carrier in their

    itinerary which is participating in this new feature. If the carrier in the air segment doesn’t participate in this new feature, there will be no change to ViewTrip for Agencies and travelers.

    Notes- The online check-in link will appear on the ViewTrip itinerary at the bottom of the air

    segment (It will only appear if the carrier is participating in Online Check-in). This link will be de-active until the flight is available for online check-in, then it will change to an active hyperlink.

    ViewTrip shall display an instructional pop up window if user attempts to click on the inactive online check-in link when check-in is not yet available for that flight.

    ViewTrip launches a separate browser window when user clicks on ViewTrip online

    check-in link to initiate the check-in process. ViewTrip will pre-populate the information required to start the check-in process, so the traveler does not have to do this.

    Notes for Office Administrators-

    Office Administration > Traveler Search will track the status of all online check in e-mails as it does today with itinerary e-mails.

    There will be no switch off facility; this will be made available to all Travel Agencies who use ViewTrip in conjunction with the airline participating in this online check-in facility.

    Electronic Ticket Record (ETR) Display An Electronic Ticket Record (ETR) can be viewed with ViewTrip itineraries when e-tickets are issued. The information for the ViewTrip ETR display is extracted from the host ETR. When multiple names are contained in a PNR and the ETR link is selected, a drop down list of names displays. Select the applicable name to display the ETR. If the fare is indicated as BT or Bulk, or if the letters IT precede a fare, Bulk prints in the Air Fare and Total Air Fare line. Only participating e-ticket airlines are allowed access to the ETR. The following text is added under Passenger Notice:

    The Electronic Ticket Record will not reflect flight reservation changes, schedules changes, or cancellations made after the electronic ticket was issued. For complete and current flight information, please refer to your ViewTrip itinerary.

    Error Reason/Resolution AN ERROR OCURRED RETRIEVING THE E-TICKET INFORMATION.

    Changes have occurred to the e-ticket

    The e-ticket has been exchanged, voided, refunded or multiple tickets were issued, the information may not display.

    E-ticket information is not viewable 7 or more days after the last date of travel.

    ELECTRONIC TICKETING INFORMATION NOT AVAILABLE FOR THIS RESERVATION

    The e-ticket has not yet been issued for the flights.

    A paper ticket was issued for the flights.

    ELECTRONIC TICKET INFORMATION NOT AVAILABLE FOR THIS RESERVATION (AGENCY ONLY)

    A different Subscriber ID possibly issued the e-ticket to the one owning the PNR, so the e-ticket will not display in ViewTrip for security reasons.

    Check to ensure the bridge/branch between the two agency Subscriber IDs has been created, allowing transmission of the e-ticket information.

    E-Mail Itinerary When the E-Mail Itinerary option is selected, an address form displays, allowing the user to e-mail their itinerary to another customer. The e-mail recipient receives a link via the ViewTrip itinerary.

    The maximum number of characters allowed in the following fields is forty (40):

    The other E-Mail Addresses field allows 80 characters maximum, and the Comments field accommodates up to 160 characters. After filling out the necessary fields, click the Submit button. The following message indicates a successful transaction.
