Introduction

The purpose of this handbook is to familiarize FIT students and personnel with the computing facilities available at the institute and assist them in using the provided services effectively The document does not provide a detailed description of the network infrastructure nor an analysis in the technologies used If such information is required please consult the Computing Services Department (CSD)

The handbook provides a brief description of the FIT computer network and explains of how workstations should be used A detailed and practical guide is also provided explaining how user and email accounts can be used In addition general rules regarding the operation of the computer services is also included

A careful study of this handbook will make it easier for any student to understand and use the network and the computers

FIT Network (Nicosia Campus)Network Structure

A campus-wide networking infrastructure exists at FIT connecting all computers to the main servers and to each other as well as to the outside world (Internet) A very general outlook of the connection is provided below

In the main building students have access to the workstations1 in the computer laboratory area which is located on the third floor It is generally prohibited for students to access workstations other than those found in the laboratories The computer clusters are divided to three labs as shown in the network diagram below

Lab 1 is the general purpose lab Lab 2 is the engineering lab and Lab 3 the art and design lab Whenever labs 1 and 2 are not used for teaching purposes they are

available to students Lab3 may only be used by students if an explicit permission is granted from a lab assistant A timetable is provided at the Lab assistants office indicating what time labs are not used for teaching Entrance in the Lab Assistants Office is not allowed unless to request assistance Entrance to the Server room is not allowed at any time and is considered to be a serious offense

Apart from the workstations located in the computer laboratory area other specialized computer labs exist such as the computer engineering lab the mechanical and civil engineering lab and the Unix lab Workstations in these laboratories are used only for teaching purposes and students are not allowed access outside these hours

In addition to the main building computing facilities the institute maintains a small computer cluster in the library building which is available to students Those computers are available throughout the period the library is open and can only be used for word processing and internet browsing

All clients in the FIT network operate under Windows 2000 or Windows 98 operating system The network is controlled by a number of servers (located in the server room) that operate under Windows 2000 server and Linux operating systems At all times the servers control the operations that users are allowed to perform at the workstations What type of operations is available to studentsfacultyadministrative personnel is decided by the CSD and is under continual review Details on what exactly students can do and what facilities are offered will be provided in the following sections

Opening hours

The Labs in the main building are open from 0800 am to 0700 pm from Monday to Friday and Saturdays from 0900 pm to 1200 pm As mentioned labs are not accessible during teaching hours The relevant timetable is posted in the Lab assistants office

The computer cluster in the Library is also available throughout the period the library is open You should bear in mind however that not all services are available from the library workstations (eg no access to the file space on the file server)

Remote access

Remote access to the institute facilities is not allowed for security reasons However students can access their email accounts from outside the Institutersquos premises For more details look in the Remote Email Access section

How to use the Computer

Switch on ndash Switch off

At all times you should not switch on or off a computer unless explicitly instructed by a lecturer or lab assistant You are not to try to do so even if a computer you want to use is off or does not respond In case of doubt always ask a lab assistant to assist you To use the workstations you should follow the login-logoff procedure described in the account section of this handbook

Storage of information

Users of the FIT network will require to access (eg start a program like Internet Explorer to browse the Internet) store (save a report for an assignment) and transfer (move a file to another place for later use) information on the workstations they are working on

A detailed description of where and how information can be stored and accessed is given in the lsquoFIT Account Data Accessrsquo section

Removable storage media (CD-ROMS floppy Zip)

Student files can be transferred from and to the workstations using removable storage media (such as floppy disks zip disks and CD-ROMs) All computers are equipped with a CD-ROM drive and a floppy drive In the Lab 3 as well as in the Lab Assistants office CD writers and zip drives are also provided

To access a removable media you should follow the instructions provided below

1 Place the media into the correct device (eg put the floppy disk in the floppy drive)

2 Double-click on the lsquoMy Computerrsquo icon found on your desktop3 Double-click on the media you wish to access4 Make the file transfer you want

Students should note that the computer security system will not allow them to install anything software on the computer just transfer files

When using removable storage media it is always important to bare in mind the institute rules on computer use You should be particularly careful with virus detection and use of abusivepornographic material

Printingphotocopy facilities

Photocopier A color photocopier exists at the library and can be used by any FIT studentstaff To use the photocopier you should ask the assistance of the librarian Photocopies are at available to FIT students at cost price2 and the amount (depending on number and type of copies) should be paid to the librarian

Printer scanner There are 2 color printers and one color scanner in Lab 3 Lab 3 equipment is available only to students of the Art and Design department and can be used with permission of department lecturers

2 Prices are significantly lower than the corresponding prices of the market The reason why we have to set a price for printingscanning is to discourage unlimited printing abuse

All computers have access to the student printers (HP monochrome LaserJets) for general use Usage of the scanners is free and unlimited provided the material scanned respects the FIT computer use rules For printing each student will have a quota (limit) on how many pages heshe is allowed to print This quota can be renewed by making a request at the lab assistants office and paying the relevant fee Printing costs are set to cost price and are significantly lower than prices found outside

Word processing

Students can use any workstation for word processing Students should note however that documents of a personal nature should abide with the institutersquos rules regarding their content

All PC workstations have Microsoft Word installed and the Institute advices students to use this application for word processing as it is most commonly used The program can be started by clicking the Start button on the bottom right hand of the screen select Programs and then Microsoft Word Students are free to use other word processing programs that are already installed on the workstations It is however prohibited to attempt to install any other word processing application

The default typing characters are set to Latin (English language uses the Latin character set) However all computers in Lab 1 and 2 have Greek character sets installed as well as a specialized tool for Chinese writing To change the language to Greek just select it from the bottom right-hand corner of your screen as shown in the figure below

If the language selection icon does not appear then you should install this setting using the following instructions

1 Click lsquoStartrsquo lsquoSettingsrsquo lsquoControl Panelrsquo2 From the icons shown double-click lsquoKeyboardrsquo3 Double-click on the media you wish to access4 On the top of the window opened select the tab named lsquoInput Localesrsquo5 Click the button lsquoAddhelliprsquo6 From the top list named lsquoInput Localersquo select Greek and the press ok7 Close the windows that are open

To use Chinese writing start the NJStar application To do this click on Start button and then select Programs and NJStar Communicator

Browsing the Internet

FIT maintains a 256Kbps frame relay connection to an Internet service provider therefore students have continuous access to the Internet

For Internet browsing students can use Internet Explorer (IE) To invoke IE click the Start button on the bottom right hand of the screen Select Programs then Internet Explorer Alternatively double click the IE icon on your desktopLearning how to efficiently browse the Internet requires some practice but it is fairly straightforward The important part is to know where to place the address you wish to visit as shown in the figure below

