INFORMATION SECTION

(Incorporating Rules and Regulations)

1. DEFINITIONS

In these Rules & Regulations, unless the context otherwise requires, the following words and expressions

shall have the following meanings;

“Booth Fitting Period” means the period during which the Exhibitors shall carry their respective Booth

Fitting Works in accordance with the terms contained herein and the Schedule;

“Exhibits” means products, promotional gifts, catalogues, pamphlets and such other materials to be

displayed, distributed and/or used at the Exhibition Booth which have been duly approved by the Organizer;

“Exhibition” means event and the exhibition organized by the Organizer;

“Exhibition Booth” means the booth allocated and/or reserved for the Exhibitor;

“Exhibition Hall” means the hall where the Exhibition is held;

“Exhibitors” mean parties hiring Exhibition Booth from the Organizer in accordance with the Terms and

Conditions together with these Rules and Regulations contained herein;

“Exhibition Period” means the period from 18th – 19th Sept 2017 where the Exhibition is held;

“Organizer” shall have the same meaning as contained in the Terms & Conditions;

“The Official Contractor” means Biz Creations (M) Sdn. Bhd. who is duly appointed by the Organizer to

carry out the Booth Fitting Works on the Exhibition during the Exhibition Period;

“Rules and Regulations” means the rules and regulations as appeared herein where the Exhibitors must

duly observed, performed and complied with which are subject to changes by the Organizer from time to

time as it deems necessary; and

“Venue Provider” means Hall D, Maeps, Serdang, Selangor who is the owner and/or the manager of the

Exhibition Hall.

2. ADMISSION

a) Exhibitors

Exhibitors will have access to the Exhibition Halls on 17th SEPT 2017 (time to be advised) for the

purpose of products delivery and booth fittings. All exhibitors are required to register at the Registration

counter to collect all necessary passes.

b) Visitors

3. SHELL SCHEME EXHIBITION BOOTH

Shell Scheme booths will be built from modular systems to the following specification:

a) Size: 2.0m(L) x 2.0m(W) x 2.4m(H)

b) White color infill panel fascia header board

c) Fascia to include exhibitor name in block type cut-out lettering

d) Selected white color infill paneling exhibition board c/w white color system runner and pole

e) Needle punch carpet for flooring at within booth area

f) One nos. (2) of fluorescent light

g) One no. (1) of information table with open shelf

h) Two nos. (2) of white color plastic folding chair

i) One no. (1) of 13 Amp power points

j) One no. (1) of waste paper basket

4. UPGRADED SHELL SCHEME

The Official Contractor, Biz Creations (M) Sdn Bhd offers an alternative to Exhibitors who have selected to

take the basic Shell Scheme package, but would like to upgrade their stand. The package includes curved

and raised fascia board, additional lighting, furniture, arches and other equipment to match paneling. If you

wish to receive a quote for this upgrade, please complete Form BC 5 and return the completed form directly

to the Official Contractor’s Office.

5. RULES & REGULATION FOR EXHIBITORS

a) No additional fitting or display may be attached, nailed, screw or drilled to the Shell Scheme structure. If

this instruction is ignored, the Official Contractor may charge the Exhibitors for damages to shell

scheme booth. If your required assistance in hanging or displaying your exhibits, please consult the

Official Contractor.

b) No painting or wallpapering of panels is allowed. Exhibitors who wish to have any panel painted or

wallpapered must inform the Official Contractor officially for a quotation before such work is carried out.

c) No suspensions can be made from the space frames of the Exhibition hall, nor may any fixing be made

to the floor, columns, walls or any other parts of the building structure.

d) Any change to the type or color of the floor covering provided, must be discussed with the Official

Contractor. Any cost incurred must be borne by the exhibitor.

6. UNSIGHTLY EXHIBITS

The Exhibitors shall not erect or install or caused to be erected or installed any sign, device, furnishing,

ornament or object outside the Exhibition Booth. In default thereto, the Organizer may carry out any

necessary works to remove, destroy and/or otherwise dispose of such erection and the costs and expenses

incurred there from shall be a debt owing from the Exhibitors to the Organizer and shall be payable within

seven (7) days from the date of the Organizer’s demand.

