Treasurer Name Presiding officer says, “The treasurer will read his/her report.” Then, “Are there any questions on the treasurer’s report?” Then, “The treasurer’s report will be filed for audit.” NOTE: Usually at the annual meeting all officers are required to give an annual report. Officers report according to rank. These reports are given at this point.NOTE: If organization has a board of directors or executive committee which is required to report at meetings, then the report is given at this point. Presiding officer says, “We will now have the report of the board of directors (or executive committee).” It is read by the secretary. If there are any recommendations in the report, they are placed at the end of the report and the secretary ends by saying, “I move the adoption of the recommendations.” They are then acted upon.

REPORTS OF STANDING COMMITTEES — Presiding officer says, “We will now have the reports of the standing committees.” Then calls on each committee chairman (who has a report to make) in the order listed by the bylaws by saying, “__________ committee, (name of chairman)” If a committee report contains a recommendation, the chairman should move the adoption of the recommendation and it is acted upon then.

REPORTS OF SPECIAL COMMITTEES — If there are any special committees, they are handled the same as the standing committees. Being called upon in the order appointed, they make their reports. If any committee report contains a recommendation, action should be taken after each report.

UNFINISHED BUSINESS — If there is any, the presiding officer says, “We will now have unfinished business.” This includes first the special orders, then general orders, and then postponed questions. Each is announced by presiding officer.

NEW BUSINESS — Presiding officer says, “Is there any new business?”NOTE: Then, “Are there any announcements?” Then, “Is there any further business?” Then, “The meeting is adjourned.” A motion is not required for adjournment. NOTE: If there is a program during the meeting, the meeting is not turned over to the program chairman. The presiding officer introduces or calls upon the program chairman who introduces the program.
