Purpose and Process The Purpose of this catalog is to provide the schools a resource for planning purposes and putting their furniture REQUIRMENTS together. The furniture in this catalog are standard furniture items placed throughout the District.

1. Schools will forward their requirement to Purchasing for a formal quote. If the item needed is not in thecatalog, contact the Purchasing Department for price or quote information.

2. Once Purchasing has the quote back from the vendor, the quote will be forwarded back to the schoolsto secure funding.

3. Once funding is secured, the school bookkeeper or department requestor will load the request intoSmart Stream.

When Ordering Bid Reference: All Purchase Orders must display the Bid Number / Quote Number / Contract Number or the vendor will not honor the discounts listed. Always include the item model or part number in the item description.

Special Handling: If the items being ordered are large, bulky or heavy, you may need to specify liftgate / or inside delivery in which additional fees may apply.

Installation: The individual(s) assigned to oversee the delivery and distribution of items should determine if they NEED someone to put the furniture together. Make a note in the comments section of the Purchase Order if ordering installation.

Colors/Finishes/Laminates: Be sure to specify on your Purchase Order the finish, color or laminate and/or size for your furniture as applicable.

Appointment: A point of contact should be noted on the Purchase Order. Put in the comments section of the Purchase Order to contact the school or point of contact 24 hours prior to delivery for an appointment.

When Receiving Delivery Lead Time: A typical delivery time of 4-6 weeks after the vendor receives your Purchase Order is not unusual. During the summer, shipping can take 5-7 weeks. Plan accordingly.

Quick Ship: See Virco’s Quick Ship catalog that are shipped in 10 working days or less of order entry.

Installation Expectations: If items are ordered with installation at an additional cost, the vendor is responsible for unloading and bringing the boxes inside. After receipt of the items, the vendor will send an installation crew to come assemble and distribute the items to specified locations.

Apparent Damage: Items that are delivered with visible damage to the outside of the box will have apparent damage. This does not mean that the item inside is damaged, but need to be noted on the bill of lading prior to the truck driver leaving the site. Contact the vendor directly and have them inspect the damage for replacement or repair.

Concealed Damage: Items that are later discovered damaged inside boxes that do not have apparent damage to the outside of box will have concealed damage. This damage is found when items are being verified for accurate quantity, color, size, etc. Take a picture of the damage and call or e-mail the vendor representative directly.

Clean Up

If the purchaser does not pay for installation, the cleanup of debris will be the responsibility of the person(s) assigned to oversee the distribution of items purchased. Clean up will consist of properly disposing of cardboard boxes and making sure the area is clean of all trash.

If the purchaser does pay for installation, then the vendors installing furniture/equipment will be responsible for properly removing and disposing of debris.
