Welcome Address

Dear Colleagues,

It is my great pleasure to invite you to the 9th International Orthodontic Congress (IOC) of the World Federation of Orthodontists which will be held in Yokohama, Japan in October 2020.

We believe that holding the 9th IOC, for the first time in Asia, will be an excellent opportunity to share the latest knowledge and outcomes in the clinical and basic sciences of our profession under the integrated theme, “Broadening the Vision in Orthodontics: Orthodontics as the starting point for health science”. It is noteworthy that the 12th Asian Pacific Orthodontic Conference and the 79th Annual Meeting of the Japanese Orthodontic Society will be co-hosted with the 9th IOC. This will be an ideal opportunity for orthodontists and oral care professionals to get together from around the world for the benefit of orthodontic patients.

The Local Organizing Committee has been established and is preparing attractive programs to meet the high expectations of speakers, delegates, participants and accompanying persons. We have chosen PACIFICO Yokohama as the venue, as it offers a large space to meet the needs of an international convention. The facilities include the National Convention Hall of Yokohama, the Conference Center, the Exhibition Hall and the InterContinental Yokohama Grand Hotel.

The infrastructure around the city of Yokohama, only a 30-minute ride from Tokyo, will be greatly expanded and refurbished along with the holding of the Tokyo 2020 Olympic and Paralympic games in the summer. October in Yokohama is the best season to enjoy good food, the arts, festivals and live music as the autumn season begins.

The 9th International Orthodontic Congress (IOC) will be held from 4th to 7th October, 2020 in the historic, beautiful city of Yokohama, Japan. Along with it, the 12th Asian Pacific Orthodontic Conference (APOC) will be held at the same venue for the same duration.

Undoubtedly, this combined grand event will attract top orthodontists, distinguished researchers, decision makers of companies/organizations, and many other professionals in the dental profession from around the globe to come together to share their expertise, and exchange their ideas and thoughts, which are likely to influence the future of the orthodontic profession.

The joint meeting of the 9th International Orthodontic Congress (IOC), the 12th Asian Pacific Orthodontic Conference (APOC) and the 79th Annual Meeting of the Japanese Orthodontic Society (JOS) will be held in the international port city, Yokohama, Japan on 4-7 October, 2020.

I believe that holding this world event will be a great opportunity for Japanese and international orthodontists to share the fruits and findings of the basic research and treatment practice that the Japanese orthodontic community has accumulated over the years, while deepening ties between orthodontists and other related domains so that our area of specialization can further develop as an important pillar of health science.

I also believe that a Japan-based gathering of orthodontists and dental care professionals from around the world, who will bring with them their expertise, experiences and wisdom, will be of particular significance in expanding and supporting the need for orthodontic care that is rapidly growing worldwide, and especially in Asia.

For the 9th IOC / the 12th APOC / the 79th JOS annual meeting, I would like to propose to our colleagues in Japan as well as the world over and those who support our profession to deeply reflect on the role of orthodontists, whose importance is expected to grow further in the future, as the starting point for health science, so that we may be able to continue fulfilling this role most optimally.

ModificationIn principle, any modification of the number of booths after deadlines are not allowed.

Booth Layout and Number of booths

The number of booths and the allocation will be decided by the Exhibition Committee after approval of the congress chairman of 9th IOC.

In addition, this time we will not establish an upper limit on the number of booths to be exhibited, but if the number of applications exceeds the number of booths that can be accommodated in the whole venue, we may not be able to grant all requests for the desired number of booths.

Cancellation Policy

Cancellation of items must be made in writing to the secretariat (wfo2020-exhibition@congre.co.jp)

The organizer shall retain:A) Up until the deadline of payment: 100% B) Within 30 days of the deadline for payment: 50% C) On/after the 31st day after the deadline for payment: No refund

In case the secretariat cannot confirm the payment, it will betreated as cancellation.

Exhibition

Exhibitors are strictly required to comply with the Pharmaceuticals and Medical Device Law of Japan (formerly the Pharmaceutical Affairs Law), and related laws and regulations.

In particular,1. Treatment and explanation of medical equipment and/or other items that have not been

approved under the law:*Special application and approval procedures are required in order to import non-approved items for display at an Exhibition in Japan.

Method of exhibition:(1) There shall be clear indication that the product for exhibition is an unapproved

product and that it cannot be sold or conferred. The mode of indication shall be unified throughout the exhibition.

(2) Information on production method, efficacy, and performance shall be solely based on facts including data from experiments conducted precisely and objectively (it shall be limited to scientific expressions avoiding any advertising-like expressions).

(3) Distribution of related materials and so forth shall not be allowed in principle. However, it is not prohibited to provide copies of scientific reports that have already been reviewed, including supplementary volumes of research reports, in response to requests from doctors (catalogs, etc. are considered to be advertising material and therefore cannot be distributed).

(4) It is acceptable to adopt the planned sales name as long as the purpose is to improve and develop academic research. (However, distribution of prepaid cards or gifts with sales names is prohibited).

(5) Advertisement similar to that for approved products shall not be conducted for unapproved products (e.g. introduction of unapproved products using microphones or loud speakers, introduction by audiovisual devices of matters that have not been presented or reported in academic societies, and exhibition methods that will make the unapproved product stand out from approved products are prohibited).

If any serious violation is found, the organizer may ask the exhibitor to withdraw their exhibits.

