Overview
Cornerstone Core Data Connector for ADP Workforce Now® creates users and
organization units (OUs) records in Cornerstone. This is a one-way integration from ADP
Workforce Now (WFN) current version (version 2.0 is not supported by API integration) to
Cornerstone. This integration will allow user and OU management to be centralized in
ADP WFN and eliminates the need of duplicate data entry in multiple systems.
Enabling the integration for the first time will schedule a Full user and OU sync to be done
after work hours. This will synchronize all employee records and all records of the
Validation Tables part of this integration from ADP WFN to Cornerstone.
The integration is triggered nightly (PST). It updates Cornerstone with the employee record
changes and the Validation Tables records HR Admin had saved in ADP.
Notes:
1. This integration only does an inbound (one way) sync from ADP WFN to CSOD
2. Standard fields are only supported as part of the integration. User Record Custom
Fields are not supported
3. Having an employee in ADP WFN in multiple companies with different positions,
locations, etc… is NOT supported
4. ADP WFN implementations using multiple companies and having identical OU
codes in the same OU Type is NOT supported
Prerequisites
In Cornerstone Timezone must be configured as a system preference since it is not obtained as
part of the integration. This can be done by proceeding to:
Admin > Tools > Core Functions > Core Preferences > Timezone.

Setup Instructions
It is recommended to implement and test the integration on Cornerstone’s Pilot
environment prior to production environment. Implementing and Testing the integration
on Cornerstone’s pilot environment can be done using “Cornerstone Core Data
Connector (Pilot)” integration. It synchronizes OUs and users from ADP WFN production
environment to Cornerstone’s pilot environment. Follow the steps below to gain access
to on the ADP Marketplace.

Select “TRY THE FREE EDITION”
Follow the Setup Instructions below (start from step 4) using “Cornerstone Core
Data Connector (Pilot)” integration instead of “Cornerstone Core Data
Connector” integration.
Notes
Subscribing to “Cornerstone (Pilot) Core Data Connector for ADP Workforce Now”
is at no charge.
Once the integration is tested and verified, you can purchase the production
integration and follow the below setup instructions.
Do Not Forget To disable the integration on Cornerstone’s pilot environment before
going live on production. Otherwise, some changes could be missed in production
environment.
In ADP 1. Log in to ADP Marketplace at https://apps.adp.com/apps.
2. Search for “Cornerstone Core Data Connector” integration.

3. Select the integration and purchase it by selecting BUY NOW
4. Upon purchasing the integration from the ADP Marketplace, the following will occur:
a) The App will be added under the menu “MY APPS” in the Marketplace
b) You will receive an email with the subscription token. Please retain this
email, as that value will be required to set up the integration in Cornerstone
Note: If the subscription email is not received,
a) kindly verify your email address used for notification in ADP WFN under the
communication preference, then
b) Check your spam/junk
c) Cancel the subscription and re-subscribe again in the ADP marketplace

5. Navigate to the “MY APPS” section and select “Cornerstone Core Data Connector”

6. You will be asked to provide the consent to ADP to share the data with Cornerstone

7. Upon providing the consent, a confirmation notification will be displayed
8. Press “Continue” and you will be brought back to the “MY APPS” section. This
completes the subscription, and consent in the ADP Marketplace. Please note that
only after the consent is provided, integration between ADP WFN and Cornerstone
will be enabled
In Cornerstone
9. Open Cornerstone’s Edge Marketplace at Admin > Tools > Edge > Marketplace

10. Purchase “ADP Workforce Now Core Data Sync” integration by clicking “Try It Free”
when viewing the integration page
11. Review and accept the Terms and Conditions, then click again “Try It Free”
12. You may configure the integration now by clicking “Configure Now”. This will take
you to the Edge Integrate screen of this integration

13. Populate the Subscription Token and the Notification Email. Configure the Division,
Cost Center and User Identifier, and then press the "Save Settings" button
Where
Subscription Token is the token received by email after purchasing the
integration from ADP’s Marketplace
Notification Email is the email address where notifications and errors should be
sent (Multiple emails should be comma separated)
Division and Cost Center OUs are mapped to either Business Unit or
Department. By default, Division is mapped to Business Unit and Cost Center
is mapped to Department
User Identifier could be mapped to Associate Id or Email (user’s email
address). The default mapping is Associate Id

14. Verify that the Client Id and Client secret are populated by viewing the Settings
screen again, then enable the integration
Do Not Forget To
Disable Cornerstone’s Pilot environment before enabling the production
environment. Otherwise, some changes could be missed in production
Erasing the Client ID and Client Secret when configuring production
environment with the production Subscription token. Once settings are
saved the integration will populate the Client ID and Client Secret using the
new token