7. FAILURE TO EXHIBITS

Any organization which, having signed a contract for Exhibition space, fails to exhibit whether or not for any

reason of the Exhibitor’s own choosing and has not been released from the Contract by the Organizer shall

be liable for the full amount stated in the Contract plus any additional costs incurred by the Organizer as a

result of such failure to exhibit.

8. FAILURE TO PARTICIPATE

In the event the Exhibitors fail to participate at the Exhibition Booth duly assigned by the Organizer during

the Exhibition, the Organizer shall have the right at its absolute discretion to deal with such vacant Exhibition

Booth as it thinks appropriate and such Exhibitors shall pay all due and outstanding sum to the Organizer

and shall have no right to claim against the Organizer for non-participation.

9. WITHDRAWAL / CANCELLATION

In the event of an Exhibitor’s withdrawal from the Fair, all payments made by the Exhibitor shall be forfeited.

10. CLEANING SERVICES

The Organizer will arrange for general cleaning of the Exhibitions Halls and Shell Scheme Booths. This only

includes cleaning of carpet / flooring and rubbish disposal before the show opens in the morning and after

the show closes in the evening. The exhibitor is responsible for maintaining his own booth in a tidy condition

all the times.

11. SECURITY

Sufficient security will be engaged to ensure the safety of the event and premise. Nevertheless, it is

advisable that all exhibitors to arrange own insurance to cover all products and people during the event and

be particularly careful to pack light, portable models and other attractive exhibits immediately after Exhibition

Closes.

Please take note of the following simple precautions:

LOCK-UP ALL VALUABLES

DO NOT LEAVE YOUR BOOTH UNATTENDED

DO NOT LEAVE any item even lockable cupboards, after the exhibition is over, since the contractor will

then dismantle all the floor facilities

Take necessary insurance for products and people working during the exhibition

THE ORGANISER WILL NOT RESPONSIBLE for any loss or damage or injury to property or persons

caused by themselves, their employees, contractor or agent. This includes loss of rented furniture,

equipment or instruments

12. LIGHTING & POWER SUPPLIES

For safety and proper load distribution reasons, all electrical work must be carried out by the Official

Contractor. Exhibitors may NOT connect pre-fabricated wiring and fixtures to the source of power supply

until work has been inspected by the Official Contractor.

The Official Contractor reserves the right to request exhibitors to dismantle any equipment that

causes any power trip or disruption to the event. Penalties for tripping will be charged to the

exhibitors / contractors should the tripping be caused by faulty machines / equipments brought in

by the exhibitors themselves. Therefore, please ensure that all your machines / equipments are fully

tested. Exhibitors are required to fill in form BC 3 and send it to the official contractor if need of twenty four

(24) hours electrical supply to the booths.

Please order additional lighting and power requirements in advance to guarantee supply. (Please see order

Form BC 3 & 4)

13. DELIVERY OF EXHIBITS ITEM

a) Delivery of Exhibits

Exhibit items should not be sent to the Exhibition Hall until the booths constructions are ready. The

Exhibitors and / or his representative must be present at his own booth to accept delivery from Freight

forwarding agencies or their agents. The Organizers or Official Contractor will not accept on behalf of

the exhibitors, nor can they be responsible for failures in delivery and safe-keeping of items should the

items arrive before the arrival Exhibitors’ staff.

b) Removal, Delivery and Replenish During Show Days

Removal, delivery and replenish of exhibits within the exhibition premise WILL NOT BE PERMITTED

DURING THE SHOW, ESPECIALLY DURING THE OPENING CEREMONY. Such removal, delivery or

replenishment of stock may only be carried out before opening hours in the morning or after closing

time in the evening.

c) Removal of Exhibits on Show Closure

All exhibitors are required to remove all items inside the booth by 7.00pm on the last day of the

exhibition (18th SEPT 2017).