Learning how to find useful information on the Internet requires some practice However a staring point can be the use of the following two sites

wwwgooglecom Provides several links related to the keywords you specifyinfotracgalegroupcom Search from a large selection of academic databases

that can assist you with your studies (contact your course supervisor for usernames and passwords)

AccountsWhat is an account

To be able to use any workstation one should first have an account Without one the computer will not allow access to any applications The CSD creates an account for each student after the registration is confirmed and deletes it after the student graduates or leaves the Institute All accounts are created on the FIT servers

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to log-off

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

Status SizeUndergraduate 10MBPostgraduate 10MBAdministrative Staff 20MB

Faculty 50MB

The amount of free space available is shown when a user opens the home drive as shown on the following figure The example shows the utilization of the home drive for user naa28 Notice that a folder named lsquomailrsquo exists This folder contains email information for the user and should not be changed or deleted

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Having an account at FIT you should always make sure that you abide with the rules and regulations of the Institute

You should treat information regarding your account responsibly For example you should always ensure that you logged off after a session to avoid leaving your account open to abuse Similarly you must make sure that nobody knows or can guess your password

Bear also in mind that the CSD keeps a log of the accounts that have logged-on on any workstation Therefore if any attempt is made to hamper with the workstations the Institute will know was the last person accessing that machine and heshe will be held accountable even if someone else was using their account at the time

Email

Email Accounts

All FIT students are provided with email accounts that can be access from either inside the college premises or from outside The student mail server for all students is located in the Nicosia campus

Email is a very easy fast and reliable way to communicate and transfer files asynchronously with anyone in the world For more information on what exactly email is please ask a lab assistant

Your email address will consist of your username followed by studfitaccy Therefore in the email address of the student in the previous example would be

naa28studfitaccystud indicates that this is a student account and should be saved on the student serverfit stands for Frederick Institute of Technologyac stands for academic as FIT is an academic institutioncy stands for Cyprus as FIT is located in Cyprus

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

3 From the menu click on Tools and then Accountshellip as shown below

4 Click Add and then Mail

5 A series of boxes will appear Enter the following valuesa Your full name as you wish to appear when you send emails (eg John

Smith) Click Nextb your email account is the username you have followed by studfitaccy

(eg if your username is lac241 your email is lac241fitaccy) Click Nextc For Limassol campus students enter

Incoming Server 1943013134 Outgoing Server mail-outcytanetcomcyFor Nicosia campus students enter Incoming Server 194422911 Outgoing Server 194422911 Click Next

d Nicosia students leave the username as is and use your login password in the password field Click NextLimassol student add the following characters to your username stud (user lac241 will have username lac241stud) For the password use the password provided by your administrator Click NextNote that the email passwords can only be changed by the administrator in Nicosia If for any reason you wish to change your password contact your administrator at charalamfitaccy

e Click Finish and Close

Following the above instruction an email account has been created on the local machine The storage of your emails has already been redirected by CSD to point to the lsquoMailrsquo directory in your home drive make sure that you make no changes to this folder as this may affect your emailsViewing FIT emails from outside FIT

You can view your FIT emails using POP34 not only from the FIT campuses but from anywhere you want simply use the following parameters

username username stud (eg naa28stud for user naa28) password the password provided by the administrator Incoming server 1943013134 Outgoing server The SMTP server of your Internet Service Provider

o logosnet smtplogosnetcynet o spidernet nautilusspidernetneto cytanetmail-outcytanetcomcy

Students should note the difference between downloading emails and leaving emails on the mail server If you download an email using outlook express then that email is no longer stored on the mail server Therefore if afterwards you wish to retrieve it from home you will not be able to since the mail is no longer there The same is true for downloading emails from home and then trying to retrieve then from FIT When using email clients (like outlook express) you have the option to leave a copy on the mail server This avoids the above problem However the amount of hard disk space available for each student on the mail server is limited as noted in the quota section If you keep copies of your old emails on the server you will fill up the space quickly and the server will not allow you to receive any more emails

It is generally advisable to erase unwanted emails especially those with attachments as the can uncessesarily fill up your allowed disk space For advice on what way is best regarding viewing emails from inside and outside FIT consult a member of the Computing Services Department to discuss your case

4 POP3 is a protocol used for email communication with mail servers Outlook Express uses POP3 You can use Outlook Express for viewing emails outside FIT or any other email client program you prefer

Rules

At any time students who have difficulties using the computer must ask one of the Lab assistants to help them deal with the problem Students must avoid trying to deal with a malfunction or any other problem by themselves That is against the rules and may result Disciplinary Action

Policies

eatingdrinkingStudents are by no means allowed to carry any food or drinks inside the Labs and they will be asked to leave the lab at once

mobile phonesMobile phones must be silent or switched off in the lab area It is not allowed to make a call using your mobile at any time If an incoming call is received and the student wishes to answer it heshe is obliged to get out of the lab and continue the conversation outsideAnyone who is using hisher mobile in the lab will be asked to turn it off and if heshe fail to comply then heshe will not be allowed to continue using the computers

virus checksIf while you are on the computer the computer gives you a Virus Warning do not try to deal with it yourself and do not ignore it Inform immediately the Lab Assistant If you do not do so you yourself may be considered suspicious of attempt to harm College property Note that the CSD can track the persons you logged on to a workstation so it is important that you report any unusual behavior immediately

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible

proof of IDWhile you are using the computer you should have you are student ID card next to you in a visible spot Any failure of presenting you are ID may result to your expulsion from the Lab

Lab assistants Obligations

The Lab Assistants are there to help you Donrsquot be afraid to ask any question you may have regardless whether you feel it is stupid or you should have known it Always remember when in doubt ask for help

AuthoritiesThe Lab assistants are responsible for the satisfactory condition and function of the labs They have the authority to expel anyone from the labs if they feel that he fails to comply with the rules and regulations

At all times you should not switch on or off a computer unless explicitly instructed by a lecturer or lab assistant You are not to try to do so even if a computer you want to use is off or does not respond In case of doubt always ask a lab assistant to assist you To use the workstations you should follow the login-logoff procedure described in the account section of this handbook

Storage of information

Users of the FIT network will require to access (eg start a program like Internet Explorer to browse the Internet) store (save a report for an assignment) and transfer (move a file to another place for later use) information on the workstations they are working on

A detailed description of where and how information can be stored and accessed is given in the lsquoFIT Account Data Accessrsquo section

Removable storage media (CD-ROMS floppy Zip)