Process Flow
Once the integration is enabled in Cornerstone, a Full User and OU sync will be done
once. Afterwards, only changes are synced from ADP WFN to Cornerstone.
Hire Employee 1. In ADP WFN, proceed to PROCESS > HR > Hire/Rehire
2. Select a hiring template

3. Populate the new hire information

a) A status notification email is sent. In case of is a failure, an excel sheet is
attached to the email with details of the failed records and reason

b) The employee is created in Cornerstone as a user
Update Employee Information 1. In ADP WFN, proceed to PEOPLE > Personal Information > Personal Profile

2. Search for the employee to update his/her information
3. Update the user information and press DONE to save
4. Once the Synchronization process is complete
a) A status notification email is sent. In case of is a failure, an excel sheet is
attached to the email with details of the failed records and reason
b) The user record for the employee is updated in Cornerstone

Create and update a Validation Table entry 1. In ADP WFN, proceed to SETUP > Tools > Validation Tables
2. Select one of the following Validation Tables supported by the integration: Business
Unit, Department, Locations, Pay Grade, Job Title. For clarification, the Job Title will
be used

3. Add or update an existing entry
4. Once the Synchronization process is complete
a) A status notification email is sent. In case of is a failure, an excel sheet is
attached to the email with details of the failed records and reason
b) The mapped OU to the Validation Table will have the entry created or
updated in Cornerstone

NOTES:
The Process Flow steps could be followed for testing the integration in
Cornerstone’s Pilot environment.
If testing is being done in Cornerstone’s Pilot environment, the created users and
OUs will be obtained from ADP WFN’s production environment.
Once testing is complete, delete/inactivate the test records in ADP WFN’s
environment.

FAQs
Q: Can the scheduled run time be modified?
A: No. The integration run time is currently not configurable.
Q: Does the integration support User Record Custom Fields and Custom OUs?
A: No. Only standard fields and standard OUs are supported.
Q: I’ve copied the configurations from Pilot environment. Why does the Integration fail
on production although it worked on Pilot environment?
A: Each environment has a different ADP Token. Please follow the following steps:
1. Erase the Subscription Token, Client ID, and Client Secret,
2. Populate the Subscription Token with the production App subscription token
3. Save the setting to allow the integration to populate the Client ID and secret,
4. Enable and test the integration again
Q: I currently have users in Cornerstone, how can I enable the integration and prevent
having duplicate users
A: The integration compares the User ID for existing CSOD users with what is being
synched from ADP WFN. To prevent duplicates, the existing User ID values should either
be ADP’s Associate ID or Email Address, and the integration should be configured
accordingly.
Q: Does the integration pull archived users from ADP WFN?
A: No. The does not synchronize archived users.
Q: How can I test the “Cornerstone Core Data Connector” integration on Cornerstone’s
pilot environment?
A: Follow the link to open Cornerstone (Pilot) Core Data Connector for ADP Workforce
Now. Select “TRY THE FREE EDITION”. Follow the Setup instructions to configure and enable
the integration on ADP WFN and Cornerstone Pilot environment.

Q: I am receiving the User Sync Summary email and its attachments shows an error code:
403 and Message: Forbidden. What is the issue?
A: An employee was updated (ex: Terminated) then archived in ADP WFN before the
updates where processed in Cornerstone. To resolve this issue:
a) Un-archive the employee in ADP WFN,
b) Trigger an on-demand Delta sync in Cornerstone,
c) Verify the updates, then;
d) Archive the employee again in ADP WFN.
Q: Does the integration transfer employees hired with a future date?
A: Yes. The integration transfers employees with a future hire date ADP WFN as part of the
delta sync only (i.e. Full Sync does not). This is only done once on creation date of that
employee in ADP WFN. Any updates done to these employee records in ADP WFN
between creation date and the hire date will not be transferred. On the hire date, the
delta sync transfers all the updates from ADP WFN to CSOD.
Q: I am receiving the User Sync Summary email and its attachments shows an Error code:
404 and Message: Not Found. What is the issue?
A: These are logged messages showing there were updates that were not transferred
from ADP WFN to CSOD during the sync. These updates were done on employees with a
future hire dated. Thus all updates will be updated on their hire date.
Q: I am facing issues with the integration, what should I do?
A: Create a case with GPS team and start its title by “ADP WFN Core”. Share the issue
details and the Sync Summary email to help investigate it.

Q: Does the integration support employees in multiple company codes with different
Validation Table values (ex: positions, locations, etc…)?
A: No. Since Cornerstone OUs are mapped to ADP WFN Validation tables and users in
Cornerstone can have one OU value, the integration only supports employees with single
unique Validation table values