14. DISPLAY OUTSIDE OF BOOTH AREA

Exhibitors are strictly advised to display items only within their booths. NO exhibit item can be displayed

outside the booth.

15. FILM / AUDIO VISUAL

Exhibitors are only allowed to show official corporate video and demonstrate the product range of their

companies during the exhibition.

16. NOISE LEVEL

The Organizer reserves the right to determine the acceptable sound level and the extent of demonstration

during the show. The Organizer has the right to stop any activity if it causes disturbance to other Exhibitors

or visitors.

17. PROHIBITION ON DANGEROUS MATERIALS

The following materials are not allowed into the exhibition hall:

a) Exposed lights, lamps or electrical fitting

b) Explosives, petrol, dangerous gases and highly flammable substances

18. UNFORESEEN CIRCUMTANCES

In the event of any situation not foreseen or explained in this Exhibitors Manual, the decisions of the

Organizers will be decide based on case to case basis. The decision is final.

19. GOVERNMENT LAWS AND REGULATIONS

Exhibitors are required to strictly observe and comply with all government laws of Malaysia and regulation

during the period of Exhibition. Any penalty imposed to the Exhibitor arising from failure on the part of an

exhibitor to comply with such a law shall be charged to the Exhibitor concerned.

LATE ORDERS cannot be guaranteed.

Note:

1. The Cost of Fascia Name is included in your Shell Scheme Package.

2. In the event, that this Form is not return, the Main Contractor will print-out the name given by the

Organizer.

3. The Main Contractor will not responsible for the spelling error and any amendment on-site, a minimum cost

of RM 25.00 per fascia name shall be charged to the Exhibitors.

Dear exhibitors,

Re: HARI INOVASI MARDI 2017, HALL D, Maeps, SERDANG, SELANGOR (18th – 19th SEPT 2017)

In order to make a success of this exhibition, we would like to seek our kind co-operation to adhere the following;

POSTER/DECORATION

Strictly, NO NAILS/ STAPLER GUN, GLUE, AND PAINTING on the built wall partition, aluminum structures and furniture is allowed.

Exhibitors contravening the rules will be charged wilt a penalty fee at RM 120.00 per panel.

SECURITY

All exhibitors moving in are advised to places their items inside the booths allotted to them and not in the aisle and must be clear immediately once the exhibitors are over. We will not be liable for any loss/ damages of items kept here in. Please attached the of the counters, cupboard, showcase, and/ or doors on to the locker it’s self, if any, otherwise penalty fee of RM30.00 per key will be charged. ARREARS

Kindly clear your outstanding payment for furniture/ electrical orders, IF ANY, at our SITE OFFICE prior to the opening of the exhibition. We reverse the right to repossess your orders should the arrears is not settled beyond the stipulated time. ELECTRICAL SETTING

Exhibitors are NOT ALLOWED to tamper the booth’s electrical wiring and fittings. All electrical requirements should be undertaken by the Official Contractor Only. Exhibitors are to indicate on the location of their socket points or spotlight (if their have order) in the booth on the Order Form. Failing which we will place socket point in centre of the booth. Special lighting supplied by exhibitors can be handed over to BIZ CREATIONS for installation. Each tube or bulb (to a maximum of 100 each light) will be charged at lighting connection per fixtures and per lighting. WATER SUPPLY & AIR COMPRESSOR

Exhibitors are required to bring along own adaptor for connection to their equipment.

Exhibitors with very sensitive equipment are advised to bring their own stabilizer to cater for voltage or frequency fluctuation. GENERAL INFORMATION

Any complaints regarding furniture rental/installation must be lodged the day before the exhibition commences. Otherwise all items are deemed to have been received in good order. Distribution of rental items shall be one day before the official Opening of the exhibition and collected when the exhibition ends. All items ordered are on rental basis and exhibitor will have to be responsible/ liable for any damages or loss. Your kind co-operation in following strictly the above points would be appreciated.