Student files can be transferred from and to the workstations using removable storage media (such as floppy disks zip disks and CD-ROMs) All computers are equipped with a CD-ROM drive and a floppy drive In the Lab 3 as well as in the Lab Assistants office CD writers and zip drives are also provided

To access a removable media you should follow the instructions provided below

1 Place the media into the correct device (eg put the floppy disk in the floppy drive)

2 Double-click on the lsquoMy Computerrsquo icon found on your desktop3 Double-click on the media you wish to access4 Make the file transfer you want

Students should note that the computer security system will not allow them to install anything software on the computer just transfer files

When using removable storage media it is always important to bare in mind the institute rules on computer use You should be particularly careful with virus detection and use of abusivepornographic material

Printingphotocopy facilities

Photocopier A color photocopier exists at the library and can be used by any FIT studentstaff To use the photocopier you should ask the assistance of the librarian Photocopies are at available to FIT students at cost price2 and the amount (depending on number and type of copies) should be paid to the librarian

Printer scanner There are 2 color printers and one color scanner in Lab 3 Lab 3 equipment is available only to students of the Art and Design department and can be used with permission of department lecturers

2 Prices are significantly lower than the corresponding prices of the market The reason why we have to set a price for printingscanning is to discourage unlimited printing abuse

All computers have access to the student printers (HP monochrome LaserJets) for general use Usage of the scanners is free and unlimited provided the material scanned respects the FIT computer use rules For printing each student will have a quota (limit) on how many pages heshe is allowed to print This quota can be renewed by making a request at the lab assistants office and paying the relevant fee Printing costs are set to cost price and are significantly lower than prices found outside

Word processing

Students can use any workstation for word processing Students should note however that documents of a personal nature should abide with the institutersquos rules regarding their content

All PC workstations have Microsoft Word installed and the Institute advices students to use this application for word processing as it is most commonly used The program can be started by clicking the Start button on the bottom right hand of the screen select Programs and then Microsoft Word Students are free to use other word processing programs that are already installed on the workstations It is however prohibited to attempt to install any other word processing application

The default typing characters are set to Latin (English language uses the Latin character set) However all computers in Lab 1 and 2 have Greek character sets installed as well as a specialized tool for Chinese writing To change the language to Greek just select it from the bottom right-hand corner of your screen as shown in the figure below

If the language selection icon does not appear then you should install this setting using the following instructions

1 Click lsquoStartrsquo lsquoSettingsrsquo lsquoControl Panelrsquo2 From the icons shown double-click lsquoKeyboardrsquo3 Double-click on the media you wish to access4 On the top of the window opened select the tab named lsquoInput Localesrsquo5 Click the button lsquoAddhelliprsquo6 From the top list named lsquoInput Localersquo select Greek and the press ok7 Close the windows that are open

To use Chinese writing start the NJStar application To do this click on Start button and then select Programs and NJStar Communicator

Browsing the Internet

FIT maintains a 256Kbps frame relay connection to an Internet service provider therefore students have continuous access to the Internet

For Internet browsing students can use Internet Explorer (IE) To invoke IE click the Start button on the bottom right hand of the screen Select Programs then Internet Explorer Alternatively double click the IE icon on your desktopLearning how to efficiently browse the Internet requires some practice but it is fairly straightforward The important part is to know where to place the address you wish to visit as shown in the figure below

Learning how to find useful information on the Internet requires some practice However a staring point can be the use of the following two sites

wwwgooglecom Provides several links related to the keywords you specifyinfotracgalegroupcom Search from a large selection of academic databases

that can assist you with your studies (contact your course supervisor for usernames and passwords)

AccountsWhat is an account

To be able to use any workstation one should first have an account Without one the computer will not allow access to any applications The CSD creates an account for each student after the registration is confirmed and deletes it after the student graduates or leaves the Institute All accounts are created on the FIT servers

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to log-off

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

Faculty 50MB

The amount of free space available is shown when a user opens the home drive as shown on the following figure The example shows the utilization of the home drive for user naa28 Notice that a folder named lsquomailrsquo exists This folder contains email information for the user and should not be changed or deleted

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Having an account at FIT you should always make sure that you abide with the rules and regulations of the Institute

You should treat information regarding your account responsibly For example you should always ensure that you logged off after a session to avoid leaving your account open to abuse Similarly you must make sure that nobody knows or can guess your password

Bear also in mind that the CSD keeps a log of the accounts that have logged-on on any workstation Therefore if any attempt is made to hamper with the workstations the Institute will know was the last person accessing that machine and heshe will be held accountable even if someone else was using their account at the time

Email

Email Accounts

All FIT students are provided with email accounts that can be access from either inside the college premises or from outside The student mail server for all students is located in the Nicosia campus

Email is a very easy fast and reliable way to communicate and transfer files asynchronously with anyone in the world For more information on what exactly email is please ask a lab assistant

Your email address will consist of your username followed by studfitaccy Therefore in the email address of the student in the previous example would be

naa28studfitaccystud indicates that this is a student account and should be saved on the student serverfit stands for Frederick Institute of Technologyac stands for academic as FIT is an academic institutioncy stands for Cyprus as FIT is located in Cyprus

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

3 From the menu click on Tools and then Accountshellip as shown below

4 Click Add and then Mail

5 A series of boxes will appear Enter the following valuesa Your full name as you wish to appear when you send emails (eg John

Smith) Click Nextb your email account is the username you have followed by studfitaccy

(eg if your username is lac241 your email is lac241fitaccy) Click Nextc For Limassol campus students enter

Incoming Server 1943013134 Outgoing Server mail-outcytanetcomcyFor Nicosia campus students enter Incoming Server 194422911 Outgoing Server 194422911 Click Next

d Nicosia students leave the username as is and use your login password in the password field Click NextLimassol student add the following characters to your username stud (user lac241 will have username lac241stud) For the password use the password provided by your administrator Click NextNote that the email passwords can only be changed by the administrator in Nicosia If for any reason you wish to change your password contact your administrator at charalamfitaccy

e Click Finish and Close

Following the above instruction an email account has been created on the local machine The storage of your emails has already been redirected by CSD to point to the lsquoMailrsquo directory in your home drive make sure that you make no changes to this folder as this may affect your emailsViewing FIT emails from outside FIT

You can view your FIT emails using POP34 not only from the FIT campuses but from anywhere you want simply use the following parameters

username username stud (eg naa28stud for user naa28) password the password provided by the administrator Incoming server 1943013134 Outgoing server The SMTP server of your Internet Service Provider

o logosnet smtplogosnetcynet o spidernet nautilusspidernetneto cytanetmail-outcytanetcomcy

