Collaborative Team Meeting Cycle Collaborative Team Meetings are intended to be scheduled every 5-6 weeks, with the purpose to examine individual student needs and appropriate responses by the collaborative team. In
a grade-level team model, grade level teams use their embedded planning time in the other weeks to engage in the core work of a professional learning communities model. Below is an
example of this cycle in practice.
Week 1 Grade Level Planning Time
• Teams establish norms, priorities, SMART goals at the start of the
year (including who chairs and records each meeting) • Keeps brief notes at each meeting (template provided to team) • Stores all grade level resources (including planning resources and
meeting notes) on a grade level site (Google Docs, Dropbox, Sharepoint, etc.)
Planning Time Focus Examples:
• Developing common long range plans • Developing/refining curriculum maps • Developing common assessments • Examining instructional practices related to student learning

Administration (as requested)
Week 2

Week 5
Grade Level Collaborative Team Meeting
• Follows a formalized process, with notes and a list of responsibilities recorded (and printed for each team member following the meeting)
• Starts with celebrations then moves to student analysis and discussion
• Utilizes visual scoreboard, with all students posted on the board • Utilizes data to inform the conversation
As a result, interventions occur on a five-week cycle, being revisited at each collaborative team meeting

• Collaborative Team Meeting schedule established at the start of each school year in the
annual staff planning calendar.
