Congratulations on your wedding!
The Regency Hotel has been hosting wedding receptions for over
25 years and we are sure that this venue provides you comfort
with character.
We have three wedding packages for you; all at an affordable
rate, to suit most budgets, weddings can be a very expensive
time which is why we have put together these packages.
The team here have vast experience in organising events and
functions and your special day is in good hands, from the
moment you walk through the door as fiancé to the moment you
leave as a married couple!
Please have a look over the various packages and menu choices,
please note price is as a whole and not per person, we do have a
children’s menu should you have children attending your special
day, please let us know as soon as possible and we can reflect
this in the price for you.
All of our packages are for a maximum of 60 daytime guests and
any additional evening guests for the buffet is extra and up to
100 guests, we cannot accommodate any more in the evening
due to health and safety policies.

Package A
£2500 this includes:
Exclusive use of the hotel for you and your guests Access the day before
14 En-suite bedrooms (including the bridal suite) Light and Full English Breakfast the next morning
A cake knife Tablecloths and Napkins in white
Buffet
The above price is for 60 guests, any additional guests (please note sit down functions we can only cater for 60 guests) for the evening reception is priced at £11.00 per
person (up to 100 guests), the above price does not include welcome drinks etc.
You can have the buffet as a sit down buffet after the
wedding ceremony and add another buffet in the evening for £11.00 per person or add bacon or sausage rolls for
£5.00 per person.
Package B
£4100 this includes:
Exclusive use of the hotel for you and your guests Access the day before
14 En-suite bedrooms (including the bridal suite) Light and Full English Breakfast the next morning
A cake knife Tablecloths and Napkins in white
Welcome drinks (bucks fizz) 3 Course Wedding Breakfast
Buffet
The above price is for 60 guests, any additional guests (please note sit down functions we can only cater for 60 guests) for the evening reception is priced at £11.00 per
person (up to 100 guests).

£5000 this includes:

Complimentary Hotel Room for the bride the night before the wedding*

something you would like, please let us know and
we will see what we can do for you.
Each menu has one option each, you can mix and
match your menu if you wish to suit your taste,
We do ask to keep the menus strictly to one
appetizer, main and dessert (please let us know
of any dietary requirements).
We are only too happy to help with your menu
choice and if you only want sausage and mash,
this can be arranged!

FAQ
Please see below for common questions and our answers!
Q: I have below 60 for my wedding, what can I do?
A: Please talk to us! All of our packages have a ‘price per head’.
Q: But not all of the guests I am paying for are staying overnight; I don’t want to pay full
price for those not staying!
A: A lot of our couples charge their guests staying instead to cut costs, this is completely up
to you if you decide to do this, doing it this way reduces the price per head for everyone,
meaning less you will pay yourself but all the rooms must be paid for in advance when you
pay the remainder of your balance.
Q: Can I bring my own welcome drinks/ toasts if I don’t opt for the top package?
A: You can, with prior arrangement at the time of booking but you have to pay for corkage
fee’s which is £9.00 per bottle.
Q: What kind of decorations can I have?
A: You can decorate how you wish, providing you do not nail anything to any walls etc.
We do not allow sprinkles on the tables or candles (battery operated are fine)
Q: Can I have the fire on?
A: Due to health and safety, We cannot allow the fire to be lit.
Q: Can I use the pool?
A: We do not use the pool currently and due to large numbers if it was to be operational,
we would have to decline due to health and safety.
Q: Can my guests use their cards to pay for drinks?
A: Only guests staying at the hotel overnight can open ‘tabs’ up and pay for their drinks at
the end of the day, it is strictly cash on the night.
Q: Can I bring my own caterers in?
A: All food must be supplied by The Regency Hotel, anyone with a strict specialist diet,
please let us know and with prior arrangement this can be waivered.
Q: Can I get into the room early to decorate?
We start setting the room up from around Wednesday (if a weekend wedding), you can feel
free to come down and drop items off anytime (please let us know in advance), you can get
things delivered here if easier for you, within reason, please do not have flowers sent here
any earlier than 24 hours as we have no way to keep them fresh, we would prefer the
morning of your wedding.
Q: Are children ok to come?
A: Of course! However we do ask that there is a parent/adult supervising them at all times,
that they do not run up and down the stairs or in the corridors and outside areas (unless
supervised).
Q: I have 55 adults and 5 children coming, do I still need to pay for the 60 full priced
adults?
A: There will be a reduction of £20.00 per child attending, so 5 children would be a
£100.00 saving on your overall bill.
Q: Can I come and taste the food before the wedding?
A: Unfortunately as we are a small hotel we do not have a chef on site all the time and
cannot cater for this.
Q: It seems very expensive!
A: You are paying for room hire essentially from the day before, staff, chef, table cloths and
cleaners to come in afterwards, plus hotel rooms (unless you opt for your guests to pay),
breakfast the next day and any hire items we may need for your big day!
Q: Can I fit a few more in for dinner?
A: Unfortunately our maximum capacity due to fire regulations is 60 people.
To help us on the day, would you be so kind to fill this out for us and bring it
with you to your last meeting with us?