Students should note the difference between downloading emails and leaving emails on the mail server If you download an email using outlook express then that email is no longer stored on the mail server Therefore if afterwards you wish to retrieve it from home you will not be able to since the mail is no longer there The same is true for downloading emails from home and then trying to retrieve then from FIT When using email clients (like outlook express) you have the option to leave a copy on the mail server This avoids the above problem However the amount of hard disk space available for each student on the mail server is limited as noted in the quota section If you keep copies of your old emails on the server you will fill up the space quickly and the server will not allow you to receive any more emails

It is generally advisable to erase unwanted emails especially those with attachments as the can uncessesarily fill up your allowed disk space For advice on what way is best regarding viewing emails from inside and outside FIT consult a member of the Computing Services Department to discuss your case

4 POP3 is a protocol used for email communication with mail servers Outlook Express uses POP3 You can use Outlook Express for viewing emails outside FIT or any other email client program you prefer

Rules

At any time students who have difficulties using the computer must ask one of the Lab assistants to help them deal with the problem Students must avoid trying to deal with a malfunction or any other problem by themselves That is against the rules and may result Disciplinary Action

Policies

eatingdrinkingStudents are by no means allowed to carry any food or drinks inside the Labs and they will be asked to leave the lab at once

mobile phonesMobile phones must be silent or switched off in the lab area It is not allowed to make a call using your mobile at any time If an incoming call is received and the student wishes to answer it heshe is obliged to get out of the lab and continue the conversation outsideAnyone who is using hisher mobile in the lab will be asked to turn it off and if heshe fail to comply then heshe will not be allowed to continue using the computers

virus checksIf while you are on the computer the computer gives you a Virus Warning do not try to deal with it yourself and do not ignore it Inform immediately the Lab Assistant If you do not do so you yourself may be considered suspicious of attempt to harm College property Note that the CSD can track the persons you logged on to a workstation so it is important that you report any unusual behavior immediately

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible

proof of IDWhile you are using the computer you should have you are student ID card next to you in a visible spot Any failure of presenting you are ID may result to your expulsion from the Lab

Lab assistants Obligations

The Lab Assistants are there to help you Donrsquot be afraid to ask any question you may have regardless whether you feel it is stupid or you should have known it Always remember when in doubt ask for help

FIT Network (Nicosia Campus)Network Structure

A campus-wide networking infrastructure exists at FIT connecting all computers to the main servers and to each other as well as to the outside world (Internet) A very general outlook of the connection is provided below

In the main building students have access to the workstations1 in the computer laboratory area which is located on the third floor It is generally prohibited for students to access workstations other than those found in the laboratories The computer clusters are divided to three labs as shown in the network diagram below

Lab 1 is the general purpose lab Lab 2 is the engineering lab and Lab 3 the art and design lab Whenever labs 1 and 2 are not used for teaching purposes they are

available to students Lab3 may only be used by students if an explicit permission is granted from a lab assistant A timetable is provided at the Lab assistants office indicating what time labs are not used for teaching Entrance in the Lab Assistants Office is not allowed unless to request assistance Entrance to the Server room is not allowed at any time and is considered to be a serious offense

Apart from the workstations located in the computer laboratory area other specialized computer labs exist such as the computer engineering lab the mechanical and civil engineering lab and the Unix lab Workstations in these laboratories are used only for teaching purposes and students are not allowed access outside these hours

In addition to the main building computing facilities the institute maintains a small computer cluster in the library building which is available to students Those computers are available throughout the period the library is open and can only be used for word processing and internet browsing

All clients in the FIT network operate under Windows 2000 or Windows 98 operating system The network is controlled by a number of servers (located in the server room) that operate under Windows 2000 server and Linux operating systems At all times the servers control the operations that users are allowed to perform at the workstations What type of operations is available to studentsfacultyadministrative personnel is decided by the CSD and is under continual review Details on what exactly students can do and what facilities are offered will be provided in the following sections

Opening hours

The Labs in the main building are open from 0800 am to 0700 pm from Monday to Friday and Saturdays from 0900 pm to 1200 pm As mentioned labs are not accessible during teaching hours The relevant timetable is posted in the Lab assistants office

The computer cluster in the Library is also available throughout the period the library is open You should bear in mind however that not all services are available from the library workstations (eg no access to the file space on the file server)

Remote access

Remote access to the institute facilities is not allowed for security reasons However students can access their email accounts from outside the Institutersquos premises For more details look in the Remote Email Access section

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

The amount of free space available is shown when a user opens the home drive as shown on the following figure The example shows the utilization of the home drive for user naa28 Notice that a folder named lsquomailrsquo exists This folder contains email information for the user and should not be changed or deleted

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Having an account at FIT you should always make sure that you abide with the rules and regulations of the Institute

All FIT students are provided with email accounts that can be access from either inside the college premises or from outside The student mail server for all students is located in the Nicosia campus

Email is a very easy fast and reliable way to communicate and transfer files asynchronously with anyone in the world For more information on what exactly email is please ask a lab assistant

Your email address will consist of your username followed by studfitaccy Therefore in the email address of the student in the previous example would be

naa28studfitaccystud indicates that this is a student account and should be saved on the student serverfit stands for Frederick Institute of Technologyac stands for academic as FIT is an academic institutioncy stands for Cyprus as FIT is located in Cyprus

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

Following the above instruction an email account has been created on the local machine The storage of your emails has already been redirected by CSD to point to the lsquoMailrsquo directory in your home drive make sure that you make no changes to this folder as this may affect your emailsViewing FIT emails from outside FIT

You can view your FIT emails using POP34 not only from the FIT campuses but from anywhere you want simply use the following parameters

username username stud (eg naa28stud for user naa28) password the password provided by the administrator Incoming server 1943013134 Outgoing server The SMTP server of your Internet Service Provider

Students should note the difference between downloading emails and leaving emails on the mail server If you download an email using outlook express then that email is no longer stored on the mail server Therefore if afterwards you wish to retrieve it from home you will not be able to since the mail is no longer there The same is true for downloading emails from home and then trying to retrieve then from FIT When using email clients (like outlook express) you have the option to leave a copy on the mail server This avoids the above problem However the amount of hard disk space available for each student on the mail server is limited as noted in the quota section If you keep copies of your old emails on the server you will fill up the space quickly and the server will not allow you to receive any more emails

It is generally advisable to erase unwanted emails especially those with attachments as the can uncessesarily fill up your allowed disk space For advice on what way is best regarding viewing emails from inside and outside FIT consult a member of the Computing Services Department to discuss your case

4 POP3 is a protocol used for email communication with mail servers Outlook Express uses POP3 You can use Outlook Express for viewing emails outside FIT or any other email client program you prefer