Application to Participate

Application to participate will be considered only if submitted on the appropriateforms, duly completed. Registration will be confirmed insofar as space is available.Applicants will be informed in writing of the acceptance or refusal of their application. In case of refusal, all payments shall be fully refunded. In case of acceptance Sponsors/ Exhibitors will be bound by the Terms and Conditions listed in the prospectus and/or contractual agreement.

Obligations and Rights of the Exhibitor/ Sponsor

Registration implies full acceptance by the Exhibitors/Sponsors of the exhibition/ sponsor regulations. Any infringement of these regulations may lead to immediate withdrawal of the right to participate in the Congress without compensation or refund of sums already paid, and without prejudice to the Exhibitor/Sponsor.By submitting an application to participate, the Exhibitor /Sponsor make a final and irrevocable commitment to occupy the space /items allocated and to maintain his/ her installation until the date and time fixed for closure of the event.The Exhibitor/Sponsor may only present on his/her stand or space the materials, products or services described in the application to participate.No advertising on behalf of firms not exhibiting is permitted in any form whatsoever. Transfer or sub-letting of all or part of the allocated spaces is prohibited.

Obligation and Rights of Organizer

The Organizer undertakes to allocate exhibition space/sponsor items space as far as possible on the basis of the preference expressed by applicants. Application will be considered in order of receipt of application forms accompanied by payment.The Organizer reserves the right, in case of absolute necessity, to modify the position-ing of stands, with no obligation to provide compensation to Exhibitors/Sponsors.The Organizer reserves the right to offer to a different firm any stand, space or sponsor item that has not been occupied by the opening of the Congress, with no obligation to provide compensation to the defaulting Exhibitor / Sponsor.

Liability Insurance

Equipment and all related display materials installed by Exhibitors / Sponsors are not insured by the Organizer, and the Organizer

under no circumstances will be liable for any loss, damage or destruction caused to equipment, goods or property belonging to Exhibitors / Sponsors. The Exhibitor / Sponsor agrees to be responsible for his/her property and person and for the property and persons of his/ her employees and agents and for any third party who may visit his/ her space. The Exhibitor/Sponsor shall hold harmless the Organizer from any and all damages/claims including those usually covered by a fire and extended –coveragepolicy. The Sponsor/Exhibitor shall purchase insurance policies for the above listed damages.

Exhibition Regulations

The Exhibition Manager, acting under direction of the Organizing Committee, has the final decision as to the acceptability of displays. Exhibitors are not to share with others any space allotted to them without prior written consent by the Exhibition Manager.The Organizer reserves the right to alter the general layout or limit the space allottedto each Exhibitor / Sponsor, postpone the exhibition or transfer it to another site if unforeseen circumstances warrant such action. Should any contingency prevent the holding of the exhibition, the Organizer will not be held liable for expenses incurred other than the cost of exhibit space rental fees. All exhibits are to be displayed soas to avoid blocking aisles, obstructing adjoining booths, or damaging the premises or the leased equipment. Exhibitors are kindly requested to allow sufficient see-through areas, which ensure clear views of surrounding exhibits.Exhibitors are responsible for the cost and execution of the design, installa- tion and delivery of their display to (and its removal from) the exhibition site.Flammable materials are not to be used. Equipment displayed or demonstrated must be installed with strict adherence to safety measures.Exhibitors undertake to observe the timetable designated for completion of their display before the exhibition opening and its dismantling at the close of the exhibition. No dismantling or packing of the display is allowed before the designated hour.It is the Exhibitor’s responsibility to pack and remove or consign for shipment all items of value prior to leaving their exhibit unattended, otherwise the Organizer will arrange for their removal at the Exhibitor’s risk and expenses.

Exhibitors are obliged to ensure that their stands are permanently staffed during the exhibition opening hours.Payment is to be made in accordance with the conditions of payment listed in the prospectus.Should the Exhibitor /Sponsor fail to make a payment on time, the Organizer isentitled to terminate the contract, withdraw confirmation of acceptance, make other arrangements for the stand/ sponsor items or seek compensation for non-fulfilment of contract.Participation by Exhibitors/Sponsors is dependent upon compliance with all rules, regulations and conditions stated herein.Access to the exhibition is authorized on presentation of a badge issued by the Organizer. Exhibitors’ badges will not be mailed in advance and may be collected from the Exhibition Manager’s desk.The Organizer ensures daily cleaning of the aisles. Exhibitors /Sponsors are responsible for the cleaning of their stands.The provision of refreshments for the participants by Exhibitors is only permitted if the catering regulations of the exhibition building concerned are observed.Exhibition areas and fittings made available to Exhibitors must be handed back in their original condition. In case of damage or loss of equipment provided, or damage to areas occupied, repair and replacement will be charged to the Exhibitor.Any special decoration or fittings must be submitted to the Organizer for prior authorization.Advertising panels and display are not permitted outside the exhibition areas allotted to Exhibitors.The Organizer will not approve stands, which do not comply with the accepted standards, until the necessary changes have been made.

Code of Practice

It is the Exhibitor’s / Sponsor’s responsibility to comply with the local authority’s regulations, JFTC (Japan Fair Trade Council of Medical Devises Industry) https://www.jftc-mdi.jp/fcc/english.html and IFPMA (International Federation of Pharmaceutical Manufacturers & Associations) www.ifpma.org Code of Practice on the Promotion of Medicines. Failure to comply with these regulations may not be used as a ground to declare the contract void. Failure to comply with Terms & Conditions will not expose the Organizer to any suits, demands by the Sponsors/Exhibitor/any third party.