Terms and Conditions of business
A. Definitions
The company: The Regency Hotel Trading Limited, Old Hollow, Worth, Crawley, West Sussex, RH10 4TA.
The Premises means The Regency Hotel, Old Hollow, Worth, Crawley, West Sussex, RH10 4TA
You, ‘The Client’ is responsible for commissioning and payment of the function
The contract is between Us/We ‘The Regency Hotel’ and You ‘the client’.
The functions means the party/reception/wake is to be held at The Regency Hotel, Old Hollow, Worth, Crawley, West Sussex, RH10 4TA.

You ‘the client’ are responsible for completing the information sheet for Us, ‘The Regency Hotel’: The information includes; lead name for point of contact, timings for the day etc.
Please note that all music must cease at the latest 00:00 hours, due to our licensing policy.
C.Terms
All bookings are provisional until the contract has been signed by both parties; Us ‘The Regency Hotel’ and You ‘The client’ and a non-refundable deposit of £500.00 is paid to Us, ‘The Regency Hotel’.
The balance of the function must be paid 1 calendar month before the function, if the function has less than 1 calendar month at time of booking, balance must be paid one week in advance.
If the balance is not paid at least 1 calendar month before the function (or one week if less than 1 month), the agreement will be void and the deposit fortified.
Cancellation Policy If you have to cancel or change the date of your booking 30 days prior to the function, Us ‘The Regency Hotel’ has the right to charge a cancellation fee as follows: 30 days and 8 days before the function: 90% 7 days or less before the function: 100% ‘The Cancellation fee’ will be the final balance you have paid to Us, ‘The Regency Hotel’. If a refund is due this will be made to You, ‘the client’ after the function.
Should the hotel for reasons beyond our control need to cancel or make any substantial changes to your booking, We ‘The Regency Hotel’ will find another hotel/venue within a 5 mile radius from The Regency Hotel, if You ‘the client’ accept the alternative, the deposit and balance (if paid) will be transferred to the new venue. If You ‘the client’ does not accept the new venue, all monies (including deposit) will be returned to you and the agreement ceased without any claim from either party.
C. General
The Regency Hotel does not book vendors for your function, any vendors must be booked by You ‘the client’ and any monies must be paid by You ‘the client’, the hotel accepts no liability for such items or costs.
DJ services, All DJ equipment must be PAT tested and full insured, We ‘The Regency Hotel’ will ask for a copy of this, The hotel has a PRS license but the DJ must be compliant.
Behavior within the hotel and grounds, We, ‘The Regency Hotel’ have the right to ask any one of your party to leave the premises if their behavior is unacceptable
All children at The Regency Hotel must be looked after by You ‘the client’ and your guests, We ‘The Regency Hotel’ wants you to enjoy your time here with us but We ‘The Regency Hotel’ is not responsible for any children while you are here this includes: running around the hotel, running up and down the stairs, Everyone’s comfort and safety is our main priority, around the pool area all children must be accompanied by an adult, if children continue to misbehave the parents might asked to leave.
In any of the above instances no money will be returned to You, ‘the client’.
You will be asked to reimburse Us ‘The Regency Hotel’ for any damages to the hotel or grounds, caused by you or your guests.
No wines, beers, spirits, soft drinks or food maybe be bought into the hotel, If any of your party is allergic to anything and wishes to bring any foods with them written consent by Us ‘The Regency Hotel’ must be made prior, this does not cover baby food, You ‘the client’ or your guests are welcome to bring baby food.
The Regency Hotel cannot be held responsible for any dietary or allergies not disclosed before the function, where possible, all food choices must be confirmed with The Regency Hotel 1 calendar month before your function.
The Regency Hotel must comply with local licensing laws and statutory regulations and You ‘the client’ must fully support Us ‘The Regency Hotel’.
If you would like to decorate the hotel, you may do so but where this may cause damage to the hotel please speak to the event host prior, any damage to hotel property will result in You ‘the client’ reimbursing, Us ‘the Regency Hotel’, We ‘The Regency Hotel’ strongly advise you to take out the relevant insurances against cancellation, third party claims or liability, your contract with the hotel is on the basis that you will indemnify the hotel against third party claims connected with the booking.
The Regency Hotel bar is cash only, card payments cannot be taken, anyone staying at The Regency Hotel as part of your group are welcome to add their purchases to their overall bill, We ‘The Regency Hotel’ highly recommend advising your guests of this prior to the function
Prices quoted include VAT at the rate prevailing when the contract was prepared and are subject to alterations should the rate change.
The Regency Hotel prohibits: Use of any candles/naked flames around in or around the hotel, electric candles/flames are allowed, Sprinkles or other confetti items on the table or around the room and confetti in general must be biodegradable if being used outside.