Rules

At any time students who have difficulties using the computer must ask one of the Lab assistants to help them deal with the problem Students must avoid trying to deal with a malfunction or any other problem by themselves That is against the rules and may result Disciplinary Action

Policies

eatingdrinkingStudents are by no means allowed to carry any food or drinks inside the Labs and they will be asked to leave the lab at once

mobile phonesMobile phones must be silent or switched off in the lab area It is not allowed to make a call using your mobile at any time If an incoming call is received and the student wishes to answer it heshe is obliged to get out of the lab and continue the conversation outsideAnyone who is using hisher mobile in the lab will be asked to turn it off and if heshe fail to comply then heshe will not be allowed to continue using the computers

virus checksIf while you are on the computer the computer gives you a Virus Warning do not try to deal with it yourself and do not ignore it Inform immediately the Lab Assistant If you do not do so you yourself may be considered suspicious of attempt to harm College property Note that the CSD can track the persons you logged on to a workstation so it is important that you report any unusual behavior immediately

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible

proof of IDWhile you are using the computer you should have you are student ID card next to you in a visible spot Any failure of presenting you are ID may result to your expulsion from the Lab

The Lab Assistants are there to help you Donrsquot be afraid to ask any question you may have regardless whether you feel it is stupid or you should have known it Always remember when in doubt ask for help

available to students Lab3 may only be used by students if an explicit permission is granted from a lab assistant A timetable is provided at the Lab assistants office indicating what time labs are not used for teaching Entrance in the Lab Assistants Office is not allowed unless to request assistance Entrance to the Server room is not allowed at any time and is considered to be a serious offense

Apart from the workstations located in the computer laboratory area other specialized computer labs exist such as the computer engineering lab the mechanical and civil engineering lab and the Unix lab Workstations in these laboratories are used only for teaching purposes and students are not allowed access outside these hours

In addition to the main building computing facilities the institute maintains a small computer cluster in the library building which is available to students Those computers are available throughout the period the library is open and can only be used for word processing and internet browsing

All clients in the FIT network operate under Windows 2000 or Windows 98 operating system The network is controlled by a number of servers (located in the server room) that operate under Windows 2000 server and Linux operating systems At all times the servers control the operations that users are allowed to perform at the workstations What type of operations is available to studentsfacultyadministrative personnel is decided by the CSD and is under continual review Details on what exactly students can do and what facilities are offered will be provided in the following sections

Opening hours

The Labs in the main building are open from 0800 am to 0700 pm from Monday to Friday and Saturdays from 0900 pm to 1200 pm As mentioned labs are not accessible during teaching hours The relevant timetable is posted in the Lab assistants office

The computer cluster in the Library is also available throughout the period the library is open You should bear in mind however that not all services are available from the library workstations (eg no access to the file space on the file server)

Remote access

Remote access to the institute facilities is not allowed for security reasons However students can access their email accounts from outside the Institutersquos premises For more details look in the Remote Email Access section

How to use the Computer

Switch on ndash Switch off

At all times you should not switch on or off a computer unless explicitly instructed by a lecturer or lab assistant You are not to try to do so even if a computer you want to use is off or does not respond In case of doubt always ask a lab assistant to assist you To use the workstations you should follow the login-logoff procedure described in the account section of this handbook

Storage of information

Users of the FIT network will require to access (eg start a program like Internet Explorer to browse the Internet) store (save a report for an assignment) and transfer (move a file to another place for later use) information on the workstations they are working on

A detailed description of where and how information can be stored and accessed is given in the lsquoFIT Account Data Accessrsquo section

Removable storage media (CD-ROMS floppy Zip)

Student files can be transferred from and to the workstations using removable storage media (such as floppy disks zip disks and CD-ROMs) All computers are equipped with a CD-ROM drive and a floppy drive In the Lab 3 as well as in the Lab Assistants office CD writers and zip drives are also provided

To access a removable media you should follow the instructions provided below

1 Place the media into the correct device (eg put the floppy disk in the floppy drive)

2 Double-click on the lsquoMy Computerrsquo icon found on your desktop3 Double-click on the media you wish to access4 Make the file transfer you want

Students should note that the computer security system will not allow them to install anything software on the computer just transfer files

When using removable storage media it is always important to bare in mind the institute rules on computer use You should be particularly careful with virus detection and use of abusivepornographic material

Printingphotocopy facilities

Photocopier A color photocopier exists at the library and can be used by any FIT studentstaff To use the photocopier you should ask the assistance of the librarian Photocopies are at available to FIT students at cost price2 and the amount (depending on number and type of copies) should be paid to the librarian

Printer scanner There are 2 color printers and one color scanner in Lab 3 Lab 3 equipment is available only to students of the Art and Design department and can be used with permission of department lecturers

2 Prices are significantly lower than the corresponding prices of the market The reason why we have to set a price for printingscanning is to discourage unlimited printing abuse

All computers have access to the student printers (HP monochrome LaserJets) for general use Usage of the scanners is free and unlimited provided the material scanned respects the FIT computer use rules For printing each student will have a quota (limit) on how many pages heshe is allowed to print This quota can be renewed by making a request at the lab assistants office and paying the relevant fee Printing costs are set to cost price and are significantly lower than prices found outside

Word processing

Students can use any workstation for word processing Students should note however that documents of a personal nature should abide with the institutersquos rules regarding their content

All PC workstations have Microsoft Word installed and the Institute advices students to use this application for word processing as it is most commonly used The program can be started by clicking the Start button on the bottom right hand of the screen select Programs and then Microsoft Word Students are free to use other word processing programs that are already installed on the workstations It is however prohibited to attempt to install any other word processing application

The default typing characters are set to Latin (English language uses the Latin character set) However all computers in Lab 1 and 2 have Greek character sets installed as well as a specialized tool for Chinese writing To change the language to Greek just select it from the bottom right-hand corner of your screen as shown in the figure below

If the language selection icon does not appear then you should install this setting using the following instructions

1 Click lsquoStartrsquo lsquoSettingsrsquo lsquoControl Panelrsquo2 From the icons shown double-click lsquoKeyboardrsquo3 Double-click on the media you wish to access4 On the top of the window opened select the tab named lsquoInput Localesrsquo5 Click the button lsquoAddhelliprsquo6 From the top list named lsquoInput Localersquo select Greek and the press ok7 Close the windows that are open

To use Chinese writing start the NJStar application To do this click on Start button and then select Programs and NJStar Communicator

Browsing the Internet

FIT maintains a 256Kbps frame relay connection to an Internet service provider therefore students have continuous access to the Internet

For Internet browsing students can use Internet Explorer (IE) To invoke IE click the Start button on the bottom right hand of the screen Select Programs then Internet Explorer Alternatively double click the IE icon on your desktopLearning how to efficiently browse the Internet requires some practice but it is fairly straightforward The important part is to know where to place the address you wish to visit as shown in the figure below

Learning how to find useful information on the Internet requires some practice However a staring point can be the use of the following two sites

wwwgooglecom Provides several links related to the keywords you specifyinfotracgalegroupcom Search from a large selection of academic databases

that can assist you with your studies (contact your course supervisor for usernames and passwords)

AccountsWhat is an account

To be able to use any workstation one should first have an account Without one the computer will not allow access to any applications The CSD creates an account for each student after the registration is confirmed and deletes it after the student graduates or leaves the Institute All accounts are created on the FIT servers

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to use the Computer

Switch on ndash Switch off

At all times you should not switch on or off a computer unless explicitly instructed by a lecturer or lab assistant You are not to try to do so even if a computer you want to use is off or does not respond In case of doubt always ask a lab assistant to assist you To use the workstations you should follow the login-logoff procedure described in the account section of this handbook

Storage of information

Users of the FIT network will require to access (eg start a program like Internet Explorer to browse the Internet) store (save a report for an assignment) and transfer (move a file to another place for later use) information on the workstations they are working on

A detailed description of where and how information can be stored and accessed is given in the lsquoFIT Account Data Accessrsquo section

Removable storage media (CD-ROMS floppy Zip)

Student files can be transferred from and to the workstations using removable storage media (such as floppy disks zip disks and CD-ROMs) All computers are equipped with a CD-ROM drive and a floppy drive In the Lab 3 as well as in the Lab Assistants office CD writers and zip drives are also provided

To access a removable media you should follow the instructions provided below

1 Place the media into the correct device (eg put the floppy disk in the floppy drive)

2 Double-click on the lsquoMy Computerrsquo icon found on your desktop3 Double-click on the media you wish to access4 Make the file transfer you want

Students should note that the computer security system will not allow them to install anything software on the computer just transfer files

When using removable storage media it is always important to bare in mind the institute rules on computer use You should be particularly careful with virus detection and use of abusivepornographic material

Printingphotocopy facilities

Photocopier A color photocopier exists at the library and can be used by any FIT studentstaff To use the photocopier you should ask the assistance of the librarian Photocopies are at available to FIT students at cost price2 and the amount (depending on number and type of copies) should be paid to the librarian

Printer scanner There are 2 color printers and one color scanner in Lab 3 Lab 3 equipment is available only to students of the Art and Design department and can be used with permission of department lecturers

2 Prices are significantly lower than the corresponding prices of the market The reason why we have to set a price for printingscanning is to discourage unlimited printing abuse

All computers have access to the student printers (HP monochrome LaserJets) for general use Usage of the scanners is free and unlimited provided the material scanned respects the FIT computer use rules For printing each student will have a quota (limit) on how many pages heshe is allowed to print This quota can be renewed by making a request at the lab assistants office and paying the relevant fee Printing costs are set to cost price and are significantly lower than prices found outside

Word processing

Students can use any workstation for word processing Students should note however that documents of a personal nature should abide with the institutersquos rules regarding their content

All PC workstations have Microsoft Word installed and the Institute advices students to use this application for word processing as it is most commonly used The program can be started by clicking the Start button on the bottom right hand of the screen select Programs and then Microsoft Word Students are free to use other word processing programs that are already installed on the workstations It is however prohibited to attempt to install any other word processing application

The default typing characters are set to Latin (English language uses the Latin character set) However all computers in Lab 1 and 2 have Greek character sets installed as well as a specialized tool for Chinese writing To change the language to Greek just select it from the bottom right-hand corner of your screen as shown in the figure below

If the language selection icon does not appear then you should install this setting using the following instructions

For Internet browsing students can use Internet Explorer (IE) To invoke IE click the Start button on the bottom right hand of the screen Select Programs then Internet Explorer Alternatively double click the IE icon on your desktopLearning how to efficiently browse the Internet requires some practice but it is fairly straightforward The important part is to know where to place the address you wish to visit as shown in the figure below

Learning how to find useful information on the Internet requires some practice However a staring point can be the use of the following two sites

wwwgooglecom Provides several links related to the keywords you specifyinfotracgalegroupcom Search from a large selection of academic databases

that can assist you with your studies (contact your course supervisor for usernames and passwords)

AccountsWhat is an account

To be able to use any workstation one should first have an account Without one the computer will not allow access to any applications The CSD creates an account for each student after the registration is confirmed and deletes it after the student graduates or leaves the Institute All accounts are created on the FIT servers

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to log-off

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Having an account at FIT you should always make sure that you abide with the rules and regulations of the Institute

You should treat information regarding your account responsibly For example you should always ensure that you logged off after a session to avoid leaving your account open to abuse Similarly you must make sure that nobody knows or can guess your password

Bear also in mind that the CSD keeps a log of the accounts that have logged-on on any workstation Therefore if any attempt is made to hamper with the workstations the Institute will know was the last person accessing that machine and heshe will be held accountable even if someone else was using their account at the time

All FIT students are provided with email accounts that can be access from either inside the college premises or from outside The student mail server for all students is located in the Nicosia campus

Email is a very easy fast and reliable way to communicate and transfer files asynchronously with anyone in the world For more information on what exactly email is please ask a lab assistant

Your email address will consist of your username followed by studfitaccy Therefore in the email address of the student in the previous example would be

naa28studfitaccystud indicates that this is a student account and should be saved on the student serverfit stands for Frederick Institute of Technologyac stands for academic as FIT is an academic institutioncy stands for Cyprus as FIT is located in Cyprus

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to log-off

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible

AccountsWhat is an account

To be able to use any workstation one should first have an account Without one the computer will not allow access to any applications The CSD creates an account for each student after the registration is confirmed and deletes it after the student graduates or leaves the Institute All accounts are created on the FIT servers

Each student will be given a user name and an initial password For example student John Smith will be assigned nad57 as username and pwd782 as password The user name and password can be collected by the student after his registration from the lab assistant office A student should memorize his username and password His username should be publicly available and it is suggested that other people know it (see Email section) The password however for security reasons should not be known by anyone else but the user If a student forgets his password he should inform one of the lab assistants who can reset it

How to login to the network using the account

It should be noted that accounts are only necessary when students will be using workstations with Windows 2000 operating system (The operating system of each workstation can be easily found by clicking Start - Help) Most workstations in the laboratory area operate under windows 2000 Workstations with Windows 98 do not require use of the FIT account but cannot provide certain services like access to personal server space and email viewing

When you take a sit in front of a computer you will observe a message box with the message ldquo Press Ctrl+Alt+Delete to beginrdquo These buttons have to be pressed one at a time and kept press until a new message box pops up This new message box contains User name and Password fields When those fields are filled up with the appropriate user name and password that the student has the login will be accomplished by pressing the OK button The information you enter is sent to the main server so that the correct authentication will take place and all your personal information will be loaded Once logged in you can have access to all the facilities offered as described in the following parts

How to log-off

You must always logout before you leave the computer because otherwise the account and personal data are accessible to others To log of simply press again Ctrl+Alt+Delete and choose Log off from the options that will pop on the screen Another message box will ask you ldquoAre you surerdquo Press OK and you will have logged off

Password changing a password

When you first log on with the password you will be given you are advised to change your password Do so by choosing a password which is hard for someone to guess Name telephone number dates of birth etc are to be avoided Write down your password and keep somewhere safe and do not reveal it to anyone

If you forget your password you will need to visit lab assistant office to be given a new one Passwords are stored on the system in an encoded format so Lab

assistants can not look up your existing one You must bring proof of identity with you preferably your University Photo ID Card

If you intend to change your password it is better to do this at the end of your computing session Usually it takes some time for the whole system to get updated with the new password so do not worry if you seem unable to log on to another computer

To change the password you have set press Ctrl+Alt+Delete A message box will appear with the Change Password option among others Click it and follow the simple procedure to change your password (enter once the old password and twice the new one)

Data access and storage

Students can store data on different locations Students can store data on different locations that can be accessed by double-clicking the lsquoMy Computerrsquo icon as shown below

Access to removable storage media such (as the 312 Floppy (A) and Compact Disk (E)) students can store information on three other locations as indicated by the red arrows

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

5 A series of boxes will appear Enter the following valuesa Your full name as you wish to appear when you send emails (eg John

Following the above instruction an email account has been created on the local machine The storage of your emails has already been redirected by CSD to point to the lsquoMailrsquo directory in your home drive make sure that you make no changes to this folder as this may affect your emailsViewing FIT emails from outside FIT

You can view your FIT emails using POP34 not only from the FIT campuses but from anywhere you want simply use the following parameters

Students should note the difference between downloading emails and leaving emails on the mail server If you download an email using outlook express then that email is no longer stored on the mail server Therefore if afterwards you wish to retrieve it from home you will not be able to since the mail is no longer there The same is true for downloading emails from home and then trying to retrieve then from FIT When using email clients (like outlook express) you have the option to leave a copy on the mail server This avoids the above problem However the amount of hard disk space available for each student on the mail server is limited as noted in the quota section If you keep copies of your old emails on the server you will fill up the space quickly and the server will not allow you to receive any more emails

It is generally advisable to erase unwanted emails especially those with attachments as the can uncessesarily fill up your allowed disk space For advice on what way is best regarding viewing emails from inside and outside FIT consult a member of the Computing Services Department to discuss your case

4 POP3 is a protocol used for email communication with mail servers Outlook Express uses POP3 You can use Outlook Express for viewing emails outside FIT or any other email client program you prefer

At any time students who have difficulties using the computer must ask one of the Lab assistants to help them deal with the problem Students must avoid trying to deal with a malfunction or any other problem by themselves That is against the rules and may result Disciplinary Action

eatingdrinkingStudents are by no means allowed to carry any food or drinks inside the Labs and they will be asked to leave the lab at once

mobile phonesMobile phones must be silent or switched off in the lab area It is not allowed to make a call using your mobile at any time If an incoming call is received and the student wishes to answer it heshe is obliged to get out of the lab and continue the conversation outsideAnyone who is using hisher mobile in the lab will be asked to turn it off and if heshe fail to comply then heshe will not be allowed to continue using the computers

virus checksIf while you are on the computer the computer gives you a Virus Warning do not try to deal with it yourself and do not ignore it Inform immediately the Lab Assistant If you do not do so you yourself may be considered suspicious of attempt to harm College property Note that the CSD can track the persons you logged on to a workstation so it is important that you report any unusual behavior immediately

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible

proof of IDWhile you are using the computer you should have you are student ID card next to you in a visible spot Any failure of presenting you are ID may result to your expulsion from the Lab

The most important location to understand is the home drive or H drive This drive is identified by ldquostudent usernamerdquo on lsquosambarsquo In the example shown above the user logged on is nab04 therefore the home drive is identified by

nab04 on lsquosambarsquo (H)For information purposes samba is the name of the student server and it is used for file and email storage Information stored on this drive is transferred onto the server and can only be accessed by user nab04 on any FIT workstation with Windows 2000 operating system For example if the user nab04 saves an assignment on H drive while working on a computer in Lab 1 after he logs off the next user of that computer (say user nac98) will not be able to see nab04rsquos assignment In contrast if nab04 logs on to a computer in Lab 2 he will still be able to access his assignment

Students are encouraged to store personal information on the H drive The only problem with storing information on the home drive is its limited capacity For more details look at the next part

Apart from the home drive students can access a public drive named Public on lsquosambarsquo (P)

This drive is common to all students and can be accessed by everyone Anyone can put files in that drive and anyone can copy them move them or delete them The total capacity of this drive is 2GB It is important to realize that storing information on P drive is not safe at all and the system administrator is likely to perform periodical clean-up operations to ensure that the drive operates best Therefore students should not store important or sensitive information here The purpose of this drive is to enable students to transfer potentially large files between them and it should be considered as a common space when people just want to place data for other people to see P drive can be accessed by everyone on any workstation

Students can also store information locally on the workstation they are working on This drive is usually named WORK_DRIVE or STUDENTS but it may also be given a different name In most cases it is assigned the drive letter D but on certain workstations where D corresponds to the CD-ROM it is named E Students can store information on this drive but again this information is not secure Data stored on the local drive can be accessed by anyone but only from that workstation The local drive normally has a capacity of more than 10GB and can be used when manipulating very large files or for temporary storage of information Again this drive may be periodically cleaned up

Students should note that they can very limited access to the main local drive (C) where all the system and the programs are stored and should not attempt to alter anything on that drive (not visible when opening lsquoMy Computerrsquo)

Allowed disk space (disk quotas)

As storage resources are limited each user is forced by the system to have a limit on the amount of server space it can use This limit is called the disk quota Depending on the status of each user a different quota is placed as indicated by the following table

The amount of free space available is shown when a user opens the home drive as shown on the following figure The example shows the utilization of the home drive for user naa28 Notice that a folder named lsquomailrsquo exists This folder contains email information for the user and should not be changed or deleted

It is important to realize that the assigned quota does not only correspond to personal files but also to emails and student profile (information regarding student preferences and settings) Students are not allowed to exceed the provided quota and will be warned when the amount of disk space used is close to the limit Particular care should be paid to the deletion of unwanted emails especially the ones that include file attachments More information on this issue is provided in the email section of the handbook

If a student feels that there is valid reason for increasing his quota he should obtain a written notice from his course supervisor to the Computer Services Department Office and his quota will be increased Student quotas can be increased to a maximum of 20MB If a student would like more space subsequent server space is charged by MB3

Responsibilities of having an account

Having an account at FIT you should always make sure that you abide with the rules and regulations of the Institute

You should treat information regarding your account responsibly For example you should always ensure that you logged off after a session to avoid leaving your account open to abuse Similarly you must make sure that nobody knows or can guess your password

Bear also in mind that the CSD keeps a log of the accounts that have logged-on on any workstation Therefore if any attempt is made to hamper with the workstations the Institute will know was the last person accessing that machine and heshe will be held accountable even if someone else was using their account at the time

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

3 From the menu click on Tools and then Accountshellip as shown below

4 Click Add and then Mail

5 A series of boxes will appear Enter the following valuesa Your full name as you wish to appear when you send emails (eg John

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

Email Accounts

All FIT students are provided with email accounts that can be access from either inside the college premises or from outside The student mail server for all students is located in the Nicosia campus

Email is a very easy fast and reliable way to communicate and transfer files asynchronously with anyone in the world For more information on what exactly email is please ask a lab assistant

Your email address will consist of your username followed by studfitaccy Therefore in the email address of the student in the previous example would be

naa28studfitaccystud indicates that this is a student account and should be saved on the student serverfit stands for Frederick Institute of Technologyac stands for academic as FIT is an academic institutioncy stands for Cyprus as FIT is located in Cyprus

Viewing emails inside the FIT campus

The following procedure describes how students can access their emails from inside the campus

1 After log in launch outlook express (the following button located on the bottom left part of your monitor)

2 Outlook Express is called an email client application and its purpose is to enable users to look at their emails Since this is the first time you start this program you should create your mail account This action will not be necessary again Put the following entries

3 From the menu click on Tools and then Accountshellip as shown below

4 Click Add and then Mail

5 A series of boxes will appear Enter the following valuesa Your full name as you wish to appear when you send emails (eg John

Smith) Click Nextb your email account is the username you have followed by studfitaccy

(eg if your username is lac241 your email is lac241fitaccy) Click Nextc For Limassol campus students enter

Incoming Server 1943013134 Outgoing Server mail-outcytanetcomcyFor Nicosia campus students enter Incoming Server 194422911 Outgoing Server 194422911 Click Next

d Nicosia students leave the username as is and use your login password in the password field Click NextLimassol student add the following characters to your username stud (user lac241 will have username lac241stud) For the password use the password provided by your administrator Click NextNote that the email passwords can only be changed by the administrator in Nicosia If for any reason you wish to change your password contact your administrator at charalamfitaccy

e Click Finish and Close

Following the above instruction an email account has been created on the local machine The storage of your emails has already been redirected by CSD to point to the lsquoMailrsquo directory in your home drive make sure that you make no changes to this folder as this may affect your emailsViewing FIT emails from outside FIT

You can view your FIT emails using POP34 not only from the FIT campuses but from anywhere you want simply use the following parameters

username username stud (eg naa28stud for user naa28) password the password provided by the administrator Incoming server 1943013134 Outgoing server The SMTP server of your Internet Service Provider

o logosnet smtplogosnetcynet o spidernet nautilusspidernetneto cytanetmail-outcytanetcomcy

Students should note the difference between downloading emails and leaving emails on the mail server If you download an email using outlook express then that email is no longer stored on the mail server Therefore if afterwards you wish to retrieve it from home you will not be able to since the mail is no longer there The same is true for downloading emails from home and then trying to retrieve then from FIT When using email clients (like outlook express) you have the option to leave a copy on the mail server This avoids the above problem However the amount of hard disk space available for each student on the mail server is limited as noted in the quota section If you keep copies of your old emails on the server you will fill up the space quickly and the server will not allow you to receive any more emails

It is generally advisable to erase unwanted emails especially those with attachments as the can uncessesarily fill up your allowed disk space For advice on what way is best regarding viewing emails from inside and outside FIT consult a member of the Computing Services Department to discuss your case

4 POP3 is a protocol used for email communication with mail servers Outlook Express uses POP3 You can use Outlook Express for viewing emails outside FIT or any other email client program you prefer

At any time students who have difficulties using the computer must ask one of the Lab assistants to help them deal with the problem Students must avoid trying to deal with a malfunction or any other problem by themselves That is against the rules and may result Disciplinary Action

Policies

eatingdrinkingStudents are by no means allowed to carry any food or drinks inside the Labs and they will be asked to leave the lab at once

mobile phonesMobile phones must be silent or switched off in the lab area It is not allowed to make a call using your mobile at any time If an incoming call is received and the student wishes to answer it heshe is obliged to get out of the lab and continue the conversation outsideAnyone who is using hisher mobile in the lab will be asked to turn it off and if heshe fail to comply then heshe will not be allowed to continue using the computers

virus checksIf while you are on the computer the computer gives you a Virus Warning do not try to deal with it yourself and do not ignore it Inform immediately the Lab Assistant If you do not do so you yourself may be considered suspicious of attempt to harm College property Note that the CSD can track the persons you logged on to a workstation so it is important that you report any unusual behavior immediately

software installationThe installation of any kind of program whether brought by the student on removable media (floppy CD-ROM) or downloaded from the Internet is strictly forbidden and is consider to be a direct violation of rules Severe measures will be taken against anyone who tries to do so If you think an installation of a specific application is necessary or helpful towards your studies you should make the request to a lab assistant and you will be notified whether the Institute agrees with you In such a case it is again important that you do not attempt to make the installation yourselves Always note that any installation on the Institutersquos computer facilities must only be carried out by CSD personnel Security measures have been installed on workstations to disable users from pursuing such actions

obscenepornographic materialViewing obscene and pornographic material is strictly forbidden Anyone which is caught doing so faces the expulsion from the labs Repeated failure to comply with this rule risks permanent expulsion from the lab area except teaching hours

reporting faultsdamagesIt is your responsibility to report any damage or fault you have observe on the computer you are about to use If you do not do so and use a computer in a fault condition you might be held responsible as Lab assistants know who has used the computer for the last time

vandalismDamage in the labs like braking scratching writing etc on anything which is to be considered College property is strictly forbidden and is a serious offence Disciplinary actions will be taken against anyone who will not comply with this rule and prosecution is possible
